The second most recent will follow, and so on.

When to Use a Chronological Resume Format

The three main types of resume formats are the chronological, functional/skills-based one, and a combination resume format of the two. What you choose to use will depend on the type of job you are applying for and your experience level.

In the majority of cases, the obvious choice is the chronological resume. It is common, it highlights just the right sections, and job recruiters prefer it over the other formats.

Nonetheless, this doesn’t mean you should just cross the other options off your list, especially if your work experience doesn’t amount to much.

Consider these other two formats, taking into account their advantages and disadvantages as well: 

Functional Resume

  • Perfect for students or recent graduates, as it highlights your skills. 
  • Offers creative space for a varied portfolio 
  • Difficult to pass through the ATS (Applicant Tracking System) that most companies use to scan through countless resumes they receive daily. 
  • It conceals your experiences, however minor they might be. 

Combination Resume

  • A great choice for job-seekers with a diverse skill-set, because it highlights both skills and experiences. 
  • It can mask gaps in your employment history since you can also list your skills, so it’s the second-best option for those who lack work experience. 
  • It is a really good fit only for highly specialized professionals who have a very diverse skill-set. How to Create a Chronological Resume

Now that we mentioned the traditional structure, let’s go through each section one by one to create the perfect chronological resume. 

#1: Start With a Contact Information Section 

Depending on the template you have chosen for your chronological resume, there is a possibility that your name will be directly followed by your professional title right at the top.

How do you fill up your professional title in chronological resume format? Easy. If you’re not looking to change career paths your professional title should be your current title. However, if you’re changing career paths, then choosing the combination resume mentioned above might be a better option for you.

Regarding the rest of the contact information section on your chronological resume, it should be current and lacking any typos. The mandatory elements of the information section include: 

  • First and last name
  • Phone number
  • Email address
  • LinkedIn URL (optional)

#2: Add a Resume Summary or Resume Objective

  Second in the chronological resume comes your ‘profile’ as a candidate, which is expressed through a resume summary or a resume objective .

Here are the key points you should keep in mind when it comes to the work section:

  • This is the most important so we’ll be repeating it as many times as it takes: your current or latest job position should be placed on top. Then come the previous ones, all the way to your earliest job position. 
  • For each entry, list your job title and position, the company and its location, as well as the dates when you were employed. 
  • List your achievements and responsibilities, with a higher focus on quantifiable achievements, whenever you can. 
  • Use bullet points instead of just text to express what you have achieved and what you were responsible for in every job entry. 
  • Tailor the resume to the position you are applying for. For example, if you’ve had too many jobs in the past and some of them don’t relate to the field you are now applying for, then they are just taking space. Feel free to omit them.

Generally, the education section comes right after work experience. 

If, however, you have just graduated college and want to create a chronological resume to start applying for jobs, the education section can replace the experience section that you’d be lacking. 

Either way, the education section should be brief but jam-packed with information that can communicate your values and skills to the recruiter.

  • Program Name: E.g. “MA in Conflict Resolution and Peace Studies”

#5: Spice Up Your Chronological Resume With Your Skills

Needless to say, the reverse-chronological order doesn’t really apply in the skills section. 

What you can do, however, is begin by listing your hard skills and then your soft skills. 

Unsure of what this means? 

  • Hard skills are measurable abilities. These can range from programming in Python language to knowing how to use Photoshop and InDesign.
  • Soft skills are personal skills. They vary from attitude to flexibility, motivation and teamwork. 

Listing your skills has its own peculiarities, so don’t pay this section less attention than the ones above it, especially if you’re a recent college student. Pay attention to skills specifically required at the job ad and if you have them, make sure to include them.

#6: Include Any of These Optional Sections

Last but not least, come these optional sections.  

Having them in your resume can earn you extra points and even separate you from the competitors, but only if they don’t make your resume longer than it should be (1-2 pages maximum) and if they are relevant to the job position.

  • Languages : If you speak two or more languages, don’t fail to put that in your resume. To list them, simply categorize your proficiency level into native, fluent, proficient, intermediate, or basic .

If you’re wondering whether you should use a chronological resume format (also referred to as reverse-chronological resume format) or trying to get help with how to write it, then this article is for you.

And if you’ve been told to use a functional resume because you’re changing careers or have a work gap , then this article will help you, too! (And my advice on this topic might surprise you).

Here’s what you’re going to learn:

  • What is a chronological resume? And what is a functional resume?
  • Why it’s NOT beneficial to use a functional resume in most cases, and why the chronological resume format will get you the most interviews

Definition: What is a Chronological Resume?

Chronological resumes are resumes written in a format that lists your work experience based on the dates it occurred. Working downward from the beginning of your Work Experience section, you should start listing your most recent positions first. So the top of the section will contain your current or most recent job. Below that on your resume will be your next most recent job.

This is how to write a chronological resume, which is also commonly called the reverse chronological resume. (They’re the same, just different terms. Always start with your most recent job at the top of your Work Experience. Here are some examples ).

What is Reverse Chronological Order?

As mentioned above, reverse chronological order means that your previous jobs are listed in order of date, beginning with your most recent position at the top. Your final entry in the list should be your oldest or least recent position. This is why the term reverse chronological resume is sometimes used.

Note that you’re NOT obligated to list every job on your resume! You can choose where to begin telling your career story, or whether to omit a certain job for strategic reasons (for example, if it was only a three-month position, and isn’t related to your current career path).

So I’m not suggesting that you must start with the first job you ever held. However, once you’ve chosen a starting point for your resume work history, you should list those positions in reverse chronological order as described above.

Chronological Resume Example:

If you’re still not 100% clear on what chronological order on a resume looks like, here is an example work history section from a chronological resume:

Work Experience

IBM (2019-Present) Senior Product Manager

Brief paragraph describing the role. Don’t write too much here, because you should mostly show your accomplishments and work via bullet points .

  • Launched a Groundbreaking Product: Led the launch of XYZ product, resulting in a 25% increase in market share within the first quarter.
  • Implemented Strategic Partnerships: Fostered key partnerships that boosted revenue by 30% and expanded the product’s reach to new markets.
  • Streamlined Processes: Initiated a process overhaul, reducing project delivery time by 20%, improving efficiency, and ensuring timely product launches.

Microsoft (2016-2019) Product Manager

Brief paragraph describing the role. Two or three sentences is ideal, and you should try to put numbers and metrics whenever possible.

  • Product Revamp: Spearheaded a product revamp that led to a 40% increase in user engagement and a 15% growth in customer satisfaction.
  • Cross-functional Collaboration: Fostered collaboration between development and marketing teams, resulting in a 25% reduction in time-to-market for new features.
  • Revenue Growth: Implemented pricing optimization strategies that contributed to a 20% growth in product revenue over the course of two years.

Notice that the most recent or current job is listed at the top of the work history, and then you move downward for each previous job. The resume date format can vary slightly, depending on what you think is best for your work experience, just make sure that you keep it consistent.

So now you know what chronological resumes should look like, including a real example/template you can use to figure out your own! Next, I’ll explain why recruiters and hiring managers prefer this format, and why it will get you more interviews.

Should Your Resume Be Chronological?

After recruiting for 5 years, I can say without a doubt: Yes, your resume should be in chronological format.

The first reason that you should use a chronological resume date format is: this is what hiring managers and recruiters are accustomed to seeing and prefer.

Why do Recruiters Prefer Chronological Resumes?

Functional resumes are confusing and difficult to gather info from.

When I worked as a recruiter , I had multiple hiring managers send a functional resume back to me, and tell me to have the candidate rewrite it in chronological format. They simply don’t want to read a functional resume because they cannot gather enough info from it.

(If you don’t know, a functional resume lists your skills and past work without any dates. It groups them by skill type or functional area and not by chronological order. So that’s the definition of a functional resume).

This deprives hiring managers and recruiters of important info and context. They’re not as able to understand your career story or see how recently, or for how long, you used certain skills. Therefore, they are less likely to feel confident in inviting you to interview.

(Hiring managers want to interview people who are likely to be able to step into the job and succeed. They want the necessary info to make that decision before occupying their time with an interview).

So, with each online job getting hundreds of applicants, there’s no reason for a hiring manager to struggle to understand the one or two functional resumes they receive. They’ll just move on to a resume that’s written in the format they prefer – which is chronological, with an easy-to-follow resume date format.

The Best Resume Format for Applicant Tracking Systems (ATS)

Applicant Tracking Systems (ATS) have been the superheroes of the hiring game in recent years. It’s like a super-smart software wizard designed to make recruiters’ lives easier. 

What does it do, you ask? Well, it’s the maestro that scans, parses, and ranks resumes based on keywords, qualifications, and experience. Many companies use these systems for initial resume screenings, so if your resume does not align with the system you might be filtered out of the hiring process even if you are the best candidate for the job.

So should you be using chronological resumes to optimize for applicant tracking systems? Yes, definitely!

Chronological resumes present a clear and organized account of your career path. This straightforward format works well with ATS algorithms, ensuring a smooth and easily comprehensible read for the system to grasp your professional history clearly.

When is a Chronological Resume Not Advantageous?

Many experts will tell you that a chronological resume, or a reverse chronological resume, is not advantageous when you’ve had gaps in your work history, when you’ve had a non-traditional or unusual career path, or when you’re attempting to change careers.

However, even in these cases, most hiring managers will prefer reverse-chronological resumes if they are well-written and the resume date format is easy to follow.

You can tailor your work experience to show the pieces of work you’ve done that are most relevant for the job you’ve applied for now… even during a career change.

As a former corporate recruiter, I am not a fan of functional resumes. Recruiters are taught to scan resumes chronologically. When you take the experience out of context or “order,” it often gives the recruiter the impression you are trying to hide or fudge the experience.

The bottom line is: Trying to hide the dates and order of work will only frustrate and confuse hiring managers and cost you job interviews.

So my answer to, “Should resumes be chronological?” is a resounding “Yes.”

Now that we’ve covered what differentiates a chronological and functional resume, and which you should be using if you want to get more interviews, let’s talk about how to start writing it!

How Do You Write a Chronological Resume?

To start writing your resume, make sure you understand the format and have reviewed the reverse chronological resume example from earlier in this article.

Then, here are the steps to write your chronological resume:

1. Enter company names, dates of employment, and job titles .

You can list dates in terms of years, or months and years. Whatever you decide, keep it consistent.

You can also list the city/state of each job if you choose. This is also optional and is a personal decision when setting up your chronological resumes.

2. If you held multiple roles within a company, show each job title separately on your resume .

This is important so that employers can see that you advanced/progressed in the company. Recruiters typically love this!

Here’s another example of a chronological resume, where you can see two distinct job titles listed under one single employer. This person was promoted from Sales Rep to Branch Manager.

3. Write bullet points describing each role you’ve held .

Each role should have multiple bullet points describing what you accomplished and did for the employer. (Not just saying, “responsible for ___”.)

It’s much better to start with a verb like, “led six team members…,” or “grew our department revenue by…”)

4. Write a brief paragraph to describe each role (above the bullet points) .

This is optional. As you can see in the resume example above, it’s possible to go directly from job titles to bullets, without any paragraph content.

However, if you’d like, you can write a brief paragraph about what you did in the role overall. This can provide more context to the reader.

However, this paragraph should be concise, and you should never put it instead of bullets. I recommend 2-3 sentences at most. The bullets are more important and will be read more closely.

5. Add metrics and data when possible .

You’ll get more interviews by being specific and talking about results on your resume, rather than responsibilities. So try to pack your bullets with metrics… like dollar amounts, percent increases, number of people you led or trained, etc.

You don’t need to be in sales to have metrics! (I hear this common objection a lot).

For example, if you’re an editor for a company’s news blog, you could write:

“Edited and published 30 articles per month for the company blog, which was read by 40,000 people each month and generated an average of 10 qualified leads for the business .”

The more specific you can be on your resume, the better. So if you see an opportunity to add facts, data, and metrics in any of the paragraphs OR bullets you’ve written, do it.

Here’s another example of how to write about results rather than responsibilities:

Which sounds more impressive…

“Responsible for leading the customer service team and handling all inbound requests for the company”

“Led the 22-person customer service team which handled 250+ inbound requests per day via phone and email”

That second option is going to grab attention and get you more interviews from top employers.

6. Add other necessary resume sections .

After you’ve written your professional experience in chronological order, you then need to fill your chronological resume out with the other key sections, including:

  • Your header/contact info.
  • A resume summary paragraph.
  • Your skills section.
  • Your education section.

7. Consider adding optional sections .

You can also include one or more of the optional resume sections on your chronological resume:

  • Volunteer work/community involvement.
  • Honors & awards.
  • Testimonials from past coworkers/managers.
  • A secondary skills section (sometimes it makes sense to separate your skills into two sections. See the image below for an example).

If you read everything above, you now know why the chronological resume (also called reverse chronological resume) is the format that employers prefer.

It shows the important information that they want to see in your work history, including information that functional resume formats don’t include – like how recently you did each type of work, and for how long.

Without this information, many employers will not be interested in interviewing you.

They just can’t possibly know enough to determine whether you’re a good potential fit for their job. So at best, they’ll ask you to send a chronological resume instead, and at worst, they’ll invite other candidates to interview and you’ll never hear from them.

So that’s a scenario that we want to avoid, and you can do that by writing your professional experience in reverse chronological order.

By combining this with sections detailing your skills, your education, and other key qualifications, you will get more callbacks when you apply for jobs so you can find a new job faster.

  • You are a recent graduate, and you possess some experience in the position you are applying for . The fact that you are a recent graduate might be discouraging to some employers. However, listing your experiences in the position notifies the potential employers of your expertise in the field.
  • You are seeking a senior executive position.  It is easy for a recruiter to track your career progress with a chronological resume. This type of resume underlines your skills and accomplishments, which is something most employers are eager about when hiring rising stars.

If a hiring manager needs to hunt for your contact information, there’s a good chance you won't be contacted. Always include your full name, phone, and professional email address at the very top of your resume. 

It’s also a good idea to include your LinkedIn URL. Most employers will look you up online before contacting you, so this is anticipating that step. It's unlikely employers will contact you by LinkedIn, however, since most correspondence about job applications happens by email.

Don’t include your full mailing address - this is an outdated idea from when people applied for jobs by submitting paper resumes. You can provide your city, state, and zip code, or just the country if you're outside of the USA.

Your job title (or multiple job titles if you earned a promotion or changed jobs internally)

Some people incorrectly assume that the details about your experience are merely a list of obligations or daily duties. Let's look at an example before we talk about how to level up how you describe your work experience.

None of these bullet points could be guessed from the job title. This resume would really stand out from other Creative Manager resumes that only list bullet points like "Helped with creative ideas for [company project]."

Here is some advice on what to include to make your work experience more compelling to employers.

Include standout accomplishments from each position, such as projects you contributed to that had a positive outcome or specific ways you improved business.

Add numbers that translate your effort into value. Monetary gains are great, but here are some other metrics ideas: time saved, people managed, increase in output, decrease in errors.

Use plenty of keywords from your industry and the job you're applying to. If all the jobs you want to apply to want marketing strategy, be sure to include your experience with marketing strategy in this section. You'll appear especially compelling if you can provide the results of your marketing strategy.

4. Do you have the proper credentials?

After your work experience section, there should be a section that details your education: degrees, certifications, continuing education, and training. You should provide the name of the school or institution and the name of your degree or certification. You don't need to include the year you completed the education unless it was very recent or is a certification that will expire at some point—like a real estate license.

Essentially, you want to prove you're qualified on a basic level to do the job you're applying for. If the job description requires a degree, license, or certification, this is where you should include it if you have it.

Additional applicable skills: This section is optional and would go near the end of your resume following your education section. Adding a skills section can be helpful if you want to highlight specific required skills, like technical skills, or if you have additional skills that would help an employer make a decision. However, if you feel you covered all your skills in the core competencies section below your summary, then forgo adding an additional skills section at the end.

You can have a dedicated volunteer work section or include it as "Additional Experience" with other part-time, freelance, or work experience. Volunteer work serves a number of purposes, such as displaying skills you don't use in your professional work, like event organization, fundraising, or even leadership skills, and nods to the causes you care about enough to donate your time to. 

Volunteer work can also help fill gaps in your resume and your interview. If you've been job searching for three months, it sounds way better to say you've been volunteering and learning new skills versus sitting at home refreshing your email inbox.

A resume or CV is your first chance to make an impression when you’re applying for a job. In a chronological resume, you list your work experience in reverse chronological order (i.e., starting with your most recent role). But what do you need to include in a chronological resume?

What Goes into a Chronological Resume?

Your resume should be tailored to the position you’re applying for, so the exact content will depend on the role. However, you should always include the following sections in a chronological resume:

  • Personal Information – Your name and contact details, including your address, email, and telephone number.
  • Profile/Personal Statement – A brief statement of your skills, experience, and career goals. This should be no longer than two or three sentences.
  • Career History – A list of your current and previous jobs, starting with the most recent. For each entry,  include dates of employment, employer names, the roles you held, and your key responsibilities and achievements .
  • Education and Qualifications – A summary of your educational and professional qualifications, starting with the most recent.
  • Additional Skills/Interests – List any additional skills, interests, or hobbies you have that are relevant to the position you’re applying for.
  • References – Names, job titles, and contact details for one or two people who have agreed to provide a reference for you.

The contact section sits at the very top of the resume, usually aligned to the left or at the center. This section should include your:

  • First and last name
  • Email address
  • Phone number
  • Location (city)

Make sure the information you enter is accurate and free of any typos or errors. This is what recruiters will use to contact you if you match their requirements, so you don’t want to enter the wrong digits or miss a letter in your email address.

You can also choose to include the URL to your LinkedIn profile. Do this only if your profile is up to date and organized. You may also add URLs to other social media accounts if they’re relevant to the role or the industry you’re applying to.

For instance, if you’re applying for an interior designing position, you can share your Instagram or Facebook profile where you’ve added pictures of your previous work.

  • Mention the dates of employment next to the job title, including starting and ending dates. If you’re currently employed at the job, replace the ending date with “present”

The text should look something like this:

  • Executed successful marketing campaigns for international brands such as “A”, “B”, & “C”

Follow the same pattern for every job entry as you move down the chronological order.

Make sure you highlight your quantifiable achievements wherever possible. Avoid using lengthy sentences or wordy chunks of text, keeping things concise and to the point.

Don’t forget to tailor your resume according to the role you’re applying for! If you’ve worked multiple jobs in the past, exclude the ones that are irrelevant or emphasize more on the most relevant ones.

4. Mention Your Educational Background

Once you’ve listed your work experiences, follow the same strategy to fill out your education related details in reverse order. This section doesn’t need to be as elaborate as the work section, though. Here, you only need to focus on what you studied, when you studied it, and where you studied at.

For instance, if you hold a Master’s Degree and are currently pursuing your PhD, there’s no need to mention your high school diplomas. You can simply include your previous and ongoing college degrees.

On the other hand, if you’re a fresh graduate or have limited work experience, you can include your high school education alongside your undergraduate degree.

For every qualification that you include, don’t forget to mention the:

  • Degree & program name
  • Name of the educational institute
  • Period attended

You may also mention your CGPA, majors/minors, and academic achievements. Unlike the work experience section, you don’t need to elaborate on your courses or study matter under each heading.

5. Impress With Your Skills

Finally, it’s time to show recruiters what you’re capable of in the skills section. The reverse chronological order isn’t really applicable here. You can list all of your hard and soft skills , choosing the ones that are the most relevant to the role you’re applying for.

Hard skills are technical, measurable abilities needed for a job. For instance, Cloud Computing or knowledge of Photoshop would count as hard skills .

Soft skills are interpersonal skills that reflect your personality. They may include your critical thinking skills, communication skills, and leadership skills.

How to adapt the reverse-chronological resume format for students

Whenever possible, first-time job seekers should aim to create a reverse-chronological resume. However, they may have to resort to an alternative if they lack experience. 

Trying to land your first job as a student or recent graduate can feel daunting, especially when you don't have much experience to show. While it may be tempting to try out another style of resume, the reverse-chronological resume format can actually be adapted to the needs of students with little effort.

If you don't have any traditional employment to show, simply rename the section “Experience.” This allows you to include any volunteer positions, hobbies, side jobs, internships, or school activities that can serve as your work history for the time being. 2. Build your professional summary: Now craft a professional summary – these are generally two to three sentences. Your summary is an overview of your experience and skills and gives quick context to the hiring manager so they can determine your fit.

3. Add your work experience: This is the most crucial aspect of a chronological resume, so it will take up the most space. Start with your most recent job role and include any relevant experience from the past ten years.

For each entry, list your job title, employment dates, and company name. Include your location if it’s applicable – it isn’t relevant to include if the role was fully remote. Detail your main responsibilities and achievements with bullet points to make them easier for the recruiter to scan.

4. Detail your education: Next, you’ll want to list your education in the same format as your experience, starting with your most recent degree and continuing in reverse chronological order.

  • You’ve changed career tracks multiple times. If you have tried different jobs out for size and changed career tracks more than once, it’s likely that you have many skills employers will find appealing. Highlight skill and minimize career change by using a functional or combination resume.
  • You want to transition into a completely new career. If you have desirable skills, certification, or education and want to make a career change, a functional resume that places a large amount of emphasis on these aspects will prove more attractive than a chronological resume that focuses on unrelated positions you’ve held in the past.
  • You don’t fit the mold. If you’re not sure that your past history will help you obtain the job you’re applying for, listen to your intuition and pick a different type of resume. Consider using a functional resume that highlights transferable skills you’ve acquired. This will improve your chances of winning an interview.

Key Elements of a Chronological Resume

While chronological resumes focus mainly on work history, they may contain some additional elements as applicable to your individual situation and the position you are applying for. In addition to a detailed job history listed in reverse chronological, consider including some of these useful elements in your resume:

  • Job objective
  • Brief career summary statement
  • Applicable certifications
  • Special skills, if applicable

You might notice that some of these elements are identical to those found in other types of resumes. Just remember that a chronological resume emphasizes job history, and keep other elements concise.

One key decision job-seekers must make when writing a resume is which resume format to use. All resume formats have merits, and job-seekers usually select the one that best suits their work experience and the type of job they’re seeking.

  • Chronological
  • Combination

This article will review the different types of resume formats, which one is ideal based on an individual’s career trajectory and goals, and provide examples for each format.

Chronological Resume Format

Best For: Experienced or mid-career professionals with a consistent work history in a particular industry.

This format is the most common — and most straightforward — resume format. Chronological resumes prioritize work experience by listing all current and former jobs, starting with the most recent first. This format helps job-seekers build a narrative of how they have worked their way up in an industry from entry-level to mid-level or even leadership positions.

Depending on their experience, individuals may be able to include all their current and former jobs on a chronological resume, or they may need to be selective about the experiences they list to ensure everything fits on a single page.

When listing work experience on a chronological resume, job-seekers should include the name and location of the employer, the position they held with the company, and their dates of employment. To provide more details about their responsibilities and achievements, resume writers can use a bulleted list highlighting key information about how their previous work relates to the new job they’re seeking.

The sections that follow the work history can be in any order, depending on what information you want to prioritize. A standard chronological resume format looks like this:

Functional Resume Format

Best For: Individuals with limited professional experience, employment gaps, or who are making a major career shift.

Functional resumes emphasize an applicant’s skills that are relevant to the position or opportunity they are seeking. While applicants using this resume format will include information about jobs they’ve previously held, work history is less of a focus on a functional resume than it is on a chronological resume.

A functional resume can be the ideal format for job-seekers who are switching careers or industries, have limited work experience, or have significant gaps in their employment history because the focus is on their skills rather than their specific jobs. However, job-seekers using a functional resume format should be prepared to demonstrate how they developed the particular skills they highlight. A common element of functional resumes is a summary of qualifications, which highlights the applicant’s most relevant skills for a specific position, regardless of how they acquired those skills.

The summary of qualifications and list of relevant skills gets prime placement on a functional resume. Other sections, including work history, education, and professional memberships, should be included at the end of the resume. Volunteer experience can also be beneficial to include on a functional resume, as it can also demonstrate how job-seekers developed certain skills.

A functional resume typically follows this format:

Combination Resume Format

Best For: Individuals transitioning to a new career or with a diverse work history.

The most flexible resume format, a combination resume (also known as a hybrid resume), blends elements of functional and chronological resumes to emphasize both relevant skills and work experience.

Job-seekers with a varied work history can use this format to show potential employers that, even if their prior work experience may not be directly relevant to the position they’re seeking, they do have the necessary skills and aptitudes.

For individuals transitioning to a new career, this type of resume can demonstrate their level of professional experience and the transferable skills that come with it by providing more details on current and past jobs than a functional resume. When describing their past work experience, applicants should highlight the responsibilities and achievements most relevant to the new position they’re seeking.

Applicants using a combination resume can highlight their relevant skills with a summary of qualifications and a key skills list. Because this format features skills and work experience equally, there may be less room for optional sections like volunteer experience or special interests. However, if you have volunteer experience or interests relevant to the job you’re seeking, including them can further emphasize your suitability for the position.

General Resume Formatting Tips

  • Format clearly and consistently: Because of the volume of resumes hiring managers have to review, your resume must be formatted so that readers can easily understand it, even if they’re skimming it. Use an easy-to-read 10- or 12-point font like Calibri or Helvetica and define each section with bold or underlined headings. When describing job responsibilities, be consistent in your phrasing and formatting.
  • Keep it brief: Limiting your resume to a single page can also help ensure that hiring managers don’t pass over it. Include enough specific details about your experience to show employers you’re a good fit for a job, but keep them from overwhelming them with information. For early-career job seekers, a resume should be one page, maximum.
  • Be specific: While you don’t need to completely rewrite your resume for every job, review job postings and adjust your resume to be as specific as possible to the jobs you’re applying for. Highlight the skills, achievements, and educational experiences you have that are most relevant to the position you’re seeking.
  • Utilize keywords: Many companies utilize  Applicant Tracking System (ATS) software to help sort through job candidates and remove non-qualified applicants from the pipeline. While you want to avoid keyword stuffing , which could also be a red flag to ATS programs, adding accurate keywords where appropriate can help ensure your resume passes through the initial round of screening. Carefully reading the job posting can help you identify keywords to include in your resume.
  • Ensure accurate contact information: Include an up-to-date phone number, professional email address, and LinkedIn profile (if you have one) on your resume. Only include other social media links on your resume if you’re applying for a position related to that field. However, ensure your social media profiles accurately represent you as a professional, as potential employers will likely search for you online during the hiring process.
  • Proofread: Before sending your resume, re-read it with fresh eyes to check for any spelling or grammatical errors. Also, be sure you’re referencing the correct job. Have another person read it or use a program like Grammarly to catch any mistakes you may have missed.

Resume Writing Guide

A resume is typically an employer’s first introduction to you. First impressions are crucial to establish yourself as professional, capable, and motivated. A strong resume demonstrates your transferrable skills, communication abilities, and achievements. A consistent, detailed, and concise resume can help your resume get noticed by recruiters. By formatting your resume professionally, you increase your chances of earning the interview.

Resume Components

Contact information, phone number.

Use a phone number you can answer readily, such as your cell phone. If you have a voice mail set-up, make sure it sounds professional with your name and the best times to contact you.

Your e-mail address should be professional. While you are enrolled at UMass Amherst, your UMass e-mail will work well. After graduation, consider creating a new e-mail address that contains your name. 

Always include phone and email, but consider if listing your address is helpful or harmful. Employers may give preference to people who are closer geographically - if you are applying from far away, they may be unsure whether you are serious about moving.

Additionally, while your city and state are helpful to list, you do not necessarily need to include your street address. Employers will need it to hire you, but it is not required to provide during the job application process.

Objective/Summary

This section is most useful when you hand your paper resume out at a career or networking event - unless you have something specific to highlight, consider leaving it off your resume. A cover letter will do a better job conveying your why, as well as your key abilities. When you submit electronically, many Applicant Tracking Systems (ATS) will often skip the summary section and look for those key words to be in the body of your document instead.

For currently enrolled students, you will list your current degree first, and then work backwards in reverse chronological order. During your first few years of college, consider including your high school until you run out of space.

In addition to your college education, you may also highlight   study abroad or domestic exchange programs . When discussing these programs, think about including the following experiences to highlight your transferable skills: 

Class projects

Volunteering/internships/research applicable to your field

Independent travel

Learning to work with a more diverse group of people than you had previously been exposed to

Resolving conflicts based on misunderstandings of cultural differences

Learn new activities, languages, hobbies, or skills

Awards (when including awards, include the reason for receiving it. Example: "21st Century Leadership Award for high academic achievement in first year")

There are many types of experiences: volunteer, paid, unpaid, work study. If the experience is relevant and taught you transferrable skills, find a way to include it.

  • For each experience, include name of organization, your title or role, location, and dates
  • Action verbs (samples below) to help you write accomplishment statements, which prove you have the skills you say by leaning into outcomes and successes
  • Consider using multiple experience headings, such as: research experience, industry experience, or relevant experience. This can be a good way to move more relevant experiences up higher on your resume, even if they happened further in the past.
  • Quantifying your work can demonstrate your aptitude. Answering questions such as "How many?",   "How much?", and "How often?" will help recruiters understand the extent of your skills.  
  • Avoid “responsibilities included" and writing in a passive voice - using action verbs will make this easier.

Leverage, Incorporated: Boston, MA (September 2025 - Present)

Computer Science Intern

  • Developed an algorithm that identified patterns in white collar crime in the financial industries across the United States. Implementation of this program reduced company losses by 17% compared to the previous quarter.
  • Collaborated with supply chain division to design new packaging based on reduction of carbon footprint, leading to increased production distribution while reducing energy usage.
  • Established a training program to help connect interns with mentors at the organization and was awarded the Innovative Intern of Quarter for these efforts

This section is typically for "hard" skills, which are skills that can easily be measured. Soft skills (such as interpersonal skills) are better described in bullet points of your experience section so they can have the context they require. For a skills section, depending on your targeted field, you may add computer, language, laboratory skills, or performances. For languages, put your level of fluency (e.g., proficient, advanced, fluent, native).

Resume Formatting and Layout

The average reading only spends 20 seconds reading a resume. Before that, an applicant tracking system may be utilized to select which resumes get reviewed by a human being.  Make sure your resume is easy to read and stands out. 

No single format works for everyone: the only rule is that you need to be honest, factual, and relevant

One page is ideal (especially for internships) and for students ages 18-25

Keep a longer master resume for future opportunities

List everything in reserve chronological order; start with your most recent experience work backwards

Use a legible sans serif  font size, keep it readable, 11 is a good place to start

1 column is better than 2; when you have two columns the reader may jump around and miss key information

No icons or images as they cannot be read by applicant tracking software

How Many Resume Versions Do I Need?

There is a big difference between customizing your resume for a specific position/industry versus creating different documents for each application.

  • If you are applying to jobs in drastically different industries, you will want to customize resumes for each industry. For example, a psychology major applying to jobs in Human Services as well as Human Resources will want to highlight different experiences and skills for each, and potentially format their resumes different as a business setting holds different expectations for job criteria compared to a mental health setting.
  • If you're pursuing a few different roles, but they're all related to one discipline or field, then you will not need multiple versions of your resume. However, you will still want to tweak each resume you send out based on the specific job description. 

Specialized Resumes/Sections

While resumes may follow the same general format, depending on your experience and industry, there may be other considerations to help your resume stand out.

Design Resumes

Design resumes can differ from traditional resumes in several tangible ways, reflecting the unique skills and creative nature of design professions.

Your document is an indication of your style aesthetic and may not need to conform to the same rules and standards as other professions.

Visual Layout

Design resumes often incorporate creative layouts that display the designer's skills in typography, layout, and visual communication.

  • Infographics: Use of icons, graphs, and other visual elements can represent skills, experience, and achievements.
  • Color and Typography: Thoughtful use of color and font choices creates an aesthetically pleasing document that aligns with your personal brand.

Content Presentation and Customization

Direct links to online portfolios or examples of work, are often included as part of the resume. Incorporation of personal logos, custom icons, and other branding elements that reflect a designer's style may be added here.

File Format and Compatibility

Designers create their resumes in online spaces varying from Latec to Adobe to Canva. While many resumes are shared as PDFs, design resumes especially should be shared in this format to preserve visual integrity across different devices.

Unique Layouts

Non-traditional formats such as infographics, timelines, or modular layouts may be acceptable.

Interactivity

For digital resumes, elements of interactivity can be incorporated, such as clickable links, hover effects, and embedded multimedia.

The most important rules still apply to ALL resumes; clean neat formatting, with consistency in where the reader will access key information continues to be your driving force.

Designers should contact their career centers to discuss what resume style might best suit their professional goals.

Digital Resumes

A digital resume is an electronic version of a traditional resume that highlights an individual's professional experience, skills, and achievements using digital formats.

Either shared as a PDF or hosted on a personal website, this format allows for enhanced interactivity and multimedia integration. Digital resumes often feature creative layouts, embedded links to portfolios, and interactive elements such as hover effects or animations.

They enable candidates to visually demonstrate their technical and design skills, making them particularly popular in creative and tech industries. The goal of a digital resume is to highlight qualifications, but also provide a dynamic and engaging avenue for potential employers to assess a candidate’s capabilities.

Student Athletes

As a UMass athlete, you learn incredible transferable skills in areas such as communication, leadership, and teamwork. You also spend more time at your activity than most, so make sure they see all your greatness in action.
