Writing your thesis and getting it published are huge accomplishments. However, publishing your thesis in an academic journal is another journey for scholars. Beyond how much hard work, time, and research you invest, having your findings published in a scholarly journal is vital for your reputation as a scholar and also advances research findings within your field.

This guide will walk you through how to make sure your thesis is ready for publication in a journal. We’ll go over how to prepare for pre-publication, how to submit your research, and what to do after acceptance.

Pre-Publication Preparations

Understanding the publishing process.

Ideally, you have already considered what type of publication outlet you want your thesis research to appear in. If not, it’s best to do this so you can tailor your writing and overall presentation to fit that publication outlet’s expectations. When selecting an outlet for your research, consider the following:

●  How well will my research fit the journal?

●  Are the reputation and quality of this journal high?

●  Who is this journal’s readership/audience?

●  How long does it take the journal to respond to a submission?

●  What’s the journal’s rejection rate?

Once you finish writing, revising, editing, and proofreading your work (which can take months or years), expect the publication process to be an additional three months or so.

Revising Your Thesis

Your thesis will need to be thoroughly revised, reworked, reorganized, and edited before a journal will accept it. Journals have specific requirements for all submissions, so read everything on a journal’s submission requirements page before you submit. Make a checklist of all the requirements to be sure you don’t overlook anything. Failing to meet the submission requirements could result in your paper being rejected.

Areas for Improvement

No doubt, the biggest challenge academics face in this journey is reducing the word count of their thesis to meet journal publication requirements. Remember that the average thesis is between 60,000 and 80,000 words, not including footnotes, appendices, and references. On the other hand, the average academic journal article is 4,000 to 7,000 words. Reducing the number of words this much may seem impossible when you are staring at the year or more of research your thesis required, but remember, many have done this before, and many will do it again. You can do it too. Be patient with the process.

Additional areas of improvement include>

·   having to reorganize your thesis to meet the section requirements of the journal you submit to ( abstract, intro , methods, results, and discussion).

·   Possibly changing your reference system to match the journal requirements or reducing the number of references.

·   Reformatting tables and figures.

·   Going through an extensive editing process to make sure everything is in place and ready.

Identifying Potential Publishers

Many options exist for publishing your academic research in a journal. However, along with the many credible and legitimate publishers available online, just as many predatory publishers are out there looking to take advantage of academics. Be sure to always check unfamiliar publishers’ credentials before commencing the process. If in doubt, ask your mentor or peer whether they think the publisher is legitimate, or you can use Think. Submitting Your Thesis

Now that you have thoroughly prepared, it’s time to submit your thesis for publication. This can also be a long process, depending on peer review feedback.

Preparing Your Submission

Many publishers require you to write and submit a cover letter along with your research. The cover letter is your sales pitch to the journal’s editor. In the letter, you should not only introduce your work but also emphasize why it’s new, important, and worth the journal’s time to publish. Be sure to check the journal’s website to see whether submission requires you to include specific information in your cover letter, such as a list of reviewers.

Whenever you submit your thesis for publication in a journal article, it should be in its “final form” – that is, completely ready for publication. Do not submit your thesis if it has not been thoroughly edited, formatted, and proofread. Specifically, check that you’ve met all the journal-specific requirements to avoid rejection.

Navigating the Peer Review Process

Once you submit your thesis to the journal, it will undergo the peer review process. This process may vary among journals, but in general, peer reviews all address the same points. Once submitted, your paper will go through the relevant editors and offices at the journal, then one or more scholars will peer-review it. They will submit their reviews to the journal, which will use the information in its final decision (to accept or reject your submission).

While many academics wait for an acceptance letter that says “no revisions necessary,” this verdict does not appear very often. Instead, the publisher will likely give you a list of necessary revisions based on peer review feedback (these revisions could be major, minor, or a combination of the two). The purpose of the feedback is to verify and strengthen your research. When you respond to the feedback, keep these tips in mind:

●  Always be respectful and polite in your responses, even if you disagree.

●  If you do disagree, be prepared to provide supporting evidence.

●  Respond to all the comments, questions, and feedback in a clear and organized manner.

●  Make sure you have sufficient time to make any changes (e.g., whether you will need to conduct additional experiments).

After Publication

Once the journal accepts your article officially, with no further revisions needed, take a moment to enjoy the fruits of your hard work. After all, having your work appear in a distinguished journal is not an easy feat. Once you’ve finished celebrating, it’s time to promote your work. Here’s how you can do that:

●  Connect with other experts online (like their posts, follow them, and comment on their work).

●  Email your academic mentors.

●  Share your article on social media so others in your field may see your work.

●  Add the article to your LinkedIn publications.

●  Respond to any comments with a “Thank you.”

Getting your thesis research published in a journal is a long process that goes from reworking your thesis to promoting your article online. Be sure you take your time in the pre-publication process so you don’t have to make lots of revisions. You can do this by thoroughly revising, editing, formatting, and proofreading your article.

The most important issue is whether your thesis is of sufficient quality and originality to be publishable - not to discourage you, but most undergraduate theses are not.   • Publishing the thesis "as is"

Your first option to to publish the thesis as it is now, without any modifications. This is usually the easier thing to do. Assuming your thesis in in PDF format, you can just upload it to your own website. Another option would be to upload it to a repository such as figshare.com , where it will also be assigned a DOI and it will be easier for people to cite (and discover?).

  • Making a journal article out of it

This option will be harder, but will also probably benefit you much more. I'm assuming that you know how a journal article looks like, so now your job is to make it look like one. The technical aspects may be challenging at first, but they are pretty straightforward. Every journal has a "guide for authors" section where they instruct you exactly how and where to submit the article. What format to use, how to draft the figures, what citation format to use, etc. If you are not sure which journal to publish to, I suggest that you look on the citation list of your own thesis and see which journals published articles similar to yours. One of the reasons that this option is harder is because you have to convince the editors and reviewers of the journal that the article is novel, important, well written and worth publishing. The article will be subject to peer review which will require additional time and effort from your side. It is a lengthy process and can take several months.

  • Ok. Research papers are published in journals. Now, I don't know your field and what is the typical paper length, but in my field papers of 20-25 pages are common. Submit academic research paper to Google Scholar

You have worked many months to complete your thesis or academic paper and you have relied on existing knowledge to finalize your research. Now you want to make your work available to the public. Here is how to properly include your academic research (journal article, thesis, book, ) in the Google Scholar search engine.

Create your Google Scholar profile

From this page, you can create your Google Scholar profile page. Include as much information as possible, such as a profile picture, your website, affiliation and areas of interest. I would also recommend you to make your profile public.

Once your profile looks good, we can move on to actually adding your academic writings. From here on, you have two options:

  • You have only one or a few documents you want to submit, go for option 1
  • You have many articles you want to add and are planning on writing even more in the future, go for option 2

Option 1 – Adding one by one

If you only want to include one document (let’s say, your master’s thesis), you can do so manually. Here are the steps:

  • Go to this page to start adding a document manually.
  • Choose the type of document (journal, conference, chapter, book, thesis, patent, court case or other).
  • Fill in all the details about your article (title, author(s), publication date(s), volume, publisher, institution).

Click save and if you filled in everything correctly, you will see the message ‘Added article to your profile’. Congratulations!

Option 2 – Submit a website with all your work

In case you have an academic career and you have a list of work on your (academic or personal) website, option 2 is more suitable for you.

Google has guidelines to help you index your website that contains your academic work. Here are the steps you should follow to successfully include all of your work at once:

  • Go to this page  and pick the type of website you are submitting. In my case, I choose ‘Personal publications’.
  • Read and check the check-boxes that apply to you, such as ‘My inclusion request is for my personal publications’.
  • Fill in the requested details, whereby the your webpage with academic articles should be filled in by ‘List of publications page’.
  • Lastly, you are asked to include one or more article examples. So, paste the direct link to on or more of your PDFs there.

click submit and you are greeted with this message

The period characterized by the collapse of many financial institutions, massive bailouts, the economic downturn and finally the great recession was primarily attributed to the failure of corporate governance. As much as this was a low point in corporate governance, it also showed its importance not only to individual firms but to the world economy as a whole (Tricker & Tricker 2015). Never before has the notion that corporate boards and institutional investors are the most important corporate governance mechanisms in the firms with important implications for the sustainable long-term success of the firm been so vividly seen. From time immemorial as humans, we have always learned from our mistakes and the 2007-2009 was an eye opener especially to corporate governance. Before I can explain further on the notion, it is important to learn the basic aspects of corporate governance. 1.2 Definition of Corporate Governance Corporate governance in simple terms refers to the set of rules, processes, and practice through which a company is controlled and directed with (Solomon 2007). It involves balancing the interests of the organization with the interests of other parties such as the government, investors, lenders, suppliers, the community etc. 1.3 Importance of Corporate Governance When executed properly, corporate governance can help a company avoid certain risks such as lawsuits, fraud, and misappropriation of funds. In addition to that, good corporate governance helps in boosting the organization’s brand and reputation to the media, investors, suppliers, customers and the society as the whole. Furthermore, cooperate governance protects the financial interests of the individuals involved with the company such as the shareholders and the employees as explained by (Vitez, 2017).

1.4 Theories of Corporate Governance Corporate governance can be defined in many ways but when it comes to analyzing it, we do it through a framework of different theories. One of those theories is the agency theory which looks at the shareholders as the principals and the executives that have been hired to run the business as their agents. Another theory is the stewardship theory which looks at the executive as the stewards of the shareholders with both parties sharing the same goals. In addition to that, we have the resource dependent theory which considers the board as to be in existence so as to provide resources to the management with the aim of achieving the overall objectives of the business. Stakeholder theory comes from the assumptions that it is not just the shareholders who have an interest in the company but other parties too such as suppliers, the government, creditors among others (Farrar 2008). This means that this parties too can be affected by the success or failure of the business. Other theories of cooperate governance include transaction cost theory, political theory, and ethical related theories. 1.5 Corporate Governance Codes Introduction The code of governance over the years have originated for various reasons or in response to various circumstances. The first major release was in 1992 by Sir Adrian Cadbury popularly referred to ‘Cadbury Code’ titled “the Financial Aspects of Corporate Governance”. Following serious revisions over the years, the code is nowadays administered by the Financial Reporting Council. The Organization for Economic Co-operation and Development (OECD) developed the first internationally influential codes back in 1999 following a business advisory committee that was led by Irra Milstein. Boards that govern companies are influenced by several documents which include but not limited to articles of incorporation, by-laws, corporate governance guidelines, committee charters, and codes of conduct. When it comes to the United States, various federals laws such as the Sarbanes-Oxley Act of 2002, the Dodd-Frank Wall Street Reform and Consumer Act, federal laws as well as federal security laws in addition to regulations, rules, and guidance from SEC are used. These documents are meant to be used for the purpose of best practices and flexible working standards to safeguard the various parties that have an interest in the organization. In short, they basically outline the interaction between the board and management outlining the structure and the behavior of the board. The codes are normally contributed to by various individuals including investors, accounting firms, regulators, banks, corporate governance interest organizations, academics, and stock exchanges, among others.

Corporate Governance Mechanism Policies, control, and guidelines are vital for an adequate corporate governance mechanisms. An effective corporate governance mechanism will consist of a number of various mechanisms. The first level consists of internal mechanisms which monitor the business from within and take corrective measures when the business stray away from its set objectives. They include reporting lines that are clearly defined, systems that measure performance and systems for the smooth operation of the business. The next level is the external mechanisms which are controlled by those outside the business and serve the objectives of outsiders such as the regulators, government, financial institutions, and trade unions among others. The objectives of the external mechanism include proper debt management and legal compliance by the company in question. The last level consists of an audit of the entity’s financial statements by an independent auditor who generally works to serve both the internal and external parties that are involved with an organization to ensure that their interests are guided and that the management is doing everything properly. They also act as a second opinion to back up what the management is saying. 2.1 Corporate Boards The board generally consist of groups of individuals elected or nominated by shareholders in the annual general meeting. The board of directors normally act as a bridge between the company and the shareholders -it decides as a fiduciary with the aim of protecting the latter’s interests. This is the norm with a Public company even though nowadays most non-profit making organizations and private companies also have a board. Their main mandate is to make policies for corporate management and also to make decisions on major issues that affect the company. 2.1.1 Corporate Board Structure The structure of the board of directors is mainly guided by the company’s bylaws which sets out the structure, number of members, how often they meet etc. The most important element is that it should be able to balance both the interests of the management and Shareholders. The duties are regulated by the statutory laws, federal statutory laws, listing standards, common law and shareholder activism and litigation. The membership of the board normally constitutes independent directors, senior company executives, non-independent directors such as former senior executives of the company among others. Nasdaq rules require the majority of the board members to be independent and in they constitute up to 75% or more of the boards in 93 of the top 100 US companies. Most boards consist of 8 to 15 members. There are no age and nationality restrictions although in recent years gender balance has been emphasized. 2.1.2 Roles of the Corporate Boards The board’s primary role as discussed earlier is the fiduciary duty to safeguard the finances and the legal requirements of the entity. They do this by ensuring that the entity in questions does all that is required of it by the law, and the funds are properly used. Another role of the board of directors is setting up the mission and vision of the organization. In addition to that, they ensure that the management adheres and work towards achieving them. Over sighting the activities of members of the organization such as executives is another role of the corporate board. The board ensures that the management adheres to rules and regulations and do their work as prescribed. Other roles of the board of directors come up in the annual meetings where-by, they announce the annual dividends, oversee the appointment of key executives and amend the by-laws where it is necessary (Dimopoulos & Wagner, 2016). Other roles of the corporate board include setting up the strategy for the company for long-term survival, short-term gains and future exploration of opportunities that are likely to arise. This might also include setting up the structure of the company to ensure efficiency. The board, however, does not take part in the day to day running of the organization and thus serve another role of delegating the duties to the management. The board should also monitor, control functions and set up compensation plans for the executives. Last but definitely not least, the board helps in acquiring resources for the organization while ensuring continuity. With great power comes great responsibilities. The board must always use their powers for the right reason and do what is required of them by the shareholders of the company. The board must always carry out whatever they do in the full interest of the company, and in case there is a conflict of interest then the interests of the company should always come first. They must also carry out their task with due care minding the interests of both the shareholders and that of the employees. Other responsibilities of the board include acting as the court of appeal in case there are disputes, accessing the performance of the firm and enhancing the organization’s overall public image and brand name. 2.2 Institutional Investors An institutional investor is a person, persons or organization that pools money or provides funds to purchase securities, other investment assets, property or originate loans. They include financial institutions such as banks, Insurance companies, pension and hedge firms, investment advisors, commercial trusts and mutual funds. For a firm to grow, it requires resources inform of money which is provided by these institutional investors who get profits and interests as compensation for their troubles in taking the risk. The returns should exceed the fees and expenses of the investments and is compared against treasury bills which are considered to be risk-free. 2.2.1 Roles and Responsibilities of Institutional investors The best thing about institutional investors is the fact that they have expertise and knowledge to monitor the health and progress of the business. With this knowledge, they can provide the best advice the organization and also control the tendency of the management to put their interests first as opposed to the interests of the company. This active monitoring helps reduce misappropriation of funds and other forms of fraud (Gillan & Starks 2002, pp. 275-305) The institutional investors can act as a source of stability in hard times as was the case in the coal crisis in India recently. By offering additional funds, the institutional investors increase their stake and say in the company thus can push for better corporate governance. Another aspect related to this is the fact the institutional investors have a louder voice compared to minority investors. Most of the time when minority shareholders raise their concerns on corporate governance, they will rarely get addressed or at times get thwarted by the minorities which are not the case with institutional investors. 2.3 Other Corporate Governance Mechanism Other parties that are involved in corporate governance include the shareholders themselves who have the biggest interests as the main contributors of capital, the employees who get their incomes and job security from the good governance of the company, the government which gets taxes from the organization and the society as a whole which benefits from job creation, income distribution, corporate social responsibility activities of the firm among other benefits. Case Studies 3.1 Enron 3.1.1 Background The story of Enron was not only the largest bankruptcy case at the time but also the biggest audit failure. This was cited by many as the biggest corporate governance failure especially on the part of corporate boards and institutional investors. Enron was founded in 1985 by Kenneth Lay who also triples up as the chairman and chief executive officer. This was after merging Houston Natural gas and Intermonth. Other key people involved with Enron included: Jeffrey Skiing who was the C.O.O, Andrew Fastow who was the CFO and Rebecca Mark-Jusbasche who was the once a vice chairman. From 1995 to 2000 Enron was in fact named America most innovative company by Fortune. In the mid-2000s at its peak, the shares of Enron were trading at $90.75 per share. By the end of November 2001, they were trading at less than $1 per share. This was when the shareholders filed a $40 billion lawsuit. Enron filed for bankruptcy on December second, 2001 with assets worth $63.4 billion making it the biggest bankruptcy scandal ever in American history at the time. At this stage, the shares were going at $0.26 per share. 3.1.2 Failure of Corporate Governance in Enron Lack of due care and skill from the board was one of the reasons why Enron failed. As submitted by S.Watkins, Kenneth Lay who was Enron’s chair, could not get what was being said to him in regards to the company having questionable accounting practices. This also showed lack of proper communication between the board and the executives. This was further elaborated by Jeffrey McMahon, the new Enron’s president who said it was virtually impossible to challenge the authorities at Enron. A culture of intimidation had also developed at the company with the likes of Ms. Watkins fearing to lose their jobs. The board literally failed in its role of directing. This showed some sort of conflict of interests where they were more than happy to receive high compensations without asking serious questions which would have led to a decrease in their personal bonuses. The management who carried out the day to running of the Enron misrepresented information by allocating Enron’s debts to its dubious partners. This also showed the lack of proper internal controls at Enron (Carberry & Zajac 2017, p.15134). The corporate investors also failed to properly supervise the company and advice accordingly. For example, according to an economist at Enron, it was important it was all mind games as it was important for the employees, investors, and analysts to believe that the stock will bounce back. Other corporate investors such as the two trustees of Enron’s 401(k) plan failed in their duties as they did not warn the plan participants despite a memo detailing the accounting malpractices. The institutional investors also had all the knowledge and expertise but failed to utilize them- they just sat back and believed whatever they were told. 3.2 Reckitt Benckiser 3.2.1 Background Reckitt Benckiser is a British multinational that produces consumer goods to do with hygien, health, and home products. The name comes from the merging of a United Kingdom company Reckitt & Coleman and Benckiser NV that was based in the Netherlands back in 1999. The most well-known products worldwide include Dettol and Strepsil. Reckitt Benckiser acquired Korean Oxy brand in 2001 which had been using polyhexamethathylene guanidine (PHMG) in a product since 1996. In 2011, PHMG was banned by the Korea Centers for Disease Control and prevention after a published report showed a link to lung damage and report. Several reports also came out supporting the Korean report, and at the height of this in 2016 a coalition of consumer groups came out for the total boycott of Reckitt Benckiser products after it had been linked to more than 500 deaths from a BBC report. 3.2.1 Failure of Corporate Governance Mechanism in Reckitt Benckiser In the case of corporate governance, the management and directors fail as a whole in doing their duty of due care and skill when acquiring the Korean Oxy brand. They had a duty to investigate and know what is in the product. They put the company’s financial interests before the safety of the consumers. In addition to that, several attempts were made by the board and management to suppress investigations instead of taking corrective measures. Even though this was mostly a failure by the management and board, institutional investors also had the power to ask questions. Despite the various reports, they were silent till there was outrage in the mass media. 3.3 Satyam 3.3.1 Background Satyam was India’s fourth largest computer service company in India which has a population of over 1 billion. It was even listed on New York Stock exchange in 2001 with revenues exceeding $1 billion. The founder, M. Raju Ramalinga who was also the chair was a highly regarded person in the business often gracing all the major corporate events. In 2008 Satyam won the coveted prize of the Golden Peacock Award for compliance issues and Risk Management in corporate governance. In 2009, M. Raju confessed that the company’s accounts had been falsified by a massive $1.47 billion (Bhasin 2005). In the same year, Satyam stock was banned from trading on the New York Stock Exchange, and the Golden Peacock Award stripped off. Mr. Raju was later convicted together with other senior members. 3.3.2 Failure of Corporate Governance Mechanisms The board at Satyam failed in their primary duty of due care and monitoring the activity of the business as they did not notice the discrepancy. This was so evident that the first order was to appoint a temporary board. The board also put their interests first at the expense of the company for financial gains as confessed by their chairman. Despite the amount that falsified being that large, the auditors who were Price Water House Coopers failed in their auditing duties as they did not report anything amiss despite having all the expertise and experience. They were even fined $6 million by the US stock exchange for not following the code of conduct and auditing standards in when offering their services to Satyam. Institutional investors also failed to raise questions or properly examine the financial statements. Furthermore, with their expertise, they should have pushed for compliance with the corporate code of governance. 3.4 Worldcom 3.4.1 Background Before filing for bankruptcy protection in 2002, WorldCom was the second largest long distance phone company in the United States. With assets totaling over $104 billion, $30 billion in revenues and over 60,000 employees WorldCom filed for bankruptcy protection on July 1, 2002. The company later wrote down more than 75% of the total assets with over 17,000 of the workers losing their jobs. Over the period between 1999-2002, WorldCom had deliberately overstated their income before tax by over $7 billion which was the main reason behind the falling from grace to grass. It is currently known as Verizon business or Verizon enterprise solution after being acquired by Verizon Communications and is slowly rebuilding and being integrated into the parent company. 3.4.2 Failure of corporate Mechanism in WorldCom The biggest failure of WorldCom was the fact that the board had failed in its structuring role. Over the years, it had acquired a lot of companies with even one accountant confessing that they would get calls from people they did not even know existed. The departments were also not even properly structured for efficient working and were very decentralized. For example, the finance department was in Mississippi; the network operations were in Texas, the human resource in Florida and the legal department in Washington DC. This provided a challenge of communication as each department developed their ways of doing things. Apart from that, the difference in management style and the culture that was developed of not questioning seniors was a discouragement for employees who wanted to correct any issues that arose. In fact, there was a deliberate attempt by the management to hide vital financial issues as explained by Buddy Yates, the director of general accounting who was told he would be thrown outside the window in case he had shown the numbers to the auditors by Gene Morse, a senior manager. The employees also put their self-interests above the interest of the company as loyal employees were often compensated above the company’s approved salaries and bonus packages by Ebbers and Sullivan. The biggest failure was the board however as they failed terribly in all their roles and responsibilities including due care, supervision, bridging the gap between management and shareholder among others. In the case of institutional investors, they also failed terribly. No one raised a question on the structure of the firm or why the firm was highly decentralized. The increase in the salaries and compensation for the ‘loyal’ employees in the finance and accounting department should also have raised questions. Institutional investors should have also used their expertise to confirm the information that was being provided to them. Recommendations on Improving the Quality Of Corporate Governance Corporates Boards Should Meet Regularly: The corporates boards do not take part in the day to day running of the business, but they have a supervisory role. To carry out the tasks effectively, they need to meet more often (Christensen et al 2015, pp.133-164) Division of Responsibilities: The duties and responsibilities of a firm should be properly defined and allocated within an organization. This will help in reducing conflicts and also knowing who is liable and for what. This will also help enhance effective communication within an organization. Stronger Internal Controls: Controls in an organization should start from within for effective corporate governance. The controls include the supervision of seniors, physical controls, controls among others. Transparency: Corporate governance is all about transparency. Transparency does not mean revealing the companies but being honest in its activities. In case there is a loss it should be stated and corrective measures to correct it taken, Proper succession planning: One of the best attributes is that its life is not limited to that of the owners or directors. A proper succession plan should, therefore, be set in place to ensure that the values of the company that encourages proper corporate governance are passed from one generation to the other within the company Proper training of directors: The directors of the company are the eyes of the society and shareholders in the business. They need to be properly trained to carry out their tasks effectively as is required of them. Another option is to select a board of directors that is highly qualified in the different fields that the business is engaged in. Independent members increase: Any organization that is interested in improving its corporate governance should try as much as possible to increase the list of independent parties in its running. The independent parties with no direct relation can view the business from a better neutral point (Klapper & Love 2002, pp.703-728) Conclusion It is crystal clear from the discussions above that the corporate governance mechanisms such as corporate boards and institutional boards are the backbone for the survival of any company. From the cases discussed above, we can see the consequences of bad corporate governance and the fact that it does not matter how big the company is. In addition to that, there is a failure the many bodies that are meant to supervise corporate governance. Corporate governance board needs to do more than just take the words of corporations. It is an understatement to say that corporate governance should be a priority, it should actually be a prerequisite (Lebedeva et al 2016).

Publishing a research paper in a peer-reviewed journal allows you to network with other scholars, get your name and work into circulation, and further refine your ideas and research. Before submitting your paper, make sure it reflects all the work you’ve done and have several people read over it and make comments. Things You Should Know

  • Create a list of journals you’d like to publish your work in and choose one that best aligns with your topic and your desired audience.
  • Prepare your manuscript using the journal’s requirements and ask at least 2 professors or supervisors to review your paper.
  • Write a cover letter that “sells” your manuscript, says how your research adds to your field and explains why you chose the specific journal you’re submitting to.

Step 1 Create a list of journals you’d like to publish your work in.

  • Ask your professors or supervisors for well-respected journals that they’ve had good experiences publishing with and that they read regularly.
  • Many journals also only accept specific formats, so by choosing a journal before you start, you can write your article to their specifications and increase your chances of being accepted.
  • If you’ve already written a paper you’d like to publish, consider whether your research directly relates to a hot topic or area of research in the journals you’re looking into.

Step 2 Look at each journal’s audience, exposure, policies, and procedures.

  • Review the journal’s peer review policies and submission process to see if you’re comfortable creating or adjusting your work according to their standards.
  • Open-access journals can increase your readership because anyone can access them.

Step 1 Craft an effective introduction with a thesis statement.

  • Scientific research papers: Instead of a “thesis,” you might write a “research objective” instead. This is where you state the purpose of your research.

  • Second paragraph: Explain what was done in your research, your main findings, and why they are significant to your field.
  • Third paragraph: Explain why the journal’s readers would be interested in your work and why your results are important to your field.
  • Conclusion: State the author(s) and any journal requirements that your work complies with (like ethical standards”).

Step 3 Submit your article according to the journal’s submission guidelines.

  • Submit your article to only one journal at a time.
  • When submitting online, use your university email account. This connects you with a scholarly institution, which can add credibility to your work.

Step 1 Try not to panic when you get the journal’s initial response.

  • Accept: Only minor adjustments are needed, based on the provided feedback by the reviewers. A first submission will rarely be accepted without any changes needed.
  • Revise and Resubmit: Changes are needed before publication can be considered, but the journal is still very interested in your work.
  • Reject and Resubmit: Extensive revisions are needed. Your work may not be acceptable for this journal, but they might also accept it if significant changes are made.
  • Reject: The paper isn’t and won’t be suitable for this publication, but that doesn’t mean it might not work for another journal.

Step 2 Revise your paper based on the reviewers’ feedback.

  • Try organizing the reviewer comments by how easy it is to address them. That way, you can break your revisions down into more manageable parts.
  • If you disagree with a comment made by a reviewer, try to provide an evidence-based explanation when you resubmit your paper.

Step 3 Resubmit to the same journal or choose another from your list.

Adapting a Dissertation or Thesis Into a Journal Article

Dissertations or theses are typically required of graduate students. Undergraduate students completing advanced research projects may also write senior theses or similar types of papers. Once completed, the dissertation or thesis is often submitted (with modifications) as a manuscript for publication in a scholarly journal. Thus, the dissertation or thesis often provides the foundation for a new researcher’s body of published work.

Writers will first want to determine whether the work in their dissertation or thesis merits publication. If it does, we then provide guidance on how to adapt a dissertation or thesis for submission to a journal.

Deciding to submit a dissertation or thesis for publication

When deciding whether to publish the work in your dissertation or thesis, first consider whether the findings tell a compelling story or answer important questions. Whereas dissertations and theses may present existing knowledge in conjunction with new work, published research should make a novel contribution to the literature. For example, some of your original research questions might be suitable for publication, and others may have been sufficiently addressed in the literature already. Likewise, some of your results may warrant additional experiments or analyses that could help answer the research questions more fully, and you may want to conduct these analyses before seeking publication.

You may also want to consider such factors as whether the current sample size provides sufficient power to adequately inform the analyses and whether additional analyses might clarify ambiguous findings. Consultation with colleagues can help evaluate the potential of the manuscript for publication as well as the selection of an appropriate journal to which to submit it. For information on selecting and prioritizing a journal (and tips for avoiding predatory or deceptive journals), see Sections 12.2 to 12.4 of the Publication Manual .

Adapting a dissertation or thesis for publication

Once a decision is made to convert your dissertation or thesis into a manuscript for submission to a journal, you will want to focus attention on adapting it for publication. By attending to brevity and focus, writing style, relevant literature review and data analyses, and appropriate interpretation of the results or findings, you can enhance the fit of your manuscript for journal publication. Editors and reviewers readily recognize an article that has been hastily converted; careful attention when reformatting the dissertation or thesis is likely to increase the manuscript’s potential for serious consideration and eventual publication.

There are several steps writers seeking to prepare their dissertation or thesis for publication can take beforehand:

  • Look at articles in the field and in relevant journals to see what structure and focus are appropriate for their work and how they are formatted.
  • Request and consider the input of advisors, colleagues, or other coauthors who contributed to the research on which the dissertation or thesis is based.
  • Review an article submitted to a journal alongside their advisor (with permission from the journal editor) or serve as a reviewer for a student competition to gain firsthand insight into how authors are evaluated when undergoing peer review.

The original research reported in a dissertation and thesis can then be reformatted for journal submission following one of two general strategies: the multiple-paper strategy or the conversion strategy.

Multiple-paper strategy

The quickest strategy for converting (or “flipping”) a dissertation or thesis into one or more publishable articles is to use a multiple-paper format when initially writing the dissertation or thesis. This involves structuring the dissertation or thesis used to fulfill the requirements for a degree as a series of shorter papers that are already formatted for journal submission (or close to it). These papers are usually each the length of a journal article, conceptually similar, and come from the same overarching project—but can stand alone as independent research reports. Consult your university’s editorial office to confirm that this is an approved format for your dissertation or thesis and to obtain the specific guidelines.

Conversion strategy

A second strategy is to reformat and convert a dissertation or thesis into a journal article after completing your dissertation or thesis defense to fit the scope and style of a journal article. This often requires adjustments to the following elements:

  • Length: Brevity is an important consideration for a manuscript to be considered for journal publication, particularly in the introduction and Discussion sections. Making a dissertation or thesis publication-ready often involves reducing a document of over 100 pages to one third of its original length. Shorten the overall paper by eliminating text within sections and/or eliminating entire sections. If the work examined several research questions, you may consider separating distinct research questions into individual papers; narrow the focus to a specific topic for each paper.
  • Abstract: The abstract may need to be condensed to meet the length requirements of the journal. Journal abstract requirements are usually more limited than college or university requirements. For instance, most APA journals limit the abstract length to 250 words.
  • Introduction section: One of the major challenges in reformatting a dissertation or thesis is paring down its comprehensive literature review to a more succinct one suitable for the introduction of a journal article. Limit the introductory text to material relating to the immediate context of your research questions and hypotheses. Eliminate extraneous content or sections that do not directly contribute to readers’ knowledge or understanding of the specific research question(s) or topic(s) under investigation. End with a clear description of the questions, aims, or hypotheses that informed your research.
  • Method section: Provide enough information to allow readers to understand how the data were collected and evaluated. Refer readers to previous works that informed the current study’s methods or to supplemental materials instead of providing full details of every step taken or the rationale behind them.
  • Results section: Be selective in choosing analyses for inclusion in the Results section and report only the most relevant ones. Although an unbiased approach is important to avoid omitting study data, reporting every analysis that may have been run for the dissertation or thesis often is not feasible, appropriate, or useful in the limited space of a journal article. Instead, ensure that the results directly contribute to answering your original research questions or hypotheses and exclude more ancillary analyses (or include them as supplemental materials). Be clear in identifying your primary, secondary, and any exploratory analyses.
  • Discussion section: Adjust the discussion according to the analyses and results you report. Check that your interpretation and application of the findings are appropriate and do not extrapolate beyond the data. A strong Discussion section notes area of consensus with and divergence from previous work, taking into account sample size and composition, effect size, limitations of measurement, and other specific considerations of the study.
  • References: Include only the most pertinent references (i.e., theoretically important or recent), especially in the introduction and literature review, rather than providing an exhaustive list. Ensure that the works you cite contribute to readers’ knowledge of the specific topic and to understanding and contextualizing your research. Citation of reviews and meta-analyses can guide interested readers to the broader literature while providing an economical way of referencing prior studies.
  • Tables and figures: Make sure that tables or figures are essential and do not reproduce content provided in the text.

Turning Your Thesis into an Article

Creating an article from your thesis means more than just copying and pasting. The audience for the thesis is your committee whereas for an article it may be fellow researchers, professionals working in the field, policy makers, educators, or the general audience. Plan the article

Identify the central message that you want to get across. This could be a new theory, novel methodology or original findings. Make sure that your article follows a coherent argument and targets the journal audience.

Decide on the kind of article you want to write - will it be a report, position paper, critique or review? What makes your argument or research interesting? How might it add value to the field?

Select a journal

Selecting the right journal means reaching the audience you intend for your article to speak to. To start identifying potential journals:

  • Look at your own bookshelf / reference list. Where have authors published on similar topics?
  • Search the library catalogue
  • Consult Ulrich’s Web serials database  (subscription resource)
  • For open access journals specifically - search the Directory of Open Access Journals (DOAJ)
  • For student journals - see the Directory of Student Journals at UofT
  • Talk to your advisor, colleagues or  liaison librarians

To further narrow down the list:

  • Study the “Aim and Scope” or similar section on editorial policies on the website to evaluate the fit and any specific content requirements;
  • Skim through past issues, abstracts, table of contents - are there similar papers that have been published?
  • How will your paper be reviewed? The journal’s website should mention the details of peer review process;
  • Check details of copyright / license agreements and whether publication before or after your thesis submission is allowed .

Write the article

You may choose to approach writing your thesis with an aim to publish it as an article or several articles, known as an integrated/publication-based/sandwich thesis. Alternatively, you can reformat and convert your completed thesis into an article to fit the scope and style of a journal article. In both cases it will be helpful to:

  • Carefully read and follow “Author Guidelines” for instructions on on preferred layout, word limits, reference style
  • Use the criteria the reviewers will use and make sure your article addresses them
  • Request and consider the input of your supervisor, colleagues, or other contributors to the research on which your thesis is based
  • Reach out to friends or colleagues to prood-read your manuscript prior to submission

Multiple versions of a work are grouped to improve its ranking

In many research areas versions of a work may appear as preprints and conference papers before being published as a journal article. These preliminary versions of a work are often cited in addition to the authoritative journal version. The number of citations to a particular work is an important part of determining its rank in the Google Scholar search results. Grouping versions allows us to collect all citations to all versions of a work. In practice, this can significantly improve the position of an article in the search results.

Publisher's full-text, if indexed, is the primary version

When multiple versions of a work are indexed, we select the full and authoritative text from the publisher as the primary version. We can only do this if we are able to successfully identify, crawl and process the full text of the publisher's version.

Publishers have control over access to their articles

We work with publishers to preserve their control over access to their content and only cache articles and papers that don't have access restrictions. Publishers can help us by identifying the regions of their sites that have access restrictions.

Google users must see at least the complete abstract or the first full page

This is a necessary component of our indexing program. For papers with access restrictions, all users clicking on search results must see at least the full author-written abstract or the first full page of the article without requiring to login or click on additional links.

We will respond to complaints regarding copyright infringement

Our policy is to respond to all notices of alleged copyright infringement that comply with the Digital Millennium Copyright Act. For directions and more information, please click here .

Google's use of electronic holdings information

We will use electronic holdings information for generating per article links in our search results to publisher servers. We will not share this information with third parties or use it for marketing purposes.

How to Get Your Thesis Published

Writing a thesis is tough. Current or recent graduate students understand the time and effort required to successfully complete their research program. Indeed, graduate training involves extensive amounts of research that often reflects years of failures and successes. This research often leads to some type of novel insight, which is organized into either a t hesis paper or dissertation.

When writing a dissertation or a thesis , there is much to consider. Both require extensive amounts of work and reflect the years of research conducted by the student. Some universities require that students publish this final research in peer-reviewed journals prior to being considered eligible to graduate. Meanwhile, others do not require the thesis to be officially published. Ultimately, regardless of the graduation requirements, certain career tracks for PhDs or Master’s students require publication in peer-reviewed journals.

Graduate Writing

The type of graduate writing that is required by a student’s university depends upon where the graduate student has studied. In Europe, a doctoral thesis reflects original research, whereas, in the USA, a thesis is often a shorter document associated with a Master’s degree.

Whatever the title, extensive research projects are organized into a final document. Some of these written documents can be formatted into a book. Before publishing, a graduate student should consider several factors prior to publishing. Namely, the student should ask, is my research

  • Rigorous: Is it methodical, scholarly work?
  • Significant: Why does it matter to your potential audience?
  • Original: Is it novel and unique?
  • Marketable: Are there potential customers?

When to Publish?

In the past, universities have published theses graduation research summaries in only a hard copy format, such as a bound book. Now, some theses or dissertations are available online, often with a Creative Commons license. This can be a problem due to the requirement by journals that manuscripts contain only unpublished and original data. However, generally, a thesis or dissertation consisting of original, previously unpublished research that has been made available by your home institution does not prevent you from publishing. Rather, journals will consider these theses and dissertations that were published by universities as, understandably, still sufficiently novel data. Furthermore, peer review is an integral component of publication. To pass the muster of peer review, it is important to consider the feedback of dissertation or thesis committee. The critiques of your committee will often mirror the potential concerns of your peer reviewers.

Tips and Common Concerns

When going to publish your dissertation, there are generally some common errors made by graduate students.

First, it is generally a good practice to reference or acknowledge the thesis. Since the dissertation may be available publicly, it is important to be transparent about the source of the data.  Similarly, always inform journals that some research contained within a thesis or dissertation was published either in a print-only version or in an online repository.

You can publish your thesis as a monograph or a series of articles. It can depend on the type of thesis.

  • Traditional thesis: It is usually in the form of chapters and is an original work written by an individual student.
  • Thesis by publication: It consists of papers that have already been published in a journal.

According to COPE guidelines , when thesis contains original unpublished work, it should not be considered as prior publication. Therefore, it is acceptable to be published as a manuscript or a monograph in a journal, even if it is available freely in university repositories and Creative Common license may or may not apply.  However, if the thesis is of the second type, then the papers will be considered as prior publication and are not acceptable as original works for publication. As a research lab hosts student’s work, it is important to first review the policies of your host university. Similarly, since fields transform rapidly, don’t wait too long before publishing. If you do, you run the risk of your literature review or methodology becoming outdated.

My thesis to a book?

He explains why authors should be concerned about re-using previously published work.

You retain the copyright in your thesis unless:

  • your research is sponsored or funded by a funder with a claim on the intellectual property
  • your research builds upon existing intellectual property generated by, or jointly invented with, Imperial employees or associates

In principle, you may reproduce, or give others permission to reproduce, parts or the whole of your thesis but you must consider:

  • third party works and the permission you have been given to use them - if  your permission does not extend to the intended use, send a second permission request to the owner of the third party copyright work
  • any plans to apply for a patent application, meaning that you must postpone communication of your research through an embargo

Publishing in a journal

Journals generally accept papers based on work already written up in a thesis. Individual journal polices on what a journal considers to be prior publication can be found within the ‘information for authors’ section of the journal website. The United Kingdom Council of Research Repositories (UKCoRR) have produced this  Thesis prior publications spreadsheet on some of the publisher policies that you can use as guidance. If a publisher is concerned that your thesis has already been published online, you may apply for an embargo .

Your paper should be a reworking of the material in your thesis and written to conform to the journal's style guide. The course (publication section), offered by the Graduate School, offers helps and tips.

When quoting from your thesis or reusing figures, avoid self-plagiarism by citing and referencing any extracts copied or adapted from your thesis appropriately.

Publishing your whole thesis

If you intend to publish your thesis or are approached by a publisher, request a copy of the publishing agreement before signing it - make sure that publication is in your best interests and will not restrict your future use of the content.

Should i publish my thesis the good, the bad, the ugly.

The question “should I publish my thesis” is a bit too generic and requires some clarification. We may want to start from understanding what do you mean by “publish” and continue with “where”, “when”, “with who” and “how much it costs”.

First of all, publishing a thesis is not synonymous with releasing the thesis in open access . Open access refers to the idea to make your thesis publicly available on the web. Publish a thesis refers to use the content of your thesis for building a scientific publication and submit it to a peer-review journal or conference.

In the case you are considering making an article in a blog or in LinkedIn, that does not still goes in the category of publishing. However, it deserves special attention and I will write an article about that later.

As you may already understood that this activity will require extra work, sometimes a lot of extra work. Consequently, we may want to understand what are the benefits (if any) in your particular case. What follows are a set of generic suggestions/ considerations, however you should be aware that each case is different and you may want to think critically before taking on board these suggestions.

What are the benefits of publishing a thesis?

Lets see them point per point, a publication may:

  • Differentiate you from the crowd
  • Position you as a (young) expert
  • Shows that you are capable of think critically and scientifically
  • Good addition to have in your CV
  • Improve your chances of passing a selection for a PhD fellowship

Some of these benefits may be interesting you. If that is the case you may want to consider the extra efforts and decide accordingly.

Is the work that I have done publishable?

Let’s be very honest and direct. If you are doing a bachelor thesis, the chances are very low. If you are doing a master thesis you may have a few more possibilities. You may want to be very open and direct with your supervisor and have their opinion on board. If this was your intention since the beginning (see make the most of your thesis ) you may want to make it clear during one of your first meetings. If you are maturing this idea while writing the thesis you may want to ask their opinion during one of your sessions. My suggestion is to be humble and consider the fact that building a publication will take an extensive amount of time. At the same time, maybe you are working on an existing thesis and/or your supervisor has existing material that could be combined with your work. This is one more reason for speaking freely.

Also, be aware that some thesis are just not designed for been published. Maybe you are doing it in conjunction with an internship, maybe the work that you are doing is just at the beginning or simply it will require too much additional work for making all the additional extra attentions that you need for publishing. If that is the case, just move forward to your next adventure. The alternative will be to publish it alone and the chances that you have all the expertise required are very low. Probably it will result in a lot of work for you and a rejection by a publisher in the end.

When should you publish the thesis?

This is a easy one. Strictly after the submission of the thesis. Your main goal should be obtaining a master degree and not to publish a scientific article. You are going to have limited resources at your disposal so, use them wisely and focus on what should be your main priority: graduate, possibly with a good grade.

Where should I publish the thesis?

Ask your supervisor. If your plans are not to continue to study you want to limit the additional work required to the minimum and focus on a venue of acceptable quality but not too thought. After-all there is never a guarantee when you will submit your work. Been rejected is part of the game.

With who should I publish the thesis?

As already mentioned, clearly with your supervisor as you have been mentored the all time. Your supervisor may also have additional work that could be combined with what you are doing and may have a few colleagues that could contribute to that work. In other words you may want to ask to your supervisor to take the lead of this task. In general authorship or co-authorship, position of author is an intricate topic and each community of scientist have a different approach to the question. I will probably write a dedicated post about that and you can consider this answer as the short version.

How much does it costs to publish and article?

It is relatively expensive. Conferences require a participation fee and your presence. Journal may be free (unless open access) but may require considerable additional amount of time. In general, this is yet another reason for involving your supervisor. The university usually have funds allocated to publications and, if this is the case, you do not have to worry about these aspects.

Summary: Should I Publish My Thesis?

I do not think that a general answer to this question exist. However I hope that you will use this article for reflecting about your particular case and been able to figure out your specific answer. Independently to what you will decide, focus on your thesis first and keep your supervisor in the loop and ask for his opinion and support on this task.

Incorporating your published work in your thesis

A streamlined procedure has been approved for obtaining co-author authorisation.  You now only need to provide a Declaration for publication incorporated in a thesis form for the inclusion of in progress or published material in the thesis, that is completed by your Principal Supervisor and the Coordinating Author.

Accepted statuses for publications

  • Unpublished material not submitted for publication
  • Submitted for publication to [publication name] on [date]
  • In revision following peer review by [publication name]
  • Accepted for publication by [publication name] on [date]
  • Published by [publication name] on [date]

You may include in progress or published material written during your enrolment upon approval from your advisory committee, as part of your thesis, by having either:

  • “included publications", in which your publications are included as components that are distinct from the rest of the thesis, in the format described below; or
  • “included material” that is drawn from your publications and combined with text that is otherwise written specifically for the thesis.

In this page we refer to both these kinds of inclusion of published work as “incorporated publications”; the first format, where the publications are included as distinct components, is also known as “thesis with publications”.

The  Graduate Research Training Policy (section 4.65) outlines what can be included in the thesis. Your thesis must include a literature review that clearly details the research questions and a general discussion that integrates the work and places the publications into the context of the research question.

You may have to supplement the incorporated publications with additional methods sections as they are often abbreviated in published articles. You are also encouraged to include any data and discussion that was omitted from the article as an addendum in the thesis. Where a publication is included as a distinct component, you are also encouraged to include a critical reflection on the work, which could, for example, acknowledge or address limitations or impacts of the work that have appeared since publication.

When submitting your thesis, you will be required to confirm that:

(a) the work in the incorporated publications is your own, and (b) that any co-authors give permission for the article to be included in the thesis.

To do this, you must complete the  Declaration for publication incorporated in a thesis form.  You will need to submit a completed form for each in progress or published work included in your thesis.

Your principal supervisor must sign the Declaration form for each publication.  Where there is more than one author of a publication, at least one co-author by agreement amongst the authors, should be nominated as the coordinating author (also known as corresponding author), as defined in the University’s Authorship Policy . The coordinating author is responsible for communication between the publishers and managing communication between the co-authors. The coordinating author must maintain records of any authorship agreement.  The coordinating author must also sign the Declaration form.

You must upload all completed Declaration forms as a single combined file to the Thesis Examination System when submitting your thesis for examination.  The signed forms should not be included in the thesis itself. Plan well ahead to obtain the required signatures to avoid delays to your examination.

Don’t forget to include your ORCID when submitting your work to publishers, conference organisers, etc.  This will help you to distinguish your research activities and outputs, and make sure you get credit for your work throughout your career.

The Preface

As detailed in the  Preparation of Graduate Research Theses rules , your preface should outline:

  • the publication status of any incorporated publications

There is no prescribed format for a preface; you may wish to include a written description or a table outlining the tasks performed by others and the proportion of the contribution as a percentage.

Usually this means you will have written the initial draft and you performed any subsequent editing in response to co-authors' and editors' reviews.

As specified in the Graduate Research Training Policy , your principal supervisor and coordinating author must declare that:

(a) you are the primary author of the included material, and

(b) you contributed more than 50% of the work towards the publication.

No. You need to have contributed more than 50 per cent for it to be included. You could, however, include this paper as an appendix.

Yes. It is understood that portions of the thesis that have been published or accepted for publication will have been through an editorial process. Such editorial changes should be explicitly acknowledged.

Format of the thesis

When including complete publications, you should use the author accepted manuscripts of articles that have been accepted or published. This is the final draft as accepted by the publishers, including any changes based on referees’ suggestions before it has undergone copy-editing, typesetting and proofing. If you are certain you will not breach your agreement with your publisher, you may include the published version in your thesis.

If you are using your author accepted manuscript, while some journals request that the version you send them includes any figures or tables at the end of the submitted document, when you reproduce the article in your thesis you should place them where they logically flow within the text. It is also recommended that you use similar formatting (e.g. line spacing, font type and size) as the rest of the thesis.

In most cases it is preferred that you include a separate literature survey.  Even with the literature reviews included in your publications you may find you still need to add further supplementary material if the publications do not directly address all the research questions you are trying to answer in your thesis.  Your supervisors and advisory committee are best able to advise you whether the literature reviews included in your incorporated publications will meet disciplinary expectations and satisfy your examiners that you: - Have clearly detailed your research question/s and how they integrate with the current literature - Have demonstrated sufficient familiarity with, and understanding and critical appraisal of the relevant literature.

No. The policy allows the thesis to be submitted with publications, it is not a thesis by publication. You must include a literature review that clearly details the research question, and a concluding general discussion that integrates the work and places it into the context of the research questions. You should also introduce each publication that is included as a distinct component, explaining its role in the work, and, where appropriate, provide a critical reflection on its contribution.

Yes, but you must cite it correctly and indicate in the preface the source of the information (eg. that the text on page(s) xx is from [name of publication], or that chapter yy is adapted from [name of publication]. In each case you should give its publication status and your contribution to the publication). It will assist your examiners if, at the start of each chapter that includes work drawn from a publication, there is a footnote explaining where the work came from and how it has been used in the chapter. You may wish to include the entire publication as an appendix so that your examiners can see where the material came from.

  • Theses which include publications in a “thesis with publications” style can typically be slightly shorter; for example the typical PhD length is 80,000 words, but a PhD including publications as distinct components has a typical length of 50,000-80,000 words).
  • While the writing style may be more concise, there is no difference in the expected volume and requirements of work presented in theses with publications. The examination criteria remain the same whether or not publications are incorporated. Your examiners are asked to consider your thesis on its merits as an independent piece of research. Refer to the information available for examiners .
  • Maximum limits apply to all theses.

If you are including the list of references as part of the publication they do not need to be repeated in the overall reference list/bibliography for the thesis.

Incorporated publications can be referenced via a footnote, but if references to them are included in the bibliography an examiner may be unsure as to whether the work was completed as part of the research.

No, but you may do so if you think that it will assist readers of your thesis.

It is up to you whether you update the publication style or not. Whatever you chose, you should acknowledge your choice in the Preface, stating the differences between the publication and thesis, due to the requirements of different publishers.

Yes. Revised and resubmitted theses are examined in their entirety and the inclusion of a new incorporated publication may strengthen your response to examiners.

In most cases you should include the latest version, up to the author accepted version and update the publication status in the preface. If your examiners request changes which conflict with the editorial or peer review advice you have since received from your publisher, you may choose to address this elsewhere in your thesis, or in your written response to the examiners’ reports.

Publication suitability

A work is suitable for inclusion if the research was conducted and the publication was in progress or published during your enrolment in your current degree. This includes:

No. Only work completed during your candidature can be included in the thesis. You can cite your earlier work just like you would any work that is relevant to your research. The work should be listed in the preface of your thesis.

Yes. You will need to clearly acknowledge in the preface that its status is ‘in progress’ or, that the paper has been published but not peer reviewed.

Completing the forms

Yes. You may wish to include the entire publication as an appendix so that your examiner can see where the information came from.

Yes. All sections of the form must be completed for any multi-authored material. The coordinating author is required to reassure that all co-authors have had an opportunity to agree to the inclusion of the material in the thesis and to the contribution declared on the form. The authorship agreement template is available here.

No. You can use the figure in your thesis without completing the form but you should acknowledge the origin of the figure in the preface and appropriately cite the publication in your thesis.

No. You should provide this evidence to your advisory committee when you are discussing the proposed format for your thesis. Your principal supervisor must sign the  Declaration for publication incorporated in a thesis form which confirms their agreement to the inclusion of any publication/s.  The coordinating author will need to sign the form for any multi-authored material.

You can use Adobe Acrobat's 'Combine Files' tool which will allow you to combine files of different filetypes into a PDF. Alternatively, you can open a PDF copy of a file and then use the 'Organise Pages' tool which will allow you to drag additional pages where you can then save it as a single file.

iThenticate report

You should run your whole thesis through iThenticate, including the chapters comprised wholly or partly of your published work.  You can then exclude the specific matching publication source/s that correspond to the publications you have included in your thesis in a “thesis with publications” style. This means that the thesis chapter or publication is reviewed against the other literature in the repository, but not matched to itself. You should only exclude matching sources that are articles which you have appropriately included.  You should outline and explain any filters and exclusions you applied in iThenticate in an accompanying declaration which you can also upload to TES.

You should not exclude publications from which you have included material (but not the complete publication), as the iThenticate report will then show where the material is present in the thesis, allowing your supervisors and Chair of Examiners to verify that it has been included appropriately.

The examination

The criteria for examination remain the same whether or not publications are incorporated. See the Graduate Research Training Policy for more information. You can also view the information for examiners here: https://gradresearch.unimelb.edu.au/staff#examiner-information .

If the publication status of your article changes between submission for examination and submission of your final thesis, it is appropriate to include the most recent version (up to the author-accepted version). You should also update the preface to reflect the new status. If you are submitting a list of corrections for approval and/or resubmitting for re-examination you should also note this in your index of changes.
