1 Rehearse What You’re Planning To Say

Before you even give a good presentation, you need to prepare.

This part has two steps – to rehearse what you’re going to say and to prepare yourself mentally and emotionally. These two tips go hand in hand, but we’ll explain what each one is about individually.

Notice that we didn’t say “memorize your presentation.” There’s a big difference between memorizing a speech and practicing telling a story. The difference is that a memorized speech can end up sounding robot-like and practiced storytelling sounds effortless. 

You’ll be better off if you have at least a rough outline of your slides before you start rehearsing.

Section 1, Pause, Section 2, Pause, Repeat

Rehearse what you’re planning to say during your presentation by using a written outline, index cards, printed out versions of your presentation slides or whatever works for you.

Create some mnemonic tools into your presentation to help you remember what comes next. For some people, this comes as second nature and is easy. For others, it can become convoluted and cause you to overthink things. 

Try out a variety of different techniques until you find the one you feel the most comfortable and confident with.

Ask For Feedback

For better results and to know if you’re improving, record yourself or ask someone to watch you.  Ask them to give you honest feedback. Don’t accept feedback like “that was great.” Insist they go into the details. Offer them a pen and paper to take notes as you present.

Preparing yourself mentally and emotionally for a weekly sales report meeting is not as important as doing so for one that will be in front of thousands of people and recorded for posterity.

This tip includes mental, emotional and technical preparation. Let’s focus on each one.

Mental Preparation

While you’re rehearsing the outline and general speech for your presentation, notice the times when you feel like things flow and when they don’t. 

Why do you think that’s happening? 

If it flows well it’s because you feel comfortable with the content. You know what you’re talking about. You might even be passionate about it!

Technical Preparation

You might be wondering what technical things you need to give a good presentation. It’s all in the details. 

Regardless if you’ll be speaking in a venue or an online summit, you have to test all technicalities.

If you’ll be speaking in a venue, visit the space and stand in the place where you’ll speak. Have a look around and pinpoint some elements or aspects that make you comfortable.

If there’s anything that bothers you, like a weird smell or a column in the middle of the room, think of ways to overcome that. 

Always ask to test the technical aspects in the room. Connect your computer or tablet to their system to check if your slides will look good with their setup. Also, test the audio. These detailed checks might not always be possible but it doesn’t hurt to ask.

If your presentation will be online, test all your tech beforehand. Locate a spot with the strongest wifi or hardwire your computer to the router.

Check your background and the lighting. Organize with housemates or family for some quiet time during the time of your presentation.

3 Start Strong

4 Follow The Outline You Practiced With

If you followed our tip above, you used an outline or a ‘section, pause, section’ technique to practice with. Maybe you even used some mnemonic tools or presenters’ notes. 

It’s time to put them all to use.

As long as you follow what you practiced you’re gold. This tip, as you can see, is a short one. It’s more of a reminder that the rehearsing step is more important than you might think at first. 

Only when you practice and rehearse a lot will you feel more comfortable when you present.

5 Use Props

Are you wondering how to give a good presentation with props? Good, that means you’re thinking creatively. Using props is a technique that not many consider when preparing for a presentation. 

Props can help not only to get the message across but also to serve as emotional support for the speaker! Just make sure it’s obviously a prop and not an emotional crutch.

A prop can be as small as a book, as big as a washing machine, or as weird as a preserved human brain. 

Of course, the prop must make sense with your presentation and topic. Not only that, but you must also practice with it. It’s important to be comfortable with your prop or props as you talk and switch slides.

6 Finish With Confidence

The end of the presentation is just as important as the beginning. You have to bring it all full circle. Knowing how to give a good presentation is like knowing how to structure a story, essay or article. The beginning and end are connected and must be relevant to each other.

For example, if you made a joke at the beginning, make the same joke but with a fun twist. If you made a provocative statement, close it up with a similar statement or question about it.

Closing Statement

Your presentation’s closing statement is a section in itself. Even if you do as we suggest above, the entire closing statement must be a conclusion of what you talked about during the entire presentation.

The last sentence you say will stay in your audience’s memory. At least until the next speaker takes the stage. If someone in your audience noted down your last sentence, you’ve hit the mark 100%.

Q and A Session – Yes or No?

Ending a presentation with a Q and A session is a bit iffy. If you ended your presentation with impact, a Q and A section can fizzle that out.

What you can do is ask the host to let the audience know that if they have questions, they can find you in the lobby for a conversation. For a digital summit, offer your Twitter handle where people can get in touch. 

In the case of webinars or instructional lectures though, Questions and Answers is a great idea. These can help familiarize you with the audience and make them more confident to work with you in the future. 

Consider the purpose of your presentation and make a decision according to what impact you’re looking to make.

7 Use A Storytelling Structure

Moving on to the tips for the creation of your slides.  It’s important to remember the role your slides will play in your presentation. The audience’s attention should be on you, not your slides. These are meant to be complementary, not a crutch, nor even a text to follow.

With that said, this tip is the most important. It applies to your slides AND your spoken speech. They should both follow a storytelling structure that you and the audience will follow together.

Some of the most common storytelling structures are:

  • Fact and Story – Go back and forth between facts and stories, or “what is” and “what could be.”
  • The Explanation – Inform about a process or plan to fix something or to learn something new.
  • The Pitch – Take your audience uphill over a hurdle and onto a positive resolution.
  • The Drama – AKA “The Hero’s Journey,” this follows the plight of a main character from beginning to end.

8 Keep Your Slides Short and Visually Balanced

There are two ways to design slides for a good presentation:

  • As a standalone presentation
  • As visual support, while you speak

Either way, you need to keep your slides short in text and visually impactful. For a visual support deck, the slides need even less text than a standalone presentation.

Planning your speech beforehand is the only way to avoid getting sidetracked. As you think about your message, try to structure it in a way that makes its delivery most effective for the audience.

So, how do you structure a presentation? Consider both the logical and emotional implications of your structure. First, you want to give your listeners enough background information to help them get better acquainted with the topic, but not so much as to get them bored. Once all the need-to-knows are out of the way, make a seamless transition to your main message and start laying out your arguments in a convincing way.

Also, think about the emotional effect you want to achieve in each part of your presentation. The best way to go about it is to capture your audience’s attention right off the bat, which is often considered to be the hardest part of giving a presentation.

There’s probably a specific timeframe within which you should complete your speech. Even if it’s not rigidly set, the audience will have certain expectations as to how long your presentation will take. 

Therefore, it’s important to plan beforehand the approximate time your speech should take and set a timer during rehearsals. If your presentation lasts longer than expected, make sure to leave the inessential parts out. 

As you memorize your material, your speech will get smoother and faster. This will also shorten the time required for it. Thus, before making any adjustments to the length of your script, rehearse it a few times.

The solution? It’s fairly simple: rehearse, rehearse, rehearse.

Don’t Rely on Slides

A slide should never be the main source of information for the audience. Use it as a mere extension that makes your speech more engaging or credible. Always keep in mind that your audience needs to learn from you , the speaker, not from your slide.

It goes without saying that you shouldn’t stuff any slide with text. Or include so much information (whether textual or visual) that your audience gets overwhelmed and stops following your speech. When it comes to slide design, minimalism is your best friend. 

To know if you’re relying heavily on your slides or not, ask yourself this question: “Will my presentation still make sense without the slides?” If the answer’s no, then you should rethink your script. But, there’s also a fun side to this. When you free your slides of the burden to inform, they can now be used creatively and even enhance the effect of your speech.

Notice how the presenter in the video shown above only turns to slides to highlight or demonstrate a point she made. And if you remove all the slides? The presentation will be just as complete and impactful.

Don’t Use Fancy Slideshows

How a good presentation should look like? Nowadays, there are lots of advanced presentation software and screen-sharing tools one can use to “wow” the audience. The problem with them? “Wowing” your audience with something as trivial as slides is hardly why you’re making your speech. The fewer distractions there are in your presentation, the better. Keep this in mind, and avoid using anything showy. 

Don’t Talk Too Fast (or Slow)

While presenting, it’s recommended to maintain a consistent pace that’s neither too fast nor too slow. Talking fast might cause unnecessary tension in the audience, and excessively slow speech is sure to annoy them.

While different people naturally speak at different paces, it’s still something that can be worked on and modified with enough practice. You can refine your pacing during rehearsals until the preferred pace is second nature to you.

You’re about to start your presentation, but the internet connection is too slow, and your slides won’t load. On top of it, you didn’t follow our advice about not relying on slideshows. What do you do?

Well, if you’re considerate enough, you will have a USB flash drive with backup slides. Next time you feel like forgoing this little step, recall this scenario.

Don’t Neglect Body Language

The way you move your body on stage tells a story. And if that story is incoherent with the one you’re telling with your words, disharmony arises. Imagine a speaker is talking about peace and tolerance, yet their every movement is abrupt, hasty, and aggressive. Sure, this might be the result of nervousness, but would you still be able to connect to their message? The answer’s likely to be no.   

When rehearsing your speech, don’t neglect body language. Practice standing tall, keeping your hands open, and your movements relaxed. Avoid pacing on the stage during your presentation, as it may distract or, worse yet, annoy your listeners.

There's more to life than being happy

And, of course, don’t skip eye contact. Instead of glancing over the entire audience, pick a few individuals from different parts of the room, and establish your eye contact with them. This little trick will help you feel like you’re speaking to one person at a time. And that’s far more manageable than speaking to everyone at once.

To emphasize a point, sometimes, what you need is not words but their absence. Take a pause after you ask a question or make a strong statement. Spare your audience a moment to think, reflect, and ponder. Or leave a gap of silence right before you present something exciting to build suspense and anticipation.

No one expects you to go on talking for 10-15 minutes without a pause. Take a few seconds once in a while to breathe. Draw in deep breaths to collect your thoughts and calm your nerves if the situation calls for it. This is one of the most effective ways to relax when presenting.

There is no such thing as a ‘perfect’ presentation. We’re all bound to make mistakes – rookies and expert presenters alike. And that’s alright. Why? Because we’re not robots. We’re humans. As such, we are inherently error-prone.

Think about the last time you had a ‘perfect’ presentation. Can you remember? No? Maybe that’s because it never happened. No matter how well-prepared you are, you may still occasionally stumble, mispronounce something, or forget to mention some meaningful examples you’ve rehearsed during practice.

Perfection isn’t something that you should aspire to, anyway. You’re just setting yourself up for failure that way. When you’re aiming for perfection, you’re setting the bar far too high and putting a ton of pressure on yourself. The more you make mistakes, the more frustrated you become. Even if you achieve the impossible and do a ‘perfect’ presentation, what’s next for you? What’s comes after ‘perfection,’ anyway?

Perfection is never the right approach. Instead, strive to continuously improve and become a better version of yourself. Even the most successful presenters constantly look for ways to improve themselves. They read up on presentation techniques, observe their competitors in action, and are relentless in their pursuit of knowledge.

Stop Committing These 15 Most Common Presentation Mistakes

In the beginning, you may find yourself committing these mistakes over and over again. That’s okay. Don’t be frustrated. Take it as a challenge to continue improving. These mistakes are called ‘common’ for a reason. Presenters of all levels make these from time to time. So, don’t be too harsh on yourself if you don’t succeed right away.

1. Not defining your presentation goal

Presenters who don’t define their presentation goal are prone to making a lot of mistakes which translates to a higher risk of failure. Sure, you can try to ‘wing’ it, but what would you say your chances of success are?

Before you even plan out your content, you should know what your presentation’s goal is. Are you looking to inform, educate, persuade, activate, inspire or entertain the audience?

Now, it doesn’t have to be one or the other. One would expect an informative or educational presentation to be a bit more serious than an entertaining one would be. But, if it’s not against the rules, try to liven things up as well. You can say you want to educate and, at the same time, entertain people. Or, you can persuade and inspire your audience simultaneously.

Whatever your goals may be, always have the audience in mind. Meet people’s expectations and plan your presentation in such a way that they will not be disappointed.

2. Not preparing enough for the presentation

It’s so easy to put off preparing for a presentation when you know the topic like the back of your hand. In your mind’s eye, you can see yourself finishing the outline, the speech, and the slides – all in just a few hours.

But, of course, when it comes right down to it, you find yourself panicking because you underestimated the task at hand. So, when you get to your presentation, you’re sweating nervously. And your slides are nothing but a bunch of copied-and-pasted text from the Internet.

Procrastination has destroyed so many reputations and so many careers. Leaving stuff up to the very last minute may give you a rush of adrenaline. It makes you feel powerful when you get lucky and pull a successful presentation off. However, it also makes you think you can pull the same stunt every time you have a presentation coming up. You get complacent and don’t prepare until the very last minute.

The only excuse you can have for not preparing is when you’re not given enough time in the first place. Say you’re doing a client presentation. But your boss only assigned that task at the very last minute, leaving you with literally zero time to prepare. You certainly can’t be blamed in this situation, unless your boss is deliberately trying to get you fired.

3. Not knowing who your audience is

You’re doing your presentation to benefit your audience. So, spending a fair amount of time researching your topic is the right thing to do. But don’t stop there. Learn more about your audience, too.

How can your presentation add value to people’s lives? Why should they listen to you? And why should they care about your presentation?

Getting to know your audience can mean the difference between success and failure. If your message resonates with them, they’re going to pay attention to you. Otherwise, they’ll tune you out – they simply have no reason to listen to you.

Let’s say, for example, you’re giving a presentation on a new product your company is launching. If you know your audience, you can tell stories that they can relate to. You can cite real-life examples that are relevant to your audience.

If you’re presenting in front of a culturally diverse group of people, you don’t want to make an off-putting joke that people will hate you for. Offending your audience is the last thing you want to happen during your presentation.

Getting to know your audience isn’t really as hard as it sounds. This article will give you ideas you can follow to learn more about your listeners.

4. Not checking if the presentation file is working

In most cases, you won’t have a technical team on standby. Whether you’re doing a one-on-one presentation, or presenting in front of a group, it’s important to personally make sure you can access the presentation file.

It doesn’t matter if you’re using PowerPoint, Keynote or Google Slides, or whatever your preferred presentation app is. You may have designed a bunch of impressive-looking slides, but if you can’t access it on presentation day, then your work is all for naught.

This is especially important when the stakes are high. If you’re trying to get people to invest a considerable sum in your business, you need them to trust you. And the thing is, they’re not going to trust you if they witness you panicking because the presentation file is corrupted, or worse, missing!

How can people trust you with their money when you can’t even be bothered to check beforehand if your file is working? Think about it. So, don’t throw a tantrum if people give you negative feedback on your company website or on social media. Own up to your mistakes and do a better job next time.

5. Not scoping out the presentation venue ahead of time

Here’s another very common presentation mistake. You don’t just waltz in to your presentation venue without visiting it earlier in the week (or day), and making sure everything’s in good working condition.

Check the sound system, the projector, the podium, the stage, etc. Go to the very back of the room, and see if you can still read the text on your presentation slides. If not, well, at least you still have time to make the necessary adjustments. Ideally, however, this should have been factored in before you even started working on your slides.

Make sure your voice carries across the room, and everyone can hear you loud and clear. You’ve got an important message and you want it to be heard.

If you’re presenting in a cozy cafe or renting a small meeting room in a very busy establishment like a restaurant, then check the noise levels in the area. Can your guests hear you? Perhaps you can request to be moved to a better, quieter spot.

Scoping out your presentation venue may sound unnecessary, but really, it’s the small things that count. After all, you want your audience to be as comfortable as possible, so they’d be more receptive to your presentation.

6. Too many animations

Subjecting your audience to a presentation with nonstop animations and transitions is akin to torture. Seriously, try watching your presentation yourself and see if you can last till the end without getting dizzy, or worse, throwing up!

Animations, when used sparingly and carefully, can do a lot of good to your presentation. You can get people to re-focus their attention on you. A subtle movement every now and then can emphasize important points in your presentation. Applying animation effects to every single element on your slides is just plain overkill.

For best results, stick to simple animations. The most commonly used slide transition effect is a simple fade animation. For object animations, there are plenty of options to choose from in PowerPoint. Before you apply an animation effect, ask yourself first if it adds any value to your presentation. If the answer is ‘no,’ forget it. If ‘yes,’ then by all means, add that effect to your slide!

7. Not getting straight to the point

One of the most common presentation mistakes is going around in circles, and not getting straight to the point.

Your audience is most likely composed of busy individuals. Respect them by not wasting their time. After briefly introducing yourself, tell them what they can expect to learn from your presentation. Then, go through your points one by one.

Having an outline – and sticking to it – will help prevent you from going around in circles. With an outline, you can structure your presentation, and go from introduction to body to conclusion smoothly. In short, an outline can help you plan how you can make the most impact on your audience.

Remember, people have short attention spans. If you don’t deliver on your promises, and you keep on talking about non-relevant stuff, people will tune you out. You better give them something important to chew on before they turn their attention elsewhere.

8. Too much text or information in slides

This is personally one of my pet peeves in presentations – cramming way too much info on slides. When you lay out everything on your slides, you don’t give your audience any incentive to continue listening to you. They’re just going to read your slide and play on their phones while they wait for you to move on to the next slide. They’ll just repeat this process until the end of your presentation.

The element of surprise or the unknown is important in presentations. Keep your audience’s interest by not sharing everything on your slides. Pique their curiosity by giving hints and clues on your slides. Then deliver a verbal discussion on what those hints mean.

Another benefit of not putting way too much text or information in your slides is that you avoid doing the next mistake.

9. Reading the presentation slides

Trust me when I say you’re disrespecting your audience by reading whatever is on your slides. It’s like you’re assuming they don’t know how to read for themselves!

What’s even worse is when your slides are so crammed with text that the font size becomes reduced to near-infinitesimal levels! So, you end up inadvertently insulting your audience even more. Now they’re stuck listening to you read your slides because they can’t read what’s on there. It’s the double whammy of bad presentations!

To sum up this point, people want to learn from you and they want to listen to you. But they DON’T want to listen to you read your slides.

10. ‘Death by PowerPoint’

Don’t quote me on this, but I don’t think anyone’s literally died yet just by watching a PowerPoint presentation. ‘ Death by PowerPoint’ is a phenomenon brought about by the millions of PowerPoint presenters who bore their audiences to tears, or in this case, death.

If you’ve ever attended a presentation where the presenter showed a dizzying and confusing array of slides, or droned on and on without caring if anyone’s actually listening, then you’ve personally experienced this phenomenon. I bet you – and everyone else – were thinking you’d rather be anywhere else but there.

So, yeah, ‘death by PowerPoint’ is easily one of the most common PowerPoint mistakes you should avoid at all cost!

11. Not speaking clearly

Many rookie presenters are guilty of this common presentation mistake. Who wants to listen to a presenter speak gibberish? Not me. And I’m pretty sure not you, either. You’re attending a presentation because you want to learn something. When the speaker on stage doesn’t speak clearly, frustrations can quickly build up.

So, when you practice your speech, it’s important to make sure you enunciate each word clearly. Don’t use words that your audiences aren’t familiar with. If you’re speaking to a bunch of elderly people, don’t use lingo they may not understand. If you’re with a younger group, try to learn their slang so they’ll feel more comfortable with you.

Also, when using acronyms, make sure you define it first so people don’t end up confused. You want everyone to be on the same page as you, and communication is key to achieving this particular goal.

12. Not making eye contact

Making eye contact is one of the first things you should work on as a presenter. Why? Because avoiding eye contact during presentations make you look dodgy and untrustworthy. You won’t inspire confidence. So, don’t be surprised if no one takes you seriously.

With eye contact, however, you make it easy for people to see that you actually believe in what you’re saying. If you’re trying to persuade them to buy something from you, they’ll look at you for reassurance that you yourself believe in the product you’re selling.

Eye contact helps you build connections with your audience. When you make eye contact for a few seconds, you feel like you’re talking to that person one-on-one. In that moment, you make that audience member feel important and respected. In return, they will be more receptive to the message you’re sharing with them.

If you’re a naturally shy person, you’ll need to take some baby steps in the beginning. Try practicing making eye contact with the people you interact with on a daily basis. Over time, you’ll find yourself making eye contact naturally and you’ll feel your confidence levels rising.

13. Not dressing appropriately

Another common presentation mistake is not dressing appropriately for the occasion.

How would you feel if you wore formal attire to someone’s presentation and the speaker shows up wearing street clothes? You’d probably be annoyed that you took the time to dress up. Here you are listening to someone who didn’t even bother to wear a more suitable outfit for his talk.

First impressions are everything. The right clothes can make people warm up to you. You’re selling an image of being a professional, trustworthy speaker. Your clothes can definitely speak volumes on your behalf.

When in doubt, stick to the classics – gray or black business suits look good in presentations. If you’re borrowing someone else’s suit, make sure it at least fits you. You don’t want to look like you’re swimming in your clothes. For best results, invest in your own business suits. Wearing your own clothes will help you feel more comfortable and more confident.

Don’t forget about your hair, too. You want nothing sticking out unless you’re speaking to a bunch of guys with spiky hair. But even then, you’d still want to maintain an air of professionalism.

The bottom line is, make yourself look good so you’ll feel good. Carefully pick out your clothes . Let your audience see that you’re someone they can build a professional relationship with.

14. Insufficient knowledge of presentation topic

As I’ve mentioned earlier in this article, people attend your presentation because they want to learn something new from you. So, if you show up to your presentation without doing your research or your homework, then you’re essentially wasting their time.

It’s important to be prepared for your presentation. But don’t just cover the basics and then gloss over the details. Be prepared to go as in-depth as possible and cover all possible angles. Now, I don’t mean you need to know everything about the subject, but do try to be as well-informed as possible.

Don’t tell people what they already know. Figure out how you can ‘sell’ your ideas and make your presentation engaging and exciting!

15. No clear call to action

Many rookie presenters make the mistake of not adding a call to action (CTA) to their presentations. They think that their job is done just by sharing whatever their message is and that nothing else needs to be done afterwards.

To be fair, however, in informative presentations, the need for a CTA may not be as clear-cut as, say, a sales presentation. But you should definitely still add a call to action to ALL presentations.

Why? Because CTA’s motivate and encourage your audience to take action. You’re letting them know that the ball is in their court now. You’ve laid out what they need to do, so they can apply the information they’ve learned from you.

Don’t let people treat your presentation as something they can just sweep under the rug. Make an impact during your presentation so that people will be more willing to follow your CTA.

Here’s a tip: instead of using a thank you slide, put your CTA in the final slide. This way, people will be more likely to remember – and take action on – your call to action.

Final Words

You don’t need to aim for a perfect presentation. But avoiding these common presentation mistakes will definitely help you become a better presenter. Define your presentation goal and plan out your content before you do anything else. When designing your slides, make your audience’s visual experience a positive one. Create a strong first impression and engage with your audience throughout your presentation. Help them learn from you, and they’ll help you achieve your presentation goals!

1. Define your objective

Every presentation needs a clear goal. Are you looking to persuade, educate, or motivate? Perhaps you aim to showcase a product, or share insights about a recent project.

Defining your objective early on will guide your content creation process, helping you to focus your message and structure your presentation effectively. Think of your objective as the North Star guiding your presentation journey.

2. Analyze your audience

Next up, who are you talking to? Your audience should shape your presentation as much as your objective does. Understanding their needs, interests, and background will enable you to tailor your message to resonate with them.

Are they experts in your field, or are they novices looking for an introduction? What questions might they have? The more you know about your audience, the more compelling your presentation will be.

3. Research your topic

Once you've defined your objective and analyzed your audience, it's time to delve deep into your topic. Comprehensive research lays the groundwork for a robust, credible presentation.

Don't just scratch the surface – explore different perspectives, recent developments, and key statistics. This will not only enhance your understanding but also equip you with a wealth of information to answer any questions your audience might have.

4. Choose the right delivery format

Finally, consider the best format to deliver your message.

But how do you transform a heap of information into a well-structured presentation you can’t stop reading? There’s a structure you can follow.

3-step process for organizing a magnetic presentation:

1. Prioritize content

Your presentation should immediately capture interest and demonstrate relevance before moving on to establish understanding .

A) Build interest:

Begin with a strong hook that grabs your audience's attention. This could be an intriguing statistic, a powerful image , or an engaging question. It should stir curiosity and make your audience eager to hear more.

B) Establish relevance:

Once you have their attention it's time to establish why your presentation matters to your audience.

Address your audience's main concerns. Make sure your content directly speaks to these pain points, and address them in order of importance.

2. Build anticipation

A great presentation is like getting a new car – it builds anticipation, takes you on a thrilling ride, and ends with you wanting to share the experience with all your friends.

Start with a compelling problem your audience relates to and follow up with a promise of an amazing way they can solve it. This problem-solution dynamic creates a suspense that keeps your audience glued to your presentation.

3. Use a story framework

Finally, use a story framework to give your presentation structure and flow.

Begin with a big idea that underpins your presentation. Then delve into the problem, showcasing why it needs attention. Present your solution, painting a vision of a better future for your audience.

Weave in concrete examples of how your solution changes lives.

Tell the story of WHO you helped, WHAT the situation was before and after your solution, WHERE and WHEN it happened, WHY it worked and HOW it made them feel.

If you’re writing a business presentation you should follow this with an execution plan that outlines how the solution will be implemented.

Finally, close with clear next steps, guiding your audience on what they should do after the presentation to bring meaningful change into their lives.

What is narrated design (Scrollytelling)?

How can you make a good presentation even more effective?

This page draws on published advice from expert presenters around the world, which will help to take your presentations from merely ‘good’ to ‘great’.

By bringing together advice from a wide range of people, the aim is to cover a whole range of areas.

Whether you are an experienced presenter, or just starting out, there should be ideas here to help you to improve.

1. Show your Passion and Connect with your Audience

It’s hard to be relaxed and be yourself when you’re nervous.

But time and again, the great presenters say that the most important thing is to connect with your audience, and the best way to do that is to let your passion for the subject shine through.

Be honest with the audience about what is important to you and why it matters.

Be enthusiastic and honest, and the audience will respond.

2. Focus on your Audience’s Needs

Your presentation needs to be built around what your audience is going to get out of the presentation.

As you prepare the presentation, you always need to bear in mind what the audience needs and wants to know, not what you can tell them.

While you’re giving the presentation, you also need to remain focused on your audience’s response, and react to that.

You need to make it easy for your audience to understand and respond.

3. Keep it Simple: Concentrate on your Core Message

When planning your presentation, you should always keep in mind the question:

What is the key message (or three key points) for my audience to take away?

You should be able to communicate that key message very briefly.

Some experts recommend a 30-second ‘elevator summary’, others that you can write it on the back of a business card, or say it in no more than 15 words.

Whichever rule you choose, the important thing is to keep your core message focused and brief.

And if what you are planning to say doesn’t contribute to that core message, don’t say it.

4. Smile and Make Eye Contact with your Audience

This sounds very easy, but a surprisingly large number of presenters fail to do it.

If you smile and make eye contact, you are building rapport , which helps the audience to connect with you and your subject. It also helps you to feel less nervous, because you are talking to individuals, not to a great mass of unknown people.

To help you with this, make sure that you don’t turn down all the lights so that only the slide screen is visible. Your audience needs to see you as well as your slides.

5. Start Strongly

The beginning of your presentation is crucial. You need to grab your audience’s attention and hold it.

They will give you a few minutes’ grace in which to entertain them, before they start to switch off if you’re dull. So don’t waste that on explaining who you are. Start by entertaining them.

Try a story (see tip 7 below), or an attention-grabbing (but useful) image on a slide.

6. Remember the 10-20-30 Rule for Slideshows

This is a tip from Guy Kawasaki of Apple. He suggests that slideshows should:

  • Contain no more than 10 slides;
  • Last no more than 20 minutes; and
  • Use a font size of no less than 30 point.

This last is particularly important as it stops you trying to put too much information on any one slide. This whole approach avoids the dreaded ‘Death by PowerPoint’.

As a general rule, slides should be the sideshow to you, the presenter. A good set of slides should be no use without the presenter, and they should definitely contain less, rather than more, information, expressed simply.

If you need to provide more information, create a bespoke handout and give it out after your presentation.

7. Tell Stories

Human beings are programmed to respond to stories.

Stories help us to pay attention, and also to remember things. If you can use stories in your presentation, your audience is more likely to engage and to remember your points afterwards. It is a good idea to start with a story, but there is a wider point too: you need your presentation to act like a story.

Think about what story you are trying to tell your audience, and create your presentation to tell it.

Finding The Story Behind Your Presentation

To effectively tell a story, focus on using at least one of the two most basic storytelling mechanics in your presentation:

Focusing On Characters – People have stories; things, data, and objects do not. So ask yourself “who” is directly involved in your topic that you can use as the focal point of your story.

For example, instead of talking about cars (your company’s products), you could focus on specific characters like:

  • The drivers the car is intended for – people looking for speed and adventure
  • The engineers who went out of their way to design the most cost-effective car imaginable

A Changing Dynamic – A story needs something to change along the way. So ask yourself “What is not as it should be?” and answer with what you are going to do about it (or what you did about it).

For example…

  • Did hazardous road conditions inspire you to build a rugged, all-terrain jeep that any family could afford?
  • Did a complicated and confusing food labelling system lead you to establish a colour-coded nutritional index so that anybody could easily understand it?

8. Use your Voice Effectively

The spoken word is actually a pretty inefficient means of communication, because it uses only one of your audience’s five senses. That’s why presenters tend to use visual aids, too. But you can help to make the spoken word better by using your voice effectively.

Varying the speed at which you talk, and emphasising changes in pitch and tone all help to make your voice more interesting and hold your audience’s attention.

9. Use your Body Too

It has been estimated that more than three quarters of communication is non-verbal.

That means that as well as your tone of voice, your body language is crucial to getting your message across. Make sure that you are giving the right messages: body language to avoid includes crossed arms, hands held behind your back or in your pockets, and pacing the stage.

Make your gestures open and confident, and move naturally around the stage, and among the audience too, if possible.

10. Relax, Breathe and Enjoy

If you find presenting difficult, it can be hard to be calm and relaxed about doing it.

One option is to start by concentrating on your breathing. Slow it down, and make sure that you’re breathing fully. Make sure that you continue to pause for breath occasionally during your presentation too.

If you can bring yourself to relax, you will almost certainly present better. If you can actually start to enjoy yourself, your audience will respond to that, and engage better. Your presentations will improve exponentially, and so will your confidence. It’s well worth a try.

When giving presentations, either on a video conference call or in person, your slides, videos and graphics (or lack of them) can be an important element in helping you tell your story or express your idea. This is the first of a series of blog posts that will give you tips and tricks on how to perfect your visual presentations.

Your job as a presenter is to build your idea -- step-by-step -- in the minds of your audience members. One tool to do that is presentation graphics, such as slides and videos.

Why graphics for your presentation?

A common mistake is using slides or videos as a crutch, even if they don’t actually add anything to your presentation. Not all presentations need graphics. Lots of presentations work wonderfully with just one person standing on a stage telling a story, as demonstrated by many TED Talks.

You should only use slides if they serve a purpose: conveying scientific information, art, and things that are hard to explain without pictures. Once you have decided on using slides, you will have a number of decisions to make. We’ll help you with the basics of making a presentation that is, above all, clear and easy to understand. The most important thing to remember here is: less is more.

Less is so much more

You want to aim for the fewest number of slides, the fewest number of photos, the fewest words per slide, the least cluttered slides and the most white space on your slides. This is the most violated slide rule, but it is the secret to success. Take a look at these examples.

As you can see in the above example, you don’t need fancy backgrounds or extra words to convey a simple concept. If you take “Everything you need to know about Turtles”, and delete “everything you need to know about” leaving just “turtles”, the slide has become much easier for your audience to read, and tells the story with economy.

The above example demonstrates that a single image that fills the entire screen is far more powerful than a slide cluttered with images. A slide with too many images may be detrimental to your presentation. The audience will spend more mental energy trying to sort through the clutter than listening to your presentation. If you need multiple images, then put each one on its own slide. Make each image high-resolution and have it fill the entire screen. If the photos are not the same dimensions as the screen, put them on a black background. Don’t use other colors, especially white.

Your slides will be much more effective if you use the fewest words, characters, and pictures needed to tell your story. Long paragraphs make the audience strain to read them, which means they are not paying attention to you. Your audience may even get stressed if you move on to your next slide before they’ve finished reading your paragraph. The best way to make sure the attention stays on you is to limit word count to no more than 10 words per slide. As presentation expert Nancy Duarte says “any slide with more than 10 words is a document.” If you really do need a longer explanation of something, handouts or follow-up emails are the way to go.

Following a “less is more” approach is one of the simplest things you can do to improve your presentation visuals and the impact of your presentation overall. Make sure your visuals add to your presentation rather than distract from it and get your message across.

Capturing an audience’s attention takes practice. 

Over time, great presenters learn how to organize their speeches and captivate an audience from start to finish. They spark curiosity, know how to read a room , and understand what their audience needs to walk away feeling like they learned something valuable.

Regardless of your profession, you most likely use presentation skills on a monthly or even weekly basis. Maybe you lead brainstorming sessions or host client calls. 

Developing effective presentation skills makes it easier to contribute ideas with confidence and show others you’re someone to trust. Although speaking in front of a crowd sometimes brings nerves and anxiety , it also sparks new opportunities.

Presentation skills are the qualities and abilities you need to communicate ideas effectively and deliver a compelling speech. They influence how you structure a presentation and how an audience receives it. Understanding body language , creating impactful visual aids, and projecting your voice all fall under this umbrella.

A great presentation depends on more than what you say. It’s about how you say it. Storytelling , stage presence, and voice projection all shape how well you express your ideas and connect with the audience. These skills do take practice, but they’re worth developing — especially if public speaking makes you nervous. 

Engaging a crowd isn’t easy. You may feel anxious to step in front of an audience and have all eyes and ears on you.

But feeling that anxiety doesn’t mean your ideas aren’t worth sharing. Whether you’re giving an inspiring speech or delivering a monthly recap at work, your audience is there to listen to you. Harness that nervous energy and turn it into progress.

Strong presentation skills make it easier to convey your thoughts to audiences of all sizes. They can help you tell a compelling story, convince people of a pitch , or teach a group something entirely new to them. And when it comes to the workplace, the strength of your presentation skills could play a part in getting a promotion or contributing to a new initiative.

To fully understand the impact these skills have on creating a successful presentation, it’s helpful to look at each one individually. Here are six valuable skills you can develop:

1. Active listening

Active listening is an excellent communication skill for any professional to hone. When you have strong active listening skills, you can listen to others effectively and observe their nonverbal cues . This helps you assess whether or not your audience members are engaged in and understand what you’re sharing. 

Great public speakers use active listening to assess the audience’s reactions and adjust their speech if they find it lacks impact. Signs like slouching, negative facial expressions, and roaming eye contact are all signs to watch out for when giving a presentation.

2. Body language

If you’re researching presentation skills, chances are you’ve already watched a few notable speeches like TED Talks or industry seminars. And one thing you probably noticed is that speakers can capture attention with their body language. 

A mixture of eye contact, hand gestures , and purposeful pacing makes a presentation more interesting and engaging. If you stand in one spot and don’t move your body, the audience might zone out.

3. Stage presence

A great stage presence looks different for everyone. A comedian might aim for more movement and excitement, and a conference speaker might focus their energy on the content of their speech. Although neither is better than the other, both understand their strengths and their audience’s needs. 

Developing a stage presence involves finding your own unique communication style . Lean into your strengths, whether that’s adding an injection of humor or asking questions to make it interactive . To give a great presentation, you might even incorporate relevant props or presentation slides.

4. Storytelling

According to Forbes, audiences typically pay attention for about 10 minutes before tuning out . But you can lengthen their attention span by offering a presentation that interests them for longer. Include a narrative they’ll want to listen to, and tell a story as you go along. 

Shaping your content to follow a clear narrative can spark your audience’s curiosity and entice them to pay careful attention. You can use anecdotes from your personal or professional life that take your audience along through relevant moments. If you’re pitching a product, you can start with a problem and lead your audience through the stages of how your product provides a solution.

5. Voice projection

Although this skill may be obvious, you need your audience to hear what you’re saying. This can be challenging if you’re naturally soft-spoken and struggle to project your voice.

Remember to straighten your posture and take deep breaths before speaking, which will help you speak louder and fill the room. If you’re talking into a microphone or participating in a virtual meeting, you can use your regular conversational voice, but you still want to sound confident and self-assured with a strong tone.

If you’re unsure whether everyone can hear you, you can always ask the audience at the beginning of your speech and wait for confirmation. That way, they won’t have to potentially interrupt you later.

Ensuring everyone can hear you also includes your speed and annunciation. It’s easy to speak quickly when nervous, but try to slow down and pronounce every word. Mumbling can make your presentation difficult to understand and pay attention to.

6. Verbal communication 

Although verbal communication involves your projection and tone, it also covers the language and pacing you use to get your point across. This includes where you choose to place pauses in your speech or the tone you use to emphasize important ideas.

If you’re giving a presentation on collaboration in the workplace , you might start your speech by saying, “There’s something every workplace needs to succeed: teamwork.” By placing emphasis on the word “ teamwork ,” you give your audience a hint on what ideas will follow.

To further connect with your audience through diction, pay careful attention to who you’re speaking to. The way you talk to your colleagues might be different from how you speak to a group of superiors, even if you’re discussing the same subject. You might use more humor and a conversational tone for the former and more serious, formal diction for the latter.

Everyone has strengths and weaknesses when it comes to presenting. Maybe you’re confident in your use of body language, but your voice projection needs work. Maybe you’re a great storyteller in small group settings, but need to work on your stage presence in front of larger crowds. 

The first step to improving presentation skills is pinpointing your gaps and determining which qualities to build upon first. Here are four tips for enhancing your presentation skills:

1. Build self-confidence

Confident people know how to speak with authority and share their ideas. Although feeling good about your presentation skills is easier said than done, building confidence is key to helping your audience believe in what you’re saying. Try practicing positive self-talk and continuously researching your topic's ins and outs.

If you don’t feel confident on the inside, fake it until you make it. Stand up straight, project your voice, and try your best to appear engaged and excited. Chances are, the audience doesn’t know you’re unsure of your skills — and they don’t need to.

Another tip is to lean into your slideshow, if you’re using one. Create something colorful and interesting so the audience’s eyes fall there instead of on you. And when you feel proud of your slideshow, you’ll be more eager to share it with others, bringing more energy to your presentation.

2. Watch other presentations

Developing the soft skills necessary for a good presentation can be challenging without seeing them in action. Watch as many as possible to become more familiar with public speaking skills and what makes a great presentation. You could attend events with keynote speakers or view past speeches on similar topics online.

Take a close look at how those presenters use verbal communication and body language to engage their audiences. Grab a notebook and jot down what you enjoyed and your main takeaways. Try to recall the techniques they used to emphasize their main points, whether they used pauses effectively, had interesting visual aids, or told a fascinating story.

3. Get in front of a crowd

You don’t need a large auditorium to practice public speaking. There are dozens of other ways to feel confident and develop good presentation skills.

If you’re a natural comedian, consider joining a small stand-up comedy club. If you’re an avid writer, participate in a public poetry reading. Even music and acting can help you feel more comfortable in front of a crowd.

If you’d rather keep it professional, you can still work on your presentation skills in the office. Challenge yourself to participate at least once in every team meeting, or plan and present a project to become more comfortable vocalizing your ideas. You could also speak to your manager about opportunities that flex your public speaking abilities.

4. Overcome fear

Many people experience feelings of fear before presenting in front of an audience, whether those feelings appear as a few butterflies or more severe anxiety. Try grounding yourself to shift your focus to the present moment. If you’re stuck dwelling on previous experiences that didn’t go well, use those mistakes as learning experiences and focus on what you can improve to do better in the future.

Tips for dealing with presentation anxiety 

It’s normal to feel nervous when sharing your ideas. In fact, according to a report from the Journal of Graduate Medical Education, public speaking anxiety is prevalent in 15–30% of the general population .

Even though having a fear of public speaking is common, it doesn’t make it easier. You might feel overwhelmed, become stiff, and forget what you were going to say. But although the moment might scare you, there are ways to overcome the fear and put mind over matter.

Use these tactics to reduce your stress when you have to make a presentation:

1. Practice breathing techniques

If you experience anxiety often, you’re probably familiar with breathing techniques for stress relief . Incorporating these exercises into your daily routine can help you stop worrying and regulate anxious feelings. 

Before a big presentation, take a moment alone to practice breathing techniques, ground yourself, and reduce tension. It’s also a good idea to take breaths throughout the presentation to speak slower and calm yourself down .

2. Get organized

The more organized you are, the more prepared you’ll feel. Carefully outline all of the critical information you want to use in your presentation, including your main talking points and visual aids, so you don’t forget anything. Use bullet points and visuals on each slide to remind you of what you want to talk about, and create handheld notes to help you stay on track.

3. Embrace moments of silence

It’s okay to lose your train of thought. It happens to even the most experienced public speakers once in a while. If your mind goes blank, don’t panic. Take a moment to breathe, gather your thoughts, and refer to your notes to see where you left off. You can drink some water or make a quick joke to ease the silence or regain your footing. And it’s okay to say, “Give me a moment while I find my notes.” Chances are, people understand the position you’re in.

4. Practice makes progress

Before presenting, rehearse in front of friends and family members you trust. This gives you the chance to work out any weak spots in your speech and become comfortable communicating out loud. If you want to go the extra mile, ask your makeshift audience to ask a surprise question. This tests your on-the-spot thinking and will prove that you can keep cool when things come up.

Whether you’re new to public speaking or are a seasoned presenter, you’re bound to make a few slip-ups. It happens to everyone. The most important thing is that you try your best, brush things off, and work on improving your skills to do better in your next presentation.

Although your job may require a different level of public speaking than your favorite TED Talk , developing presentation skills is handy in any profession. You can use presentation skills in a wide range of tasks in the workplace, whether you’re sharing your ideas with colleagues, expressing concerns to higher-ups, or pitching strategies to potential clients.

Remember to use active listening to read the room and engage your audience with an interesting narrative. Don’t forget to step outside your comfort zone once in a while and put your skills to practice in front of a crowd. How to Give a Good Presentation—Without Anxiety or Being Nervous

Palms sweating, forehead burning, lightheadedness, room spinning, choking on air. And you haven’t even hit the stage yet to give your presentation. Worse than that: you’re probably a week out from the date of your upcoming presentation.

Gasp ! How will you ever be able to give a good presentation like this?

If that sounds like your current worst-nightmare scenario, you’re experiencing presentation anxiety. Which sucks, I know.

The good news? There are ways to fix it! In this article I'll give you 14 ways to give a good presentation without suffering from anxiety.

But first let’s establish some ground rules:

What Is a Good Presentation?

At its most basic level, a good presentation is one in which the presenter doesn’t throw up on stage, and the audience doesn't fall asleep. Okay, that’s a very basic level.

On a higher level a good presentation checks off these three boxes:

  • Informative . A good presentation contains all the necessary information and only the necessary information to make a point. Showering your audience with extraneous facts and figures, no matter how accurate or valid they may be, will only send them into snooze-land. 
  • Impressive . Impressive doesn’t mean that you've got to set off fireworks or arrange for Hollywood-style explosions to take place during your presentation. But it does mean that your presentation needs to include visual content to help impress your words onto your audience’s mind. Visual content can be images, graphs, video, or even something as simple as expressive body language and meaningful gestures. 
  • Storytelling . The human mind loves stories. Both oral information and visual expression can quickly bore an audience if they've got no meaning, no structure, or greater purpose. But tie the two things together in an interesting series of events that take the audience on a journey, and you’ve got them hooked by the nose!

But you can't easily tell a great story and connect the informative points to your audience, if you let nerves get in the way of your presentation. 

Today, we’ll be taking things a step further and looking into how you can deliver an awesome presentation without letting anxiety or nervousness hold you back.

Worst-Case Scenario Management

The thought of giving a presentation can shoot your anxiety level off the charts because the act of speaking before an audience plays on some of our biggest fears as humans, which are: the fear of failure and the fear of rejection .

Now add to that mix the possibility that our failure may take the form of public humiliation on stage, and our rejection being delivered live from a booing audience, and you can easily see why presentations can cause paralysis by anxiety.

The best way to combat your presentation anxiety, though it may sound counterintuitive at first, is to think about the worst-case scenario. What’s the worst thing that can happen?

You shouldn’t think about this so you can wallow in your misery, but so you can take preventative measures against it and dispel your anxiety knowing that you’re fully prepared.

In fact, worst-case scenario thinking is a concept that’s often used in risk management to strategically plan how to tackle a big problem or major event. And in the case of how to give a good presentation your worst-case scenario planning looks like this:

14 Ways to Eliminate Your Presentation Anxiety

1. think about the audience, not yourself.

No, I don’t mean that you should imagine the audience in their underwear—or even naked! I don’t know who came up with that idea, but in all honesty, it never helps me when preparing for a presentation. It just makes me feel awkward and embarrassed. 

What I do mean is that you should shift your focus from yourself to your audience. The reason you’re so anxious you can’t breathe right now is because you’re thinking about yourself: 

  • How will I appear on stage?
  • What will the audience think of me?
  • What if I mess us up?
  • What if they hate me?

Well, no wonder you’re biting your nails down to the cuticles! 

Instead of thinking about all the ways you can mess up, turn the spotlight on your audience and think about all the ways you can help them by giving a good presentation: 

  • What will your audience learn from you in this presentation?
  • In what ways will your presentation benefit your audience?
  • How will your message or knowledge help improve people’s lives?

Once you start focusing on the purpose of your presentation and the importance of that purpose for your audience, you’ll realize that no one wants you to fail! Far from being there to judge you and see if you’re any good, your audience wants you to give a good presentation. They want to learn something from you.

How can you best serve your audience? What should you tell them? Focus on them instead of yourself, and you’ll feel your anxiety melt away.

2. Use Building Blocks

Presenters often worry that they’ll forget their words during the presentation.

Well, so what if you do? I don’t mean that you should freeze on stage and stand there saying nothing, but your presentation is about the core message you want to deliver, not about the specific words you use to deliver that message. 

Whether your presentation will run for 20 minutes, 30 minutes, an hour, or even more, you can stay focused on your topic and keep your rhythm going by breaking down your presentation into 10-minute building blocks. Each building block should focus on just one point you want to make.

You can also visually structure your presentation around these blocks, by using section title slides that stand out visually. This simple technique breaks up the visual rhythm of your regular slides and allows you to quickly pinpoint where your blocks are.

Not only does this make it easier for you to remember your presentation than if you tried to memorize the whole thing off as one piece, but it also gives you a lifeline in case you “mess up.” Forgot one point and skipped ahead to the next one? No problem, just backtrack to your previous building block and pick it right up again.

Knowing that all you've got to do is present three building blocks, for example, makes the task a lot less daunting than thinking about having to deliver a 30-minute presentation. And when you hit the stage you’ll be much more relaxed, calm, and engaging.

3. Plan to Pause

Another benefit of breaking down your presentation into 10-minute building blocks is that you can plan your pauses.

Hitting your pauses is just as important for giving a good presentation as hitting your main points is. Rushing through your presentation will not only leave you exhausted and breathless, but it'll also leave your audience feeling overwhelmed and lost. 

Don’t rush through your points, and don’t rush your audience. Pause to give them time to consider what you said and to give yourself time to gather your thoughts and tackle your next point.

4. Prepare Your PowerPoint Early

Whether you’re presenting before an audience at a conference, or before a prospective client, you’re likely to use visual aids such as a PowerPoint during your presentation. 

And the worst thing you can do to yourself is to leave your visual presentation planning to the last minute. Even if you don’t think about it consciously, knowing that you still have to prepare your PowerPoint can add unnecessary stress to the days leading up to your preparation. 

As soon as you finalize your speech, get to work on your PowerPoint presentation and have it ready well in advance so you can relax and focus on perfecting your delivery.

5. Practice, Practice, Practice

Ever heard stand-up comedians talk about how they prepare for routines ? Even though when you’re watching them on stage it may seem like they’re just improvising or coming up with jokes on the fly, the truth is that everything they do and say comes as a result of relentless practice and repetition—even their pauses. 

And you’d be wise to follow the same advice when preparing your presentation to minimize performance anxiety. 

Practice, practice, practice. 

And practice not just your words, but also your visual presentation. Practice what you’ll say, what you’ll show, what you'll do, and how the two will come together. 

Practice not until your presentation sounds rehearsed and memorized, but until you’ve so internalized your points that your presentation sounds natural. 

6. Record and Review

Body language can sometimes speak louder than words. Do you appear confident when you present your proposal to prospective clients? Do you appear knowledgeable or doubtful about your topic of expertise? Do you come off as friendly and approachable or stuck up and conceited? 

You don’t have to wonder about those things or worse worry about them. Take action and clear your doubts. Record yourself on your phone or camera and see how you look giving your presentation. Go over your recording and make notes for improvement.

If possible, ask some friends or colleagues over to act as your audience. Or practice in an open conference room with a group of your peers. Not only will it be better for you to practice before a live audience, but you’ll also have their feedback on ways to improve your stage presence.

7. Get There Early 

Ever got stuck in traffic and arrived late at the office for a regular day’s work? Stressful, wasn’t it? What about running late for a meeting? More stressful, right? Knowing that others were expecting you and that you’d show up late making a bad impression. 

Now imagine showing up late to your presentation. Yikes! How’s that for a worst-case-scenario that can keep you up at night!

Instead of taking that risk or letting the anxiety of that possibility destroy your nerves, simply take the opposite route and plan to arrive early. As early as possible.

Arriving early gives you a chance to familiarize yourself with your surroundings so you can feel more at ease during your presentation. If your presentation will take place at a large event or a conference, you’ll have the time to meet and greet the organizers, other presenters, or even some of the audience members before you go on stage. 

Even if you can’t get into the place of your presentation early (like, for example, you’re presenting a project proposal to a prospective client), you can still take a walk near the building where you’re presenting, relax, clear your mind, and prepare for your presentation without worrying about time, the traffic, or anything else extraneous.

8. Test the Technology

Another benefit of arriving early is that you can ask to test the technology to make sure everything will run smoothly during your presentation. 

Depending on the type and size of the event at which you’re presenting, you’ll have different levels of control and access to the technology beforehand. But asking to run a technology test before your presentation is always the smart thing to do. 

And don’t show up with just one version of your visual presentation on one device and hope, pray, and cross your fingers it'll work. That'll only kick your anxiety into overdrive just minutes before your presentation. 

Always have your presentation saved on a variety of media (such as a USB, your laptop, and web-based storage space) that you can access in a variety of ways should anything go wrong. Have a cable that links your laptop to a projector? Take it along with you. You never know if you may need it. 

Technology can sometimes fail us, but there’s no reason to let that cause you anxiety. Simply prepare beforehand so you can remain calm during any mishaps.

9. Breathe Deeply

Not just metaphorically. Literally. 

Deep breaths have been scientifically proven to help us relax, reduce our stress levels, and improve our outlook on the situation at hand.

Right before going on stage or entering the presentation room take 5-10 deep breaths slowly inhaling as much air as you can and slowly exhaling it back out. The practice will help you relax, focus, and dispel any minor anxiety that may still linger after your thorough preparation.

Feeling calm, centered, and confident, go up there and crush it! 

10. Mingle With Your Audience

Knowing that you've got to get on the stage and speak in front of a room full of strangers is enough to make anyone nervous, even the most experienced speakers. Consider chatting with your audience members before the presentation.

By doing so, you'll not only present yourself as more approachable, but you'll also feel less like you’re talking to complete strangers, not to mention you might even find extra points to add to your presentation.

Another benefit of getting to know your audience before the presentation is that they'll feel more engaged with you, which increases the chances of them paying attention throughout the presentation.

11. Remember to Hydrate

Dry mouth isn't uncommon when you’re dealing with anxiety and it only gets worse when you've got to talk for a long period of time. A serious case of cottonmouth will only make your anxiety worse and leave you dealing with a Catch 22.

That’s why it’s important to stay hydrated throughout your presentation. Prevent cotton mouth by drinking plenty of water before your presentation, but do remember to hit the bathroom right before you start.

You should also have a glass or a bottle of water handy to take a drink during your presentation in case your mouth gets dry.

It’s a well-known fact that a smile is the most recognizable facial expression . Some studies even suggest that people can recognize a smile from 300 feet away, not to mention a simple smile can instantly boost your mood.

The key takeaway: smile during your presentation. This will make you seem more approachable not to mention you'll put a smile on your audience’s faces as well. It'll also make you appear more confident.

13. Exercise

Getting regular exercise is a great way to combat anxiety in general as physical activity can reduce stress and anxiety-related symptoms. Hitting the gym the morning of your big presentation will ensure you get endorphins running high while keeping your anxiety levels low.

If exercise isn't a part of your routine, consider going for a short, brisk walk before your presentation. Some studies suggest that a 10-minute walk can have the same benefits as a 45-minute work so do make sure to get your blood pumping.

14. Avoid Caffeine

While caffeine can help you remain alert, it can also raise your anxiety levels so cut back on coffee and any caffeinated beverages the day before and the day of your presentation.

Try replacing your coffee with a caffeine-free herbal tea, stay hydrated, and remember to eat a balanced diet with proteins to reduce your hunger.

8 tips to make the best powerpoint presentations.

Slideshows are an intuitive way to share complex ideas with an audience, although they're dull and frustrating when poorly executed. Here are some tips to make your Microsoft PowerPoint presentations sing while avoiding common pitfalls.

define a goal

It all starts with identifying what we're trying to achieve with the presentation. Is it informative, a showcase of data in an easy-to-understand medium? Or is it more of a pitch, something meant to persuade and convince an audience and lead them to a particular outcome?

It's here where the majority of these presentations go wrong with the inability to identify the talking points that best support our goal. Always start with a goal in mind: to entertain, to inform, or to share data in a way that's easy to understand. Use facts, figures, and images to support your conclusion while keeping structure in mind (Where are we now and where are we going?).

I've found that it's helpful to start with the ending. Once I know how to end a presentation, I know how best to get to that point. I start by identifying the takeaway---that one nugget that I want to implant before thanking everyone for their time---and I work in reverse to figure out how best to get there.

Your mileage, of course, may vary. But it's always going to be a good idea to put in the time in the beginning stages so that you aren't reworking large portions of the presentation later. And that starts with a defined goal.

avoid walls of text

A slideshow isn't supposed to include everything. It's an introduction to a topic, one that we can elaborate on with speech. Anything unnecessary is a distraction. It makes the presentation less visually appealing and less interesting, and it makes you look bad as a presenter.

This goes for text as well as images. There's nothing worse, in fact, than a series of slides where the presenter just reads them as they appear. Your audience is capable of reading, and chances are they'll be done with the slide, and browsing Reddit, long before you finish. Avoid putting the literal text on the screen, and your audience will thank you.

use better fonts

Right off the bat, we're just going to come out and say that Papyrus and Comic Sans should be banned from all PowerPoint presentations, permanently. Beyond that, it's worth considering the typeface you're using and what it's saying about you, the presenter, and the presentation itself.

Consider choosing readability over aesthetics, and avoid fancy fonts that could prove to be more of a distraction than anything else. A good presentation needs two fonts: a serif and sans-serif. Use one for the headlines and one for body text, lists, and the like. Keep it simple. Veranda, Helvetica, Arial, and even Times New Roman are safe choices. Stick with the classics and it's hard to botch this one too badly.

use fewer bullets

There reaches a point where bullet points become less of a visual aid and more of a visual examination.

Bullet points should support the speaker, not overwhelm his audience. The best slides have little or no text at all, in fact. As a presenter, it's our job to talk through complex issues, but that doesn't mean that we need to highlight every talking point.

Instead, think about how you can break up large lists into three or four bullet points. Carefully consider whether you need to use more bullet points, or if you can combine multiple topics into a single point instead. And if you can't, remember that there's no one limiting the number of slides you can have in a presentation. It's always possible to break a list of 12 points down into three pages of four points each.

avoid transitions

Animation, when used correctly, is a good idea. It breaks up slow-moving parts of a presentation and adds action to elements that require it. But it should be used judiciously.

Adding a transition that wipes left to right between every slide or that animates each bullet point in a list, for example, starts to grow taxing on those forced to endure the presentation. Viewers get bored quickly, and animations that are meant to highlight specific elements quickly become taxing.

That's not to say that you can't use animations and transitions, just that you need to pick your spots. Aim for no more than a handful of these transitions for each presentation. And use them in spots where they'll add to the demonstration, not detract from it.

use visuals

Sometimes images tell a better story than text can. And as a presenter, your goal is to describe points in detail without making users do a lot of reading. In these cases, a well-designed visual, like a chart, might better convey the information you're trying to share.

The right image adds visual appeal and serves to break up longer, text-heavy sections of the presentation---but only if you're using the right images. A single high-quality image can make all the difference between a success and a dud when you're driving a specific point home.

When considering text, don't think solely in terms of bullet points and paragraphs. Tables, for example, are often unnecessary. Ask yourself whether you could present the same data in a bar or line chart instead.

find a color palette

Color is interesting. It evokes certain feelings and adds visual appeal to your presentation as a whole. Studies show that color also improves interest, comprehension, and retention. It should be a careful consideration, not an afterthought.

You don't have to be a graphic designer to use color well in a presentation. What I do is look for palettes I like, and then find ways to use them in the presentation. There are a number of tools for this, like Adobe Color , Coolors , and ColorHunt , just to name a few. After finding a palette you enjoy, consider how it works with the presentation you're about to give. Pastels, for example, evoke feelings of freedom and light, so they probably aren't the best choice when you're presenting quarterly earnings that missed the mark.

It's also worth mentioning that you don't need to use every color in the palette. Often, you can get by with just two or three, though you should really think through how they all work together and how readable they'll be when layered. A simple rule of thumb here is that contrast is your friend. Dark colors work well on light backgrounds, and light colors work best on dark backgrounds.

change views

Spend some time in the Slide Sorter before you finish your presentation. By clicking the four squares at the bottom left of the presentation, you can take a look at multiple slides at once and consider how each works together. Alternatively, you can click "View" on the ribbon and select "Slide Sorter."

Are you presenting too much text at once? Move an image in. Could a series of slides benefit from a chart or summary before you move on to another point?

It's here that we have the opportunity to view the presentation from beyond the single-slide viewpoint and think in terms of how each slide fits, or if it fits at all. From this view, you can rearrange slides, add additional ones, or delete them entirely if you find that they don't advance the presentation.

The difference between a good presentation and a bad one is really all about preparation and execution. Those that respect the process and plan carefully---not only the presentation as a whole, but each slide within it---are the ones who will succeed.

This brings me to my last (half) point: When in doubt, just buy a template and use it. You can find these all over the web, though Creative Market and GraphicRiver are probably the two most popular marketplaces for this kind of thing. Not all of us are blessed with the skills needed to design and deliver an effective presentation. And while a pre-made PowerPoint template isn't going to make you a better presenter, it will ease the anxiety of creating a visually appealing slide deck.

How to Structure your Presentation, with Examples

For many people the thought of delivering a presentation is a daunting task and brings about a  great deal of nerves . However, if you take some time to understand how effective presentations are structured and then apply this structure to your own presentation, you’ll appear much more confident and relaxed.

Here is our complete guide for structuring your presentation, with examples at the end of the article to demonstrate these points.

Why is structuring a presentation so important?

If you’ve ever sat through a great presentation, you’ll have left feeling either inspired or informed on a given topic. This isn’t because the speaker was the most knowledgeable or motivating person in the world. Instead, it’s because they know how to structure presentations – they have crafted their message in a logical and simple way that has allowed the audience can keep up with them and take away key messages.

Research has supported this, with studies showing that audiences retain structured information  40% more accurately  than unstructured information.

In fact, not only is structuring a presentation important for the benefit of the audience’s understanding, it’s also important for you as the speaker. A good structure helps you remain calm, stay on topic, and avoid any awkward silences.

What will affect your presentation structure?

Generally speaking, there is a natural flow that any decent presentation will follow which we will go into shortly. However, you should be aware that all presentation structures will be different in their own unique way and this will be due to a number of factors, including:

  • Whether you need to deliver any demonstrations
  • How  knowledgeable the audience  already is on the given subject
  • How much interaction you want from the audience
  • Any time constraints there are for your talk
  • What setting you are in
  • Your ability to use any kinds of visual assistance

Before choosing the presentation’s structure answer these questions first:

  • What is your presentation’s aim?
  • Who are the audience?
  • What are the main points your audience should remember afterwards?

When reading the points below, think critically about what things may cause your presentation structure to be slightly different. You can add in certain elements and add more focus to certain moments if that works better for your speech.

Good presentation structure is important for a presentation

What is the typical presentation structure?

This is the usual flow of a presentation, which covers all the vital sections and is a good starting point for yours. It allows your audience to easily follow along and sets out a solid structure you can add your content to.

1. Greet the audience and introduce yourself

Before you start delivering your talk, introduce yourself to the audience and clarify who you are and your relevant expertise. This does not need to be long or incredibly detailed, but will help build an immediate relationship between you and the audience. It gives you the chance to briefly clarify your expertise and why you are worth listening to. This will help establish your ethos so the audience will trust you more and think you’re credible.

2. Introduction

In the introduction you need to explain the subject and purpose of your presentation whilst gaining the audience’s interest and confidence. It’s sometimes helpful to think of your introduction as funnel-shaped to help filter down your topic:

  • Introduce your general topic
  • Explain your topic area
  • State the issues/challenges in this area you will be exploring
  • State your presentation’s purpose – this is the basis of your presentation so ensure that you provide a statement explaining how the topic will be treated, for example, “I will argue that…” or maybe you will “compare”, “analyse”, “evaluate”, “describe” etc.
  • Provide a statement of what you’re hoping the outcome of the presentation will be, for example, “I’m hoping this will be provide you with…”
  • Show a preview of the organisation of your presentation

In this section also explain:

  • The length of the talk.
  • Signal whether you want audience interaction – some presenters prefer the audience to ask questions throughout whereas others allocate a specific section for this.
  • If it applies, inform the audience whether to take notes or whether you will be providing handouts.

The way you structure your introduction can depend on the amount of time you have been given to present: a  sales pitch  may consist of a quick presentation so you may begin with your conclusion and then provide the evidence. Conversely, a speaker presenting their idea for change in the world would be better suited to start with the evidence and then conclude what this means for the audience.

Keep in mind that the main aim of the introduction is to grab the audience’s attention and connect with them.

3. The main body of your talk

The main body of your talk needs to meet the promises you made in the introduction. Depending on the nature of your presentation, clearly segment the different topics you will be discussing, and then work your way through them one at a time – it’s important for everything to be organised logically for the audience to fully understand. There are many different ways to organise your main points, such as, by priority, theme, chronologically etc.

  • Main points should be addressed one by one with supporting evidence and examples.
  • Before moving on to the next point you should provide a mini-summary.
  • Links should be clearly stated between ideas and you must make it clear when you’re moving onto the next point.
  • Allow time for people to take relevant notes and stick to the topics you have prepared beforehand rather than straying too far off topic.

When planning your presentation write a list of main points you want to make and ask yourself “What I am telling the audience? What should they understand from this?” refining your answers this way will help you produce clear messages.

4. Conclusion

In presentations the conclusion is frequently underdeveloped and lacks purpose which is a shame as it’s the best place to reinforce your messages. Typically, your presentation has a specific goal – that could be to convert a number of the audience members into customers, lead to a certain number of enquiries to make people knowledgeable on specific key points, or to motivate them towards a shared goal.

Regardless of what that goal is, be sure to summarise your main points and their implications. This clarifies the overall purpose of your talk and reinforces your reason for being there.

Follow these steps:

  • Signal that it’s nearly the end of your presentation, for example, “As we wrap up/as we wind down the talk…”
  • Restate the topic and purpose of your presentation – “In this speech I wanted to compare…”
  • Summarise the main points, including their implications and conclusions
  • Indicate what is next/a call to action/a thought-provoking takeaway
  • Move on to the last section

5. Thank the audience and invite questions

Conclude your talk by thanking the audience for their time and invite them to  ask any questions  they may have. As mentioned earlier, personal circumstances will affect the structure of your presentation.

Many presenters prefer to make the Q&A session the key part of their talk and try to speed through the main body of the presentation. This is totally fine, but it is still best to focus on delivering some sort of initial presentation to set the tone and topics for discussion in the Q&A.

The above was a description of a basic presentation, here are some more specific presentation layouts:

Demonstration

Use the demonstration structure when you have something useful to show. This is usually used when you want to show how a product works. Steve Jobs frequently used this technique in his presentations.

  • Explain why the product is valuable.
  • Describe why the product is necessary.
  • Explain what problems it can solve for the audience.
  • Demonstrate the product  to support what you’ve been saying.
  • Make suggestions of other things it can do to make the audience curious.

Problem-solution

This structure is particularly useful in persuading the audience.

  • Briefly frame the issue.
  • Go into the issue in detail showing why it ‘s such a problem. Use logos and pathos for this – the logical and emotional appeals.
  • Provide the solution and explain why this would also help the audience.
  • Call to action – something you want the audience to do which is straightforward and pertinent to the solution.

Storytelling

As well as incorporating  stories in your presentation , you can organise your whole presentation as a story. There are lots of different type of story structures you can use – a popular choice is the monomyth – the hero’s journey. In a monomyth, a hero goes on a difficult journey or takes on a challenge – they move from the familiar into the unknown. After facing obstacles and ultimately succeeding the hero returns home, transformed and with newfound wisdom.

Another popular choice for using a story to structure your presentation is in media ras (in the middle of thing). In this type of story you launch right into the action by providing a snippet/teaser of what’s happening and then you start explaining the events that led to that event. This is engaging because you’re starting your story at the most exciting part which will make the audience curious – they’ll want to know how you got there.

  • Great storytelling: Examples from Alibaba Founder, Jack Ma

Remaining method

The remaining method structure is good for situations where you’re presenting your perspective on a controversial topic which has split people’s opinions.

  • Go into the issue in detail showing why it’s such a problem – use logos and pathos.
  • Rebut your opponents’ solutions  – explain why their solutions could be useful because the audience will see this as fair and will therefore think you’re trustworthy, and then explain why you think these solutions are not valid.
  • After you’ve presented all the alternatives provide your solution, the remaining solution. This is very persuasive because it looks like the winning idea, especially with the audience believing that you’re fair and trustworthy.

Transitions

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant. This can be done  using speech transitions  which are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

Transitions can be one word, a phrase or a full sentence – there are many different forms, here are some examples:

Moving from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shifting between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Physical movement

You can move your body and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Key slides for your presentation

Slides are a useful tool for most presentations: they can greatly assist in the delivery of your message and help the audience follow along with what you are saying. Key slides include:

  • An intro slide outlining your ideas
  • A  summary slide  with core points to remember
  • High quality image slides to supplement what you are saying

There are some presenters who choose not to use slides at all, though this is more of a rarity. Slides can be a powerful tool if used properly, but the problem is that many fail to do just that. Here are some golden rules to follow when using slides in a presentation:

  • Don’t over fill them  – your slides are there to assist your speech, rather than be the focal point. They should have as little information as possible, to avoid distracting people from your talk.
  • A picture says a thousand words  – instead of filling a slide with text, instead, focus on one or two images or diagrams to help support and explain the point you are discussing at that time.
  • Make them readable  – depending on the size of your audience, some may not be able to see small text or images, so make everything large enough to fill the space.
  • Don’t rush through slides  – give the audience enough time to digest each slide.

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

Group Presentations

Group presentations are structured in the same way as presentations with one speaker but usually require more rehearsal and practices.  Clean transitioning between speakers  is very important in producing a presentation that flows well. One way of doing this consists of:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Elnaz will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Elnaz”.
  • The next speaker should acknowledge this with a quick: “Thank you Joe.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

Example of great presentation structure and delivery

Having examples of great presentations will help inspire your own structures, here are a few such examples, each unique and inspiring in their own way.

How Google Works – by Eric Schmidt

This presentation by ex-Google CEO  Eric Schmidt  demonstrates some of the most important lessons he and his team have learnt with regards to working with some of the most talented individuals they hired. The simplistic yet cohesive style of all of the slides is something to be appreciated. They are relatively straightforward, yet add power and clarity to the narrative of the presentation.

Start with why – by Simon Sinek

Since being released in 2009, this presentation has been viewed almost four million times all around the world. The message itself is very powerful, however, it’s not an idea that hasn’t been heard before. What makes this presentation so powerful is the simple message he is getting across, and the straightforward and understandable manner in which he delivers it. Also note that he doesn’t use any slides, just a whiteboard where he creates a simple diagram of his opinion.

The Wisdom of a Third Grade Dropout – by Rick Rigsby

Here’s an example of a presentation given by a relatively unknown individual looking to inspire the next generation of graduates. Rick’s presentation is unique in many ways compared to the two above. Notably, he uses no visual prompts and includes a great deal of humour.

However, what is similar is the structure he uses. He first introduces his message that the wisest man he knew was a third-grade dropout. He then proceeds to deliver his main body of argument, and in the end, concludes with his message. This powerful speech keeps the viewer engaged throughout, through a mixture of heart-warming sentiment, powerful life advice and engaging humour.

As you can see from the examples above, and as it has been expressed throughout, a great presentation structure means analysing the core message of your presentation. Decide on a key message you want to impart the audience with, and then craft an engaging way of delivering it.

By preparing a solid structure, and  practising your talk  beforehand, you can walk into the presentation with confidence and deliver a meaningful message to an interested audience.

It’s important for a presentation to be well-structured so it can have the most impact on your audience. An unstructured presentation can be difficult to follow and even frustrating to listen to. The heart of your speech are your main points supported by evidence and your transitions should assist the movement between points and clarify how everything is linked.

Research suggests that the audience remember the first and last things you say so your introduction and conclusion are vital for reinforcing your points. Essentially, ensure you spend the time structuring your presentation and addressing all of the sections.

How to give a presentation that doesn’t feel cheesy or self-serving

When presenting in front of an audience , you’ll probably think about what you want to gain—and that’s okay. You’ve got a sale to make, investors to convince, minds to change. But to make an impact, all of that must come second. Whatever your needs are, to give a truly successful presentation, you need to align with the audience’s needs. If you can’t, either keep thinking or don’t give a presentation at all. Don’t waste their time and yours.

I am a presentation expert, and one of the sentences I most hate to hear from clients is, “We need to tell them about X without referencing why we’re bringing it up.” But a presentation isn’t a brochure. Your audience can Google an advertisement. When we aren’t our audience’s humble servants, it’s easy to get stuck in arrogance and talk about problems instead of solving them.

Most of us are sick of being yelled at and sold to. In the normal course of the day, we’re dealing with billboards, Facebook ads, pop-ups, and sponsored content. As a result, our ability to block out advertisements can be phenomenal. And your audience will put up this same barrier to block you out if they think you’re being cheesy or self-serving.

The word servant may trigger you. Your ego may get upset. But it’s critical to move past this. One of the less helpful techniques we’ve been told to use to deal with nerves is to “puff out our chests” and prove ourselves with inflated confidence . Trust me, this is bad advice. It only inflates our egos. Confidence is important, but a huge ego hurts a good presentation.

As an audience member, how would you feel if you were watching a presenter who was truly there for you? Who was tuned in to your needs, wants, fears, and questions? How much more likely would you be to respond to their message, take the next step with them, or ask a meaningful question?

Here are four easy steps to help you shift your mindset from being self-focused when you are giving a presentation —and to making the audience your priority. 

Ask questions to understand your audience’s needs

Become an expert in your audience’s problems. Dive in and speak to them directly. If you can’t connect with them one-on-one, then think about them. Ask: What’s important to them? What are their fears and drivers? What do they know? What are their knowledge gaps? Talk, engage, post on LinkedIn—do whatever you need to do to ask the questions you need answers for. It’s very easy to assume we know these things already, but the power of continuously asking questions to understand your audience’s needs is that you will learn how best to serve them. 

Work out how to address your audience 

After you ask questions to understand your audience’s needs, you should establish what is the best way to communicate with your audience. First, consider what their preferred communication styles are and aim to match them. 

Next, determine what issues your audience needs solving. It might not be possible to solve all of their issues, so don’t overextend the scope of what you’re offering. Instead, focus on how your solution addresses the issues it does solve. To address their issues, you may be asking your audience to change their way of thinking. Instead, try to guide your audience to the conclusion you want them to reach. Hopefully, it’s one that shows them how you can address their needs. This shows you’re on their side.

Prove you can solve their issues 

If you know what your audience’s needs are and can meet those needs, show you can do so in a credible and effective way. It’s not about telling people what you can do, it’s about showing them. Use case studies, stories, and products to prove that you can solve their issues. Build people’s confidence to follow you, to believe in you, and to be open to your ideas. This builds a commonality and shared purpose—and doesn’t come across as cheesy or self-serving.

Don’t make assumptions about what your audience knows

Imagine you’re a novice at whatever topic your presentation is on. View your content through a fresh set of objective eyes. Consider these questions:

  • How much of your content has a prerequisite understanding that everyone listening to you might not have?
  • Is there anything that you are addressing that needs a prior explanation?
  • What assumptions have you set in place about your audience? 
  • Are you taking steps to make sure that you’ve eliminated the obstacles for an audience to understand?
  • When it comes down to it, are you sure your presentation will make sense to everyone listening?

By following these four steps, you can come across as a humble servant while giving a presentation. These steps can help you transform the approach and flow of your presentation. Ultimately, these practices will help you live in your audience’s world, where you can think like them, you can connect, and you can make a true impact.

A successful presentation requires good presentation skills and effective presentation techniques. Here we provide you with 15 presentation tips for effective presentations. Whether you are an experienced presenter, or just starting out, there should be ideas here to help you improve your presentation skills.

How do you give a good presentation this is how to succeed.

In order to be able to present successfully, not only the layout and the content of the presentation must be convincing. The decisive step is to convey the content of the presentation to the audience in the best possible way by presenting it correctly. The tips listed below should help you do this by improving your presentation skills. The most important thing to keep in mind is a healthy combination of the tips listed below. (The order of the tips does not give any information about their importance).

Not every tip will lead to a successful presentation. What is important in a presentation?

As mentioned earlier, you should try to implement a combination of the tips to give a successful presentation. It should be noted that not every one of these tips needs to fit in your own presentation. In addition, too many of these tips can make the presentation look overloaded and too "rehearsed". Therefore, think carefully in advance about what you want to pay particular attention to.

Here are 16 tips for killer presentations:

Tip 1: maintain eye contact while presenting and smile.

In order to give each of your listeners the feeling of being important and to make them feel personally addressed, it is particularly important to maintain eye contact with the audience during the presentation. Not only does this exude confidence, but it also helps your audience to connect with you and your subject. It also helps you feel less nervous.  Easier said than done right? Here's what can help:

Find someone in the audience who seems to be genuinely interested in the topic and is listening attentively (for example, your lecturer). Make eye contact with this person at the beginning of the presentation. Once you start feeling more calm and confident let your gaze drift over the audience to address the other listeners as well. Keep returning your gaze to the initial person to stay calm throughout the whole presentation.

Another alternative is to find a fixed point in the room (preferably on the wall behind the audience) which you fix at the beginning of the presentation. Similar to the first example, after you have achieved confidence, you can let your gaze wander over the audience and return to the previously selected fixed point again and again.

Don't look at the screen! Don't look at the floor! Don't just look at your index cards! Don't just look at the laptop!

Tip 2: Use of gestures and facial expressions

To emphasize the content of your presentation, it is advisable to use appropriate gestures and body language to get your message across. Avoid crossed arms, hands behind your back, or in your pockets during a presentation.  Always stand up straight, and try not to appear tense or stressed. You can do that by using your hands and arms to emphasize what you are saying and get your message across.  Your facial expressions should always be friendly and open. Smile and show that you enjoy the topic and you are confident in the information you are presenting.

Tip 3: Avoid distractions

Often you will not be able to avoid the use of aids. For example, you may need to use a laser pointer to show something on the screen, or you may need to use a pen to write something down on a flipchart. To avoid distractions for you and the audience, get into the habit of putting down tools you don't need! That way you will not be tempted to deal with them in the first place. You will also have your hands free for gestures.

Tip 4: Be prepared: Practice makes perfect

Practice makes perfect, right? If you prepare well before the presentation, you will feel more relaxed and confident while presenting and it will also improve your body language. 

Here are some ways to help you prepare for a presentation:

Tip 5: Be confident

By appearing self-confident, you convey to the listener that you are confident in your topic and have prepared yourself sufficiently. Try to relax and not appear too stressed or nervous. Another tip for advanced speakers: Step out in front of the podium and walk around the room and get closer to the audience. This also exudes self-confidence and helps in attracting your audience's attention.

Tip 6: Effective beginning/end

Good presentation skills can help you in captivating your audience straight away. In order to do that, you should start your presentation with a bang. Many studies show that if you can capture someone’s interest straight away, there’s a good chance they’ll listen to the rest of the presentation. Shock the audience, ask them to imagine something or think of a what-if situation, share a personal story, share a joke, u se a quote, or a video. You should also give an overview of the time and structure of your presentation. This outline should run through your presentation so that you can always assign the individual contents to an outline point. It is also helpful for your audience to have the outline displayed in a slimmed-down form during the whole presentation.

How you end the presentation is as important as how you start it. A weak ending will leave the audience uninspired. But a good ending will motivate them and help them walk away on a positive note. For example, include a call to action, end the presentation with a memorable quote, or a personal story, and don't forget to thank and acknowledge the audience. 

Tip 7: Speak freely

The headline speaks for itself. To make the presentation as lively and enjoyable as possible, you should avoid reading it off. Speak freely, slowly, and clearly. If you are not yet confident in what you are presenting, try using note cards. But keep in mind: No continuous text, but only short, concise bullet points! If you use note cards to support you, it is especially advisable at this point to memorize at least the beginning and end of your presentation, as eye contact is crucial at these points.

Tip 8: Avoid filler words

In order to make your presentation flow as smoothly and confidently as possible, you should avoid using filler words such as "um," "so," and so on. For your listeners, these words convey insecurity and inadequate preparation.

Tip 9: Bring along something to share

In addition to a handout, other small takeaways can also significantly improve your presentation. For example, if you are giving a presentation on gummy bears, why not offer some to your audience? If you are giving a presentation about your fishing hobby, why not show the audience your fishing equipment?

Tip 10: Use different types of media

A presentation can quickly become boring and monotonous. To avoid this, it is advisable to use different types of media. For example, combine videos and flipcharts, use the whiteboard, or show something practical on a model. This will increase the attention of your audience enormously and will help in keeping them engaged until the end.

Tip 11: Use effective pauses

When giving a presentation, you should keep in mind that you have already heard the content several times - your audience probably hasn't! Therefore, give your audience enough time to read and understand the content of your slides.

Effective use of speech pauses is a master technique. It is one of the most versatile tools in a presenter's toolbox. Yet very few people perform it well. A pause, if used correctly, can add a great deal to your presentation or speech. Pause before, during, or after saying something that you would like to emphasize. Pausing between two different parts of your presentation can indicate to the audience that something new is coming. A quick pause could also help you in remembering your next point, without the audience noticing that you forgot what to say.

Tip 12: Speak the language of the audience

When creating your presentation, you should already think about your target audience. This will help you present successfully later on. It is especially important that you speak the language of the audience. Use appropriate and relevant examples. Use "strong" and meaningful words in short sentences to avoid losing the audience. Make sure to use appropriate analogies and anecdotes and avoid foreign words, empty phrases, and clichés. If you have to use foreign words, explain them in a handout or footnote within the presentation.

Tip 13: Engage with the audience

Always try to keep the attention of your audience and keep them engaged during a presentation. To do this, it is advisable to regularly involve the audience. One way to do this is to ask questions. Deliberately ask "easy" questions so that can easily be answered by your audience. Another way to involve the audience in your presentation is by interacting with them. To make a point clearer, you can use an example to explain it in more detail, using a person (whose name you should know). You can address participants directly and refer to their work.

Tip 14: Don't fight the stage fright & take deep breaths

Stage fright is one of the biggest enemies of a presentation, yet you shouldn't let yourself be a victim of your feat. Do not fight it, rather address your fear and try and accept it, and transform it into positive enthusiasm. Don't let your stage fright get you all worked up and nervous. Take a couple of deep breaths to get oxygen to your brain and relax your body.

Tip 15: Choose the right angle on standing during a presentation

One of the most frequent questions that speakers ask themselves during a presentation is, how do I best position myself, and where do I stand in front of the audience?

You have a free stage without a podium

In many cases, you will be facing your audience in a "free space", without a podium. This gives you a lot of room to move, but at the same time, it creates uncertainty because you don't know how to position yourself properly or how to move. Avoid standing frontally in front of the audience! This frontal facing is unconsciously perceived negatively by the audience. It is perceived by the audience as a kind of frontal attack and causes stress in your audience. Make sure to stand slightly to the side of the audience. If you notice during the presentation that you are again standing frontally in front of your audience, simply move your right or left foot 20 cm forward.

You have a podium at your disposal

A podium makes it easier to decide how to position yourself and where to stand in front of the audience. In order not to make your presentation too monotonous, it is advisable to leave the "safe position" behind the lectern from time to time, e.g. to walk to the other side of the screen or to show something on the flipchart. This brings movement into your presentation and helps keep the connection with your audience.

Tip 16: Create something with the whiteboard during the lecture

PowerPoint is no longer the tool of choice for a successful presentation. Photo collages, company logos on every slide and flashing text boxes often distract from the essentials. A presentation convinces the audience especially when they witness how something is being created. In addition to the classic flipchart, the whiteboard is recommended for this purpose. This is because diagrams, keywords and the results of a brainstorming session are written in real time on a whiteboard. Board markers allow a wide range of colors and the magnetic property of pinning additional information. The result of the presentation produced in this way is remembered longer than ready-made slides.

You've done a lot of research on that you put into this book on the key findings. I always love to people that do research, did they just verify everything you knew already or did you have some real surprises?

Terri (02:13): Thank you. Actually, so great question. So my background is in speech and debate, and so I've always been a bit of a speech geek. So the whole concept of public speaking and presenting and the impact of that has always been near and dear to my heart After, oh my gosh, almost 20 years. So I had written a book called Sales Speak, which addressed originally the nine biggest sales presentation mistakes and so Fast Track 20 years later, I thought it was time to revisit that question, are these still the nine mistakes and if so, why? And if not, why not? And so I went back to my alma mater, San Diego State University where I competed on the speech and debate teams there when I was in college. And I shared a mini research study that I had done just internally with my clients. And I said, what do you think about this?

(03:06): And she said, why don't we run a formal study? And I was like, that would be amazing. So thanks to Dr. Heather Canary and Dr. Rachel record and the team at San Diego State, I was able to bring the private sector data into an academic environment and do an analysis, which really brought some fresh perspective to this topic. And it just honored a promise that I wanted to make, which is if we were going to talk about the most common mistakes that sales professionals make, then there should be no research about us without us. So all of the content came from field sales professionals or people whose livelihood is dependent on their ability to build and deliver a persuasive presentation that drives conversion. So there's a lot behind it and thank you for asking about it. I think it's the most important part of the research in the book.

John (03:55): Okay, perfect setup. Lemme go back to my question though. Were there any surprises from it?

Terri (04:02): Yeah, so the way that we posed the questions, we said, all right, we have this incredible audience. So we asked them, looking back over the last six to nine months, was there anything that you felt you did that cost you a win or a deal or an opportunity? And 94% of the people said yes. And we said, great. Okay, that's really helpful. So now we're looking at that original nine. Are these still the nine mistakes? And if not, why not? And what were people going to share with us? And there were three new mistakes that were added to the list. So the nine morphed to 12, and yet there were these three mistakes that always rose to the top. And everybody's like, what are the big ones? What's number one? But it kind of depends. So there was a tiny variance whether you sold a product, a service or cause, but all three were always the top three.

(04:50): In addition to that, the top three were always the same regardless of generation or number of years of experience, which we thought was really surprising. So I'll start with the number three, which was a bit of a surprise. The number three biggest mistake that most business professionals self-confessed, this is based on their own self-observation, was that they included at the end of a meeting or presentation but did not close. So they concluded but did not close the number two biggest mistake that most people self-confessed. And these were really close two and one and two were really tight. But number two was that most people confess they'd become far too informative in nature rather than persuasive. They didn't build a compelling case. And the number one biggest mistake that most people self-confessed is that they wing it when they roll into a meeting or presentation. So those are the big three.

John (05:45): I would say just in listening to that, and maybe this fits in there somewhere, I don't ask enough questions, I talk too much perhaps. Is that somewhere on the list?

Terri (05:54): It really depends. There's a balance. So depending on where you are in the process will depend on how much more you speak versus listen. So for example, one of the questions that people always ask is why did you focus on the mistakes? And so then I'll say to them, look, we can't course correct what you don't recognize as a problem. So it just helps us to get to the point faster. And that notion of getting to the point faster is really the gift of going back to your issue, which is do you not ask enough questions or do you just date a dump or are you talking too much? Again, I don't know where you are in the process. There is a part of the meeting that does require you to do your homework first and then ask a lot of questions so that you can customize your talk to meet the needs of the listener. But then there is a really important point where you have to create, present your case, who are you, what is your proposition? How will you save them time or money or sanity? And so that's where you would be required to speak and present more to build and deliver your case versus the q and a period. So the answer is two things can be true. And so I'd have to probably look at your overall presentation, John, before we beat you up on that.

John (07:12): So I was curious, you said there wasn't much difference in self admitting these mistakes, at least between rookies and veterans. I'm curious how can that really exist? I mean, if I'm a rookie and I recognize these things by the time I'm a veteran, I know better or do better.

Terri (07:29): I know that is such a great point. And you would think that would be the case. However, whether the veterans had different reasons for doing the same thing. So a rookie might say, yeah, I wing it. I just didn't have enough time to really learn or prepare to get into it. And so I just kind of rolled in hot and experienced sales professional has a tendency to wing it for a different reason, but has similar problems or consequences. They might say, I've been doing this for 25 years, I can do this in my sleep. And then they just kind of wing it and roll in hot and they can get beat by somebody who did prepare was really in the game and didn't kind of rest on that 25 years of experience without really customizing. And we kind of give some really great examples of that in that first chapter on winging it.

John (08:18): And I expect also that veteran maybe has some biases and some false assumptions. Perfect.

Terri (08:24): Spot on. That's exactly how it happens. Sometimes they'll say, you know what? I went in prepared to deliver based on my previous experience with this client. I had no idea that they really wanted to go in a different direction. And so because of that bias, they might have just kind of winged it. They felt like they knew what they needed to say. So excellent point.

John (08:43): So we have a lot of potential mediums today for making presentations, right? Used to be a telephone maybe and in somebody's office was about it. Do different completely different strategies, tactics, techniques apply whether I'm on the phone, whether I'm in a zoom call, like something like this, whether I'm in person.

Terri (09:03): Yes. So the second phase of the study, so the first phase of the study, by the way, was done entirely in a pre pandemic environment. And it was most of the data, it touched on virtual environments, but it was predominantly in person or over the telephone. Phase two of the study was entirely based on virtual presentations. And then phase three of the study focused on in-person virtual and hybrid, where you may have one or two people in front of you, but you could have five, six as many as 25 or more people that are offsite that are also participating in that same meeting. And so each of those platforms does change the game not only the way that you present, but how you connect with the listeners and how do you keep their engagement levels up and how do you manage the time? Because the time parameters, as we all are very familiar now with the brutal hard stop, which dramatically impacts how you present your content and how you ease your way in and out, which is a huge variable that doesn't have the same consequences when you're in an in-person meeting. So yes, the answer is there are different situations, how you set it up, how you lay it out, how you manage that time, and then also how do you keep people engaged. So a lot of variables that depend on your platform or your modality.

John (10:24): Obviously speech and debate is a lot about training that you did, which is probably an amazing environment for somebody who really wants to get better at this. But some of us are out of high school and out of college now. So first two part question, what was the best part about that in terms of just raw training for you? And then secondly, how does somebody get that when that environment no longer exists?

Terri (10:49): Oh gosh. I was going to thought you were teeing me up for saying that is why you should read presentation ready.

John (10:55): Well, that's a fair answer based on what I said.

Terri (10:59): So again, well, so let me answer that from two perspectives. What debate teaches you is really how to structure a persuasive message. One of the things we touched on in the beginning is that people have a tendency to be overly informative versus persuasive, and they've really not been taught how to structure a persuasive message. Over 55% of the participants in our research study said that they had little to know presentation skills training over the course of their career. So what that means, John, is that most people are doing the best they can with what they know. So the first part of your question is, does it make a difference or how does debate and presentation skills training impact your long-term career as a leader, as a sales professional or anybody who's in business development, it has a significant impact. We know from the research that your public speaking and presentation skills are an immediate demonstration of professional competency within a company or an organization.

(11:58): And yet we know that it's also a class that most people don't want to take. But we know that most people don't want to work on this skillset. And when you are put in a situation where your presentation matters, it can cause a great deal of anxiety. People equate it to fear, to kind of piggyback that. The confusion sometimes around the words public speaking is that people think it means you're speaking to a large group. The size of the audience isn't important. The most significant presentations typically take place one-on-one or small group. Does that mean that your delivery skills are less significant? Heck no, they're equally important. But we kind of equate this kind of group notion or group theory about public speaking. And so I just like to call it presenting and try to get a little bit of the fear out of it and then strategically help people to craft their message in a persuasive way. And by using speech and debate strategy in a business or selling environment, we hit one of the biggest issues, which is brevity. Because debate teaches you about presenting in soundbite sound bites. How do you get to your point in a shorter period of time with evidence and storytelling to build your case?

John (13:14): I suspect also because I've been doing this for a lot of years and I've never really gotten other than surveys at the end, or did they hire me again, I haven't really gotten direct feedback about what I could do better. And I mean, that's a huge element of speech and debate, isn't it? That somebody is immediately going to tell you, you need to do this better or this didn't work, or you lose.

Terri (13:36): Oh, absolutely. And one of the things you earn, you learn early on in speech tournaments is that it's a pretty level playing field. When you roll into a tournament, there's no matching uniforms. Everybody's given a number. You roll into a meeting or kind of your heats, your rounds if you will, and six or seven participants give their talk, and then the judge will assess that. And at the end of three preliminary rounds, the individual with the best scores advances to semi-finals or finals. And I didn't always win. I wished I did, but I didn't. And so you're really left. You can look at the feedback on your judging cards if they were kind enough to tell you why you didn't win, but most people don't tell you why you didn't win. And then I would go home and I would course correct and I would kind of tweak the things I felt like I could do.

(14:25): And the takeaway here, as you know, is really so important, but really very simple. You don't go back to the next tournament with the speech that didn't win. And the same thing applies in businesses and in sales. We shouldn't go back out into the field with the sales presentation that didn't get the deal, the win or the opportunity. And that's really what presentation ready is designed to do to help lay out for the reader what the most common mistakes are very quickly so that you can do your own self-assessment, make those changes, and then go out back out into the field with a presentation that wins and works.

John (15:02): Given that a lot of people haven't had the training that you talked about, is there a methodology for identifying here are my weak spots that I need to work on? Because I mean, sometimes it's content, but sometimes it's just body language. I mean, there's so many elements. So how do I find my weak spot?

Terri (15:19): Yes, perfect. So there are three areas that you would want to look at in assessing your presentation. So first you want to look at pace, how you build your message, what is your persuasive offering? Did you have structure, evidence, logic? And then the second element is looking at one's creativity, the stories, the anecdotes, the humor, the drama that you use in order to bring it to life, how do you place visual aids? All of that timing, all of those elements are critical under creativity. And then the third piece that we look at are the issues under delivery. And that includes, of course, your eye contact, your body language, the way that you speak, and that could include any verbal missteps, which might be saying or are pillar words being a close talker, all those things that relate to the actual execution or performance of your presentation. And what we know from the data and from the observations of listeners who participated in this study is that, well, I gave you the three mistakes that are very common that people self-identify at the beginning of our conversation. The number one mistake that other people identify is really none of those three things. So the number one mistake, I'm sure you're going to ask me well, is I'll let you do it. Go ahead.

John (16:47): I was actually going to ask you with a book title that says 12 most common Mistakes, which one's your favorite? That's sort of the same thing, right? Yes.

Terri (16:56): The number one biggest mistake that most listeners notice or that salespeople notice because we ask salespeople, okay, look, you've looked at all these things, who better to judge salespeople than other salespeople? So what's the number one thing that you notice? And it probably is close to my favorite. I have two favorites. But the number one mistake that people notice in others is that they're boring. Boring. And so it's really hard to get around and get through to anything else if the talk is perceived as boring by the listener. And when we ask people, okay, did it feel like it was boring when you were reading the room? Did you feel like it was boring? And they'll say, yeah, I did kind of feel like it was a little bit boring. Or when I watched the playback of my own presentation, I felt like it was boring.

(17:41): And then we'll say, well, if you felt like it was boring, how come you kept going? And they'll say, well, Terry, I have to get through the material. And my question is, what's the point of getting through the material if nobody's really listening to what you're saying? So that would be the number one identified and the one that I think is the most glaring, but the one that I love helping people build and work on is actually mistaken number two, which is being overly informative versus persuasive. Because if you can structure a clear, concise, and compelling case, once you understand the process of the difference between an informative talk and a persuasive talk that is empowering. I know that there's a lot of conversation about you've got to have storytelling and that's important, but how many of you have ever been to a party or listened to someone and they're telling a story and you're like, where are you going with this? So let's land the plane. So your story has to pair with a compelling argument in order to make your case. And so there's balance of all three. So case creativity and delivery, all of those are important. It's hard to say which one is the one that's going to stand out the most because it's the one that cost you the opportunity. That's the one that's the most important. Right.

John (18:58): So my last question today, a lot of people see a great, somebody they see as a great presenter or a great public speaker, they get paid lots of money to get up there on stage, and they just think, man, they're just really good at that. I think people underestimate how much rehearsal the true pros put into that. What role does rehearsal play in the presentation sales presentation role that you're defining in the book?

Terri (19:24): I love that you asked that question. So when I'm coaching someone and I ask them to at least block certain content pieces, block a paragraph, really write it out, think about how you want to say it, and then rehearse it and take it to memory. Sometimes I'll get pushback. Well, people say, I don't want to do a memorized thing. It's canned. And I'll say, look, if you don't work on your languaging, if you don't practice the words you want to say and the way that you want to say it in the most beautiful way, it's very hard to hit the time parameters. And again, you can always riff a little bit later, but my illustration is I ask people to think about Meryl Streep. Meryl Streep will take a script for a performance in a movie or a play, and she'll take that narrative and she'll commit it to memory.

(20:11): And then she practices and practices until it's so beautiful that when you see her deliver that line in a movie, you think, oh my gosh, that just flowed so beautifully off the top of her head. But it wasn't that it was because of her commitment to the level. And so when your memorized material sounds canned or stiff, it's because you didn't take it far enough into the preparation. And my favorite line, and we can close with this, is that Polish comes from practice, but charisma comes from certainty. It's owning the material in a very different way. And when you pair your case and your creativity with a charismatic delivery, whether you're a one-on-one small group or large group, that's when you're presentation ready.

Do You Have What It Takes to Give a Great Presentation?

Three skills anyone can learn.

Great presentations are all about how well you engage your audience. Here are three ways to do that:

  • Be balanced: Strike the right balance between structure and improvisation during your presentation. Rather than preparing your content in a narrative form, take the time to segment it by topic. Leave room to respond to your audience’s immediate needs, even if that means going off script for a while.
  • Be generous: You goal should be to offer your audience something of value. Let this  principle guide the content you choose to present.
  • Be human: Rehearse to familiarize yourself with your content, but do not memorize it. If you go blank for a moment, don’t apologize and act flustered, just pause, take a breath, collect your thoughts and continue on. Your audience wants you to be relatable.

More than 100 reference examples and their corresponding in-text citations are presented in the seventh edition Publication Manual . Examples of the most common works that writers cite are provided on this page; additional examples are available in the Publication Manual .

To find the reference example you need, first select a category (e.g., periodicals) and then choose the appropriate type of work (e.g., journal article ) and follow the relevant example.

When selecting a category, use the webpages and websites category only when a work does not fit better within another category. For example, a report from a government website would use the reports category, whereas a page on a government website that is not a report or other work would use the webpages and websites category.

Also note that print and electronic references are largely the same. For example, to cite both print books and ebooks, use the books and reference works category and then choose the appropriate type of work (i.e., book ) and follow the relevant example (e.g., whole authored book ).

Examples on these pages illustrate the details of reference formats. We make every attempt to show examples that are in keeping with APA Style’s guiding principles of inclusivity and bias-free language. These examples are presented out of context only to demonstrate formatting issues (e.g., which elements to italicize, where punctuation is needed, placement of parentheses).
