Do keep in mind that the job posting may list the required information as part of the application process. If it does, follow the employer’s guidelines for what to send or upload when you apply.
The following application letter template lists the information you must include in the letter you submit with your resume when applying for a job. Use this application template as a guideline to create customized letters to send to employers with your resume.
Application Letter Template
Contact Information The first section of your letter should include information on how the employer can contact you. If you have contact information for the employer, include that. Otherwise, just list your information.
Your Personal Information FirstName LastName Street Address City, State, Zip Code Phone Number Email Address
Employer Contact Information Name Title Company Address City, State, Zip Code
Salutation Here is information on appropriate salutations for a cover letter.
It is the most common salutation:
Dear Mr./Ms. Last Name or Dear Hiring Manager:
Application Letter Content Your application letter will the employer know what position you are applying for, why the employer should select you for an interview, and how you will follow up.
First Paragraph: The first paragraph of your job application letter should include information on why you are writing.
Mention the job you are applying for and where you found the position. If you have a contact at the company, mention the person’s name and your connection here.
Middle Paragraphs: The next section of your cover letter should describe what you have to offer the company. Make strong connections between your abilities and the requirements listed in the job posting. Mention specifically how your skills and experience match the job. Expand on the information in your resume, don’t just repeat it. Try to support each statement you make with a piece of evidence. Use several shorter paragraphs or bullets rather than one large block of text, which can be difficult to read and absorb quickly.
Final Paragraph: Conclude your application letter by thanking the employer for considering you for the position. Include information on how you will follow up. State that you will do so and indicate when (one week’s time is typical). You may want to reduce the time between sending out your resume and following up if you fax or email it.
Complimentary Close:
Your full name is typed out
Modifications If You’re Emailing an Application Letter
If you are emailing an application letter, instead of sending a hard copy, you will need to make a few minor tweaks to the template above.
First, make sure to include an email subject line that is direct and informative. Typically, the subject includes your name and the job title you are applying for. For example Sherry Chao — Marketing Associate
Skip including your personal information (address, contact information), the date, and the employer’s contact information. Begin your email with the salutation. The body of the email — why you’re writing, what you have to offer the company, and how you will follow up — will be precisely the same as in the template above.
At the end of the letter, include a complimentary close, and then type out your full name on the line below. As well, you can include an email signature with your contact information and a link to your LinkedIn or Twitter account. Here is information on how to set up your email signature.

The Best Structure for Writing an Application Letter for Employment in Ghana
If you are looking to apply for a job opening in Ghana, crafting an application letter that stands out from the rest is critical. Your application letter is usually your first and best chance to impress the hiring manager or recruiter and secure an interview. Therefore, knowing how to structure your letter is essential in successfully conveying your qualifications and suitability for the job. Below is an explanation of the best structure for writing an application letter for employment in Ghana.
1. Addressing the Hiring Manager or Recruiter
The first section of your application letter should address the hiring manager or recruiter by name. Addressing them personally shows that you have done some research and are genuinely interested in the job. If you don’t have the name of the hiring manager or recruiter, you can address it to the company or organization you are applying to. For example, “Dear XYZ Company Recruitment Team.”
2. Introduction and Purpose of the Letter
In this section, you need to introduce yourself briefly and state the purpose of the letter. A usual way of starting the letter could be, “I am writing to express my interest in the [insert job position] at [Company Name],” or “I am excited to apply for the [insert job position] advertised on [job portal or website].”
3. Highlight Your Relevant Qualifications and Experience
In this section, you should briefly highlight your most relevant qualifications and experience related to the job position. It’s crucial to tailor this section to the specific requirements of the job vacancy. Mention specific accomplishments and achievements that align with the job responsibilities and show that you are the right fit for the job position.
4. Explain Your Interest in the Company or Organization
Employers are looking for candidates who not only meet the job requirements but also have a genuine interest in the company or organization. In this section, you should explain why you are interested in the company or organization, its mission statement, and how you can contribute to achieving its goals.
5. Closing Paragraph and Call to Action
In the final section of your application letter, you should restate your interest in the position and your qualifications. Also, you can include a call to action that prompts the hiring manager or recruiter to contact you for an interview. For example, “I look forward to discussing my application further with you in a personal interview. Please don’t hesitate to contact me through this email or phone number.”
Remember, your application letter should be well-structured and concise. Avoid duplicating your resume but instead focus on highlighting your most relevant qualifications and how you can make a difference to the organization or company if selected for the job. Good luck with your job search in Ghana!
