PowerPoint 101: The Ultimate Guide for Beginners

In order to deeply understand this presentation design software, you need to recognize its main components. Now it's time to learn about the PowerPoint basics!

A quick note before going any further: when opening PowerPoint, some of the commands in the ribbons will look grayish and won't be highlighted when you hover the mouse over them.

This happens since some commands need to be selected in order to function. For example, if you want to change the color of a text, you first need to select it.

That being said, let's start with this Guide for PowerPoint beginners:

PowerPoint Main Window

The first aspect to learn is PowerPoint Main Window. To facilitate the explanation, we've organized its main elements with numbers from 1 to 10:

Based on that, the main components of PowerPoint window are the following:

1. Quick Access Toolbar: allows you to customize commands to have them at hand. You only have to select it and go to "More commands."

2. Title Bar: shows you the name of your file and other "Suggested options" like Slide Master View . These options will vary depending on the use you give to the commands.

3. File Tab: you will see the Home Menu (PowerPoint backstage) by selecting it. There, you can create a new presentation, save it, print it, export it, and many other options.

4. The Ribbon: it's where PowerPoint tabs and tools are. These tools can also be called "commands" or “features.”

5. More Button or Down Arrow: these arrows allow you to view more tools or layout options in PowerPoint.

6. Slides Pane: shows your slides in thumbnail size. By right-clicking, you can access additional options for customizing each slide. Perfect for PowerPoint beginners!

7. Slide: PowerPoint's blank canvas and the frame to be seen when presenting the file.

8. Placeholders: they are dotted boxes that will store your content.

9. Status Bar: allows you to view the slide number, grammatical errors, speaker notes, and the comments on your file.

10. Zoom: allows you to enlarge or minimize your PowerPoint workspace. The range goes from 10 to 400%.

PowerPoint Tabs

The PowerPoint tabs are the control desk of your presentation . Since PowerPoint's features are too many, they're organized in tabs.

You can come and go between tabs as you need. Once you click on a tab, it will open its ribbon, and there, you'll be able to see all the tools related to that particular category.

This PowerPoint tutorial for beginners will give you an overview of all PowerPoint tabs . Pay attention to the following list:

  • Transitions Tab
  • Animations Tab
  • Slide Show Tab
  • Recording Tab

1. Home Tab

The Home tab is the most common tab of PowerPoint. This is the tab you'll probably use the most if you're designing a presentation deck from scratch.

It allows you to add new slides and change the text characteristics : font, size, boldness, underlining, alignment, etc. If you've ever used Microsoft Word, these features will be familiar to you.

Also, you will find commands to edit the characteristics of the geometric shapes you insert. This includes: fill color, line color, sharpe effects, among others.

2. Insert Tab

The Insert tab is exactly what its name says it is. In this ribbon, you'll find all the options concerning adding a new element to your PowerPoint presentation .

You can insert a picture, some geometric shapes, icons, WordArt graphics, among others. We can tell you that this tab is really helpful for PowerPoint beginners!

For example, if you have a lot of data in PowerPoint , you could add a chart or diagram to show your information in a more visual way. Also, you can embed videos or music into PowerPoint really easily.

  • PowerPoint tip for beginners: To be able to write text on your slides, you need a text box. So, if you're designing your presentation from scratch, remember to go first to the Insert tab and add a text box to start writing.

3. Design Tab

If you are one of those people who enjoy choosing the design of a PowerPoint presentation, this tab will be your favorite.

The Design tab offers a wide range of premade designs , allowing you to get more polished slides. Even better, if you explore its ribbon, you can adjust the color palette and change the overall style of your PowerPoint deck.

4. Transitions Tab

7. Review Tab

The Review tab is not often used by PowerPoint beginners either.

However, if your job is related to writing or if you work at an international company, this tool can be extremely useful!

With this tab, you can check the slide's spelling, translate the text in real-time, and add comments to your slides . This last function can be helpful to give feedback to a colleague.

8. View Tab

This View tab allows you to change the view of your PowerPoint slides and make handouts from them, among other things.

9. Recording Tab

In the last versions of this design presentation software, PowerPoint added the Recording tab. As its name says, it allows you to record all your presentation slides .

10. Help Tab

Finally, there is the Help tab. If you have any problem or question concerning how to use PowerPoint, you may go here to look for a solution.

In the latest versions, Windows has added a “Show Training” option. You can click this command to practice the PowerPoint basics since it will download training templates.

PowerPoint Feature #1: Crop to Shape

This first PowerPoint feature is simple but effective!

Let's see how to use it:

  • First, choose an image you want to cut and insert it into your workspace.
  • Once inserted, select it with the mouse.
  • Go to the "Picture Format" tab.
  • Press the arrow of the "Crop" button (right side of the screen).
  • Select "Crop to Shape."
  • Choose your favorite shape and customize your PowerPoint presentation!

PowerPoint Feature #2: Merge Shapes

If you don't like any figure enough, you can create one from scratch!

This is possible thanks to the "Merge Shapes" option. Follow these steps to unleash your creativity:

  • First choose an image you want to cut.
  • Check the list of PowerPoint shapes (Insert tab > Shapes).
  • Choose two or three figures you want to merge (they can be the same figure).
  • Select the figures you are going to merge (see the image).
  • Once selected, go to the "Shape Format" tab.
  • Press the "Merge Shapes" option and the type of merge you want (test and choose!).

  • A new figure will appear, and you must fill it with the image from the first step.
  • Stay on the Shape Format tab and go to "Shape Fill" (button in the middle of the ribbon).
  • Select "Picture Fill" and browse for your image.
  • Select the image to fill your new figure, and that's it!

PowerPoint Feature: Merge Shapes

  • PowerPoint tip for beginners: When your merged figure is ready, paste the image to the background of your slide to achieve a better result. This way, you can use your image as a canvas and see if both elements fit well.

Just follow these steps:

  • Go to the Insert tab.
  • Select the "Icons" option.
  • A Microsoft 365 library will open, where you can search for the required icon.
  • Now, you must insert it into your presentation and adapt it to your design.
  • If you have an active Microsoft 365 subscription, you'll have access to a larger number of icons in PowerPoint.

PowerPoint Feature #4: Insert SmartArt

To use it in your slide deck, you must:

  • Select SmartArt.
  • See all SmartArt categories and choose your favorite based on your needs.
  • Add the text you have prepared and adapt it to your presentation.

If you don't know how to use Photoshop and want to remove the background from an image, in this PowerPoint 101 Guide, we show you how:

  • First choose the image you want to remove the background from.
  • Insert the image in the PowerPoint workspace.
  • Select the image and go to the "Picture Format" tab.
  • Select "Remove Background" (first option on the left).
  • You can keep and remove parts of the image with the first two tools of the ribbon (see image).
  • Keep in mind that all the sections highlighted in purple will be deleted.

  • We recommend zooming in to keep or remove parts of the image with more detail.
  • Once you're done, press the "Keep Changes" button.
  • Finally, adapt the new image to your PowerPoint presentation.

  • PowerPoint tip for beginners: Choose a high-contrast photo or image for best results. In other words, the outline of the person or object you want to cut out must have clear edges and cannot blend with the image's background color.

The latest PowerPoint feature is a command you can use to prepare your speech before presenting to an audience.

Learning how to add speaker notes in PowerPoint is simple:

  • Select the slide that needs some notes.
  • Usually, there is a footer below the slide, but if not, you will have to activate it.
  • Go to the View tab and select "Notes."
  • The Speaker Notes section will appear, and you can add whatever you want!

  • Go to the Review tab.
  • Select the text you want to translate.
  • Press the “Translate” button.

Use visual cues to direct the spectators about what you talk about, and summarize the principal concepts discussed at the end of each section.

Tip #3: Practice meditation daily

Anxiety is the number one enemy of professional presenters. It slowly builds without you being aware of your doubts and can hinder your performance in multiple ways: making you feel paralyzed, fidgeting, making you forget language skills or concepts, affecting your health, etc.

Meditation is an ancient practice taken from Buddhist teachings that train your mind to be here in the present. We often see the concepts of meditation and mindfulness as synonyms, whereas you should be aware that meditation is a practice that sets the blocks to reach a state of mindfulness. For presenters, being in the here and now is essential to retain focus, but meditation techniques also teach us to control our breathing and be in touch with our body signals when stress builds up. 

The customary practice of meditation has an impact on imagination and creativity but also helps to build patience – a skill much needed for connecting with your audience in instructional presentations.

Having the proper set of presentation skills can be quite subjective. It goes beyond presentation tips and deepens into how flexible we can be in our ability to communicate ideas.

Different presentations and different audiences shape the outcome of our efforts. Therefore, having a basic understanding of how to connect, raise awareness, and empathize with people can be key ingredients for your career as a presenter. A word of advice: success doesn’t happen overnight. It takes dedication and patience to build communication skills . Don’t condition your work to believe you will be ready “someday”; it’s best to practice and experience failure as part of the learning process.

The fact of the matter is that successfully presenting to a room full of people is a skill that’s mastered by very few. It takes practice, practice, and even more practice to start feeling comfortable with everyone’s eyes focused on you so you can effectively get your point across. 

The reality of presenting is that you can’t escape it. Especially as you start to move up in your career. If you’re yearning to improve, this article will walk you through the top nine tips to use to enhance your presentation skills for your next big meeting as well as throughout your life. However, having great presentation skills does not just affect your work-life. 1. Practice speaking in front of others

Practice always makes perfect. 

It doesn’t matter how well you know what you’re talking about, the moment you have to persuade, engage, or teach in front of an audience, you will probably stumble a bit. This is a natural reaction that affects pretty much everyone when all eyes are pointed in one direction and the anxiety sets in. 

It’s important to remember that the overwhelming feeling of stress you probably feel is the result of your unfamiliarity with the situation, not from your lack of preparedness. The more comfortable you are with taking the stage and having everyone’s attention on you, the less nervous you’ll get. 

The greater confidence you have in your presentation skills will allow you to focus on what actually matters–which is the material that you’re presenting. 

The best way to implement this practice is by starting off small. Prepare a presentation to give to your friends, family, or closest co-workers. This sounds easy, but you will learn that it’s not necessarily who is listening to you that causes nerves, but it’s the fact that all of the attention is on you. 

You’ll become more comfortable with the attention when you begin practicing in front of others more often, which will allow you to effectively present your ideas next time it’s your turn to speak in the conference room.

2. Use less text and more visuals in your presentation

We’ve all been there before: sitting at the conference table trying our very best to stay interested and engaged with the presentation before us. The presentation lacks color, images, and all sense of creativity while containing an over-abundance of text and long-form paragraphs. 

These types of presentations are horrible for two reasons: 

The first reason being that the minute you have words on the screen, your audience will direct their attention away from you to begin reading and completely tune you out. 

The second reason is if your presentation skills are poor, not only will your presentation be dull to listen to, but it will be unbelievably boring to look at as well. You’ll quickly find out how easy it is to lose most of the room’s attention when you create a lackluster presentation.

3. Leverage your personality

As cliche as it sounds, you should always be true to who you are, especially if when you’re presenting. 

It’s incredibly easy to tell if someone is faking it for the sake of their audience, so you should never pretend to act in a way that you don’t typically do. Not only will you feel unnatural and uncomfortable doing it, but you can also risk embarrassment when you try to tell a forced joke and no one laughs or your new-found trait of sarcasm doesn’t sit well with your boss. 

It should bring you comfort knowing that most everyone in your meeting knows who you are. Use this to your advantage and start the presentation by playing up your best personality traits. Use your humor if you’re known to crack jokes or throw in your typical mannerisms.

These little additions will make your presentation feel much more relaxed for everyone involved. In addition to your own unique quirks, you should also bring a level of personability to your meeting.

Be empathetic, smile more, and look around the room.  Doing so will improve your presentation skills, make you more likable, and allow your audience to be more receptive to you.

Don’t worry if it veers you off your script. Chances are if one person has a question or comment, the others in the room are thinking it too. 

Use this as an opportunity to prove how well you understand the material you’re presenting–your audience will take notice.

Also, take some time out at the start or your presentation to ask your audience some icebreaker questions and slowly transition into the more important stuff. 

Taking this minute to talk through anything that your audience is thinking of is a good thing because it means they are engaged with you and really paying attention to the words coming out of your mouth. Doing so will also relax the format of your presentation, allowing you to feel more confident and relaxed as well.

5. Be passionate and engaging

When creating your presentation, craft it in such a way that makes your audience curious and makes them have questions for you. A persuasive presentation is the best way to get the positive reactions you are looking for, so be as passionate as you can be about your subject matter to seal the deal. 

Remember that questions and comments during your presentation are a good thing, especially if you’re the one prompting them! 

The more excited you are to present your ideas and show off your expertise, the more excited and engaged your audience will be. Own your subject matter and know what you’re talking about, it’s one of the most important presentation skills to have.

6. Maintain eye contact with your audience

This is a very obvious tip that will go a long way with your audience. 

When the people you’re speaking to feel like you’re taking notice of them, they are much more likely to take notice of you and pay better attention to everything that you’re saying. 

It’s important to remember that losing eye contact and looking everywhere but at the people that you’re presenting to is a common nervous behavior. Pay extra close attention to whether or not you’re guilty of that, and work to ensure you have your eyes on at least one person.

7. Obsess over your listeners

Be receptive to your listeners. You can’t forget that what you’re presenting is for the audience, and it has nothing to do about you! 

Focus on the value you can provide to the people in the room. The more serving you are to them, the greater chance you have at driving your point home and nailing your presentation. 

It’s also important not to forget about those listening to you remotely over video conferencing . Make sure they know you’re aware of them and engage them as well! 

8. Focus on confident body language

Smiling, hand gestures, eye contact, and a powerful stance all exude confidence. 

If you don’t have strong body language and are showing physical signs of nervousness (ie. tapping, bouncing, shaking, darting eyes, and more) your audience will have a hard time focusing on the material you’re presenting and hone in on the fact that you’re nervous and probably don’t know what you’re talking about as much as you say you do.

No matter how nervous you are, take a deep breath and pretend otherwise. You might actually start to believe it!

9. Keep it as short as possible

Every single person’s time is valuable ( especially at work), so don’t waste precious meeting time. If you can say everything you need to in half of the time that is allotted, you should do so. 

Ensure that you’re only sharing the most important information. All of the extra fluff will bore your audience and you will lose their attention very quickly.

It’s a great idea to wrap up your presentation with key takeaways and action items. Doing so will ensure that no matter how quickly your meeting ended, your team understands their next steps. You can send out a quick, summarizing slide deck or an easy to read one-pager for their reference later. These visuals will make sure all of your bases are covered and that everyone is on the same page upon leaving the meeting.

Your Path to Perfect: Guide to Rehearsing a Presentation

Would you be surprised to hear that practicing a presentation is as important as the words you actually share? And that you should spend as much time rehearsing your speech as you did creating your presentation?

The presenters you admire—the ones that seem so at ease with their effortless delivery—appear polished because of the amount of time they invest in practicing their presentation skills.

Their natural delivery might lull you into thinking they’ve spent little time practicing.

But nothing could be further from the truth.

I’m a professional presentation coach, and I’ve guided over 1000 clients in the process of writing, practicing, and delivering presentations and keynote addresses .

Here are the tips and advice I give my clients on how to effectively rehearse for an upcoming presentation.

How Much Should you Practice your Presentation Delivery?

As you practice, you’ll find that your presentation will evolve. It will become a more effective presentation as you make tweaks and adjustments. This evolution is likely to take more time than you anticipate.

To ensure you’ve given yourself lots of time to be stage ready, work backwards from the day you will be delivering your presentation, and then schedule in presentation practice time, with practices starting at least two weeks before you plan to walk on stage.

Don’t practice your presentation in the theatre of your mind. It’s only by actually articulating the words out loud that you will understand the messaging that works and the messaging that doesn’t.

I tell my clients they should practice until they get sick of hearing their own voice—that once that happens they’ll know they have practiced enough. They look at me in disbelief, because they usually want the hard numbers.

But there isn’t a prescriptive or magic number of hours your need to practice. It’s a knowing…knowing that you intuitively can speak to all of your content fluidly and you can transition from concept to concept with ease.

I do understand that most people want to know how many hours to schedule into their calendar, so the number that many professional speaking coaches quote is that for a one hour presentation you’ll need 30 hours of practice.

Yes, 30 hours of practice!

However, as I mentioned above, it’s not about a prescriptive amount of time but rather that you must ensure you are practiced enough to deliver your presentation with confidence. The longer the speech the more time you’ll need to practice. New presentations (ones which are not an adaptation of a previous one) also require more practice time. New public speakers often need more practice than seasoned ones, because experienced speakers know what to expect and how to adjust if things don’t go according to plan. New speakers are still honing their presentation skills.

You should also know that professional public speakers tend to spend more time practicing than business professionals. After all, a professional public speaker has a whole career and income around speaking. They need to deliver top-tier presentations that will influence and engage their audiences, and they treat presentation practice like the professionals they are.

Tips for Effective Presentation Practice

1. don’t memorize your speech.

What is the right amount of time to schedule to practice a presentation?

My first rule of thumb is not to be tempted to memorize your presentation word for word. Audiences can tell when a speaker has memorized their presentation. It’s obvious because there is a flavour of performance art—the delivery is a bit disassociated from the words.

Memorized presentations sound robotic because it’s hard to instil passion in them—they lose their fresh, conversational vibe.

Rote memorization also sets you up for a big problem. Forget one word and you’ll look like a deer in headlights and be grappling for what to speak to next.

2. Pull Out the Key Concepts of the Presentation

Instead of memorizing your speech, follow these guidelines instead:

  • Practice your full script once or twice out loud.
  • Gather a stack of note cards.
  • Scan through your presentation and write down key concepts – one concept per card.
  • Do a few practice run throughs (again, out loud) expanding from the key points on your cards.

You’ll be surprised at how much you know and remember using this technique.

Many speakers have a hard time letting go of their notes. Notes are like a pacifier. When my clients toss them, I know it’s one of the toughest leaps of faith they need to take.

What’s the benefit to tossing your notes? You’ll sound natural, at ease, and confident.

3. Use Visual Cueing to Help You Remember Your Key Points

One of my very first clients was scheduled to deliver at a conference with a few months to prepare. Sadly, the previous year she had been in a massive car wreck and suffered a brain stem injury that affected her memory. First we worked together on the content, and then I created a method to help her deliver her words.

We used the key concepts technique above, but for each key concept, we associated it with a visual aid—an image which aligned to each key concept. For each concept we used an image that would trigger its meaning. Some of the images made no sense to me but it was the right trigger for her.

She practiced from these visual vies and once she had made a solid connection she memorized the images in order. It wasn’t easy—it took a lot of work. And she pulled it off beautifully.

I tell this story to demonstrate the real value in aligning concepts with visual cues. When I practice presentations, I’m usually in my living room. In a clockwise motion I attach each key concept to a piece of furniture … chair, credenza, couch, etc. I practice with each piece of furniture triggering my memory and then riff off of the key concepts.

Some clients find this too discombobulating. For some, having to retrieve the images conjured up from their home while standing on a stage is too confusing. For those clients, I recommend they use their own body from the top of their head to the tip of their toes as visual markers, assigning one key message per body part.

4. Only Practice the Parts of the Speech You Trip Over

As my requests to speak at events grew, I soon realized that practicing a presentation from start to finish each time was time consuming. Many new public speakers fall into this trap as well. A better approach, once you have your presentation in good shape, is to only practice the parts which challenge you. This technique does double duty. It saves lots of time, and it also prevents over learning/memorizing.

5. Record Yourself Rehearsing Your Presentation

Many people shy away from recording themselves and then critiquing the playbacks. Once I got out of my own way, I realized how valuable video and audio recordings are. My clients say the same thing. Watching a video or audio recording of your own speech is one of the richest possible forms of public speaking feedback .

The trick is to remove your ego. Put your critiquing hat though you’re watching or listening to someone you don’t know.

Review Your Presentation Recordings and Answer These Self-Critique Questions

  • Does your opening hook your audience in within the first 30 seconds?
  • Have you established a solid through line? Is it obvious during your entire presentation?
  • Is your content persuasive? Have you established common ground and then inched your audience along to influence them?
  • Does each concept flow well into the next? Are the transitions smooth?
  • Is your audience inspired by your close? What will they do because of your presentation?
  • Are you using the full power of your voice and mannerisms that communicate engaging body language?
  • Are you relying on too many filler words?
  • Did you pace your content well—will your audience be able to easily follow your arguments?
  • Do you appear relaxed? Are you presenting confidently ?

Once you answer these questions, take note of the problems you’ve identified and apply them to your next practice round. It’s doing the hard work and learning these nuances that support masterful delivery during your actual presentation.

Body Language: Practicing Gestures

Should you practice your gestures when rehearsing your presentation?

When you practice and deliver your presentation with passion, confidence, and conviction as you would do as a speaker for TED Talk, your gestures and body language will naturally be in tune with your words.

There may be a few gestures you want to use for emphasis but to memorize each gesture will have you looking stilted and awkward.

Knowing When You Are Ready to Present

Your first practices should be on your own until you are confident in your content and how you’ll deliver it.

Once you’re in a solid place, I recommend practicing in front of colleagues that have lots of public speaking experience. Better yet, work with me —I’m a communication specialist and public speaking coach who has worked with over 1000 clients to get them prepared to stand behind a podium or on stage.

Clock is winding down until the man needs to deliver his presentation. Here are some tips on how to rehearse if time is limited.

But don’t work until the last minute. It’s important to block concentrated scheduled presentation practice time … and also have rest time to integrate the learning.

An overburdened mind is not capable of efficiently learning a presentation (cramming for exams in uni didn’t work either.)

If you are up against a time crunch, I recommend you at least practice and learn the start of your presentation and conclusion of your presentation . Embed to memory the logical flow of your key points and from there, as time permits, practice ‘riffing’ off your points.

I’ve never delivered a presentation or had a client report back after a presentation saying they wished they’d practiced less.

The passion for your craft or industry shines through when you invest the time in practicing your presentation that shines a light on you as a professional public speaker.

#1 A poor start

One of the most common mistakes people make is undermining the importance of the first few minutes or seconds of their presentation. 

Let’s say you’ve practiced your key talking points meticulously and gone over your slides a million times, but when you’re in the spotlight and need to say your first line, do you know exactly what to say to wow the audience? 

The start of your presentation is crucial. #1 Tell a story

Stories connect, inspire, and empower people. Telling a story can entice action, help understand an idea, and make people feel connected to the storyteller. It’s also one of the most effective presentation tips. A study by organizational psychologist Peg Neuhauser found that a well-told story is easier to remember than facts, which makes it a highly effective learning technique. 

With that in mind, telling a story when you’re presenting can engage your audience and make it a more memorable experience. You can either share a personal story or a historical event, just make sure to have a clear connection between the story and the topic you’re presenting.

#2 Work on your body language

Body language can make a huge difference in how your presentation is perceived. It’s one of the presentation tips you definitely shouldn’t overlook. 

Body language says a lot about a person’s confidence level, emotions, state of mind, and even credibility. For the audience, it’s a way to understand what the person is saying and how interested they are in the topic. 

Therefore, work on your body language to better convey the message you’re trying to communicate. Practice in front of a mirror before your presentation and be conscious of your hand gestures and facial expressions. 

#3 Understand your audience

Before crafting your presentation, you must know who you’re speaking to. Understanding the interests, demographics, professional background, and other valuable information of your audience is crucial in making your speech successful.

If you’re speaking at an event, contact the organizers to get more information about other speakers and the audience. If you’re presenting at work, you may already know your audience fairly well. Use this information to your advantage and create content you know they’ll resonate with.

#4 Use high-quality visuals

What’s one of the most effective presentation techniques? Use of visuals. They play a crucial role in your presentation. However, only high-quality visuals will make a good impression and effectively communicate your message. Use high-quality visuals like images, videos, graphs, maps, and others to really land your point.

There’s nothing more boring than a bunch of data presented in a flat way. If you want to tell a story with your data, use interactive infographics or slides enriched with eye-catching visuals. Showcasing data will make your ideas appear more trustworthy and credible.

#6 Make it engaging with interactive elements

It’s not easy to deliver an engaging presentation. People can easily get distracted or try to multitask, especially in the virtual environment. Sometimes, it’s difficult to focus on the speaker and the written text. Other times, the content just isn’t impressive enough to hold the audience’s attention. But it doesn’t have to be this way.

You can make your presentation more engaging for everyone by including interactive content like graphs and charts. With interactive data visualizations, you’ll make the data discovery process more engaging and exciting for your audience. 

Your audience will be able to hover over data points and click on certain icons or datasets to discover information on their own. Interactive visualizations will make the presentation more memorable and impressive.

#7 Stay consistent with fonts and color styles

You want your presentation to look visually appealing and highlight essential information. To make that happen, stay consistent with font styles and color schemes throughout your presentation. 

Use one or two fonts max to make the text easy to read and understand. Also, use a carefully selected color scheme that’s not too distracting. #8 Structure your presentation properly

Before creating your presentation, think about its structure. What’s the main idea you want to convey? Use that as your starting point, and only include information that adds value to the narrative. 

Plan out the first topics carefully to properly introduce your argument. Add the essential information in the middle part of your presentation. Lastly, close your presentation with a summary of the main points and leave your audience with an afterthought. Also, plan when you’re taking questions and for how long.

#9 Practice your public speaking skills

Public speaking may not be your forte, but you can get better with practice. Don’t decline a great opportunity to share your ideas with a larger audience just because you feel nervous speaking in front of a group of people.

#12 Use transitions and animations 

Add movement to your slides with transitions and animations. You’ll make your presentation more visually appealing and engaging. However, be careful not to overwhelm your audience with your choice of transitions and animations. 

Choose a transition that matches your presentation visually and use it throughout your presentation. Consider what animations will be relevant to your audience and select a few to add to your slides. Don’t overdo it. Keep the focus on the message you’re trying to convey, and use animations to only support that message. 

#13 Be enthusiastic 

When you’re in a room with a positive and enthusiastic person, you can’t help but feel uplifted as well. High-energy people have this effect on others. Most importantly, a lot of people tend to mimic people’s behavior and mirror their energy when they feel a connection or relate to them. That’s called the chameleon effect .

To have that effect on others, try to convey those emotions when presenting. How to Rehearse for an Important Presentation

Great speeches are never an accident.

If you want to deliver a spellbinding presentation, rehearse far more than you’ve done in the past. But you don’t want to sound too rehearsed, so you’ll need to balance memorization with spontaneity. Nail down the first two and last two minutes of your speech, and leave room for improvisation in between. And practice under pressure. This mean rehearsing in front of one or two people to get your body used to being in front of a crowd. Then ask for feedback, and rehearse again.

Steve Jobs was the most astonishing business speaker of his time. Bill Gates once called him a “wizard” who “cast spells” on his audience. Fortune magazine proclaimed that his keynotes could set “ hardened hearts aflutter .” Jobs is one of the few CEOs whose presentations have a dedicated  Wikipedia page ; his keynotes alone could  spark a surge in Apple’s stock.

“Practice makes perfect.”

We’ve all heard it.  Many, many times, in fact.

Although it has been repeated many times over your lifetime, it still rings truth.  In any skill that you choose to pursue, if you practice it enough, you will be nearly perfect at it.  There’s no way to get around it.  Unless you are naturally talented at something or get extremely lucky, odds are the only way to “sharpen your sword,” so to speak , is through repetition.  Now, we’re not going to lie to you.  It takes a lot time and dedication to be a disciplined practitioner of anything.  However, if you can sit down, focus and try your best, you will see clear results.

This mindset also applies to presentations.  For most people, presentations make them nervous, which is natural.  However, you can significantly decrease your nervousness by taking certain steps, carefully preparing yourself for the event to come.  At Big Fish Presentations, we encourage our clients to practice a variety of methods that ease nerves, which makes them more successful and confident in their presentations.  So, we’ve gathered five of these tactics to share with you today.

Here are five ways in which you can practice your presentation skills.

1. Rehearse in front of a crowd

Standing in front of a group of people, giving your speech and seeing their reactions is a great way to boost your confidence in your material and delivery.  Whether it’s a small group of your friends, co-workers, family or even a random group of strangers, the action of giving your presentation allows you to see reactions and get natural human feedback.  This will calm your nerves and make you more comfortable with the entire experience.  Many times, you’ll find that your worst mistakes will surface on this first go-around, leaving you with plenty of time and feedback to correct mistakes and re-organize your thoughts.

2. Take notes

As you practice, it’s very useful to stop immediately whenever you notice a mistake or an uncomfortable moment and jot down a few notes.  In any practicing situation, don’t hesitate to analyze and re-analyze your presentation as you go.  After all, this is why you’re practicing in the first place.  You can write down things like cutting down on time on certain parts, making sure you enunciate tricky words or refining the structure of your talk.  You’d be surprised by how many issues you can find when you take the time to look at yourself closely.

3. Experiment

Don’t keep repeating the same lines over and over again if you think it sounds boring or awkward.  Let loose and find ways to make your presentation exciting for your audience.  Experiment with variations of words, include a funny story, make a joke or two.  Relax!  Remember, the two most important things in your presentation are being clear and being relevant.  Use the stage or props to your advantage.  Ask a particular audience member a question.  Keep your audience guessing.  You can have a lot of fun if you free yourself from the boring presentation structure and have a little fun out there.

4. Time yourself

Timing is crucial in presentations.  It takes practice to nail down a solid time, but the general rule of thumb is to keep it short, simple and to the point.  Since your goal is to decrease time while maintaining quality, practice trimming your message to include the most important and relevant information without the fluff.  Set up a goal of the amount of time that you think is appropriate for your audience, then refine or beef up your talk accordingly.  The more comfortable you are with your time, the more flexible you can be as you give your presentation.

5. Record yourself

By hearing and seeing yourself, you can judge the inflection, speed and enunciation of your voice.  You always want to put yourself in your audience’s position, seeing and hearing yourself as they would see you.  It’s not so much about perfecting your orating skills, although that is important, as it is about showing your personality through your words.  In order to come across original and confident, you want to show your true character and that you’re comfortable in your speech.

All in all, it comes down to carefully observing yourself and constructively criticizing the elements of your speech.  You’ve got to take the time to truly grade yourself before you can expect to deliver a solid presentation.  The true masters of presentations, such as TED speakers, train themselves and prepare extensively in advance for their talks.  If you want to truly engage your audience, be yourself, but most importantly be comfortable with yourself.  It’s all about blending your personality with your message and finding the happy medium between your goals and the outcome.

Very useful. Especially the suggestion about taking notes. I find that you can’t short-cut the process. I try and practice (for time), and take notes along the way, and then try to figure out how much time it took me to take the notes, etc. This really doesn’t work. Do a practice first, with note taking to refine the presentation, then start working on time. I find this is the best way to proceed.

5 Key Steps to Rehearsing a Presentation Like the Best TED Speakers

Every year I teach a class of elite business professionals who are enrolled in an executive education program at Harvard University. They are required to participate in group and individual presentations to graduate. After their presentations are complete, I recommended that each student practice their final presentations a minimum of ten times from start to finish. The ones who do stand out. 

I learned this technique from studying and interviewing the TED speakers whose talks went viral. For example, brain researcher, Dr. Jill Bolte-Taylor, told me she rehearsed her TED Talk not once or twice, or even ten times. She practiced it 200 times. Her "Stroke of Insight" has been viewed more than 22 million times and is ranked as one of the most popular TED talks of all time. 

Dr. Jill's example is extreme. You don't have to practice 200 times to create a winning a presentation. But you'll have to practice more than you think. Here are five steps to rehearse effectively. 

1. Start with presentation notes.

In PowerPoint, you can write notes at the bottom of each slide. Start writing notes for each slide in full sentences. Read the transcript out loud as you review each slide. Next, cut down the full sentences into bullet points and rehearse out loud again--relying on notes even less. Eventually, cut the notes down to just a few words that will prompt you to deliver the entire concept. The less you rely on notes for your final presentation, the more eye contact you'll make and the stronger your connection will be.

2. Practice under 'mild stress.'

Psychologists who work with athletes have found that mirror real-world conditions as much as possible during practice sessions brings out the best performance when the pressure is on. The famous entrepreneur and author, Tim Ferriss, applied this concept to his TED talk. "Mimic game-day conditions as much as possible," he said after his presentation. Ferriss gave the presentation in front of friends and strangers at various startups to groups of about 20 people. "I don't want my first rehearsal in front of a large group of strangers to be when I stand up in front of 3,000 people," he said.  

3. Ask for specific feedback.

Once you've practiced your presentation in front of a small audience, most people will say "good job." They don't want to hurt your feelings and they'll have limited feedback. While "good job" might help you feel good, it won't help you get better. Ask them to be specific: Is there something you didn't understand? Do I use jargon that you're not familiar with? Did I make strong eye contact? What did you like--or not like--about my delivery? What can I do to make it stronger? 

The musician, Amanda Palmer, invited more than two-dozen people to a watch her practice over a potluck-style dinner. She delivered the talk to students, she gave the presentation to friends over Skype, and did two or three rehearsals in front of TED organizers. She spent countless hours to get it right over a period of four months. Each time, she received feedback and tweaked the presentation--re-writing parts of the script--to condense it into 12 short, powerful minutes. 

Ask friends and colleagues for open, honest, and  specific  feedback

4. Record it.

Set up a smartphone or a video camera on a tripod and record your presentation. You'll be surprised at what you see. You'll catch vocal fillers such as 'ums' and 'ahs.' You'll find yourself using distracting hand motions like brushing your hair back or jiggling coins in your pocket. You might catch yourself avoiding eye contact or looking at the slides more than you're looking at the audience. It's not always comfortable watching yourself on camera, but it's a critical tool for successful presentations.

5. Practice until it's effortless.

The hardest question to answer is: How many times should I practice my presentation? Dr. Jill practiced 200 times. Author and scientist Mary Roach practiced 25 times for her TED presentation. I recommend rehearsing the entire presentation until you can deliver it effortlessly, without thinking about the first words you're going to say about each slide. In my experience as a professional communication advisor, I put the number of rehearsals at 10. Some people might need more; others need a little less. But if you practice your presentation from start to finish at least ten times, you'll have more confidence than ever. 

You might not be giving a TED talk, but a high-stakes presentation in any format requires an extra level of preparation and rehearsal.

Also, the Presenter Coach only works if you use the English language in PowerPoint. Other languages are not yet supported as of April 2021.

PowerPoint's Presenter Coach works for any presentation. You can use it with your commercial, educational, and even family presentations.

To start using this feature, open your presentation with PowerPoint.

In the PowerPoint window, click the "Slide Show" tab on the ribbon at the top of the window.

If you don't see the Slide Show tab, you're probably in Slide Master View. Close this view by selecting "Slide Master" at the top and then clicking "Close Master View."

In the Slide Show tab, click "Rehearse with Coach" to open PowerPoint's Presenter Coach.

Your presentation will open in fullscreen mode. To activate the Presenter Coach, click "Start Rehearsing" in the bottom-right corner of your window. Optionally, enable "Show real-time feedback" if you want the coach to give you tips while you're still presenting.

Now, begin your presentation like you normally would. If you enabled the real-time feedback option, you'll see some tips appear in the bottom-right corner of your window.

Press "Esc" when you're done presenting to exit fullscreen mode. PowerPoint will now open your rehearsal report.

It's important to read and analyze the Presenter Coach's report properly. This will help you find areas for improvement and see whether you're doing well.

The report will vanish as soon as you close the report window. To save the report, take a screenshot of it.

Here's what each section in the report tells you about your presentation:

  • Summary : Summary tells you the amount of time you spent practicing your presentation. It also shows the number of slides you rehearsed.
  • Fillers : In the Fillers section, you'll see the filler words (umm, ah) that you used during your presentation. Using these filler words makes you sound less confident, and you should try to avoid using them.
  • Sensitive Phrases : Sensitive Phrases highlights culturally sensitive phrases that you used in your presentation, which you might want to avoid. It considers the following areas sensitive: disability, age, gender, race, sexual orientation, mental health, geopolitical topics, and profanity.
  • Pace : The Pace section tells you the pace of your presentation. If you were too fast or too slow, you'll find that information here.
  • Originality : Microsoft suggests that you avoid reading out the text written in your presentation slides, as this makes your presentation boring. Instead, you should use original content in your speech. The Originality section informs you if you only read the text from your slides.

Now that you know where you need to improve, click the "Rehearse Again" button at the top of the report to re-present your presentation. When you're done, PowerPoint will make another report detailing your new presentation performance.

From our experience, you can edit the slides anytime. Each slide has animations you choose like on PowerPoint and it only takes as much time as necessary based on your slide’s content.

Powtoon can figure out the timing automatically and the bottom-right side of the editor shows how much time is used on your slide plus the total presentation.

While it has a free trial version, you’ll need to subscribe to access all of Powtoon’s features. For example, you can create videos longer than three minutes, download them as MP4 files, and lots of templates.

If you don’t have much to spend, don’t be afraid to give free template designers a chance; you’d be surprised how detailed their work can be.

Tech Tips for Creating Presentations

We’d be remiss if we didn’t mention the importance of checking your hardware before you begin your presentation. Here are a few things you can do to ensure your presentation goes by without a hitch.

Tip 1: Examine the Audiovisual Equipment

Don’t expect your audience to sit around and wait while you install those annoying Windows updates. Also, take some time to see whether your laptop or tablet is working properly.

Tip 3: Store Backups of Your Presentation File Everywhere

The worst thing that can happen on the day of your presentation is you forget to bring the presentation file. Even if you have it stored in your hard drive, you could accidentally lose it one way or another.

Do yourself a favor and make several backups of your presentation file (and other important documents while you’re at it).

Send a copy of the file to your email, save it to Google Drive or Dropbox , and send it to a trusted person via an instant messenger where you can easily re-download it.

One huge benefit of storing your files in a cloud-based system is that you can share documents with others. That way, your audience can refer to your presentation file in the future when contemplating what action or actions to take.

Tip 4: Print Hardcopies for Every Participant

In the worst-case scenario, everything goes wrong on your big day. Perhaps there’s something wrong with the audiovisual equipment or maybe a majority of the invited participants couldn’t show up.

The best thing you can do is print out hard copies of the file for each participant before you need to deliver your presentation.

How to make your presentation sound more like a conversation.

The main difference between strong, confident speakers and speakers who seem nervous in front of the room is in how relaxed and conversational they appear. Here are some basic pointers that will help you create a conversational tone when speaking, regardless of the size of your audience.

1. Avoid using the word, “presentation.” Every time you say, “I’m here to give you a presentation on X,” or, “In this presentation, you’ll see…,” you are emphasizing the formal, structured, sometimes artificial nature of the interaction. No one wants to be “presented” to. Instead, use language that emphasizes a natural, conversational exchange. “We’re here today to talk about X,” or “Today I’ll be sharing some ideas regarding Y.” You can even go so far as to say, “I’m glad we have time together today to discuss Z.” Even if your talk is not going to truly be a dialogue, you can use language that suggests engagement with the audience.

2. If you are using PowerPoint, avoid using the word “slide.” Instead of talking about the medium, talk about the concepts. Swap out, “This slide shows you…,” for, “Here we see….” Instead of saying, “On that slide I showed you a moment ago,” say, “A moment ago we were discussing X. Here’s how that issue will impact Y and Z.” Casual conversations don’t usually involve slide decks. Just because your complicated presentation on tax exposure, supply chain issues, or new health care regulations requires you to use slides, doesn’t mean you have to draw attention to that fact that the setting is formal and structured.

3. For many large-group events, speakers are provided with what’s called a “confidence monitor,” a computer screen that sits on the floor at the speaker’s feet showing the slide that appears on the large screen above the speaker’s head. Avoid using confidence monitors. Our natural inclination when using a confidence monitor is to gesture at the bullet point we’re discussing at the moment. However, we are pointing to a bullet point on the screen at our feet, which the audience can’t see, so it creates a disconnect between us and the audience. Instead, stand to the side of the large screen and gesture at the bullet point you’re talking about so that the audience knows which point you are discussing at the moment.

4. Don’t tell your audience, “I want this to be interactive.” It’s your job to make it interactive. If you are delivering the type of presentation where your audience size allows you to create true engagement with your listeners, create that connecting in stages to “warm up” the audience. Stage One engagement is to ask the audience a question relevant to your topic that you know most of the audience members can respond to affirmatively. “Who here has ever bought a new car?” or, “How many of you have ever waited more than 5 minutes on hold on a customer service line?” Raise your hand as you ask the question to indicate to the audience how to respond. Whoever has raised their hand has now participated in the discussion. They have indicated a willingness to engage. Stage Two engagement is calling on one of the people who raised their hand and asking a specific, perfunctory question. Again, it needs to be a question they can answer easily. If your first questions is, “Who here has bought a new car?” you can then call on someone and ask, “How long ago,” or “What kind of car did you buy most recently?” If your first question was, “Have you ever waited on hold for more than 5 minutes,” you can’t ask, “What company were you calling at the time?” The people who raised their hands weren’t thinking of a specific instance; they were just thinking broadly about that type of experience. You could, however, call on someone and ask, “Do you prefer when they play music or ads for the company’s products?” Anyone can answer that question. At that point, you are in an actual dialogue with that person. Stage Three engagement is asking them a question where they need to reveal something more personal. “How does that make you feel when you hear those ads?” You’ve warmed up your audience and drawn them in with baby steps. Now you have actual, meaningful audience participation.

5. Use gestures. When we’re speaking in an informal setting, we all use hand gestures; some people use more than others, but we all use them. When we try to rein in our gestures, two things happen that diminish our speaking style. First, we look stiff and unnatural. We look like we are presenting a guarded or cautious version of ourselves; we look less genuine. Second, hand gestures burn up the nervous energy we all have when speaking in front of a large group. That’s good. When we try to minimize our hand gestures, we tie up that nervous energy and it starts to leak out on odd ways, where we start to tap our foot, fidget with our notes or microphone, or tilt our head side to side to emphasize key points. Just let the gestures fly. It’s unlikely they will be too large or distracting. I have coached people on their presentation skills for 26 years. In that time, I have met three people who gestured too much. Everyone else would benefit from using their gestures more freely.

The impact we have as communicators is based on the cumulative effect of many different elements of our delivery. These suggestions alone won’t make you a terrific presenter. They will, however, add to the overall package your present of yourself when speaking to large audiences.

The OECD designs international standards and guidelines for development co-operation, based on best practices, and monitors their implementation by its members. It works closely with member and partner countries, and other stakeholders (such as the United Nations and other multilateral entities) to help them implement their development commitments. It also invites developing country governments to take an active part in policy dialogue.

Key messages, charting development co-operation trends and challenges.

The OECD keeps track of key trends and challenges for development co-operation providers and offers practical guidance. It draws from the knowledge and experience of Development Assistance Committee (DAC) members and partners, as well as from independent expertise, with the ultimate goal of advancing reforms in the sector, and achieving impact. Using data, evidence, and peer learning, this work is captured in publications and online tools that are made publicly available.

Making development co-operation more effective and impactful

The OECD works with governments, civil society organisations, multilateral organisations, and others to improve the quality of development co-operation. Through peer reviews and evaluations, it periodically assesses aid programmes and co-operation policies, and offers recommendations to improve their efficiency. The OECD also brings together multiple stakeholders to share good and innovative practices and discuss progress.

Strengthening development co-operation evaluation practices and systems

The OECD helps development co-operation providers evaluate their actions both to better learn from experience and to improve transparency and accountability. Innovative approaches, such as using smart and big data, digital technology and remote sensing, help gather evidence and inform policy decisions. With in-depth analysis and guidance, the Organisation helps providers manage for results by building multi-stakeholder partnerships and adapting to changing contexts and crisis situations. 

Civil society engagement in development co-operation

National and international civil society organisations (CSOs) are key partners in monitoring development co-operation policies and programmes. Development co-operation can also be channelled to or through CSOs: 

Aid is characterized as going to CSOs when it is in the form of core contributions and contributions to programmes, with the funds programmed by the CSOs. 

Aid is characterized as going through CSOs when funds are channeled through these organisations to implement donor-initiated projects. This is also known as earmarked funding.

Webinar: Evidence to practice – aligning anaemia reduction efforts in Africa

Anaemia is a condition caused by many factors, which can be categorized broadly as nutritional and non-nutritional. Iron and other nutrient deficiencies form most of the nutritional causes and infections (e.g. malaria, helminths, and others), inflammation,  blood loss due to gynecological and obstetric conditions, and genetic blood disorders fall into the category of non-nutritional causes. Progress in anaemia reduction has stalled as programmes have typically focused solely on addressing anaemia due to nutritional iron deficiency, failing to adequately address other contributing causes. Research on the biology, assessment, and effective interventions to address anaemia has outpaced their timely adoption into programmes.  

According to the World Health Organization (WHO), in the WHO African region, anaemia affects around:

  • 60% of children (6–59 months of age)
  • 46% of pregnant women
  • 40% of women (15–49 years of age)

Preventing and controlling anaemia requires an understanding of the causes of anaemia in each setting and developing comprehensive programmes to address these context-specific causes. Governments and donor agencies have made large investments to reduce anaemia. Despite decades of global research into its prevalence, causes, and consequences, it remains an urgent public health problem.

In May 2023, the World Health Organization launched Accelerating anaemia reduction: a comprehensive framework for action , which recommends urgent and coordinated action across sectors, such as food and agriculture, environment, education, and social protection, and highlights the importance of taking a comprehensive approach within the broader context of promoting gender equality, empowerment of women and girls, greater equity, poverty eradication, inclusive economic growth, and human rights protections. Additionally, WHO and UNICEF established the Anaemia Action Alliance to foster accelerated and coordinated efforts to reduce anaemia, including through implementation of the comprehensive framework.

In this webinar, members of the Anaemia Action Alliance–the World Health Organization, USAID-funded NuMERAL project, Nutrition International and its partner, the African Union Commission, and UNICEF–will share the latest evidence and experiences in addressing anaemia through a multi-sectoral lens in Africa.
