Once you have your business plan template in place, it’s time to fill it in. We’ve broken it down by section to help you build your plan step by step.

1. Draft an executive summary.

A good executive summary is one of the most crucial sections of your plan—it’s also the last section you should write.

The executive summary distills everything that follows and gives time-crunched reviewers (e.g., potential investors and lenders) a high-level overview of your business that persuades them to read further.

Again, it’s a summary, so highlight the key points you’ve uncovered while writing your plan. If you’re writing for your own planning purposes, you can skip the summary altogether—although you might want to give it a try anyway, just for practice.

An executive summary shouldn’t exceed one page. Admittedly, that space constraint can make squeezing in all of the salient information a bit stressful—but it’s not impossible. Your business plan’s executive summary should include:

  • Business concept. What does your business do?
  • Business goals and vision. What does your business want to do?
  • Product description and differentiation. What do you sell, and why is it different?
  • Target market. Who do you sell to?
  • Marketing strategy. How do you plan on reaching your customers?
  • Current financial state. What do you currently earn in revenue?

  • The ask. How much money are you asking for?
  • The team. Who’s involved in the business?

2. Write a company description.

This section of your business plan should answer two fundamental questions: who are you, and what do you plan to do? 

Answering these questions with a company description provides an introduction to why you’re in business, why you’re different, what you have going for you, and why you’re a good investment.

Clarifying these details is still a useful exercise, even if you’re the only person who’s going to see them. It’s an opportunity to put to paper some of the more intangible facets of your business, like your principles, ideals, and cultural philosophies.

Most marketing plans include information on four key subjects. How much detail you present on each will depend on both your business and your plan’s audience.

  • Price:  How much do your products cost, and why have you made that decision?
  • Product:  What are you selling and how do you differentiate it in the market?
  • Promotion:  How will you get your products in front of your ideal customer?

Promotion may be the bulk of your plan since you can more readily dive into tactical details, but the other three areas should be covered at least briefly—each is an important strategic lever in your marketing mix.

8. Provide a logistics and operations plan.

Logistics and operations are the workflows you’ll implement to make your business idea a reality. If you’re writing a business plan for your own planning purposes, this is still an important section to consider, even though you might not need to include the same level of detail as if you were seeking investment.

Cover all parts of your planned operations, including:

  • Suppliers . Where do you get the raw materials you need for production, or where are your products produced?
  • Production . Will you make, manufacture, wholesale , or dropship your products? How long does it take to produce your products and get them shipped to you? How will you handle a busy season or an unexpected spike in demand?
  • Facilities . Where will you and any team members work? Do you plan to have a physical retail space? If yes, where?
  • Equipment . What tools and technology do you require to be up and running? This includes everything from computers to lightbulbs and everything in between.
  • Shipping and fulfillment. Will you be handling all the fulfillment tasks in-house, or will you use a third-party fulfillment partner?
  • Inventory . How much will you keep on hand, and where will it be stored? How will you ship it to partners if required, and how will you approach inventory management ?

This section should signal to your reader that you’ve got a solid understanding of your supply chain and strong contingency plans in place to cover potential uncertainty. If your reader is you, it should give you a basis to make other important decisions, like how to price your products to cover your estimated costs, and at what point you plan to break even on your initial spending.

9. Make a financial plan.

The level of detail required in your financial plan will depend on your audience and goals, but typically you’ll want to include three major views of your financials: an income statement, a balance sheet, and a cash-flow statement. It also may be appropriate to include financial data and projections.

Let’s review the types of financial statements you’ll need.

Income statements

Your income statement is designed to give readers a look at your revenue sources and expenses over a given time period. With those two pieces of information, they can see the all-important bottom line or the profit or loss your business experienced during that time. If you haven’t launched your business yet, you can project future milestones of the same information.

Balance sheets

Your balance sheet offers a look at how much equity you have in your business. On one side, you list all your business assets (what you own), and on the other side, all your liabilities (what you owe). This provides a snapshot of your business’s shareholder equity, which is calculated as:

Cash flow statements

Your cash flow statement is similar to your income statement, with one important difference: it takes into account when revenues are collected and when expenses are paid.

When the cash you have coming in is greater than the cash you have going out, your cash flow is positive. When the opposite scenario is true, your cash flow is negative. Ideally, your cash flow statement will help you see when cash is low, when you might have a surplus, and where you might need to have a contingency plan to access funding to keep your business solvent .

It can be especially helpful to forecast your cash-flow statement to identify gaps or negative cash flow and adjust operations as required.

Why write a business plan?

Investors rely on business plans to evaluate the feasibility of a business before funding it, which is why business plans are commonly associated with getting a loan. 

Business plans also help owners identify areas of weakness before launching, potentially avoiding costly mistakes down the road. “Laying out a business plan helped us identify the ‘unknowns’ and made it easier to spot the gaps where we’d need help or, at the very least, to skill up ourselves,” says Jordan Barnett, owner of Kapow Meggings .

There are several other compelling reasons to consider writing a business plan, including:

There are a few best practices when it comes to writing a business plan. While your plan will be unique to your business and goals, keep these tips in mind as you write.

1. Know your audience.

When you know who will be reading your plan—even if you’re just writing it for yourself to clarify your ideas—you can tailor the language and level of detail to them. This can also help you make sure you’re including the most relevant information and figure out when to omit sections that aren’t as impactful.

2. Have a clear goal.

When creating a business plan, you’ll need to put in more work and deliver a more thorough plan if your goal is to secure funding for your business versus working through a plan for yourself or even your team.

3. Invest time in research.

Sections of your business plan will primarily be informed by your ideas and vision, but some of the most crucial information you’ll need requires research from independent sources.   • Bad business idea. Sometimes your idea may be too risky for potential investors, too expensive to run, or there’s no market. Aim for small business ideas that require low startup costs.
  • No exit strategy. If you don’t show an exit strategy, or a plan for investors to leave the business with maximum profits, you’ll have little luck finding capital.

So, you’ve got an idea and you want to start a business —great! Before you do anything else, like seek funding or build out a team, you'll need to know how to write a business plan. This plan will serve as the foundation of your company while also giving investors and future employees a clear idea of your purpose.

What is a business plan, and when do you need one?

According to Cobello, a business plan is a document that contains the mission of the business and a brief overview of it, as well as the objectives, strategies, and financial plans of the founder. A business plan comes into play very early on in the process of starting a company—more or less before you do anything else.

“You should start a company with a business plan in mind—especially if you plan to get funding for the company,” Cobello says. “You’re going to need it.”

Whether that funding comes from a loan, an investor, or crowdsourcing, a business plan is imperative to secure the capital, says the U.S. Small Business Administration . Anyone who’s considering giving you money is going to want to review your business plan before doing so. That means before you head into any meeting, make sure you have physical copies of your business plan to share.

Different types of business plans

The four main types of business plans are:

Startup Business Plans

Internal business plans, strategic business plans, one-page business plans.

If you're wondering how to write a business plan for a startup, Cobello has advice for you. Startup business plans are the most common type, she says, and they are a critical tool for new business ventures that want funding. A startup is defined as a company that’s in its first stages of operations, founded by an entrepreneur who has a product or service idea.

Most startups begin with very little money, so they need a strong business plan to convince family, friends, banks, and/or venture capitalists to invest in the new company.

Internal business plans “are for internal use only,” says Cobello. This kind of document is not public-facing, only company-facing, and it contains an outline of the company’s business strategy, financial goals and budgets, and performance data.

Internal business plans aren’t used to secure funding, but rather to set goals and get everyone working there tracking towards them.

As the name implies, strategic business plans are geared more towards strategy and they include an assessment of the current business landscape, notes Jérôme Côté, a Business Advisor at BDC Advisory Services .

Unlike a traditional business plan, Cobello adds, strategic plans include a SWOT analysis (which stands for strengths, weaknesses, opportunities, and threats) and an in-depth action plan for the next six to 12 months. Strategic plans are action-based and take into account the state of the company and the industry in which it exists.

Although a typical business plan falls between 15 to 30 pages, some companies opt for the much shorter One-Page Business Plan. A one-page business plan is a simplified version of the larger business plan, and it focuses on the problem your product or service is solving, the solution (your product), and your business model (how you’ll make money).

A one-page plan is hyper-direct and easy to read, making it an effective tool for businesses of all sizes, at any stage.

How to create a business plan in 7 steps

Every business plan is different, and the steps you take to complete yours will depend on what type and format you choose. That said, if you need a place to start and appreciate a roadmap, here’s what Cobello recommends:

1. Conduct your research

Before writing your business plan, you’ll want to do a thorough investigation of what’s out there. Who will be the competitors for your product or service? Who is included in the target market? What industry trends are you capitalizing on, or rebuking? You want to figure out where you sit in the market and what your company’s value propositions are. What makes you different—and better?

2. Define your purpose for the business plan

The purpose of your business plan will determine which kind of plan you choose to create. Are you trying to drum up funding, or get the company employees focused on specific goals? (For the former, you’d want a startup business plan, while an internal plan would satisfy the latter.) Also, consider your audience. An investment firm that sees hundreds of potential business plans a day may prefer to see a one-pager upfront and, if they’re interested, a longer plan later.

3. Write your company description

Every business plan needs a company description—aka a summary of the company’s purpose, what they do/offer, and what makes it unique. Company descriptions should be clear and concise, avoiding the use of jargon, Cobello says. Ideally, descriptions should be a few paragraphs at most.

4. Explain and show how the company will make money

A business plan should be centered around the company’s goals, and it should clearly explain how the company will generate revenue. To do this, Cobello recommends using actual numbers and details, as opposed to just projections.

For instance, if the company is already making money, show how much and at what cost (e.g. what was the net profit). If it hasn’t generated revenue yet, outline the plan for how it will—including what the product/service will cost to produce and how much it will cost the consumer.

5. Outline your marketing strategy

How will you promote the business? Through what channels will you be promoting it? How are you going to reach and appeal to your target market? The more specific and thorough you can be with your plans here, the better, Cobello says.

6. Explain how you’ll spend your funding

What will you do with the money you raise? What are the first steps you plan to take? As a founder, you want to instill confidence in your investors and show them that the instant you receive their money, you’ll be taking smart actions that grow the company.

7. Include supporting documents

Creating a business plan is in some ways akin to building a legal case, but for your business. “You want to tell a story, and to be as thorough as possible, while keeping your plan succinct, clear, interesting, and visually appealing,” Cobello says. “Supporting documents could include financial projects, a competitive analysis of the market you’re entering into, and even any licenses, patents, or permits you’ve secured.”

A business plan is an individualized document—it’s ultimately up to you what information to include and what story you tell. But above all, Cobello says, your business plan should have a clear focus and goal in mind, because everything else will build off this cornerstone.

“Many people don’t realize how important business plans are for the health of their company,” she says. “Set aside time to make this a priority for your business, and make sure to keep it updated as you grow.”

This is your elevator pitch. It should include a mission statement, a brief description of the products or services your business offers and a broad summary of your financial growth plans.

Though the executive summary is the first thing your investors will read, it can be easier to write it last. That way, you can highlight information you’ve identified while writing other sections that go into more detail.

Next up is your company description. This should contain basic information like:

Your business’s registered name.

Address of your business location .

Names of key people in the business. Make sure to highlight unique skills or technical expertise among members of your team.

Your company description should also define your business structure — such as a sole proprietorship, partnership or corporation — and include the percent ownership that each owner has and the extent of each owner’s involvement in the company.

Lastly, write a little about the history of your company and the nature of your business now. This prepares the reader to learn about your goals in the next section.

The third part of a business plan is an objective statement. This section spells out what you’d like to accomplish, both in the near term and over the coming years.

If you’re looking for a business loan or outside investment, you can use this section to explain how the financing will help your business grow and how you plan to achieve those growth targets. The key is to provide a clear explanation of the opportunity your business presents to the lender.

For example, if your business is launching a second product line, you might explain how the loan will help your company launch that new product and how much you think sales will increase over the next three years as a result.

In this section, go into detail about the products or services you offer or plan to offer.

You should include the following:

An explanation of how your product or service works.

The pricing model for your product or service.

The typical customers you serve.

Your supply chain and order fulfillment strategy.

You can also discuss current or pending trademarks and patents associated with your product or service.

Lenders and investors will want to know what sets your product apart from your competition. In your market analysis section , explain who your competitors are. Discuss what they do well, and point out what you can do better. If you’re serving a different or underserved market, explain that.

Here, you can address how you plan to persuade customers to buy your products or services, or how you will develop customer loyalty that will lead to repeat business.

Include details about your sales and distribution strategies, including the costs involved in selling each product .

If you’re a startup, you may not have much information on your business financials yet. However, if you’re an existing business, you’ll want to include income or profit-and-loss statements, a balance sheet that lists your assets and debts, and a cash flow statement that shows how cash comes into and goes out of the company.

Accounting software may be able to generate these reports for you. It may also help you calculate metrics such as:

Net profit margin: the percentage of revenue you keep as net income.

Current ratio: the measurement of your liquidity and ability to repay debts.

Accounts receivable turnover ratio: a measurement of how frequently you collect on receivables per year.

This is a great place to include charts and graphs that make it easy for those reading your plan to understand the financial health of your business.

This is a critical part of your business plan if you’re seeking financing or investors. It outlines how your business will generate enough profit to repay the loan or how you will earn a decent return for investors.

Here, you’ll provide your business’s monthly or quarterly sales, expenses and profit estimates over at least a three-year period — with the future numbers assuming you’ve obtained a new loan.

Accuracy is key, so carefully analyze your past financial statements before giving projections. Your goals may be aggressive, but they should also be realistic.

Before the end of your business plan, summarize how your business is structured and outline each team’s responsibilities. This will help your readers understand who performs each of the functions you’ve described above — making and selling your products or services — and how much each of those functions cost.

If any of your employees have exceptional skills, you may want to include their resumes to help explain the competitive advantage they give you.

Finally, attach any supporting information or additional materials that you couldn’t fit in elsewhere. That might include:

Licenses and permits.

Equipment leases.

Bank statements.

Details of your personal and business credit history, if you’re seeking financing.

If the appendix is long, you may want to consider adding a table of contents at the beginning of this section.

Is the Order of Your Business Plan Important?

There is no set order for a business plan, with the exception of the executive summary, which should always come first. Beyond that, simply ensure that you organize the plan in a way that makes sense and flows naturally.

The Difference Between Traditional and Lean Business Plans

A traditional business plan follows the standard structure — because these plans encourage detail, they tend to require more work upfront and can run dozens of pages. A Lean business plan is less common and focuses on summarizing critical points for each section. These plans take much less work and typically run one page in length.

In general, you should use a traditional model for a legacy company, a large company, or any business that does not adhere to Lean (or another Agile method ). Use Lean if you expect the company to pivot quickly or if you already employ a Lean strategy with other business operations. How to Write a Business Plan Step by Step

Writing a strong business plan requires research and attention to detail for each section. Below, you’ll find a 10-step guide to researching and defining each element in the plan.

Step 1: Executive Summary

The executive summary will always be the first section of your business plan. The goal is to answer the following questions:

  • What is the vision and mission of the company?
  • What are the company’s short- and long-term goals?

Step 2: Description of Business

The goal of this section is to define the realm, scope, and intent of your venture. To do so, answer the following questions as clearly and concisely as possible:

  • What business are we in?
  • What does our business do?

Step 3: Market Analysis

In this section, provide evidence that you have surveyed and understand the current marketplace, and that your product or service satisfies a niche in the market. To do so, answer these questions:

  • Who is our customer? 
  • What does that customer value?

Step 4: Competitive Analysis

In many cases, a business plan proposes not a brand-new (or even market-disrupting) venture, but a more competitive version — whether via features, pricing, integrations, etc. — than what is currently available. In this section, answer the following questions to show that your product or service stands to outpace competitors:

  • Who is the competition? 
  • What do they do best? 
  • What is our unique value proposition?

Step 5: Description of Organizational Management

In this section, write an overview of the team members and other key personnel who are integral to success. List roles and responsibilities, and if possible, note the hierarchy or team structure.

Step 6: Description of Products or Services

In this section, clearly define your product or service, as well as all the effort and resources that go into producing it. The strength of your product largely defines the success of your business, so it’s imperative that you take time to test and refine the product before launching into marketing, sales, or funding details.

Questions to answer in this section are as follows:

  • What is the product or service?
  • How do we produce it, and what resources are necessary for production?

Step 7: Marketing Plan

In this section, define the marketing strategy for your product or service. This doesn’t need to be as fleshed out as a full marketing plan , but it should answer basic questions, such as the following:

  • Who is the target market (if different from existing customer base)?
  • What channels will you use to reach your target market?
  • What resources does your marketing strategy require, and do you have access to them?
  • If possible, do you have a rough estimate of timeline and budget?
  • How will you measure success?

Step 8: Sales Plan

Write an overview of the sales strategy, including the priorities of each cycle, steps to achieve these goals, and metrics for success. For the purposes of a business plan, this section does not need to be a comprehensive, in-depth sales plan , but can simply outline the high-level objectives and strategies of your sales efforts. 

Start by answering the following questions:

  • What is the sales strategy?
  • What are the tools and tactics you will use to achieve your goals?
  • What are the potential obstacles, and how will you overcome them?
  • What is the timeline for sales and turning a profit?
  • What are the metrics of success?

Step 9: Funding Details (or Request for Funding)

This section is one of the most critical parts of your business plan, particularly if you are sharing it with investors. You do not need to provide a full financial plan, but you should be able to answer the following questions:

  • How much capital do you currently have? How much capital do you need?
  • How will you grow the team (onboarding, team structure, training and development)?
  • What are your physical needs and constraints (space, equipment, etc.)?

Step 10: Financial Projections

Apart from the fundraising analysis, investors like to see thought-out financial projections for the future. As discussed earlier, depending on the scope and stage of your business, this could be anywhere from one to five years. 

While these projections won’t be exact — and will need to be somewhat flexible — you should be able to gauge the following:

  • How and when will the company first generate a profit?
  • How will the company maintain profit thereafter?

  • Keep It Simple: Avner Brodsky , the Co-Founder and CEO of Lezgo Limited, an online marketing company, uses the acronym KISS (keep it short and simple) as a variation on this idea. “The business plan is not a college thesis,” he says. “Just focus on providing the essential information.”
  • Do Adequate Research: Michael Dean, the Co-Founder of Pool Research , encourages business leaders to “invest time in research, both internal and external (market, finance, legal etc.). Avoid being overly ambitious or presumptive. Instead, keep everything objective, balanced, and accurate.” Your plan needs to stand on its own, and you must have the data to back up any claims or forecasting you make. As Brodsky explains, “Your business needs to be grounded on the realities of the market in your chosen location. Get the most recent data from authoritative sources so that the figures are vetted by experts and are reliable.”
  • Set Clear Goals: Make sure your plan includes clear, time-based goals. “Short-term goals are key to momentum growth and are especially important to identify for new businesses,” advises Dean.
  • Know (and Address) Your Weaknesses: “This awareness sets you up to overcome your weak points much quicker than waiting for them to arise,” shares Dean. Brodsky recommends performing a full SWOT analysis to identify your weaknesses, too. “Your business will fare better with self-knowledge, which will help you better define the mission of your business, as well as the strategies you will choose to achieve your objectives,” he adds.
  • Seek Peer or Mentor Review: “Ask for feedback on your drafts and for areas to improve,” advises Brodsky. “When your mind is filled with dreams for your business, sometimes it is an outsider who can tell you what you’re missing and will save your business from being a product of whimsy.”

Outside of these more practical tips, the language you use is also important and may make or break your business plan.

Shaun Heng, VP of Operations at Coin Market Cap , gives the following advice on the writing, “Your business plan is your sales pitch to an investor. And as with any sales pitch, you need to strike the right tone and hit a few emotional chords. This is a little tricky in a business plan, because you also need to be formal and matter-of-fact. But you can still impress by weaving in descriptive language and saying things in a more elegant way.

“A great way to do this is by expanding your vocabulary, avoiding word repetition, and using business language. Instead of saying that something ‘will bring in as many customers as possible,’ try saying ‘will garner the largest possible market segment.’ Elevate your writing with precise descriptive words and you'll impress even the busiest investor.”

Additionally, Dean recommends that you “stay consistent and concise by keeping your tone and style steady throughout, and your language clear and precise. Include only what is 100 percent necessary.”

What is a business plan and why does it matter? 

A business plan is a formal document outlining the goals, direction, finances, team, and future planning of your business. It can be geared toward investors, in a bid to raise capital, or used as an internal document to align teams and provide direction. It typically includes extensive market research, competitor analysis, financial documentation, and an overview of your business and marketing strategy. When written effectively, a business plan can help prescribe action and keep business owners on track to meeting business goals. 

Who needs a business plan?

A business plan can be particularly helpful during a company’s initial growth and serve as a guiding force amid the uncertainty, distractions, and at-times rapid developments involved in starting a business . For enterprise companies, a business plan should be a living, breathing document that guides decision-making and facilitates intentional growth.

“You should have a game plan for every major commitment you’ll have, from early-stage founder agreements to onboarding legal professionals,” says Colin Keogh, CEO of the Rapid Foundation—a company that brings technology and training to communities in need—and a WeWork Labs mentor in the UK . “You can’t go out on funding rounds or take part in accelerators without any planning.”

How to make a business plan and seven components every plan needs

While there is no set format for writing a business plan, there are several elements that are typically included. Here’s what’s important to consider when writing your business plan. 

1. Executive summary 

No longer than half a page, the executive summary should briefly introduce your business and describe the purpose of the business plan. Are you writing the plan to attract capital? If so, specify how much money you hope to raise, and how you’re going to repay the loan. If you’re writing the plan to align your team and provide direction, explain at a high level what you hope to achieve with this alignment, as well as the size and state of your existing team.

The executive summary should explain what your business does, and provide an introductory overview of your financial health and major achievements to date.  

2. Company description 

To properly introduce your company, it’s important to also describe the wider industry. What is the financial worth of your market? Are there market trends that will affect the success of your company? What is the state of the industry and its future potential? Use data to support your claims and be sure to include the full gamut of information—both positive and negative—to provide investors and your employees a complete and accurate portrayal of your company’s milieu. 

Go on to describe your company and what it provides your customers. Are you a sole proprietor , LLC, partnership, or corporation? Are you an established company or a budding startup? What does your leadership team look like and how many employees do you have? This section should provide both historical and future context around your business, including its founding story, mission statement , and vision for the future. 

It’s essential to showcase your point of difference in your company description, as well as any advantages you may have in terms of expert talent or leading technology. This is typically one of the first pieces of the plan to be written.

3. Market analysis and opportunity

Research is key in completing a business plan and, ideally, more time should be spent on research and analysis than writing the plan itself. Understanding the size, growth, history, future potential, and current risks inherent to the wider market is essential for the success of your business, and these considerations should be described here. 

In addition to this, it’s important to include research into the target demographic of your product or service. This might be in the form of fictional customer personas, or a broader overview of the income, location, age, gender, and buying habits of your existing and potential customers. 

Though the research should be objective, the analysis in this section is a good place to reiterate your point of difference and the ways you plan to capture the market and surpass your competition.

4. Competitive analysis 

Beyond explaining the elements that differentiate you from your competition, it’s important to provide an in-depth analysis of your competitors themselves.

This research should delve into the operations, financials, history, leadership, and distribution channels of your direct and indirect competitors. It should explore the value propositions of these competitors, and explain the ways you can compete with, or exploit, their strengths and weaknesses. 

5. Execution plan: operations, development, management 

This segment provides details around how you’re going to do the work necessary to fulfill this plan. It should include information about your organizational structure and the everyday operations of your team, contractors, and physical and digital assets.

Consider including your company’s organizational chart, as well as more in-depth information on the leadership team: Who are they? What are their backgrounds? What do they bring to the table? Potentially include the résumés of key people on your team. 

For startups, your execution plan should include how long it will take to begin operations, and then how much longer to reach profitability. For established companies, it’s a good idea to outline how long it will take to execute your plan, and the ways in which you will change existing operations.

If applicable, it’s also beneficial to include your strategy for hiring new team members and scaling into different markets. 

6. Marketing plan 

It’s essential to have a comprehensive marketing plan in place as you scale operations or kick off a new strategy—and this should be shared with your stakeholders and employees. This segment of your business plan should show how you’re going to promote your business, attract customers, and retain existing clients.

Include brand messaging, marketing assets, and the timeline and budget for engaging consumers across different channels. Potentially include a marketing SWOT analysis into your strengths, weaknesses, opportunities, and threats. Evaluate the way your competitors market themselves, and how your target audience responds—or doesn’t respond—to these messages.

7. Financial history and projections  

It’s essential to disclose all finances involved in running your company within your business plan. This is so your shareholders properly understand how you’re projected to perform going forward, and the progress you’ve made so far. 

You should include your income statement, which outlines annual net profits or losses; a cash flow statement, which shows how much money you need to launch or scale operations; and a balance sheet that shows financial liabilities and assets. 

“An income statement is the measure of your financial results for a certain period and the most accurate report of business activities during that time, [whereas a balance sheet] presents your assets, liabilities, and equity,” Amit Perry, a corporate finance expert, explained at a WeWork Labs educational session in Israel.

12 quick tips for writing a business plan 

Now that you know what components are traditionally included in a business plan, it’s time to consider how you’ll actually construct the document.

Here are 12 key factors to keep in mind when writing a business plan. These overarching principles will help you write a business plan that serves its purpose (whatever that may be) and becomes an easy reference in the years ahead. 

1. Don’t be long-winded

Use clear, concise language and avoid jargon. When business plans are too long-winded, they’re less likely to be used as intended and more likely to be forgotten or glazed over by stakeholders. 

2. Show why you care

Let your passion for your business shine through; show employees and investors why you care (and why they should too). 

3. Provide supporting documents

Don’t be afraid to have an extensive list of appendices, including the CVs of team members, built-out customer personas, product demonstrations, and examples of internal or external messaging. 

4. Reference data

All information regarding the market, your competitors, and your customers should reference authoritative and relevant data points.  

5. Research, research, research

The research that goes into your business plan should take you longer than the writing itself. Consider tracking your research as supporting documentation. 

6. Clearly demonstrate your points of difference

At every opportunity, it’s important to drive home the way your product or service differentiates you from your competition and helps solve a problem for your target audience. Don’t shy away from reiterating these differentiating factors throughout the plan. 

7. Be objective in your research

As important as it is to showcase your company and the benefits you provide your customers, it’s also important to be objective in the data and research you reference. Showcase the good and the bad when it comes to market research and your financials; you want your shareholders to know you’ve thought through every possible contingency. 

8. Know the purpose of your plan

It’s important you understand the purpose of your plan before you begin researching and writing. Be clear about whether you’re writing this plan to attract investment, align teams, or provide direction. 

9. Identify your audience

The same way your business plan must have a clearly defined purpose, you must have a clearly defined audience. To whom are you writing? New investors? Current employees? Potential collaborators? Existing shareholders?

10. Avoid jargon

Avoid using industry-specific jargon, unless completely unavoidable, and try making your business plan as easy to understand as possible—for all potential stakeholders. 

11. Don’t be afraid to change it

In your research into business plans, you may come across different formats, and you might be wondering which kind will work best for your purposes. 

Let’s define two main types of business plans , the traditional business pla n and the lean start-up business plan . Both types can serve as the basis for developing a thriving business, as well as exploring a competitive market analysis, brand strategy , and content strategy in more depth. There are some significant differences to keep in mind [ 1 ]: 

The traditional business plan is a long document that explores each component in depth. You can build a traditional business plan to secure funding from lenders or investors. 

The lean start-up business plan focuses on the key elements of a business’s development and is shorter than the traditional format. If you don’t plan to seek funding, the lean start-up plan can serve mainly as a document for making business decisions and carrying out tasks.

1. Executive summary 

This is a short section that introduces the business plan as a whole to the people who will be reading it, including investors, lenders, or other members of your team. Start with a sentence or two about your business, your goals for developing it, and why it will be successful. If you are seeking funding, summarize the basics of the financial plan. 

2. Business description 

Use this section to provide detailed information about your company and how it will operate in the marketplace. 

Mission statement: What drives your desire to start a business? What purpose are you serving? What do you hope to achieve for your business, the team, your customers? 

Revenue streams: From what sources will your business generate revenue? Examples include product sales, service fees, subscriptions, rental fees, license fees, and more. 

Leadership: Describe the leaders in your business, their roles and responsibilities, and your vision for building teams to perform various functions, such as graphic design, product development, or sales.  

Legal structure: If you’ve incorporated your business or registered it with your state as a legal entity such as an S-corp or LLC, include the legal structure here and the rationale behind this choice. 

3. Competitor analysis 

This section will include an assessment of potential competitors, their offers, and marketing and sales efforts. For each competitor, explore the following: 

Value proposition: What outcome or experience does this brand promise?

Products and services: How does each one solve customer pain points and fulfill desires? What are the price points? 

Marketing: Which channels do competitors use to promote? What kind of content does this brand publish on these channels? What messaging does this brand use to communicate value to customers?  

Sales: What sales process or buyer’s journey does this brand lead customers through?

4. Products and services

Use this section to describe everything your business offers to its target market . For every product and service, list the following: 

The value proposition or promise to customers, in terms of how they will experience it

How the product serves customers, addresses their pain points, satisfies their desires, and improves their lives

The features or outcomes that make the product better than those of competitors

Your price points and how these compare to competitors

5. Marketing plan and sales strategies 

In this section, you’ll draw from thorough market research to describe your target market and how you will reach them. 

Who are your ideal customers?   

How can you describe this segment according to their demographics (age, ethnicity, income, location, etc.) and psychographics (beliefs, values, aspirations, lifestyle, etc.)? 

What are their daily lives like? 

What problems and challenges do they experience? 

What words, phrases, ideas, and concepts do consumers in your target market use to describe these problems when posting on social media or engaging with your competitors?  

What messaging will present your products as the best on the market? How will you differentiate messaging from competitors? 

On what marketing channels will you position your products and services?

How will you design a customer journey that delivers a positive experience at every touchpoint and leads customers to a purchase decision?

6. Brand strategy 

In this section, you will describe your business’s design, personality, values, voice, and other details that go into delivering a consistent brand experience. 

What are the values that define your brand?

What visual elements give your brand a distinctive look and feel?

How will your marketing messaging reflect a distinctive brand voice, including the tone, diction, and sentence-level stylistic choices? 

How will your brand look and sound throughout the customer journey? 

Define your brand positioning statement. What will inspire your audience to choose your brand over others? What experiences and outcomes will your audience associate with your brand?

7. Financial planning  

In this section, you will explore your business’s financial future. If you are writing a traditional business plan to seek funding, this section is critical for demonstrating to lenders or investors that you have a strategy for turning your business ideas into profit. For a lean start-up business plan, this section can provide a useful exercise for planning how you will invest resources and generate revenue [ 2 ].  

Use any past financials and other sections of this business plan, such as your price points or sales strategies, to begin your financial planning. 

How many individual products or service packages do you plan to sell over a specific time period?

List your business expenses, such as subscribing to software or other services, hiring contractors or employees, purchasing physical supplies or equipment, etc.

What is your break-even point, or the amount you have to sell to cover all expenses?

Create a sales forecast for the next three to five years: (No. of units to sell X price for each unit) – (cost per unit X No. of units) = sales forecast

Quantify how much capital you have on hand.

When writing a traditional business plan to secure funding, you may choose to append supporting documents, such as licenses, permits, patents, letters of reference, resumes, product blueprints, brand guidelines, the industry awards you’ve received, and media mentions and appearances.

Whether you need a quick-launch overview or an in-depth plan for investors, any business plan should cover the six key elements outlined in our free template and explained below. The main difference in starting a small business versus an investor-funded business is the market research and operational and financial details needed to support the concept.

1. Your Mission or Vision

Start by declaring a “dream statement” for your business. You can call this your executive summary, vision statement or mission. Whatever the name, the first part of your business plan summarizes your idea by answering five questions. Keep it brief, such as an elevator pitch. You’ll expand these answers in the following sections of the simple business plan template.

  • What does your business do? Are you selling products, services, information or a combination?
  • Where does this happen? Will you conduct business online, in-store, via mobile means or in a specific location or environment?
  • Who does your business benefit? Who is your target market and ideal customer for your concept?
  • Why would potential customers care? What would make your ideal customers take notice of your business?
  • How do your products and/or services outshine the competition? What would make your ideal customers choose you over a competitor?

These answers come easily if you have a solid concept for your business, but don’t worry if you get stuck. Use the rest of your plan template to brainstorm ideas and tactics. You’ll quickly find these answers and possibly new directions as you explore your ideas and options.

2. Offer and Value Proposition

This is where you detail your offer, such as selling products, providing services or both, and why anyone would care. That’s the value proposition. Specifically, you’ll expand on your answers to the first and fourth bullets from your mission/vision.

As you complete this section, you might find that exploring value propositions uncovers marketable business opportunities that you hadn’t yet considered. So spend some time brainstorming the possibilities in this section.

For example, a cottage baker startup specializing in gluten-free or keto-friendly products might be a value proposition that certain audiences care deeply about. Plus, you could expand on that value proposition by offering wedding and other special-occasion cakes that incorporate gluten-free, keto-friendly and traditional cake elements that all guests can enjoy.

3. Audience and Ideal Customer

Here is where you explore bullet point number three, who your business will benefit. Identifying your ideal customer and exploring a broader audience for your goods or services is essential in defining your sales and marketing strategies, plus it helps fine-tune what you offer.

There are many ways to research potential audiences, but a shortcut is to simply identify a problem that people have that your product or service can solve. If you start from the position of being a problem solver, it’s easy to define your audience and describe the wants and needs of your ideal customer for marketing efforts.

Using the cottage baker startup example, a problem people might have is finding fresh-baked gluten-free or keto-friendly sweets. Examining the wants and needs of these people might reveal a target audience that is health-conscious or possibly dealing with health issues and willing to spend more for hard-to-find items.

However, it’s essential to have a customer base that can support your business. You can be too specialized. For example, our baker startup can attract a broader audience and boost revenue by offering a wider selection of traditional baked goods alongside its gluten-free and keto-focused specialties.

4. Revenue Streams, Sales Channels and Marketing

Thanks to our internet-driven economy, startups have many revenue opportunities and can connect with target audiences through various channels. Revenue streams and sales channels also serve as marketing vehicles, so you can cover all three in this section.

Revenue Streams

Revenue streams are the many ways you can make money in your business. In your plan template, list how you’ll make money upon launch, plus include ideas for future expansion. The income possibilities just might surprise you.

For example, our cottage baker startup might consider these revenue streams:

  • Product sales : Online, pop-up shops , wholesale and (future) in-store sales
  • Affiliate income : Monetize blog and social media posts with affiliate links
  • Advertising income : Reserve website space for advertising
  • E-book sales : (future) Publish recipe e-books targeting gluten-free and keto-friendly dessert niches
  • Video income : (future) Monetize a YouTube channel featuring how-to videos for the gluten-free and keto-friendly dessert niches
  • Webinars and online classes : (future) Monetize coaching-style webinars and online classes covering specialty baking tips and techniques
  • Members-only content : (future) Monetize a members-only section of the website for specialty content to complement webinars and online classes

  • E-commerce platform : An online store such as Shopify, Square or WooCommerce for online retail sales and wholesale sales orders
  • Social media channels : Facebook, Instagram and Pinterest shoppable posts and pins for online sales via social media channels
  • Brick-and-mortar location : For in-store sales , once the business has grown to a point that it can support a physical location

Channels that support other income streams might include:

  • Affiliate income : Blog section on the e-commerce website and affiliate partner accounts
  • Advertising income : Reserved advertising spaces on the e-commerce website
  • E-book sales : Amazon e-book sales via Amazon Kindle Direct Publishing
  • Video income : YouTube channel with ad monetization
  • Webinars and online classes : Online class and webinar platforms that support member accounts, recordings and playback

Nowadays, the line between marketing and sales channels is blurred. Social media outlets, e-books, websites, blogs and videos serve as both marketing tools and income opportunities. Since most are free and those with advertising options are extremely economical, these are ideal marketing outlets for lean startups.

However, many businesses still find value in traditional advertising such as local radio, television, direct mail, newspapers and magazines. You can include these advertising costs in your simple business plan template to help build a marketing plan and budget.

5. Structure, Suppliers and Operations

This section of your simple business plan template explores how to structure and operate your business. Details include the type of business organization your startup will take, roles and responsibilities, supplier logistics and day-to-day operations. Also, include any certifications or permits needed to launch your enterprise in this section.

Our cottage baker example might use a structure and startup plan such as this:

  • Business structure : Sole proprietorship with a “doing business as” (DBA) .
  • Permits and certifications : County-issued food handling permit and state cottage food certification for home-based food production. Option, check into certified commercial kitchen rentals.
  • Roles and responsibilities : Solopreneur, all roles and responsibilities with the owner.
  • Supply chain : Bulk ingredients and food packaging via Sam’s Club, Costco, Amazon Prime with annual membership costs. Uline for shipping supplies; no membership needed.
  • Day-to-day operations : Source ingredients and bake three days per week to fulfill local and online orders. Reserve time for specialty sales, wholesale partner orders and market events as needed. Ship online orders on alternating days. Update website and create marketing and affiliate blog posts on non-shipping days.

6. Financial Forecasts

Your final task is to list forecasted business startup and ongoing costs and profit projections in your simple business plan template. 1. Title Page

The title page captures the legal information of the business, which includes the registered business name, physical address, phone number, email address, date, and the company logo.

2. Executive Summary

The executive summary is the most important section because it is the first section that investors and bankers see when they open the business plan. It provides a summary of the entire business plan. It should be written last to ensure that you don’t leave any details out. It must be short and to the point, and it should capture the reader’s attention. The executive summary should not exceed two pages.

3. Industry Overview

The industry overview section provides information about the specific industry that the business operates in. Some of the information provided in this section includes major competitors, industry trends, and estimated revenues. It also shows the company’s position in the industry and how it will compete in the market against other major players.

4. Market Analysis and Competition

The market analysis section details the target market for the company’s product offerings. This section confirms that the company understands the market and that it has already analyzed the existing market to determine that there is adequate demand to support its proposed business model.

Market analysis includes information about the target market’s demographics , geographical location, consumer behavior, and market needs. The company can present numbers and sources to give an overview of the target market size.

A business can choose to consolidate the market analysis and competition analysis into one section or present them as two separate sections.

5. Sales and Marketing Plan

The sales and marketing plan details how the company plans to sell its products to the target market. It attempts to present the business’s unique selling proposition and the channels it will use to sell its goods and services. It details the company’s advertising and promotion activities, pricing strategy, sales and distribution methods, and after-sales support.

6. Management Plan

The management plan provides an outline of the company’s legal structure, its management team, and internal and external human resource requirements. It should list the number of employees that will be needed and the remuneration to be paid to each of the employees.

Any external professionals, such as lawyers, valuers, architects, and consultants, that the company will need should also be included. If the company intends to use the business plan to source funding from investors, it should list the members of the executive team, as well as the members of the advisory board.

7. Operating Plan

The operating plan provides an overview of the company’s physical requirements, such as office space, machinery, labor, supplies, and inventory . For a business that requires custom warehouses and specialized equipment, the operating plan will be more detailed, as compared to, say, a home-based consulting business. If the business plan is for a manufacturing company, it will include information on raw material requirements and the supply chain.

8. Financial Plan

  • Relevant : Perhaps part of your business growth strategy involves social media. While it may be fun to see your accounts grow, that may not necessarily be relevant to your revenue and profits. Keep goals focused on what’s most important to achieve, which may not include vanity numbers that are more about ego than results.
  • Time-bound : Each objective should have a deadline. If you give yourself unlimited time to get something done, you may never get around to it. With a set due date, you’re giving yourself a little pressure and motivation to hit that goal as planned.

SMART goals are just one method of choosing business plan objectives. You can work to create any objectives you’d like that make the most sense for what you’re trying to achieve.

Even if you don’t follow the SMART goals framework, it’s still wise to be specific and clear when choosing your goals and objectives. Vague and loosely defined goals often set business owners up for failure. Specific and clear business objectives give you and your team, if you have one, a common mission to work toward.

Breaking each objective into smaller tasks can prevent teams from getting overwhelmed and even help you get a clearer picture of what you need to do to prevail. Smaller goals also help you see faster and more frequent successes, which is a good way to stay motivated. An added benefit is an opportunity to foresee any needed resources or roadblocks, such as a need for an outside consultant or a government-issued permit.

Assign Responsibilities and Allocate Resources

3. Market and competitive analysis

Every business needs customers. Here’s where you’ll detail who they are and the potential target market of your business, including your ideal customer.

Writing A Business Plan:Design And Development Plans

Generally, there are seven major components that make up abusiness plan. They are:

1. Executive summary

2. Business description

3. Market strategies

4. Competitive analysis

5. Design and development plans

6. Operations and management plans

7. Financial factors

The purpose of the design and development plan section is toprovide investors with a description of the product's design,chart its development within the context of production, marketing,and the company itself, and create a development budget that willenable the company to reach its goals.

There are generally three areas you'll cover in thedevelopment plan section:

*Product development

*Market development

*Organizational development

Each of these elements needs to be examined from the funding ofthe plan to the point where the business begins to experience acontinuous income. Although these elements will differ in natureconcerning their content, each will be based on structure andgoals.

The first step in the development process is setting goals forthe overall development plan. From your analysis of the market andcompetition, most of the product, market and organizationaldevelopment goals will be readily apparent. Each goal you defineshould have certain characteristics. Your goals should bequantifiable in order to set up time lines, directed so they relateto the success of the business, consequential so they have impactupon the company, and feasible so that they aren't beyond thebounds of actual completion.

Goals For ProductDevelopment

Goals for product development should center on the technical as well as the marketing aspects of theproduct so that there is a focused outline from which thedevelopment team can work. For example, a goal for productdevelopment of a microbrewed beer might be "Produce recipe forpremium lager beer" or "Create packaging for premiumlager beer." In terms of market development, a goal might be,"Develop collateral marketing material." Organizationalgoals would center on the acquisition of expertise in order toattain your product and market-development goals. This expertiseusually needs to be present in areas of key assets that provide acompetitive advantage. Without the necessary expertise, the chancesof bringing a product successfully to market diminish.

With your goals set and expertise in place, you need to form aset of procedural tasks or work assignments for each area of thedevelopment plan. Procedures will have to be developed for productdevelopment, market development, and organization development. Insome cases, product and organization can be combined if the list ofprocedures is short enough.

Procedures should include how resources will be allocated, whois in charge of accomplishing each goal, and how everything willinteract. For example, to produce a recipe for a premium lagerbeer, you would need to do the following:

*Gather ingredients.

*Determine optimum malting process.

*Gauge mashing temperature.

*Boil wort and evaluate which hops provide the best flavor.

*Determine yeast amounts and fermentation period.

*Determine aging period.

*Carbonate the beer.

*Decide whether or not to pasteurize the beer.

The development of procedures provides a list of workassignments that need to be accomplished, but one thing itdoesn't provide are the stages of development that coordinatethe work assignments within the overall development plan. To dothis, you first need to amend the work assignments created in theprocedures section so that all the individual work elements areaccounted for in the development plan. The next stage involvessetting deliverable dates for components as well as the finishedproduct for testing purposes. In Terence P. McGarty's book, Business Plans That Win Venture Capital there are primarilythree steps you need to go through before the product is ready forfinal delivery:

1. Preliminary product review. All the product'sfeatures and specifications are checked.

2. Critical product review. All the key elements of theproduct are checked and gauged against the development schedule tomake sure everything is going according to plan.

3. Final product review. All elements of the product arechecked against goals to assure the integrity of the prototype.

In procedures we mentioned scheduling. This is one of the mostimportant elements in the development plan. Scheduling includes allof the key work elements as well as the stages the product mustpass through before customer delivery. It should also be tied tothe development budget so that expenses can be tracked. Butits main purpose is to establish time frames for completion of allwork assignments and juxtapose them within the stages through whichthe product must pass. When producing the schedule, provide acolumn for each procedural task, how long it takes, start date andstop date. If you want to provide a number for each task, include acolumn in the schedule for the task number.

That leads us into a discussion of the development budget. Whenforming your development budget, you need to take into account allthe expenses required to design the product and to take it fromprototype to production.

Costs that should be included in the development budgetinclude:

* Material -- All raw materials used in the development ofthe product.

* Direct Labor -- All labor costs associated with thedevelopment of the product.

* Overhead -- All overhead expenses required to operatethe business during the development phase such as taxes, rent,phone, utilities, office supplies, etc.

* G&A Costs -- The salaries of executive andadministrative personnel along with any other office supportfunctions.

* Marketing & Sales -- The salaries of marketingpersonnel required to develop pre-promotional materials and planthe marketing campaign that should begin prior to delivery of theproduct.

* Professional Services -- Those costs associated with theconsultation of outside experts such as accountants, lawyers, andbusiness consultants.

* Miscellaneous Costs -- Costs that are related to productdevelopment.

* Capital equipment -- To determine the capitalrequirements for the development budget, you first have toestablish what type of equipment you will need, whether you willacquire the equipment or use outside contractors, and finally, ifyou decide to acquire the equipment, whether you will lease orpurchase it.

As we mentioned already, the company has to have the properexpertise in key areas to succeed; however, not every company willstart a business with the expertise required in every key area.Therefore, the proper personnel have to be recruited, integratedinto the development process, and managed so that everyone forms ateam focused on the achievement of the development goals.

Before you begin recruiting, however, you should determine whichareas within the development process will require the addition ofpersonnel. This can be done by reviewing the goals of yourdevelopment plan to establish key areas that need attention. Afteryou have an idea of the positions that need to be filled, youshould produce a job description and jobspecification .

Once you've hired the proper personnel, you need tointegrate them into the development process by assigning tasks fromthe work assignments you've developed. Finally, the whole teamneeds to know what their role is within the company and how eachinterrelates with every position within the development team. Inorder to do this, you should develop an organizational chart foryour development team.

Assessing Risks

Finally, the risks involved in developing the product should beassessed and a plan developed to address each one. The risks duringthe development stage will usually center on technical developmentof the product, marketing, personnel requirements, and financialproblems. By identifying and addressing each of the perceived risksduring the development period, you will allay some of your majorfears concerning the project, and those of investors as well.

Strategic planning: How to set and meet your long-term goals

Strategic planning is an ongoing process that defines your business goals and creates a roadmap for achieving them. Done well, strategic planning will help you focus on your long-term business development, instead of just reacting to changes and challenges in the market.

Strategic planning is important for:

  • Creating a framework to track your progress
  • Defining the KPIs to measure your performance effectively
  • Identifying and eliminating mistakes in your planning
  • Proactively identifying new opportunities and threats to your business
  • Informing your resource allocation
  • Aligning your stakeholders around a shared purpose and objective, even when they're working across departments

It’s important to remember that strategic planning is a tool that informs your decision-making process rather than a list of steps set in stone at the start of a new business phase. Strategic plans are also different from tactical plans, which are action-oriented steps to take, or project plans, which relate to a specific aspect of your company’s work.

So, in this post, we’ll show you the  essential parts of a truly flexible and responsive strategic plan , take you through the steps to create one, and show you how to implement it in a way that supports your team.

Essential elements of a strategic plan

Let’s start with the common elements of a strategic plan and the things you can consider as you lay one out. 

The more you understand these aspects, the easier it will be to create a plan that bridges the gap between your planned strategy and the real-world work it entails. 

Values statement

Your values are the principles that guide your professional behavior and the decisions you make. In a values statement, you define what’s important to your organization and how you want to conduct business. 

Values statements influence the way businesses work internally as well as the way they build relationships with their customers. For example, values can inform everything from workplace communications , to the training and support you provide, to the way you recognize achievements within your team. 

There’s a lot of overlap between business values and company culture , and this internalization is what makes values so central to strategic planning. 

When you look at your goals for the next three to five years (the period typically covered by a strategic plan), you should make sure your plans align with the way you want your employees and customers to experience your business. 

Clarifying your values at the beginning of the strategic planning process helps you keep this in mind, even if your plan evolves.  

Vision statement

Your organization’s vision statement sets out your long-term aspirations, focusing on what you want to achieve in the future. Vision statements should be concise, aspirational, and connected to your business’s core values — like the ones you laid out in the first section of your strategic plan. 

Because of the motivational element of a vision statement, it can be helpful to involve different stakeholders from across your organization (and even your client base) when you write it. This helps create a vision statement everyone feels represented by, which you can rally around when your work runs into challenges later. 

Mission statement

In contrast to the vision statement, your organization’s mission statement describes why it exists, who it serves, and what it does. It also explains — in a nutshell — how you intend to achieve your vision. 

For example, a creative and design agency’s vision statement might be:

“ To be the premier creative agency in our city, transforming businesses through innovative visual experiences. ” 

This could translate into a mission statement of: 

“ To create exceptional, user-centric designs that combine creativity and modern techniques to drive client success. ” 

As you can see, the mission statement switches focus from the ideals laid out in the vision to the practical steps that make those ideals a reality. 

SWOT analysis

SWOT stands for strengths, weaknesses, opportunities, and threats. SWOT analysis helps you understand the internal factors that could impact your strategic plan (your strengths and weaknesses). It also gives you a broader understanding of how your organization fits into the business landscape (the opportunities and threats). 

Another useful term for some business models is “PEST analysis,” which stands for political, economic, social, and technological. This type of “environmental scan” can give business leaders a deeper understanding of the external factors that could influence the entire organization during their next planning cycle. 

Understanding the internal and external pressures on your business before you start implementing your strategic plan will help you position yourself for success, develop strategies to gain a competitive advantage, and manage potential risks .

The business goals section of a strategic plan explains what your company wants to achieve in concrete terms. 

One of the most popular ways to approach goal setting is to use SMART principles , choosing goals that are specific, measurable, achievable, relevant, and time-bound. 

With SMART goals, you gain a clear sense of purpose (from the specificity of the plan), motivation (from the achievability and relevance of the goals), and an additional push from a deadline. What’s more, the measurable aspect means you can gauge your progress and compare your achievements to the anticipated results. 

Other goal-setting techniques used by businesses include: 

  • The balanced scorecard (or BSC) approach, which considers the goals from four perspectives: financial, customer, internal process, and learning and growth. This aligns the planned business activities with the company’s core vision and values, not just the finances.
  • Objectives and key results (OKR) frameworks, which look at the history, benefits, and key components of your goals to determine your focus. 
  • Management by objectives (MBO), which emphasizes the importance of clear goals, involves employees in decision making, and bases evaluations on whether the goals were achieved. 

Your objectives are the actions you’ll take to achieve your goals. 

To return to the agency example above, if one of the goals was to build long-term relationships with clients to ensure their ongoing success, the objectives could include:

  • Establishing a system for gathering feedback and reviews 
  • Conducting regular client satisfaction surveys 
  • Regularly sharing actionable client insights with your wider team 

Objectives start to put your strategic plan into more practical terms, so you can order or categorize them as you lay them out. Grouping or prioritizing your objectives will make it far easier to manage your resources, delegate tasks, and show your team which of the objectives they should address first. 

Action plans

Finally, your action plans , which are sometimes described as “tactics” or “approaches,” outline the specific steps you’ll take to achieve your objectives. These plans break your objectives down into actionable tasks and subtasks — the stepping stones that take you through your strategic plan.

Action plans address the way the rubber hits the road, so it can be helpful to include some buffer room in this area of your strategic plan. Some businesses even make contingency plans at this stage before introducing the plan to their team members. 

Considering contingencies now means that when changes occur, you should be able to adjust your plan rather than starting from scratch once the emergency has passed. 

When you truly get to grips with these elements, you’re more likely to see the benefits of strategic planning when work begins. These benefits include: 

  • A clear direction and focus for your team
  • Increased engagement from teams that understand their roles and goals
  • Effective decision making informed by up-to-date information
  • A proactive management approach , set up to take advantage of opportunities and address challenges as they arise
  • Long-term sustainability , based on an understanding of the business environment and risk mitigation 

Having said this, it’s essential to remember that any of these aspects could change over the course of the years you’ve planned for. Considering the vision, values, and opportunities that drive your business — and the steps you’ll take to put them into practice — should be an ongoing process as your work develops. 

When you get to grips with the idea of using your strategic business plan as a shared reference rather than a rulebook, you’re ready to create a plan of your own. 

Now, we’ll look at the strategic planning process in more detail. The examples here will show you how to bring an effective strategic plan together, align your  work with your goals, and put your team in the best position to focus, prioritize, and achieve their ongoing goals.

How to make a strategic plan: Step-by-step guide

The steps we detail here can help you create a solid but responsive strategic plan. 

1. Assess your business environment

  • Analyze internal pressures within your business 
  • Research the external environment you’re operating in
  • Gather data and feedback on your team’s past performance 

Strategy formulation starts with a thorough understanding of what’s going on inside your business and in the external environment. Alongside the SWOT analysis we discussed above, many strategic frameworks start with an analysis of your company’s current position, including your performance in the previous fiscal year or planning cycle. 

With this assessment, you’ll set yourself up to create and measure the short- and long-term goals that can bring your company’s vision to life. 

To make these judgments more accurately, strategic planners often pull up the following records at the very beginning of the process (and then continue to reference them as time goes on): 

  • Time tracking reports to assess what the team has been able to achieve in their billable hours and identify areas for improved efficiency 
  • Cash flow data to assess their budget, find out where investments can be made, and identify areas where they need to reduce waste
  • Feedback reports from customers, clients, or their team to quantify what the business does well, and identify areas where they’re not fully addressing a pain point 
  • Resource allocation, including the way tasks are delegated among the number of team members available (this information is particularly useful for human resources teams at the start of a new phase, as they may have to, for example, hire additional employees to tackle a larger project)

Once you’ve identified any issues with past performance, you can consider areas for improvement, what you can realistically achieve, and take the other factors that will impact your desired outcomes into account. 

2. Define goals, strategic objectives, and performance metrics  

  • Write out your long-term goals and break them into achievable steps
  • Decide how best to measure and compare your progress 
  • Find a logical way to visualize your tasks and your progress to keep your team on track

With the groundwork in place, you can turn your focus to operational planning and strategy development. 

In this planning phase, you consider the common goals shared across your organization. Then, you start to break them down into the short-term tasks you’ll need to achieve, and even the milestones that could make up those individual projects. 

With the goals as a framework, the next stage is to plan how to measure and visualize your progress. 

Consider which teams or team members need an overview and how to present the information in a way that fits their work. For example, while a marketing team might view a product launch as a series of dependent steps, the development team behind the scenes might be dealing with a backlog of tickets or bugs, where a linear overview doesn’t fit their more cyclical methodology. 

Finally, identify the first tasks in your strategic plan and decide who to delegate them to, how to communicate this, and how you’ll make sure the team members have the tools they need to start. This will make the execution phase much smoother. 

3. Implement and share your plan

  • Onboard your team
  • Delegate tasks 
  • Ask for initial feedback 

Prior to this stage of the process, strategic planning was largely the responsibility of senior leadership. Now, you move to strategy implementation, where you bring your team members up to speed, assign ownership of the different aspects of the plan, and give them the tools they need to track their work and collaborate. 

Your exact strategy execution depends on the size of your organization, the planning tools you prefer to use, and the structure of your teams. 

For example, you might share a plan document, explaining the next steps while emphasizing your intention to adjust the steps if necessary. Other teams might invite employees to a shared workspace where they’ll find the goals and milestones. Some teams might hold a formal meeting to launch the new strategy, whereas others will see it as an extension of their current work.

However you approach this implementation, once the team is up to speed, you can start working toward your strategic goals. Remember, it can be beneficial to ask for feedback from your team, even at this early stage, to promote transparency and make sure you’re on track. 

4. Revise and restructure 

  • Gather data on your progress 
  • Create and share reports with your team and key stakeholders 
  • Respond to changes and communicate the updated strategic plan

As we said above, successful strategic planning can respond to change. When you set out to create a strategic plan rather than a project plan or an annual business plan, you expect to adjust it as you learn more. The framework you create in the first three steps puts you in a strong position to do this. 

As your team starts to work through the action plans, you should monitor: 

  • Task status data , which can help you identify or preempt delays and bottlenecks
  • Your team’s capacity , to avoid burnout, reassign tasks, or adjust resource allocation
  • Your KPIs , to see how your real-time performance matches up to any projections or expectations you created in the initial planning phases 

Sharing reports with this information with stakeholders can motivate your team, help them adjust their priorities, and invite suggestions for improvements. The most useful reports will be based on real-time data, so you know you’re acting on the latest information, staying agile, and adjusting your plan as necessary. 

It is possible to plan for and implement these steps with spreadsheets, emails, and shared documents, but it’s not ideal. 

With several potential versions of your plan in play, it can be difficult to locate the most up-to-date information in email chains, announcements, or shared documents.

With work shared across your company, it can be hard to communicate and share resources without creating delays, bottlenecks, and information silos.

As an operations manager or similar business leader, you can centrally create a list of tasks for many teams in your org and monitor for completion of work. This feature is designed to make task management easier for organizations with frontline workers distributed across many different geographic locations.

This capability is available to you in the Planner app in Microsoft Teams if your organization  enabled task publishing for you and your team.

With task publishing, your organization can centrally define tasks and distribute them to the teams who must perform the work. If enabled for you by your organization , you’ll find this functionality in the Planner app in Microsoft Teams.

In the task publishing experience, you start with a task list, which you can add tasks to. You have control over the details for each task in a list so you can add notes, set the priority, attach documents and photos, or apply requirements for completion. When you add at least one task to a task list, you can publish that list to the teams (locations) that you choose. After publishing a list, you’ll see a reporting view that reflects completion status of the work across locations, and:  

Frontline workers can see all tasks assigned to them in the Planner app in Teams on mobile, desktop, and web.

Frontline managers can use Planner to track task progress and completion for their locations.

Organization leaders can use Planner to see task progress across all locations.

Frontline workers and managers won’t be able to delete the tasks published to their team. The title, notes field, and checklist item fields are also protected for published tasks, so frontline employees can't change the details of the work.

Important:  You'll only see the Publishing page if your organization enabled task publishing by uploading a hierarchy and you're a member of a team in that hierarchy. If publishing is available for you, the Publishing page allows you to broadly publish to teams you're not a member of. There are two types of task lists in task publishing. You can create lists with tasks for each team  (known as standard task lists) and lists with tasks  for each team member . Here’s more information about each type of list and when to use them.

Camille, the operations manager in a retail org, has a new workplace health policy that all employees must acknowledge. Camille publishes a task list with a task for reviewing and signing off on the new policy.

Every employee at each selected location sees a task created for and assigned to them. Each employee must complete their own task. When a user marks their task complete, it won’t affect the tasks assigned to their teammates.

Note:   Some users will also see a Received section where they see lists published to their team by teams higher up in the hierarchy. Most publishing users won’t see this section.

Create a new task list

For each team .   Use for tasks that need to be completed once per team, also referred to as a standard task list.

For each team member . Use for tasks that everyone on the team must complete, such as training or policy acknowledgement tasks.

Important:  After you create a list with tasks for each team , you can’t change it to a list for each team member and vice versa. You’ll need to create a new list.

Name your list.

If you belong to more than one team that can publish, select the team to publish from. The teams that receive the task list publication will be able to see which team the task list was published from.

Select  Create . The new list appears under  Drafts .

Under  Task title , give the first task a title, and select Enter .

Select the task title to open the task and add or edit any of the following.   

Bucket. Use to categorize tasks. For example,  Warehouse  or  Sales Desk  buckets could be used to identify the work group who will perform the task.

Priority. Options are Urgent, Important, Medium, and Low.

Start date or due date

A checklist of up to 20 items. You control the items, order, and whether the  checklist is required for task completion . Task recipients control marking each item complete. 

An attachment 

Requirements for task completion. Task recipients must complete the requirements before they can mark the task complete. To learn more, see Set requirements for task completion in a task list . 

Required form : Link up to two forms that task recipients must fill out. You can create a new form or use an existing form.

Required approval : Add an approval requirement for task recipients to request and receive approval from a manager. This is only available for tasks lists created using the For each team option (also known as standard task lists). 

To add another task, enter a task name in the  New task  field.

Tip:  After you create tasks, you can bulk edit the priority, due date, or bucket for all the selected tasks. 

 If you created your list using the For each team option (also known as a standard task list), you can make it recurring so that it automatically publishes on a repeating schedule. To do so, select Does not repeat , choose the recurrence settings for the list, and then select Save . To learn more about working with recurring task lists, see Use recurring task lists . 

Duplicate a task list

You can create a copy of any task list using the Duplicate action. This action creates a new list with a copy of the tasks in the original list. You can choose the name of the new list and which team it should be created for. Then, you can edit the tasks in the new list to prepare it for publishing.

Name the list and select the Publish from team. If you belong to more than one team in your organization’s hierarchy, you'll see multiple choices. The teams that receive the task list publication will be able to see which team the task list was published from.

Select Duplicate . After the list is duplicated, it appears under Drafts . You can interact with the list just like other draft lists.  

Make changes to a task list that hasn't been published yet 

Edit tasks in a draft or scheduled list.

Under  Drafts or Scheduled , select the task list you want to edit. 

To change a task, select its title to open the task, and then do one of the following:

To change any of the task's fields, select the field and edit as needed. You can also add or remove attachments and requirements.  

Rename a list

You can rename a draft list before you publish it. 

Enter the new name in the Title box, and then select Save .

Delete a task list from Drafts or Unpublished

Important:  You can't delete a list in the Published state or a recurring list series in the Scheduled state. You must first unpublish the list or cancel the list series and then unpublish it, which deletes all tasks in the list or lists from all recipient teams. After unpublishing the list or list series, it appears under  Unpublished.

You can delete any task list under Drafts  or  Unpublished .

Under Drafts or Unpublished , go to the task list you want to delete.

Publish a task list 

Publish a task list .

When your task list is ready to go, publish it to the teams whose members will do the work. 

Note:  After you publish a list, you can  make changes to the tasks but you can't make changes to the teams selected to receive those tasks.

Under  Drafts , select a task list, and then in the upper-right corner, select  Publish  or Publish series (if it's a recurring task list ). 

Choose how to select the recipient teams. You can select the teams from a hierarchy or upload a custom list of teams. Learn more about these options . The following steps show selection from a hierarchy.

To select all the teams within a branch of the hierarchy, select the check box next to it. For example, selecting "North America" selects all the locations in that region. 

To publish to only locations with certain attributes, select a filter. For example, to select all locations with a large layout, select the "Large" filter. In the example image, the task list will be published to all large stores in North America.

Choose whether to notify recipient teams.

Select  Next , and then review your publication plan. To make changes, select  Back .  

Select the  Ready, everything looks good here check box, and then choose  Publish . 

As soon as the publishing process begins, the task list moves from Drafts to Published to indicate that tasks are being sent and becoming visible to recipients. 

Task publishing can take a little while if there are a large number of tasks in your task list or if you select a large number of recipient teams. It’s okay to leave the publishing screen and come back later— the tasks will continue publishing in the background. 

When publishing is done, you'll see a message at the top of the  Publishing page indicating your tasks were successfully delivered.

Important:  If alert icons appear, select  View details  to help resolve the issues.

Edit tasks in a published list

You can edit tasks in a published list by putting the list into edit mode. When the list is in edit mode, you can update tasks in the list, delete tasks from the list, or add new tasks to the list. Changes aren't published to recipient teams until you select the  Publish changes  and confirm the summary. 

When you publish changes to a task in a published list, the values in the task fields in the updated task will overwrite the values of those task fields in each recipient team, with the exception that the status of the task isn’t reset. For this reason, we recommend editing a task in a published list when you want to clarify what needs to be done. If there's a correction that requires the task to be completed again even if it was completed per the previous task details, we recommend deleting the original task and creating a new one.

Under  Published , select the list you want to edit, and then choose Edit list .

When you're ready to publish the changes, select Publish changes in the upper-right corner to publish the changes to all the original recipient teams.   Alternatively, you can choose to cancel the edits you made, and the list will revert back to its previously published state.

Unpublish a list 

Caution:  Unpublishing a task list removes all tasks in the list from all teams that received them. They will lose all comments and any attachments they added.

If you need to unpublish a task list, it's best to do so as soon as possible to reduce the assignment and completion of tasks that are wiped out. An unpublished list moves to the Unpublished  section and can be duplicated but can't itself be republished.   

Confirm you want to unpublish the list, and then choose Unpublis h.

After the list appears under  Unpublished , you can delete it or duplicate it, edit the copy, and publish the edited copy.

 View reporting for published tasks

Track assignment and completion of published tasks.

After you publish a task list, you'll likely want to track teams' progress in assigning and/or completing the tasks you sent them. Select a list in the Published section. From here, you can view details for the published tasks in a few different ways. 

Note:  Users in your organization can view reporting for any team they're a part of. For example, a user who is part of the Store 100 team can view reporting for that location. A user who is part of Region 1 can see reporting for all locations reporting up to Region 1 in the hierarchy.

In either view, you can select any branch of the hierarchy to expand it or select any team to see the status for that specific team. To return to a high-level view after looking at the details, select the task list name that appears above the team name.

Note:  Everyone to complete lists (lists created using the For each team member option) show the reports in a slightly different presentation. These tasks are automatically assigned at creation time, so the report focuses on completion status.
