How to choose the best type of paper for your print job

Whether it’s a simple office notecard, business card or an eye-catching brochure to wow your customers, printing tasks call for different types of paper. White inkjet paper works well for day-to-day print jobs, but some projects — especially those delivered to clients — require special printing paper with a glossy finish or heavy-duty thickness.

Understanding the different types of printer paper will help your projects look their best. Then use our finish and paper weight guide to find the right kind of paper for any project.

Understanding different types of paper for printing

Not all paper is treated — or produced — equally. Before you choose the finish and weight for your project, find the best paper for the task. The most common types are:

• Cardstock: Cardstock printer paper is thicker than ordinary paper. Its thickness and durability mean it’s often used to create paper menus, postcards and invitations. Cardstock can be coated or uncoated, depending on the project
• Cardboard: Cardboard is made from unbleached wood pulp and consists of two smooth outer layers and one corrugated inner layer.  It’s a heavy-duty choice for shipping materials and tasks where durability outweighs appearances.
• Foam board: Foam board, or foam core, has a polystyrene core layered between two pieces of paper. Foam board is a popular choice for business professionals because it’s an inexpensive, lightweight and sturdy printer paper—perfect for presentations.

Coated vs. uncoated paper

A coated or uncoated finish contributes to the paper’s feel, texture and durability. Coated paper has a light layer of clay on the surface that sharpens images and details, with finishes ranging from matte to high gloss. It’s best for projects that require the colors and pictures to be crisp, or if you need a long-lasting and moisture-resistant paper that will keep the ink from bleeding.

Coated paper is most often used for:

• Product catalogs or magazines

Alternatively, uncoated paper doesn’t have a layer covering the natural fibers, making it more absorbent than coated sheets. It’s best for print jobs without images or if you need to write on the final product. Uncoated paper is most often used for:

• Stationery and envelopes

Choosing the right printer paper weight

Weight selections for printer paper are often displayed as numbers and hash symbols. The “#” symbol refers to how much each ream weighs in pounds. For example, an 80-pound ream of cover stock may be sold as “80# cover.” Cardstock paper weight is measured in points. Each point — such as 12 pt. or 16 pt. — represents the thickness in thousandths of an inch.

The right paper weight depends on your project. Typically, heavier paper is thicker and stiffer. Ask yourself these questions when considering your weight options:

• Do you need to fold the paper?
• Is your project several pages?
• Is it for internal communications or customer materials?
• Are you using a lot of saturated colors and graphics?

When to use heavier paper

Heavier reams are best when you need your printing project to be durable and less susceptible to rips and wrinkles. Heavy sheets hold up better to embossing or foil stamping, and sturdy printer paper feels more impressive than your run-of-the-mill sheet. Heavy reams are the best quality paper for printing for these projects:

• Business cards
• Every Door Direct Mail (EDDM)

When to keep it light

Thin, lightweight paper may not be as flashy, but it is sufficient for budget projects. Lighter reams of paper cost much less, especially when you buy in bulk. Plus, lightweight paper means lower shipping costs, so use thinner sheets for mail that doesn’t need to adhere to weight requirements. Ordinary printing assignments, like projects with high page counts, can also be printed on thinner paper.

Paper Weight Guide: How to Choose the Best Paper Weight for your Job

Paper weight is an important consideration for every print project, as it has a significant impact on the look, feel, and quality of the printed piece. However, understanding the sizes and weights of paper can be confusing. One of the top questions asked by prospective printing customers is, “How do I choose the best paper weight for printing?” At Printivity, our customer service representatives frequently advise our customers on our suggestions based on their specific print job.

We have found that having a good paper weight guide can help customers understand why we recommend a certain weight and make the best decision for their project. Here’s what you need to know before selecting the paper weight for a print project.

Different types of printing paper

Today’s commercial printing industry offers many different paper types and weights to choose from. These can range from basic Bond and Book types to Index, Cover, Text, and more. Printivity offers Text and Cover paper types of varying weights. We use the following for the majority of our customers’ print projects:

• 50/60/70 lb. Text Uncoated
• 80/100 lb. Text Gloss/Matte
• 70/90 lb. Cover Uncoated
• 70/90/100 lb. Cover Gloss/Matte
• 14/16pt Cardstock Semi-gloss

How paper weight is determined

Every good paper weight guide will discuss the various methods for specifying different paper weights and thicknesses. We have found it helpful to our customers to focus on the two most common:

• U.S. Basis Weight. This is defined as “the weight of 500 sheets of paper in its basic unit uncut size.” The weight is determined before the paper is cut to its final size, such as Letter or Legal.
• Metric weight. This refers to the actual weight of one sheet of paper cut 1 x 1 meter square. Always weighing the same size sheet provides a more uniform scale to judge a paper’s weight and thickness. The most common metric used here is GSM, or grams per square meter.

For customers looking for a more straightforward method, Printivity recommends the following approach.

The Simple Paper Weight Guide : How to Choose Paper for Printing

Step 1: choose the best paper weight according to the specifics of your print job..

Are you printing color copies or black and white copies ? Are you printing booklets , brochures , or invitations? Or, are you printing business cards/postcards? This will narrow down your decision-making to the best paper weights and types of paper commonly used for your print project.

Step 2: Think about whether you want a cardstock paper weight, or a non-cardstock paper weight

If our paper weight guides don’t help you find the right paper, think about whether cardstock or non-cardstock paper is better suited to your type of print project.

Cardstock is also known as “cover,” “index,” or “bristol.” Non-cardstock papers are called “text” or ”bond.” At Printivity, our “cover paper” is synonymous with “cardstock,” and non-cardstock is synonymous with “text weight.” This keeps things simpler for our customers.

Printing customers often obsess about the numbered paper weights (i.e., 24lb/60lb/80lb), but I typically tell them not to worry about that detail. First, decide what kind of paper you want – Cover or Text – and then move on to the next step.

Step 3: Choose a paper coating—glossy (coated), matte (coated), or uncoated

Each paper finish name is self explanatory, however they also have unique qualities that come with it. Uncoated paper has a natural finish that allows for most, if not all, kinds of writing instruments to be written on it. Gloss paper has coating that not only gives off a high shine, but also heightens the printed colors. Like Gloss paper, Matte sheets have a smooth finish but has a duller appearance.

When ordering prints that require someone to write on it, we recommend Uncoated finished paper. However, if you want your project to have a coated finish even though there are places to write on it, you should order Matte finished paper.

Step 4: Choose your numbered paper weight (i.e., the “basis weight”)

Remember what I was saying about numbered paper weights earlier? Customers often wonder about the basis weights FIRST, when they should be thinking about it LAST. When they think about basis weights first, they get confused between the difference between “70 lb. glossy cover” and “70 lb. glossy text”. (The cover paper is a cardstock, and is much thicker.)

But if you already know you want a “glossy cover,” and you only have to choose between two options, the decision of what to order becomes much easier. Do you want the thicker cover paper (100 lb. glossy cover) or the thinner cover paper (70 lb. glossy cover)?

Final thoughts for choosing the best paper weight for printing

Don’t allow yourself to get caught up in focusing on the numbered paper weights (the basis weights). Instead, focus on the kind of paper you want, and then choose the paper weights relatively. For example, if you know that 80 lb. glossy cover is the thinnest paper, and you want a thicker paper, then choose the thicker one!

Print Magic offers three types of Business Card Slit options -

Standard Horizontal Business Card Slits - This slit is on the top and bottom and comes with notched tabs that can hold a horizontally placed Business Card. These slits come with Presentation Folders that are sized 9" x 12”, 9.375" x 12”, and 9" x 14.5”.

Standard Vertical Business Card Slits - Similar to Horizontal Business Card Slits, these too come as notched tabs but are placed on the left and right to hold a vertically placed Business Card. These slits come with Presentation Folders that are sized 9" x 12”, 9.375" x 12”, and 9" x 14.5”.

Half Moon Business Card Slits - Two semi-circle slits are placed on the top and bottom to hold the Business Card in place. You can easily slide the card in and out as needed. These slits come with Custom Presentation Folders that are sized 6" x 9" or 4" x 9”.

Most standard Pockets inside Presentation Folders are 4” high in size as this size is perfect for holding multiple documents and papers in place without the Folder becoming too bulky. But you can get a 2.75” Pocket inside if you choose to print 6" x 9” Presentation Folders .

The Horizontal Business Card Slits are placed 2.5” from the center fold of the Folder, 1” from the top, and .75” from the bottom of the Pocket. Vertical slits are placed 3.25” from the outside cutline, .25” from the top and bottom of the Pockets, and 3.5” from the center fold.

Presentation Folders are printed on a flat sheet of paper and they are cut, folded, and glued together to be assembled after. There are three elements in making the required printing file set up - the outside design, the inside design, and the design on the Pockets.

Take the example of creating a standard 9" x 12” Presentation Folder -

The first design for your file will be for the outside front and back covers, as well as both the Pockets. The right side is the front cover while the left side design will be for the back cover. The top 12” in the length of the paper will constitute the cover design and the bottom 4” will be the Pockets.

If you do not want any printing on the inside of the Folder, you can skip this step. For adding the design inside, keep in mind that the top 8” will be the visible part for printing as the bottom 4” will be the added Pocket. It is advised that you stretch your design to 12” so that the inside of the Pocket is also printed and cover the whole sheet for a cohesive look.

Pocket Design -

As stated above, the Pocket design is printed along with the front cover design, and the paper is folded inwards to create the Pocket. The design should be printed inverted to show it on the Pocket properly. Keep in mind that these Folders need a diagonal die where the centerfold is. This could cut up to .625” at the farthest point on both sides. The best way to ensure all your elements fit inside the printing line is to keep them away from this cut line.
