Giving Effective Presentations

This handout will help you prepare and conduct an effective speech or presentations after you have already created a speech or presentation .

Before the presentation

Determine the type of speech delivery you are giving. The type of speech delivery influences the strategies you will use to practice the speech. The four types of speech delivery are:

  • Impromptu: A speech that has no advanced planning or practice.
  • Extemporaneous: The speaker prepares notes or an outline, with embellishment. This kind of speech allows the speaker to adapt to the audience’s reaction and sounds more natural and conversational than scripted speeches.
  • Manuscript: Reading a scripted speech word-for-word without any memorization.
  • Memorized: Memorizing a scripted speech to present without having to rely on reading the script.

When thinking about how you will deliver your speech, consider:

  • Articulation: Find the right pace for your speech in order to retain clarity and be easily understood by your audience.
  • Nonverbal communication: This can include posture, eye contact, facial expressions, and movement that can be used to reinforce or modify your speech.
  • Effective voice: Strive for a conversational, casual voice at a volume that your audience can comfortably hear even if they are listening from the back of the room or through a digital platform like Zoom.

Below are some simple steps to take in practicing for your speech or presentation:

  • Practice your stance: If you will be standing while presenting your speech, then practice while standing. If you’ll be seated, practice while seated. If you’ll be on Zoom, practice to see what stance will work for your camera.
  • Speak out loud: It can be tempting to recite quietly when preparing. But reciting your speech at a similar volume to the volume you will use to present in class is another effective method of practice.
  • Practice without looking at the text: Even if you are not required to memorize your speech or presentation, practicing without looking at your text to see if you lose your train of thought.
  • Make your script easy to read: If you are planning on reading your speech from a script or notecards, format the words to make them easy to reference while you are presenting. Try these formatting tips:
  • Use a large font (14 pt. or greater) for text and numbering your pages.
  • Leave blank lines between paragraphs or sentences so you can easily find your place.
  • Refrain from stapling pages together or printing double sided, which makes your pages more difficult to organize during the presentation.
  • Highlight words or lines that are important to you to ensure you deliver them during the presentation.
  • For in class speeches, copy down presenter notes on paper from any PowerPoint or presentation slides in order to refrain from staring at a screen during your presentation.
  • Record yourself and listen to the recording: Recording yourself provides a way for you to gain an outside perspective of your presentation. Create a list of items you want to improve upon for your next trial run and practice again.
  • Where did I have trouble speaking clearly and/or emphatically?
  • Did I stay within my time limit?
  • Do I feel the need to delete or edit anything?
  • At what point did I feel the most confident?
  • Practice in front of an audience: Grab a friend, group member, family member or make an appointment with an Academic Coach and recite your speech or presentation in front of another person. This will help you bounce ideas off of someone and give you the chance to practice in front of people with whom you feel comfortable. For Zoom presentations, go through the mechanics of an actual Zoom rehearsal with another person. This may involve additional steps of preparing the physical space, such as lighting, tidying up, and setting the scene that will be viewable by the audience.
  • Try the Wonder Woman pose: It may feel funny, but some studies suggest that standing with your legs apart, hands on your hips, and chest out (much like Wonder Woman) for two minutes before a stressful event can build feelings of confidence.

When it comes to the day of the presentation, it is natural to experience feelings of nervousness or anxiety, but remember you have practiced for this presentation and be confident in what you have accomplished. Here are some tips on how to calm nerves in the moment and manage anxiety:

  • Arrive prepared: Make sure you have everything you need to give the presentation. Using your computer? Make sure it’s charged. Are you reading off a script or notecards? Pack them with your things the night before. If you’re presenting online, see our tips for using Zoom .
  • Breathing exercises: Try 4-7-8 breathing to slow down and calm the mind and body. Inhale quietly through your nose to the count of four; hold your breath to the count of seven; exhale with sound through your mouth to the count of eight.
  • Maintain eye-contact. This will help you stay engaged with your audience and hold their attention during the speech. The goal is to make eye contact or maintain the illusion of eye-contact with members in the audience at all times you are speaking to them. An effective strategy for maintaining eye contact is to shift your focus between different areas of the audience (room) every few seconds. On Zoom, you can look at your camera to simulate the appearance of eye contact for the audience rather than looking at the faces on the screen.
  • Moving through transitions. For instance, stand firm when delivering a point, move to a separate place as you transition to another point, and stand firm when delivering your second point).
  • Stepping forward when delivering a key takeaway message.
  • Walking toward the audience during a participatory part of your presentation, for instance, a Q&A session.
  • Knowing your audience
  • Pacing yourself
  • Using a sense of humor
  • Starting off strong
  • Asking questions or use anecdotes to peak interest

Simplify Complex Data: If you’re presenting complex or dense data, make sure to simplify it for your audience. Use percentages, comparisons, or visual aids like infographics or charts to make the data easily understandable.

This will depend on the type of presentation (if it is persuasive presentation, informative presentation or a presentation for entertaining the audience), but in general terms, when presenting we need to:

  • Capture the audience’s attention
  • Present information, opinions, ideas to the audience.

13 Presentation Aids

A Picture is Worth a Thousand Words

In this chapter . . .

Most public speeches given today are supplemented by presentation aids. While these can be useful in providing a visual element and helping clarify speech, if used poorly they can be more distracting. In this chapter we cover both technological presentation aids such as slide shows as well as other less conventional methods.

When you perform a speech, your audience members will experience your presentation through all five of their senses: hearing, vision, smell, taste, and touch. In some speaking situations, the speaker appeals only to the sense of hearing. But the speaking event can be greatly enriched by appeals to the other senses. This is the role of presentation aids.

Presentation aids are the resources beyond the speech words and delivery that a speaker uses to enhance the message conveyed to the audience. The type of presentation aids that speakers most typically make use of are visual aids: slideshows, pictures, diagrams, charts and graphs, maps, and the like. Audible aids include musical excerpts, audio speech excerpts, and sound effects. A speaker may also use fragrance samples or food samples as olfactory (sense of smell) or gustatory (sense of taste) aids. Finally, presentation aids can be three-dimensional objects, animals, and people.

When used correctly, presentation aids can significantly improve the quality of a speech performance.

Why Use Presentation Aids

Public speakers can deploy presentation aids for many useful reasons, including to highlight important points, clarify confusing details, amuse the audience, express emotions that are impossible to convey through words alone, and much more.

Presentation Aids Support Audience Understanding

As a speaker, your most basic goal is to help your audience understand your message. Presentation aids can reduce the possibility of misunderstanding. Presentation aids do this by clarifying or emphasizing what you are saying in your speech.

Clarification is important in a speech because if some of the information you convey is unclear, your listeners will come away puzzled or possibly even misled. Presentation aids can help clarify a message if the information is complex or if the point being made is a visual one.

Clarifying is especially important when a speaker wants to help audience members understand a visual concept. For example, if a speaker is talking about the importance of petroglyphs in Native American culture, just describing the petroglyphs won’t completely help your audience to visualize what they look like. Instead, showing an example of a petroglyph, as in Figure 1.1 (“Petroglyph”) can more easily help your audience form a clear mental image of your intended meaning.

Another way presentation aids improve understanding is through emphasis. When you use a presentational aid for emphasis, you impress your listeners with the importance of an idea. In a speech on rising levels of CO2, you might show a chart. When you use a chart like the one in Figure 1.2 (“Global CO2 Emissions”) you give a pictorial emphasis on the changes in levels of CO2.

Presentation Aids Help Retention and Recall

Presentation aids can also increase the audience’s chances of remembering your speech. An image can serve as a memory aid to your listeners. Moreover, people remember information that is presented in sequential steps more easily than if that information is presented in an unorganized pattern. When you use a presentation aid to display the organization of your speech (such as can be done with PowerPoint slides), you’ll help your listeners to observe, follow, and remember the sequence of information you conveyed to them. This is why some instructors display a lecture outline for their students to follow during class and why a slide with a preview of your main points can be helpful as you move into the body of your speech.

Another advantage of using presentation aids is that they can boost your memory while you’re speaking. Using your presentation aids while you rehearse your speech will familiarize you with the association between a given place in your speech and the presentation aid that accompanies that material.

Presentation Aids Add Variety and Interest

Furthermore, presentation aids simply make your speech more interesting. For example, wouldn’t a speech on varieties of roses have greater impact if you accompanied your remarks with a picture of each rose? Similarly, if you were speaking to a group of gourmet cooks about Indian spices, you might want to provide tiny samples of spices that they could smell and taste during your speech.

Presentation Aids Enhance a Speaker’s Credibility

Even if you give a good speech, you run the risk of appearing unprofessional if your presentation aids are poorly executed. Conversely, a high-quality presentation will contribute to your professional image. This means that in addition to containing important information, your presentation aids must be clear, uncluttered, organized, and large enough for the audience to see and interpret correctly. Misspellings and poorly designed presentation aids can damage your credibility as a speaker. If you focus your efforts on producing presentation aids that contribute effectively to your meaning, that look professional, and that are managed well, your audience will appreciate your efforts and pay close attention to your message.

Types of Presentation Aids

Slideshow: When we think of public speaking presentation aids, our thoughts go first to a slideshow. Slide presentation software is the most common tool used by speakers to accompany their speeches. The most well-known one is PowerPoint, although there are several others like Prezi and Keynote. A slideshow is a presentation aid that is made up of slides that typically contain words, images, or a combination of both.

Video: A speaker may wish to show the audience a clip of a video or other moving image in their speech. This can be played stand-alone or incorporated into a slideshow.

Music or Sound: Similarly, sound and music can be used as a presentation aid, recorded or live. Similarly, a sound recording could be played stand-alone or incorporated into a slideshow.

Physical Objects: A speaker may bring in a model, or other physical object, as an aid to presentation. For example, if you were doing a speech about the importance of emotional support animals, you might bring in a dog.

People: It is possible to use a person as a presentation aid, as in the case of demonstrations.

Other Aids: Other “low-tech” presentation aids include printed handouts, whiteboards, and flipcharts.

The sections that follow will discuss each of these types in more depth.

Designing Slideshows

In many industries and businesses, there is an assumption that speakers will use presentation slideshows. They allow visualization of concepts, they are easily portable, and they can be embedded with videos and audio. You’ll probably be expected to have slide presentations in future assignments in college. Knowing how to use them, beyond the basic technology, is vital to being a proficient presenter.

But when do presentation slides become less effective? We have all sat through a presenter who committed the common error of putting far too much text on the slide. When a speaker does this, the audience is confused—do they read the text or listen to the speaker? An audience member can’t do both. Then, the speaker feels the need to read the slides rather than use PowerPoint for what it does best, visual reinforcement and clarification.

We have also seen many poorly designed PowerPoint slides, either through haste or lack of knowledge: slides where the graphics are distorted (elongated or squatty), words and graphics not balanced, text too small, words printed over photographs, garish or nauseating colors, or animated figures left up on the screen for too long and distracting the audience.

There are principles you can follow to create slides and slideshows that are effective. In addition to the rules below, Microsoft offers tips on best practices for PowerPoint slides.

Unity and Consistency

Generally, it’s best to use a single font for the text on your visuals so that they look like a unified set. Or you can use two different fonts in consistent ways, such as having all headings and titles in the same font and all bullet points in the same font. Additionally, the background should remain consistent.

Each slide should have one message, often only one photo or graphic. The audience members should know what they are supposed to look at on the slide.

Another area related to unity and consistency is the use of animation or movement. There are three types of animation in slideshows:

  • little characters or icons that have movement. These may seem like fun, but they can be distracting.
  • movement of text or objects on and off the screen. Although using this function takes up time when preparing your slides, it’s very useful. You can control what your audience sees. It also avoids bringing up all the text and material on a slide at one time.
  • slide transitions, which is the design of how the next slide appears.

Emphasis, Focal Point, and Visibility

Several points should be made about how to make sure the audience sees what they need to see on the slides.

  •  make sure the information is large enough for the audience to see. Text being at least 22-point font is best for visibility.
  • the standard rule for amount of text is that you should have no more than seven horizontal lines of text and the longest line should not exceed seven words.
  • you should also avoid too many slides. Less sometimes really is more. Again, there is no fixed rule, but a ten-minute speech probably needs fewer than ten slides.
  • Good contrast between the text and background is extremely important. Sans serif fonts such as Arial, Tahoma, and Verdana are better for reading from screens than serif fonts such as Times New Roman, or Garamond.

Fonts, color, clip art, photographs, and templates all contribute to tone, which is the attitude being conveyed in the slides. If you want a light tone, such as for a speech about cruises, some colors (springtime, pastel, cool, warm, or primary colors) and fonts (such as Comic Sans) and lots of photographs will be more appropriate. For a speech about the Holocaust, more somber colors and design elements would be more fitting, whereas clip art would not be.

Scale and Proportion

Although there are several ways to think about scale and proportion, we will discuss two here.

First, bullet points. Bullet points infer that the items in the bulleted list are equal, and the sequence doesn’t matter. If you want to communicate order, sequence, or priority, then use numbers. Bullet points should be short—not long, full sentences—but at the same time should be long enough to mean something. In a speech on spaying and neutering pets, the bullet point “pain” may be better replaced with “Pet feels little pain.”

Second, when you’re designing your slides, it’s best to choose a template and stick with it. If you input all your graphics and material and then change the template, the format of the slide will change, in some cases dramatically, and you’ll have distorted graphics and words covered up. You’ll then have to redesign each slide, which can be unnecessarily time-consuming.

Suitable Visual Images

Often, a speaker alternates text slides with slides containing visual images. Sometimes, a slideshow is made up entirely of images. Let’s look at the kinds of images you might use in a slideshow.

Charts : A chart is commonly defined as a graphical representation of data (often numerical) or a sketch representing an ordered process. Whether you create your charts or do research to find charts that already exist, it’s important for them to exactly match the specific purpose in your speech. Three common types of charts are statistical charts , sequence-of-steps chart , and decision trees . Graphs : A graph is a pictorial representation of the relationships of quantitative data using dots, lines, bars, pie slices, and the like. Common graphs speakers utilize in their speeches include line graphs, bar graphs, pie graphs, and pictographs. Diagrams: Diagrams are drawings or sketches that outline and explain the parts of an object, process, or phenomenon that can’t be readily seen. Maps : Maps are extremely useful if the information is clear and limited. There are all kinds of maps, including population, weather, ocean current, political, and economic maps. Photographs: and/or Drawings : Sometimes a photograph or a drawing is the best way to show an unfamiliar but important detail. Audiences expect high quality photographs, and as with all presentation aids, they should enhance the speech.

Using Video and/or Audio Recordings

Another particularly useful type of presentation aid is a video or audio recording. Whether it’s a short video from a website such as YouTube or Vimeo, a segment from a song, or a piece of a podcast, a well-chosen video or audio recording may be a good choice to enhance your speech.

There is one major warning to using audio and video clips during a speech: don’t forget that they are supposed to be aids to your speech, not the speech itself. Be sure to avoid these five mistakes that speakers often make when using audio and video clips:

  • Avoid choosing clips that are too long for the overall length of the speech.
  • Practice with the audio or video equipment prior to speaking. Fiddling around will not only take your audience out of your speech but also have a negative impact on your credibility. Be sure that the speakers on the computer are on and at the right volume level.
  • Cue the clip to the appropriate place prior to beginning your speech.
  • In addition to cueing up clip to the appropriate place, the browser window should be open and ready to go.
  • The audience must be given context before a video or audio clip is played, specifically what the clip is and why it relates to the speech. At the same time, the video should not repeat what you have already said but add to it.

Objects or Models

Objects refer to anything you could hold up and talk about during your speech, as in Figure 1.3. If you’re talking about the importance of not using plastic water bottles, you might hold up a plastic water bottle and a stainless-steel water bottle as examples.

We can often use ourselves or other people to adequately demonstrate an idea during our speeches. If your speech is about ballroom dancing or ballet, you might use your body to demonstrate the basic moves in the cha-cha or the five basic ballet positions.

In some cases, such as for a demonstration speech, you might want to ask someone else to serve as your presentation aid. You should arrange ahead of time for a person (or persons) to be an effective aid—don’t assume that an audience member will volunteer on the spot. The transaction between you and your human presentation aid must be appropriate, especially if you’re going to demonstrate something like a dance step. In short, make sure your helper will know what is expected of them and consents to it.

Other Types of Presentation Aids

Dry-erase board.

Numerous speakers utilize dry-erase boards effectively. Typically, these speakers use the dry-erase board for interactive components of a speech. For example, maybe you’re giving a speech in front of a group of executives. You may have a PowerPoint all prepared, but at various points in your speech you want to get your audience’s responses.

If you ever use a chalk or dry-erase board, follow these four simple rules:

  • Write large enough so that everyone in the room can see.
  • Print legibly; don’t write in cursive script.
  • Write short phrases; don’t take time to write complete sentences.
  • Be sure you have markers that will not go dry; clean the board afterward.

A flipchart is useful for situations when you want to save what you have written for future reference or to distribute to the audience after the presentation. As with whiteboards, you’ll need good markers and readable handwriting, as well as a strong easel to keep the flipchart upright.

Handouts are appropriate for delivering information that audience members can take away with them.

  • make sure the handout is worth the trouble of making, copying, and distributing it. Does the audience really need the handout?
  • make sure to bring enough copies of the handout for each audience member to get one.
  • Stay away from providing a single copy of a handout to pass around. It’s distracting and everyone will see it at different times in the speech, which is also true about passing any object around the room.
  • If you have access to the room ahead of time, place a copy of the handout at or on each seat in the audience. If the handout is a “takeaway,” leave it on a table near the door so that those audience members who are interested can take one on their way out.

How to Perform with Presentation Aids

Just as everything else in public speaking performance, it takes practice to effectively perform a speech while seamlessly incorporating presentation aids. Below are some tips and tricks for how to include presentation aids as part of a strong speech delivery.

Speaking with a Slide Presentation

The rhythm of your slide presentation should be reasonably consistent—you would not want to display a dozen different slides in the first minute of a five-minute presentation and then display only one slide per minute for the rest of the speech.

Whether using a remote “clicker” or the attached mouse, you should connect what is on the screen to what you’re talking about at the moment. Put reminders in your notes about when you need to change slides during your speech.

A basic presentation rule is to only show your visual aid when you’re talking about it and remove it when you no longer are talking about it. If you’re using PowerPoint and if you’re not talking about something on a slide, put a black slide between slides in the presentation so that you have a blank screen for parts of the speech.

Some other practical considerations are as follows:

  • Be sure the file is saved in a format that will be “readable” on the computer where you’re presenting.
  • Any borrowed graphic must be cited on the slide where it’s used; the same would be true of borrowed textual material. Putting your sources only on the last slide is insufficient.
  • A strong temptation for speakers is to look at the projected image rather than the audience during the speech. This practice cuts down on eye contact, of course, and is distracting for the audience. Two solutions for that are to print your notes from the presentation slides and/or use the slides as your note structure. Also remember that if the image is on the computer monitor in front of you, it’s on the screen behind you.
  • Always remember—and this can’t be emphasized enough—technology works for you, not you for the technology. The presentation aids are aids, not the speech itself.
  • As mentioned before, sometimes life happens—technology does not work. It could be that the projector bulb goes out or the Internet connection is down. The show must go on.
  • If you’re using a video or audio clip from an Internet source, it’s probably best to hyperlink the URL on one of the slides rather than minimize the program and change to the Internet site.
  • Finally, it’s common for speakers to think “the slide changes, so the audience know there is a change, so I don’t need a verbal transition.” Please don’t fall into this trap. Verbal transitions are just as, and maybe more, necessary for a speech using slides.
  • Do not obscure your visual aid– practice standing to the side of your aid when rehearsing.
  • Remember to keep eye contact with the audience, even when referring to a visual aid. Certainly, never turn your back on the audience!
  • Rehearse with your visual aids. You want to have transitions between showing and hiding visual aids to be seamless, with as little filler time or distractions as possible. Practice makes perfect in this regard.
  • As will be mentioned again below: simplicity is key. Avoid anything too distracting, too complicated, anything that will take a lot of time away from your speech content. You always want aids to supplement, not supplant, your speech content and delivery.

Avoiding Problems with Presentation Aids

Presentation aids can be tricky to use, as they can easily distract from the focus of your speech: the content and your delivery. One tip to keep in mind is to use only as many presentation aids as necessary to present your message or to fulfill your classroom assignment. The number and the technical sophistication of your presentation aids should never overshadow your speech.

Another important consideration is technology. Keep your presentation aids within the limits of the working technology available to you. As the speaker, you’re responsible for arranging the things you need to make your presentation aids work as intended. Test the computer and projector setup. Have your slides on a flash drive AND send it to yourself as an attachment or upload to a Cloud service. Have an alternative plan prepared in case there is some glitch that prevents your computer-based presentation aids from being usable. And of course, you must know how to use the technology.

More important than the method of delivery is the audience’s ability to see and understand the presentation aid. It must deliver clear information, and it must not distract from the message. Avoid overly elaborate or confusing presentation aids. Instead, simplify as much as possible, emphasizing the information you want your audience to understand. Remember the acronym KISS: Keep it Simple, Speaker!

Another thing to remember is that presentation aids don’t “speak for themselves.” When you display a visual aid, you should explain what it shows, pointing out and naming the most important features.

To finish this chapter, we will recap and remind you about the principles of effective presentation aids. Whether your aid is a slide show, object, a person, or dry erase board, these standards are essential:

  • Presentation aids must be easily seen or heard by your audience.
  • Presentation aids must be portable, easily handled, and efficient.
  • Presentation aids should disappear when not in use.
  • Presentation aids should be aesthetically pleasing, which includes in good taste. Avoid shock value just for shock value.

Public Speaking and Presentations: Tips for Success

This resource includes tips and suggestions for improving your public speaking skills.

Even if you’ve never spoken in front of a large group before, chances are you will encounter public speaking sometime during your life. Whether you’re giving a presentation for your classmates or addressing local politicians at a city council meeting, public speaking allows you to convey your thoughts and feelings in clear ways. Having the right tools can prepare you for successful public speaking and equip you with high-quality communication skills.

Know Your Audience

Different audiences require different modes of public speaking. How you address a room full of preschoolers will vary from how you address a group of professors at an academic conference. Not only will your vocabulary change, but you might alter your pacing and tone as well.

Knowing your audience also helps you decide the content of your speech. For example, if you’re presenting research to a group of scientists, you might not need to define all your scientific language. However, if you present that same research to a group of individuals who are unfamiliar with your scientific field, you may need to define your terms or use simpler language.

Recognizing the extent to which your audience is familiar with your topic helps you center your presentation around the most important elements and avoid wasting time on information your audience either 1) already knows or 2) does not need to know for the purpose of your speech.

Knowing your audience also means tailoring your information to them. Try to keep things straight and to the point; leave out extraneous anecdotes and irrelevant statistics.

Establish Your Ethos and Feel Confident in Your Subject

It’s important to let your audience know what authority you have over your subject matter. If it’s clear you are familiar with your subject and have expertise, your audience is more likely to trust what you say.

Feeling confident in your subject matter will help establish your ethos. Rather than simply memorizing the content on your PowerPoint slides or your note cards, consider yourself a “mini expert” on your topic. Read up on information related to your topic and anticipate questions from the audience. You might want to prepare a few additional examples to use if people ask follow-up questions. Being able to elaborate on your talking points will help you stay calm during a Q & A section of your presentation.

Stick to a Few Main Points

Organizing your information in a logical way not only helps you keep track of what you’re saying, but it helps your audience follow along as well. Try to emphasize a few main points in your presentation and return to them before you conclude. Summarizing your information at the end of your presentation allows your audience to walk away with a clear sense of the most important facts.

For example, if you gave a presentation on the pros and cons of wind energy in Indiana, you would first want to define wind energy to make sure you and your audience are on the same page. You might also want to give a brief history of wind energy to give context before you go into the pros and cons. From there, you could list a few pros and a few cons. Finally, you could speculate on the future of wind energy and whether Indiana could provide adequate land and infrastructure to sustain wind turbines. To conclude, restate a few of the main points (most likely the pros and cons) and end with the most important takeaway you want the audience to remember about wind energy in Indiana.

Don't be Afraid to Show Your Personality

Delivering information without any sort of flourish or style can be boring. Allowing your personality to show through your speaking keeps you feeling relaxed and natural. Even if you’re speaking about something very scientific or serious, look for ways to let your personality come through your speech.

For example, when Jeopardy! host Alex Trebek announced in March of 2019 that he had stage 4 pancreatic cancer, he still let his trademark dignity and professionalism set the tone for his address. He began his announcement by saying “it’s in keeping with my long-time policy of being open and transparent with our Jeopardy! fan base.” Later, he joked that he would need to overcome his illness in order to fulfill his contract, whose terms required him to host the show for three more years. Though the nature of Trebek's announcement could easily have justified a grim, serious tone, the host instead opted to display the charm that has made him a household name for almost thirty-five years. In doing so, he reminded his audience precisely why he is so well-loved.

Use Humor (When Appropriate)

Using humor at appropriate moments can keep your audience engaged and entertained. While not all occasions are appropriate for humor, look for moments where you can lighten the mood and add some humor.

For example, just two months after the assassination attempt on Ronald Reagan, Reagan was in the middle of giving a speech when a balloon loudly popped while he was speaking. Reagan paused his speech to say “missed me,” then immediately continued speaking. This off-the-cuff humor worked because it was appropriate, spontaneous, and did not really distract from his message.

Similarly, at the end of his final White House Correspondents Dinner, Barack Obama concluded his speech by saying “Obama out” and dropping the mic. Once again, the humor did not distract from his message, but it did provide a light-hearted shift in his tone.  

Don't Let Visual Aids Distract From Your Presentation

Visual aids, such as PowerPoints or handouts, often go alongside presentations. When designing visual aids, be sure they do not distract from the content of your speech. Having too many pictures or animations can cause audience members to pay more attention to the visuals rather than what you’re saying.

However, if you present research that relies on tables or figures, having many images may help your audience better visualize the research you discuss. Be aware of the ways different types of presentations demand different types of visual aids.

Be Aware of Your Body Language

When it comes to giving a presentation, nonverbal communication is equally as important as what you’re saying. Having the appropriate posture, gestures, and movement complement the spoken element of your presentation. Below are a few simple strategies to make you appear more confident and professional.

Having confident posture can make or break a presentation. Stand up straight with your shoulders back and your arms at your sides. Slouching or crossing your arms over your chest makes you appear smaller and more insecure. However, be sure you’re not too rigid. Just because you’re standing up tall does not mean you cannot move around.

Eye contact

Making eye contact with your audience not only makes them feel connected to you but it also lets you gauge their response to you. Try to look around the room and connect with different audience members so you’re not staring at the same people the whole time. If you notice your audience starting to nod off, it might be a good time to change your tone or up your energy. 

Avoid distracting or compulsive gestures

While hand gestures can help point out information in a slide or on a poster, large or quick gestures can be distracting. When using gestures, try to make them feel like a normal part of your presentation.

It’s also easy to slip into nervous gestures while presenting. Things like twirling your hair or wringing your hands can be distracting to your audience. If you know you do something like this, try to think hard about not doing it while you’re presenting.

Travel (if possible)

If you are presenting on a stage, walking back and forth can help you stay relaxed and look natural. However, be sure you’re walking slowly and confidently and you’re using an appropriate posture (described above). Try to avoid pacing, which can make you appear nervous or compulsive.

Rehearse (if Possible)

The difference between knowing your subject and rehearsing comes down to how you ultimately present your information. The more you rehearse, the more likely you are to eliminate filler words such as like and um . If possible, try practicing with a friend and have them use count the filler words you use. You can also record yourself and play back the video. The more you rehearse, the more confident you will feel when it comes time to actually speak in front of an audience.

Finally, Relax!

Although public speaking takes time and preparation, perhaps one of the most important points is to relax while you’re speaking. Delivering your information in a stiff way prevents you from appearing natural and letting your personality come through. The more relaxed you feel, the more confident your information will come across.

How can you create persuasive presentations that help you connect with your target audience? Here's a five-step model I call the TEMPTaction model. It's created based on an understanding of persuasion, great public-speaking delivery and communication principles. Let's take a deeper look.

The first "T" in TEMPTaction stands for touch . This doesn't mean you need to physically reach out and touch your customers -- it means you need to metaphorically touch them with your communication. People make decisions based on emotion. If there's no emotional connection, they're not likely to act. If they don't see your reasoning or a need to act, people won't decide.

Another way to think of touch is to think of hugging people with your words. You need to communicate in a way that makes people feel embraced by your message. They need to feel engaged listening to you, they need to trust you and they need to be able to take comfort in what you're saying. When people are relaxed and not on guard, they're more likely to be open to your messaging and your requests for action.

This metaphorical idea of touch is often best demonstrated by tying in analogies, metaphors and storytelling, and by making a direct connection to a person's life or situation. And the bigger your audience is, the more important it is to think of the common communication denominators. This way you're letting each audience member decide for themselves how to relate to your content, and they can pull in an experience from their life to make that connection. Let me share a story about a persuasive conversation that made a meaningful connection to me (and my bank account).

I've talked to a handful of financial planners in my life, and the one I chose is the person who sat me down in a room and asked, "Jill, what does money mean to you?"

"What do you mean?" I asked.

"Let's pretend you had all the money you needed to take care of all your bills, pay off the house, pay your health expenses, etc. Let's say you didn't have to stress about money in this way. What does money mean to you?"

With my response, we started a conversation about how I like to give back to the community, my philanthropic activities and projects I'd like to do that money would allow me to execute. We talked about how I want to travel more and take at least one longer inter­national vacation each year.

Unlike other planners I'd spoken to, he didn't have me look at money in the past or money in the future -- in terms of where I'd like to end up during retirement, or what I need to leave behind after death (not such a pleasant thought). Instead, he first wanted to get a solid understanding of what money meant to me in my life. He made a personal and emotional connection.

From that, he was able to assess my values. Based on those values, he prescribed what he thought was the appropriate amount of risks for my investments, etc., which is what a financial planner does. But he did it with my personal goals in mind.

What he did that caught my attention was make it personal. He demonstrated that he really cared about what money enables me to do in my life. Instead of simply saying, "What number do you want to reach?" he positioned the goal in a different way: "Let's say you reach that number: What is that going to look like, and how is that going to manifest in your life?" That was much more personal than, "Oh, we'll get you to a million dollars by the time you're 40."

Instead, he focused on the value it would bring, the benefits and results that would come from reaching a monetary goal. He posi­tioned it as "Here's what it's going to enable you to do," and that was more important for me.

That is a prime example of hugging with words, and of providing the metaphorical touch in a persuasive presentation or conversation.

Eye contact

The "E" in TEMPTaction stands for eye contact . Eye contact is the number-one conveyor of honesty in the United States. If you're going to persuade somebody to act, you have to establish a comfortable rapport with your eyes. If somebody doesn't trust you, or feels you're being dishonest, they're not going to act, decide or buy. If you're communicating via video, natural eye contact is also important.

The "M" stands for movement . You need to incorporate movement into your speech or presentation if you want to persuade people. Movement isn't only about the physical space and positioning of the body, but also the idea of moving people from one point to another. You must demonstrate that your product or service can move someone from their current position to a better position. When your request has that capability to move someone to a better position, or change the status quo in a positive way, it's more likely to produce an action. If you've already established a solid sense of touch, this movement will be more about the information and executory practices of your proposal.

In a physical sense, when it comes to your delivery, movement means you're transitioning your body through space with a purpose. You're not interacting with slides or other presentation tools. You've eliminated nonverbal barriers, such as podiums, conference tables or inappropriate use of a power stance (like standing to give a presentation when there are only five other people in the room). You're using movement to transition your audience from point to point. Your stance shifts in major transitions. You use your body to gesture and indicate different aspects of the presentation. Your movements have a purpose, and aren't just flighty, twitchy or nervous jitters.

Paralanguage

The "P" stands for paralanguage , which is everything other than your words and presentation. This is your rate, tone, and pitch. The rate is the speed at which you speak. The tone is the relative volume of your voice -- are you loud or soft? The pitch is the natural highness or lowness of your voice -- think high notes and low notes.

People need to feel an emotional connection between you, your product and their situation in order to act. If you want to drive people to action and your business, you need to make sure your voice conveys emotion. This also applies to text-based communication.

Let's go back more than a decade to when I did my graduate research on how people expressed nonverbal communica­tion and paralanguage in written messages online. It was one of the first works published about the use of signifiers in online and computer-mediated communication. The idea that one could nonver­bally communicate without being visually or auditorially present was rejected by many academics at the time.

I argued that paralanguage, in terms of written messaging, is demonstrated with the use of signifiers and emoticons (those things we now call emojis). Signifiers are the changes you make to text, such as boldface, italics, bulleted lists and appropriate use of white space. The use of these communicates nonverbally through text.

See? These persuasive strategies can apply to any communication -- written or spoken.

The final "T" stands for training . This is where you practice your delivery, get feedback from relevant audiences and implement that feedback and change into your next iteration. This is also where you use activities to practice your presentation, such as audio and video recordings.

When it comes to persuasive communication, training also involves gathering data on the success of your presentations and conversion rates. Did you get the actions you intended?

Speech transitions: words and phrases to connect your ideas

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant.

This can be done using speech transitions because these act as signposts to the audience – signalling the relationship between points and ideas. This article explores how to use speech transitions in presentations.

What are speech transitions?

Speech transitions are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

This makes it easier for the audience to understand your argument and without transitions the  audience may be confused  as to how one point relates to another and they may think you’re randomly jumping between points.

Types of transitions

Transitions can be one word, a phrase or a full sentence – there are many different types, here are a few:

Introduction

Introduce your topic:

  • We will be looking at/identifying/investigating the effects of…
  • Today I will be discussing…

Presentation outline

Inform the audience of the structure of your presentation:

  • There are three key points I’ll be discussing…
  • I want to begin by…, and then I’ll move on to…
  • We’ll be covering… from two points of view…
  • This presentation is divided into four parts…

Move from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shift between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Presentation transitions at a meeting

You can  move your body  and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.

Transition to another speaker

In a  group presentation  you must transition to other speakers:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Gayle will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Gayle”.
  • The next speaker should acknowledge this with a quick: “Thank you Simon.”

From these examples, you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

You can  tell personal stories  or share the experiences of others to introduce a point. Anecdotes are especially valuable for your introduction and between different sections of the presentation because they engage the audience. Ensure that you plan the stories thoroughly beforehand and that they are not too long.

Using questions

You can transition through your speech by asking questions and these questions also have the benefit of engaging your audience more. There are three different types of questions:

Direct questions require an answer: “What is the capital of Italy?” These are mentally stimulating for the audience.

Rhetorical questions  do not require answers, they are often used to emphasises an idea or point: “Is the Pope catholic?

Loaded questions contain an unjustified assumption made to prompt the audience into providing a particular answer which you can then correct to support your point: You may ask “Why does your wonderful company have such a low incidence of mental health problems?”.

The audience will generally answer that they’re happy. After receiving the answers you could then say “Actually it’s because people are still unwilling and too embarrassed to seek help for mental health issues at work etc.”

Transition to a visual aid

If you are going to introduce a visual aid you must prepare the audience with what they’re going to see, for example, you might be leading into a diagram that supports your statement. Also, before you  show the visual aid , explain why you’re going to show it, for example, “This graph is a significant piece of evidence supporting X”.

Using a visual aid to transition

Visual aids can also be used as transitions and they have the benefit of being stimulating and breaking-up vocal transitions.

You might have a slide with just a picture on it to signify to the audience that you’re moving on to a new point – ensure that this image is relevant to the point. Many speakers like to use cartoons for this purpose but ensure its suitable for your audience.

Always summarise your key points first in the conclusion:

  • Let’s recap on what we’ve spoken about today…
  • Let me briefly summarise the main points…

And then conclude:

If you have a shorter speech you may choose to  end your presentation  with one statement:

  • In short…
  • To sum up…
  • In a nutshell…

However, using statements such as “To conclude” may cause the audience to stop listening. It’s better to say:

Requesting the audience to do something at the end of the presentation:

  • You may be thinking how can I help in this matter? Well…
  • My aim is to encourage you to go further and…
  • What I’m requesting of you is…

Common mistakes

When transitions are used poorly you can annoy and confuse the audience. Avoid:

  • Using transitions that are too short – transitions are a key part of ensuring the audience understands your presentation so spend sufficient time linking to your next idea.
  • Too many tangents – any digressions should still be relevant to the topic and help the audience with their understanding, otherwise cut them out.
  • Incompatible transitions – for example, if you’re about to introduce an example that supports your statement you wouldn’t introduce this by saying “but”. Use transitions that signify the relationship between points.
  • Over-using the same transition because this is boring for the audience to hear repeatedly. Ensure that there is variety with your transitions, consider including visual transitions.
  • Miscounting your transitions – for example, don’t say “first point”, “second point”, “next point” – refer to your points consistently.

Speech transitions are useful for unifying and connecting your presentation. The audience are more likely to remain engaged since they’ll be able to follow your points. But remember that it’s important to practice your transitions beforehand and not just the content of your arguments because you risk looking unprofessional and confusing the audience if the presentation does not flow smoothly.

One of the first that comes to mind when we think of Model United Nations is the speeches. Often, an image that comes to mind is of us as world leaders, standing in front of the stone podium with the UN logo in front of the General Assembly. However, just as often, is that realization that, while we are happy to swim with sharks, skydive and take a calculus exam, we may be very afraid of giving a speech in front of our peers. Others, who have less fear public speaking, still want to improve their craft and make their speech maximally effective. Whether it’s getting over anxiety to complete the sixty-second speech, or working to make sure the audience gasps, or claps, exactly when you want them to, understanding public speaking is of key importance to maximize your Model UN speeches.

This article is about how to speak and maximize the presentation side of public speaking. Whether you are in a GA Committee like DISEC, SOCHUM or SPECPOL with two hundred other delegates and only nine-five speeches throughout three days or in a MUN Security Council or Crisis Cabinet with fifteen or ten people respectively, effective public speaking is very important to get across your message. The following article will focus on public speaking skills essential to a good Model UN public speaker as well as a list of the bad habits we need to unlearn to truly master public speaking.

20 Public Speaking Skills Every Model UN Delegate Must Have

1. practice does not make perfect.

Good communication is never perfect, and no other delegates will expect an absolutely perfect speech. However, putting in the requisite time to write, practice and prepare will help you deliver a much better speech. You may not shake your nerves entirely, but you can learn to minimize them with your speech written and rehearsed along with a good understanding of the topic that your committee will be discussing.

2. Let Your Personality Come Through

Be yourself. Other delegates will turn off if you become a talking head. Being personable does not mean your speech is not impressive but remember that you are speaking to people like yourself and talking to always works better than talking it. You will establish much better credibility if your personality shines through, and you are more likely to gain your audience’s trust when they see you as a real person.

3. Eliminate Your Fear of Rejection

Do not be afraid of the audience hating your speech or getting booed off stage. While the Model UN rules of decorum will protect you from interruption, remember that the most severe judge of your speech is always going to be you. If you can accept yourself so will others and if you find what your saying interest chances are the other delegates will as well.

4. Get Organized

When you organize all of your thoughts and have your materials ready you automatically become much more relaxed and calm. Using Model UN speech formulas like the   CIA method   for what you will write about and   the SEXC method   for how to present it you, will reduce the pressure of thinking of what to say and can help you focus on the important task at hand, giving a great speech.

5. Don’t Be Afraid to Read From the Page

The goal of your Model United Nations speech is conveying the message, not memorization. As most Model UNers are not trained actors, when we leave our page, we often get more nervous and lose control of our pace and tone, which results in a more anxious delivery. Speaking from memory also usually forgets facts, important names and phrases that we came up with when writing the speech. If you practice enough, you will know the speech well enough to look at, and engage, the audience. With time and practice this will become easier but you will only get there if for your first speeches you have your page at the ready.

6. Focus On the Speech, Not the Audience

“They aren’t listening to you like you aren’t listening to them. ” — Richard Anderson

Make sure that your speech, policies, facts and view of global events are presented the way you planned and practiced. Don’t worry about the audiences reaction and do not overthink it. There will usually be delegates on their phones, yawning or not paying attention. You will also have other delegates who will be working on their draft resolutions or passing notes while you speak. Do not take any of it personally and focus on presenting well to those who are listening. When you focus on giving the best speech you can that has a better chance of reaching more ears than you losing focus on a delegate who isn’t paying attention to any speeches and just wants to get to the social.

7. Use Humor, Stories, and Emotionally Charged Language

While this should not come at the expense of the hard matter, facts and statistical information in your speech, injecting a funny anecdote, or emotionally charged word like “painful”, “remarkable, “disastrous” or “freedom” will certainly help grab your audience’s attention. As humans, we generally like a personal touch and language geard to interest and entertain us can provide that. Points that involved humor, some other unique presentation gimmick or are wrapped up in a good story are more memorable, too!

8. Return to Your Core Message

Remember that all of the public speaking techniques in this article exist to help you persuade other delegates of the validity of your policy. As such, your audience can only grasp your message of you make sure that everything you do is focused on delivering your message. Stories, humor, or other “sidebars” should always connect to the main message. Anything that doesn’t, as entertaining as it may be, should be edited out.

9. Don’t Fear Redrafting

Most Model UNers go through a point when we feel very connected to the words we wrote on a page and would rather stick a pencil into our ear than tear it up and start again. A good speaker may stick to what they know. A great speakers, however, will write multiple drafts to best convey their message. Your speech writing will get better with time but for starters remember that at least a second of third draft will be better than the first.

10. Be Easy to Understand

When you speak try to get into a rhythm this will be understood by your fellow delegates. To do this,  use simple words, keep your sentences clear , concise and to the point and  make sure to repeat key points . A short pause between different points can add to the ease of understanding while also bringing and anticipation to what comes next.

11. Plan for time constraints

Maybe you have 2 minutes. Maybe you have 45 second. Either way, customize your presentation to fit the time of each speech on the General Speaker’s List or Moderated Caucus. Also, make sure to hit all of your main points before the middle of your speech. You rest of the time can be spent elaborating but it is of key importance to have your ideas out there before other delegates start to zone out or in the range where the chairs might cut you off.

12. Don’t rush

“The success of your presentation will be judged not by the knowledge you send but by what the listener receives.” – – Lilly Walters

One of the biggest public speaking mistakes a Model UN delegate makes is when they try to cram a 76 second speech into 60 seconds. While you may have said it all you were likely hard to understand and missed important points. It is much better to take your extra information and make your one speech into two speeches instead of rushing. Your goal is to be understood by other delegates and speaking slowly and clearly, even if you finish at 0:54 with six seconds left, if the right way to do it.

13. Make the Nervous Energy Work for You

Learn to channel that nervous energy into positive energy. Remember that being nervous is also a form of adrenaline. This same energy can be used in a positive manner to channel emotion when you need it in real time. Don’t try to stop yourself from doing what you do, slow down, feel it and use it to serve you.

14. Be Aware of Your Breathing

When you speak too quickly it interferes with your breathing patterns so when a delegate speaks too fast they breathe less. When you feel short of breath you will more easily panic and be more susceptible to fear. When you practice intentionally slowing down when you speak you will find yourself more calm and relaxed.When you focus on how you breath, you will relax and your voice will have more resonance. Breathing calmly has helped many MUN delegates get over their fear during their first speech. Also, while it definitely helps with public speaking, breath-work in general will help reduce stress and improve effectiveness in many other areas of life.

15. Omit Nervous Gestures

Even when giving a fact filled Model UN speech, nonverbal communication still carries a respectable amount of the message. Good use of eye contact and body language does not call attention to itself, but rather enhances the speaker’s message without distraction. Forced gestures do the opposite and nervous movement detracts from your message. If you find yourself nervously moving, try to find an alternative. You will find that movement can be a positive tool but only after you get over nervous movement.

16. Don’t be afraid to pause

Many Model UN speeches are rushed to try and get in all the words before the time ends. What we forget is that we are trying to persuade our peers and there is no benefit to finishing a speech no one understands. This is why they pause can be a very important technique. Along with time to collect thoughts, it also gives space for dramatic effect which can be enhanced in the silences you create as you move between your points.

17. Audiovisuals Should Be Used Sparingly

The problem with visual gimmicks such as pictures, props and diagrams, or audio gimmicks, such as dramatic voice changes or playing a video off of YouTube, is that is often loses focus from your main message and will be the only thing the audiences remember from your speech. Sometimes, there is a place for these but they should be used to enhance your point, not detract from it. When using a gimmick, make sure you have time after it is presented to make sure you get the desired effect.

18. Don’t Let Passion Rule You

Impromptu speaking is part of Model UN. During a Moderated Caucus, we sometimes hear a statement and need to respond seconds later. These speeches can sometimes be impassioned and sometimes very point specific. I such cases, remember to slow down. As you give yourself time to think your points will be better presented and received by the audience.

19. Call Other Delegations By Name

Given the amount of speeches we listen to during a Model Un conference, it is no surprise that delegates lose focus. A way to insure that others perk up and listen to your speech is to use their countries names. Mentioning their name, whether by quoting them, saying something is in their interest or some other method, will get them and their allies to listen because you used their name. Use this tool wisely and your speeches will get a lot more attention.

20. Start Strong and Close Stronger

The opening of your speech should be strong. It can be a sound-byte, a statistic, a story or a direct jump into your call to action. What is important is that it hooks the audience and gets their attention. This is different from the public speaking tip that everyone needs to remember your first and last words. What is important is that they remember your main ideas so, if you do use a sound-byte or other stylistic ending, make sure it compliments your message, not detract from it. This is why it is best to finish off your speech with a summary and a strong statement that your audience will be sure to remember.

The Ultimate Guide to Using Metaphors in Presentations and Speeches

Metaphors are one of the often-forgotten tricks among presenters. Along with other figures of speech such as similes, analogies personification, and alliteration, they make your texts more engaging, memorable and eloquent. As well, metaphors serve as a great tool for breaking down complex concepts into more digestible statements.

In this guide, we’ll show you how to artfully use metaphors in your presentations and speeches. And you can scroll down to the bottom part for 25+ metaphor examples. Let’s dive in!

Defining the Metaphor

A metaphor is a figure of speech that compares two things, people, ideas, etc.by stating that one is the other. The two are not similar, of course, and the purpose of the comparison is for emphasis, symbolism, or adding humor/color to an author’s language.

A few famous metaphor examples are as follows:

  • “All the world’s a stage” – William Shakespeare
  • “Conscience is a man’s compass” – Vincent Van Gogh
  • “You ain’t nothing but a hound dog, been snoopin’ round my door, you can wag your tail, but I ain’t gonna’ feed you no more” – Elvis Presley, “Hound Dog” Song.

The Simile vs. the Metaphor

As mentioned earlier, metaphor is just one of the many speech figures you can use to create comparisons.

A simile is the second most used tool for that. Both the simile and the metaphor compare two, unlike things. A simile, though, compares these two by using the words “like” or “as.” Thus, “He was like a pressure cooker, ready to explode.”

As a metaphor, this statement would be, “He was a pressure cooker, ready to explode.”

The Analogy vs. the Metaphor

An analogy is a lengthier comparison, a short narrative that explains the relationship between two different things. A metaphor makes a comparison using a short phrase, to provide emphasis but not a full explanation. The metaphor is left for the listener or reader to form in his own mind.

So, an analogy might read, “A captain is to his ship as a coach is to his team.”

The metaphor might read, “A coach is the captain of his ship.”

Why Use Metaphors in Your Presentations and Speeches

Speeches and presentations, particularly those that have a lot of information, data, and perhaps some tough concepts, can turn an audience off. They may suffer from overload, confusion, and, probably most often, plain boredom.

Metaphors can help you cope with all of the above in the following way:

Metaphors can help an audience visualize something intangible in a tangible way

What, for example, does “reliable” really mean? You can use synonyms like “trustworthy,” but they are intangible too. Gerald Zaltman, the author of Marketing Metaphoria , uses the example of insurance companies and the metaphors they use to convey reliability – Traveler’s umbrella, Allstate’s hands, and Prudential’s rock.

Here are a few more metaphors that tangibly allow visualization of the intangible.

  • Love is : a garden, a nutrient, an experiment, a thrill ride, a battlefield, a fine wine
  • Truth and Justice : Truth is solid; Justice is a liquid
  • Freedom : Freedom is a gust of wind letting you spread your wings.

Many companies use what are called “deep metaphors” as they market their products. Deep metaphors are more complex and lengthy metaphors based upon some intangible such as peace, relaxation, and even joy and freedom. Harley-Davidson is a great example pointed by Zaltman in his book . The metaphor is that riding a Harley is the same as those intangibles, and they provide great visuals people can access in their minds.

Organic food companies use metaphors in their marketing all the time. Thus, processed foods with lots of additives are pollution to the body. Organic foods, on the other hand, are the cleansers of the body.

They engage an audience by giving them something they can relate to

People have many situations in common to which they can all relate – procrastination, lack of focus, not enough time to get everything done, lack of sleep, accidents, etc. Each of these can be the subjects of metaphoric comparisons.

Lack of focus can be compared to a cluttered closet, for example . That cluttered closet is disorganized, things are strewn about in no order, and finding important items can be very tough.

Procrastination is a thief of time. Time metaphors, in fact, are some of the most common metaphors used in speeches and presentations on many topics. And they are also often used in literature:

  • “Time is an equal opportunity employer…” The Joy of Working by Denis Waitley
  • “Time is but the stream I go fishing in.” Walden Pond by Henry David Thoreau
  • “Time is a gift, given to you…” “The Phantom Tollbooth” by Norton Juster

Metaphors are persuasive

Politicians often use metaphors to provide a persuasive context for the points they want to make and to get listeners to “buy-in” to their beliefs, opinions, and proposals.

Martin Luther King was a master of metaphors in both his speeches and writings. And those metaphors made his works so much more compelling. Consider just a few from his famous speech, “I Have a Dream.”

  • “Seared in the flames of injustice,” referring to the seeking of justice but being denied due to racism
  • He also refers to the “vast ocean of prosperity” and the “lonely island of poverty”
  • He speaks to the inequality of justice as the “storms of persecution”

Presidents have used metaphors in speeches to garner support for what they want to do.

  • In his 1933 inaugural address, Franklin Roosevelt compared the people, fighting together to beat the Depression as an army. “I assume unhesitatingly the leadership of the great army of our people dedicated to a disciplined attack upon our common problems.”
  • President John Kennedy needs support for the cost of his space program. At a dedication of the Aerospace Medical Center in Texas, he stated, “America has tossed its cap over the wall of space,” indicating that the U.S. would enter the space race and win.
  • Bill Clinton, in his inaugural address of 1993, announced a major shift in the policies and goals. “And you have changed the face of Congress, the Presidency, and the political process itself. Yes, you, my fellow Americans, have forced the spring. Now we must do the work the season demands.” Spring has always been a metaphor for new beginnings and hope, especially in poetry.

Finally, they can move the common up to new levels

For instance, instead of merely stating the expected and boring “our new software is a great sales tool”, you can reinforce your idea and pack in additional context by saying that: “Our new sales software is a rocket ship that will catapult your business to the stratosphere of productivity”.

How to Start Using Metaphors in Your Speeches and Presentations

Effective metaphors should simplify the concept, not leave the audience wondering what exactly you were trying to say. Thus, it takes a bit of practice and some creative thought to come up with great metaphors. Below are several quick tips to help you with that.

Use a Metaphoric Theme

Instead of coming up with a series of scattered metaphors, stick with one theme. Doing so will help you maintain interest and avoid confusion.

For example, if you are saying that your app has “Zeus-like powers”, continue with the Greek mythology theme within the rest of your presentation. You can further state that dealing with some industry problems is similar to battling a Medusa and sometimes to find the right solution and get out of the labyrinth, one will need an Ariadne thread.

This trick of using themed metaphors is also called “extended metaphor”.

Custom Metaphors Should Always Be Relevant

It may be tempting to come up with truly out-of-the-box metaphors. But don’t rush to do so. After all, the audience will best relate to metaphors that are relevant and within their experience. Otherwise, they’ll fail to fully grasp the concept you are pitching and feel disengaged.

Use Metaphors to Add Some Spice to Data

Audiences may hear the figure $1 trillion but almost ignore that figure because it is hard to visualize in their heads. So, how about using a time metaphor? “One dollar is one second in time. One trillion dollars is 32,000 years in seconds. Our National Debt is over $23 trillion, so that is 23 times 32,000. Who has the answer for how many years that is?”

Add a Metaphor to The Opening Slide to Set a Scene

When you can use a great, engaging metaphor for your opening slide in a presentation, you will grab attention right away. If you can pique curiosity and interest upfront, your audience is far more willing to “tune in.”

Close with a Metaphor for Additional Emphasis

If you began with the metaphor, “Turn Your Work into a Box of Chocolates,” and you have used that extended metaphor throughout your presentation, then that metaphor should carry through to your closing. If you have compared each type of candy in that box to a type of task (hard nut, creamy centers, medium-soft caramels, etc.), then speak to the order in which they might be prioritized or varied to achieve maximum productivity.

Business Metaphors

  • Products are solutions . This is a relatively new type of business metaphor and is often used in marketing collateral. The concept is that people buy products to solve a problem they have – they want nicer skin, a reliable car, a better phone, etc. Marketers offer solutions to these needs and problems.
  • Business growth is horticulture . This metaphor is somewhat common but spot-on when entrepreneurs think about the step-by-step process that occurs. Seeds are sown and require water and sunlight (investment). Growth cannot be rushed, and if nourished properly and sequentially, the harvest (success) will be great.
  • Companies are ships with a captain and designated roles and responsibilities for everyone on that ship. Again, this is common but quite neat.

Metaphors for Success

  • “She’s the kind of girl who climbed the ladder of success wrong by wrong.”, Mae West.
  • “The sweet smell of success.” – a novelette by Ernest Lehman and musical based upon the novelette.
  • “Failure is the condiment that gives success its flavor.” – Truman Capote

Metaphors for Freedom

  • “I have a dream that one day even the state of Mississippi, a state sweltering with the heat of injustice, sweltering with the heat of oppression, will be transformed into an oasis of freedom and justice” Martin Luther King’s ‘I Have a Dream Speech’ in 1963
  • “I can taste the aroma of liberation” – Poem “Of Surrealism and Reality” by Millard Lowe.
  • Freedom is a bonfire that began as just a few sparks from twigs. It grows as you do and your idea of freedom matures over time.

Metaphors for Ideas

  • An idea can be a wall. It stops you dead in your tracks and forces you in a new direction.
  • “A library, to modify the famous metaphor of Socrates, should be the delivery room for the birth of ideas…” – Norman Cousins
  • “Bobby Holloway says my imagination is a three-hundred-ring circus.” Seize the Night by Dean Koontz

Metaphors for Leadership

  • “You are pioneers. Nobody has been where you’re going. So, it’s your job to go there and leave a trail. It’s everyone else’s job to follow.”   Delaine Hampton, speaking to her team charged with a new research initiative at Proctor and Gamble.
  • Fear of any challenge is a giant, and until that giant is whittled down to a smaller and manageable size, a team can succumb to that fear. It is the leader’s job to whittle down that giant to a manageable and conquerable size. – Metaphor adapted from a story told by Paul Smith, keynote speaker and author of the book, Lead With a Story.
  • A leader is a conductor of a symphony. – Martha Denton, consultant and presenter, and founder/CEO of The Presentation School.

Metaphors for Hard Work

  • Hard work is rowing upstream. It may seem like you are making little progress, but, step by step, you do reach your destination.
  • Those who work hard are lasers. They are focused beams of light that stay on target.
  • “Life for me ain’t been no crystal stair” – from “Mother to Son” by Langston Hughes

Metaphors for Time

  • Time is a parade. It marches forward, no matter how big the crowd, no matter how many or few cheers there are, and no matter what the weather. Using time wisely means ignoring all of these distractions.
  • Time is an enemy for those who waste it.
  • “Time’s a trap, I’m caught in it.” from “The Handmaid’s Tale” by Margaret Atwood

Metaphors for Knowledge

  • Knowledge is light. It eliminates the darkness of ignorance and lack of understanding.
  • “Knowledge as Love” Keynote Address by Daniel Andriessen at the 8th European Conference on Knowledge Management, 2007
  • “Knowledge is power” attributed to Sir Francis Bacon from his “Meditationes Sacrae.”

Metaphors for Growth

  • Business Growth: “Small microelectronic companies suddenly sprouted all over the valley.: – Ian Mackenzie, Professor of Financial English, Heinle Cengage Learning.
  • Personal growth is a bamboo tree. No one can see that growth for four years. But in the fifth year, it comes forth and grows exponentially. – Tom Speaks, Impact Group Leadership Academy.
  • “We grow like one note becoming a tune” Tyler Stenson, songwriter.

The topic list of metaphors is almost in-exhaustible. Your speech or presentation might use metaphors for strength, metaphors for change, or metaphors for productivity or teamwork. The overall point is that, if you can use a metaphor to make something more relevant or engaging, then do so. Just don’t overdo. An entire speech or presentation filled with metaphors will turn your audience off too. And avoid mixed metaphors. People cannot be eagles soaring in the sky and flowers that blossom at the same time – this is just confusing.

Figurative language has stood the test of time. It is used by authors, famous philosophers, inventors, scientists, politicians, songwriters, TV personalities, and, yes, far less famous people who write and make speeches. Metaphors are one of the most popular because they can provide visual, relevant, and unique comparisons of two very unlike things. Consider incorporating their use in your next speech or presentation – you may find your audience response quite positive.
