How to use speech-to-text software like a pro

What you need to know when using audio transcription software

According to IBM, the world record for the fastest ever typing speeds is held by Stella Pajunas from Chicago. At her peak, she managed to type up to 216 words per minute using an IBM Electric Typewriter in 1946. However, her feat was an oddity, as the average human typing speed is much lower at just 44 words per minute.

Obviously then, audio transcription, when done right, is a lot faster than typing. It’s also easier on your wrist and fingers. If you haven’t tried it before, we will help you get the most out of it with these tips and tricks.

1. Try before you buy

Before you spend $300 on a premium speech-to-text application, there are a lot of free options and trials you can make use of. While they will not be as accurate, they will help you get a sense of the process before you fully jump in. Google Docs, for example, has its own speech-to-text feature that you can access by going to Tools > Voice Typing. It is available completely free of charge, even to non-business accounts. If you have a subscription to Microsoft 365 , you can also use the built-in voice dictation app in Word .

2. Use a good mic

Getting started requires some investment. Specifically, a good microphone will go a long way towards ensuring that your words are transcribed accurately without ambient noise interfering. 

On the higher end, we recommend the Razer Seiren Elite for its noise-cancellation features and great audio quality. It is, however, quite expensive as it’s aimed towards professional streamers and podcasters. At the moment, it’s available for a retail price of $199.00USD. Other choices include the Rode NT-USB Mini and Samson Meteorite. These are relatively budget recommendations that will pair well with any good speech-to-text software. 

3. Don’t record on a smartphone

There are a lot of great speech-to-text applications on Android and iOS. While you may want to give them a try, it is not wise to use your smartphone to record long hours of audio to transcribe. Even the most powerful smartphone apps will offer fewer features and poorer quality compared to their desktop counterparts. Smartphones are still fine for dictating a quick email reply or voice note, but anything more ambitious should be reserved for your desk computer and microphone.

4. Outline your draft first

Before you start dictating to your speech-to-text application, take a moment to outline your draft using bullet points. Or, you could also try making a mind map of all the important things you intend to cover. This will help you avoid awkward pauses and sudden errors while dictating, making sure that your flow is consistent and your draft comes out looking professional.

Remember to pause between sentences and take ample time to gather your thoughts before you speak. Voice dictation isn’t meant for final drafts, so you can still expect to do some editing and proofreading before you’re ready to turn in your writing.

5. Learn the commands

Voice dictation isn’t the same as natural speaking. You are expected to use a lot of commands to format your text even as you speak. The commands you will be using the most often include “new line”, “comma”, and “period”. There are more commands available for “exclamation mark”, “open quotes”, “close quotes”, “colon”, and “semicolon”. You can also add emojis to your text using commands, like “smiley face”.

6. Use placeholders

Sometimes, when there’s a difficult word such as a name or terminology that you need to use frequently in your text, your speech recognition software may not be able to detect it properly. When that happens, you can use a simpler word in its stead and just use your word processing software’s find-and-replace feature to edit in the correct word later. This is especially useful when writing technical whitepapers or fictional stories with difficult-to-spell names.

7. Avoid recording multiple speakers

Most speech-to-text apps are not designed for multiple speakers. Everyone’s voice has unique levels of pitch and loudness, while others have very specific accents. This is why it’s best to avoid transcribing audio with multiple speakers, such as a two-way phone call. 

However, this isn’t always possible, especially if you have a job that requires you to transcribe a lot of interviews or conversations with other people. If that is the case, try investing in a speech-to-text application that is designed with multiple speakers in mind, such as Otter. You could also try hiring a human transcriber if the software fails to do the job.

8. Choose the right software

Our final tip is that you need to pick the right software for your use case. There are dedicated applications that are suitable for taking notes or drafting email replies, while others are more useful for writing long-form articles, books, and whitepapers. 

If you have never used audio transcription software before, there will likely be a learning curve before you are able to use all the functions properly. However, knowing these useful tips and tricks will save you some hassle as you try to get in your first draft. Once you brave through the first few tries, using speech-to-text software to transcribe your writing can save you a lot of time and hard work.

Katy Perry just made a few choice tweaks to Kansas City Chiefs kicker Harrison Butker’s contentious Benedictine College commencement speech that made waves last month.

On Saturday, the “Roar” singer shared a heavily edited version of the football player’s comments, which the star remixed in honor of June’s LGBTQ+ Pride month.

“Fixed this for my girls, my graduates, and my gays,” she wrote in the caption. “You can do anything, congratulations and happy pride.”

While Butker railed against “degenerate cultural values” like reproductive choice and working women in his speech at the Catholic college, Perry’s edit made it look like he was celebrating female graduates and the queer community.

Starting with stretches of the kicker’s original words, the video began with him saying, “For the ladies present today, congratulations on an amazing accomplishment. You should be proud of all that you have achieved to this point in your young lives.”

Veering from Butker’s lines about the “diabolical lie” of women working, Perry reordered his speech to say, “I would venture to guess the women here today are going to lead successful careers in the world.”

Dicing up his words even more, Butker’s edited address went on, “I say all of this to you because I have seen it firsthand, how much happier someone can be supporting women and not saying that the majority of you are most excited about your marriage and the children you will bring into this world.”

“The road ahead is bright, things are changing, society is shifting and people young and old are embracing diversity, equity and inclusion,” the remix continued.

Chopping the speech up word-by-word for its final message, Perry’s edit finished by saying, “With that said, I want to say happy Pride Month to all of you. And congratulations class of 2024.”

Though Butker’s speech was widely criticized for its retrograde views, the football player was unapologetic while addressing his comments ― and the backlash ― for the first time late last month.

“If it wasn’t clear that the timeless Catholic values are hated by many, it is now,” he told attendees of the “Courage Under Fire Gala” in Nashville, Tennessee.

Abbott, UT System, UH system sued over executive order to combat antisemitism at colleges

Students for Justice in Palestine chapters at the University of Houston and the University of Texas at Dallas as well as the Democratic Socialists of America, which runs youth chapters at several Texas universities, are suing Gov. Greg Abbott over his executive order calling for universities to change free speech policies to better prevent antisemitism on college campuses, including by enforcing the policies against Students for Justice in Palestine and the Palestine Solidarity Committee, its chapter at UT-Austin.

The plaintiffs, represented by Council on Islamic Relations, filed a suit Thursday asking a U.S. District Court to issue an injunction barring the executive order, saying it targets and chills speech against Israel by specifically naming Students for Justice in Palestine and the Palestine Solidarity Committee and by calling for colleges to recognize a broad definition of antisemitism. CAIR alleges that the order's implementation in some cases has censored students' speech in violation of the First Amendment.

Who else is named in the lawsuit and why?

In addition to Abbott, the University of Texas System Board of Regents, University of Houston and the UH System Board of Regents are also named as defendants, as well as Rene Khator, who serves as chancellor of the UH System and president of its flagship school.

University systems and institutions are responsible for carrying out the executive order at their respective institutions, and they are responsible for the legality of their policies.

The president of UT-San Antonio, Taylor Eighmy, is named as a defendant for the second count in the lawsuit, which alleges that UT-San Antonio adopted a "phrase-specific" rule barring Young Democratic Socialists of America members from saying "From the River to the Sea, Palestine will be free."

Abbott's executive order specifically lists this an example of "antisemitic phrases." But the lawsuit says the rule is an illegal content-based free speech limitation, and the suit says "its literal and figurative meaning reflect an aspiration for peace and dignity for all people—Palestinians, Israelis, Arabs, Muslims, Jews, Christians, and everyone else."

A UT-San Antonio spokesperson said the university does not comment on pending litigation and did not answer a question asking if the rule was in place as stated in the lawsuit.

The UH System Board of Regents on Wednesday added the state's definition of antisemitism to its policies, the flagship university confirmed in a statement, saying the university has met with Students for Justice in Palestine and "reiterated our commitment to freedom of expression." The University of Houston also asserted that the freedom of expression policy is equally applied without regard to viewpoint and that the system enforces both its freedom of expression policy and anti-discrimination policy.

"The University recognizes and supports the constitutional rights of free speech and peaceful assembly," the statement said. "We encourage all who engage in expressive activity to do so safely and in a manner that respects the rights of others with differing opinions."

The definition of antisemitism that Abbott ordered universities to adopt is "a certain perception of Jews that may be expressed as hatred toward Jews," including "rhetorical and physical acts of antisemitism directed toward Jewish or non-Jewish individuals or their property or toward Jewish community institutions and religious facilities."

CAIR's complaint, filed in U.S. District Court for the Western District of Texas, asks for relief under the First and 14th amendments, and calls for Abbott's executive order and the UT-San Antonio rule about the slogan to be withdrawn. The suit also requests for the UT and UH systems to not include the International Holocaust Remembrance Alliance's definition of antisemitism as specified in Abbott's order "or otherwise target individuals because of their political speech about Israel."

"We are hopeful that a court will see this for what it is, a clear as day abandonment of the First amendment," Gadeir Abbas, an attorney for the plaintiff with CAIR, told the American-Statesman on Thursday.

In a statement Thursday, Andrew Mahaleris, Abbott's press secretary, said antisemitism has been rising, and that the governor "condemns heinous acts of violence and inhumanity against Israel and its people by ruthless terrorists."

"Antisemitism is never acceptable in Texas, and we will do everything we can to fight it," Mahaleris said. "Texas will always stand with Israel and our Jewish neighbors here at home and across the world.”

What was the governor's executive order?

Abbott issued his executive order March 27 to address antisemitism at Texas universities. The Anti-Defamation League reports that acts of antisemitic have risen dramatically since Oct. 7, when Hamas, the militant Palestinian group that controlled the Gaza strip, launched a surprise attack on Israel that killed 1,200 people.

In response, Israel began bombarding Gaza, reportedly killing more than 34,000 people since the war's start. Islamophobic incidents have also risen dramatically since Oct. 7, according to CAIR.

Abbott's executive order did not mention rising incidents of Islamophobia but did mention the state's continued support for Israel and Jewish Texans.

"While many Texas universities have acted quickly to condemn antisemitism and foster appropriate discourse on the terrorist attacks against Israel and the ensuing Israel-Hamas war, some radical organizations have engaged in unacceptable actions on university campuses," the order said.

The order charges all public institutions of higher education in Texas to revise their free speech policies to address antisemitism, instating punishments including up to expulsion, enforcing the policies against groups "such as the Palestine Solidarity Committee and Students for Justice in Palestine" and including the definition of antisemitism that is in the Texas Government Code.

The lawsuit draws a contrast between a 2019 law Abbott signed making college campuses public forums for free speech, and his suppression of anti-Israel speech, which he deems antisemitic. It also draws attention to Abbott's deployment of Texas Department of Public Safety troopers at UT-Austin during pro-Palestinian protests in the past few weeks, which they said further reflects the suppression of anti-Israel speech.

"The events of the last few weeks increased the urgency to challenges to these really extreme efforts to make it impossible to do the normal and typical advocacy things that students do," Abbas said. "Only when it comes to Palestine and Israel."

What constitutes antisemitic speech?

The definition of antisemitism mentioned in Abbott's order is in the Texas Government Code and is pulled from the International Holocaust Remembrance Alliance, which describes the definition on their website as a "non-legally binding working definition."

"Manifestations might include the targeting of the state of Israel, conceived as a Jewish collectivity. However, criticism of Israel similar to that leveled against any other country cannot be regarded as antisemitic," the Holocaust remembrance alliance's website states . "Antisemitism frequently charges Jews with conspiring to harm humanity, and it is often used to blame Jews for 'why things go wrong.'"

The site's FAQ states that "claiming that the existence of a State of Israel is a racist endeavor" would qualify as antisemitism. "Israel is a racist state" has been chanted during recent pro-Palestinian protests at UT, as has "From the River to the Sea."

The lawsuit states that the definition "once adopted, would transform normal and typical criticism of a foreign country into antisemitism when the foreign country criticized is Israel."

Mahaleris did not answer specific questions about the lawsuit or its criticism that Muslim students don't have the same free speech or safety protections as Jewish students. UT System also declined to comment.

‘2,000 Mules’ producer apologizes to man depicted committing election fraud.

The conservative media company Salem Media Group has apologized to a Georgia man who was falsely depicted as having committed election fraud in the film “2,000 Mules,” which Salem co-produced and released in 2022.

The documentary, written and directed by the right-wing commentator Dinesh D’Souza, claimed that Democrats had conspired with nonprofit groups to rig the 2020 election in favor of President Biden by using “mules” who stuffed ballot boxes in swing states.

More than a million people watched “2,000 Mules” in just the first two weeks after its release in May 2022, and the film grossed over $10 million. Its unfounded allegations became an article of faith for an untold number of Americans convinced that the election had been stolen. Five months later, Salem released a companion book.

The film features surveillance video of the man from Georgia, Mark Andrews, as he places ballots into a drop box near Atlanta, along with voice-over commentary by Mr. D’Souza calling the action “a crime” and adding, “These are fraudulent votes.”

Although Mr. Andrews’s face is blurred in the images, the film’s producers used unblurred versions of the same video to promote the film on a variety of conservative news outlets, including Tucker Carlson’s former show on Fox News and a show hosted by Charlie Kirk, a founder of Turning Point USA, and produced by Salem.

Mr. Andrews sued Mr. D’Souza, along with Salem and two individuals associated with the right-wing election-monitoring group True the Vote, for defamation in October 2022. State investigators in Georgia have since found that Mr. Andrews committed no crime and that he had legally deposited the ballots for himself and several members of his family.

“It was never our intent that the publication of the ‘2,000 Mules’ film and book would harm Mr. Andrews,” Salem said in a statement on Friday. “We apologize for the hurt the inclusion of Mr. Andrews’s image in the movie, book and promotional materials have caused Mr. Andrews and his family.”

Salem, one of the largest radio broadcasters in the country, with 115 stations, also syndicates radio and podcast content, operates several websites and publishes a number of conservative Christian-themed magazines. It said on Friday that it had taken “2,000 Mules” off its platforms and that it would no longer distribute the film and the book.

As the 2022 midterm elections approached, the film became a touch point for a variety of institutions and individuals alleging that the presidency had been stolen from Donald J. Trump, who for his part called it “the greatest and most impactful documentary of our time.”

Several advocacy groups, inspired by “2,000 Mules,” formed to stake out ballot boxes — at times with individuals carrying firearms — and to warn voters against voting early.

But some of the film’s staunchest promoters, including Rudolph W. Giuliani, who attended a screening at Mar-a-Lago, Mr. Trump’s residence in Palm Beach, Fla., and Fox News, which aired several segments about the film, later admitted that they had peddled lies about the election. In February, a lawyer for True the Vote told a Georgia court that it had no evidence to support its allegations of election fraud in the state.

Despite such admissions, many Americans continue to believe that the 2020 election was rigged. A poll conducted last August by CNN found that more than two-thirds of Republican voters did not believe that President Biden had won fairly.

Mr. D’Souza did not immediately respond to a request for comment. Catherine Engelbrecht, the founder of True the Vote, did not answer a phone call or reply to an email seeking a response.

“2,000 Mules” relied heavily on cellphone location data provided by True the Vote, which Mr. D’Souza claimed showed ballot mules approaching ballot boxes several times a day, as well as attending Black Lives Matter protests. The film claimed to provide evidence of fraud in battleground states that were critical to the outcome of the 2020 election, including Georgia and Arizona. True the Vote officials claimed that they had turned over proof of fraud to the F.B.I.

But subsequent investigations have debunked the documentary’s claims, and Arizona’s attorney general referred True the Vote to the F.B.I. and the Internal Revenue Service for investigation, noting that the group had provided no evidence to substantiate its fraud claims.

In September, a federal judge in Georgia rejected efforts by defendants to dismiss Mr. Andrews’s defamation case. The case is pending.

The Ohio Legislature passes a bill ensuring Biden will be on the state’s ballot.

The Ohio General Assembly has passed a legislative fix that ensures President Biden will be on the state’s ballot in November, averting a crisis that had been brewing for weeks over what is typically a minor procedural issue.

The secretary of state in Ohio, a Republican, had said that he planned to exclude Mr. Biden from the ballot because the president would not be officially nominated by his party until after a state deadline for certifying presidential nominees. That had threatened the possibility that the president would not be on the ballot in all 50 states.

The General Assembly resolved the issue by passing a bill that pushes back the deadline to accommodate the date of the Democratic nominating convention. Gov. Mike DeWine, a Republican, is expected to sign the bill over the weekend, pending a legal review, according to a spokesman.

The solution has been used before. Ohio passed temporary extensions to its certification deadline for President Barack Obama and Mitt Romney in 2012 and for President Donald J. Trump in 2020. Other states that had similar deadline issues, including Alabama , have also passed legislative fixes with overwhelming bipartisan support , in 2024 and in other election cycles.

But the solution proposed in the Ohio Legislature was entangled in a separate partisan clash over foreign donations. The General Assembly adjourned last week without a fix in place, after the Ohio Senate, which is controlled by Republicans, advanced a bill that would have resolved the issue but included a partisan measure banning foreign money in state ballot initiatives. Democrats opposed that measure, and the speaker of the Ohio House did not take it up before the chamber adjourned.

Mr. DeWine then called a special legislative session to fix the problem , saying that legislators had failed “to take action on this urgent matter.” The General Assembly ultimately adopted two bills, one that fixed the ballot issue and another that banned donations in support of state ballot initiatives from foreign nationals, including immigrants with green cards.

With the legislative solution appearing dead in the water last week, the Biden campaign considered suing the state to ensure that the president was on the ballot. Instead, the Democratic National Committee scheduled a virtual roll-call vote to officially nominate Mr. Biden ahead of the party’s convention in August. That vote is still set to go forward, even as the issue appears to be resolved.

Hannah Muldavin, a spokeswoman for the committee, denounced what she called “partisan games” by Republican lawmakers that had delayed a solution.

“Since the beginning of this process, Ohio Republicans have been playing partisan games and trying to chip away at our democracy, while Democrats have been defending Ohioans’ right to vote,” Ms. Muldavin said in a statement.

Matt Huffman, the leader of the Ohio Senate, praised the foreign-influence ban, adding in a statement that Ohio “needed to ensure that President Biden is on the ballot in November, and it needed to be done legislatively.”

It is an unconventional campaign stop for an unconventional moment. Dana White, the chief executive of U.F.C., has become a vital ally of Mr. Trump’s , and when the two appeared together at a U.F.C. event in Miami earlier this year, Mr. Trump received raucous applause from a packed arena. The former president is likely eager to appear in front of a friendly audience in lieu of an official campaign rally.

Mr. Trump has seemed at times deflated by the verdict that came down on Thursday, emerging from the courthouse in Manhattan looking exhausted and glum and, on Friday evening, posting wistful and melancholy statements to his social media website. He has realized, he wrote, that “reason, truth, and love of our country is no longer a force of good and change” and that America is a “failing nation.”

But Mr. Trump and his campaign have also tried to project strength in the aftermath of his conviction. On Friday morning, the former president delivered what was in essence a mini-campaign rally inside Trump Tower, ping-ponging between misleading statements about the trial and standard lines from his stump speech vilifying undocumented migrants.

His campaign also announced that it had smashed online fund-raising records for Republicans, bringing in nearly $53 million in campaign donations in the 24 hours after the verdict. The campaign’s donation website briefly went down on Thursday afternoon, a technical issue that the campaign attributed to a vast swell of donors.

President Biden put out his own fund-raising appeal in the immediate aftermath of the verdict, but he and his campaign initially said little about Mr. Trump’s conviction. That changed on Friday afternoon, when the president broke what had been a long silence on his Republican rival’s legal troubles.

“The American principle that no one is above the law was reaffirmed,” Mr. Biden said from the White House.

Both in his address, and in remarks to reporters that the Biden campaign later highlighted, Mr. Biden pushed back against misleading statements by Mr. Trump and his surrogates about the trial, particularly the assertion that Mr. Trump’s indictments were a political witch hunt orchestrated by the president.

He continued in Perry's edited clip, "The road ahead is bright. Things are changing. Society is shifting, and people young and old are embracing diversity, equity and inclusion. With that said, I want to say Happy Pride Month to all of you and congratulations Class of 2024!"

Perry opted out of receiving any praise or criticism, and turned off comments on the Instagram post. The longtime "American Idol" staple announced earlier this year that she was hanging up her judging hat after seven seasons once Season 22 wraps.

Butker's speech last month sparked outrage for a number of reasons, but one paragraph where he called out the graduating women in the class and asked them to embrace their "vocation" as a "homemaker" appeared to strike a chord for many.

One portion of Butker's speech that caught heavy attention was a call to women in the graduating class to embrace the "most important titles of all: homemaker."

"For the ladies present today, congratulations on an amazing accomplishment. You should be proud of all that you have achieved to this point in your young lives. I want to speak directly to you briefly, because I think it is you, the women, who have had the most diabolical lies told to you: how many of you are sitting here now about to cross the stage and are thinking about all the promotions and titles you are going to get in your career," he said.

"Some of you may go on to lead successful careers in the world, but I would venture to guess that the majority of you are most excited about your marriage and the children you will bring into this world. I can tell you that my beautiful wife, Isabelle, would be the first to say that her life truly started when she began living her vocation as a wife and as a mother."

He continued, "I’m on this stage today and able to be the man I am because I have a wife who leans into her vocation. I’m beyond blessed with the many talents God has given me. But it cannot be overstated, that all of my success is made possible because a girl I met in band class back in middle school would convert to the faith, become my wife and embrace one of the most important titles of all: homemaker."
