When we talk with our L&D colleagues from around the globe, we often hear that presentation skills training is one of the top opportunities they’re looking to provide their learners. And this holds true whether their learners are individual contributors, people managers, or senior leaders. This is not surprising.

Effective communications skills are a powerful career activator, and most of us are called upon to communicate in some type of formal presentation mode at some point along the way.

For instance, you might be asked to brief management on market research results, walk your team through a new process, lay out the new budget, or explain a new product to a client or prospect. Or you may want to build support for a new idea, bring a new employee into the fold, or even just present your achievements to your manager during your performance review.

And now, with so many employees working from home or in hybrid mode, and business travel in decline, there’s a growing need to find new ways to make effective presentations when the audience may be fully virtual or a combination of in person and remote attendees.

Whether you’re making a standup presentation to a large live audience, or a sit-down one-on-one, whether you’re delivering your presentation face to face or virtually, solid presentation skills matter.

Even the most seasoned and accomplished presenters may need to fine-tune or update their skills. Expectations have changed over the last decade or so. Yesterday’s PowerPoint which primarily relied on bulleted points, broken up by the occasional clip-art image, won’t cut it with today’s audience.

The digital revolution has revolutionized the way people want to receive information. People expect presentations that are more visually interesting. They expect to see data, metrics that support assertions. And now, with so many previously in-person meetings occurring virtually, there’s an entirely new level of technical preparedness required.

The leadership development tools and the individual learning opportunities you’re providing should include presentation skills training that covers both the evergreen fundamentals and the up-to-date capabilities that can make or break a presentation.

So, just what should be included in solid presentation skills training? Here’s what I think.

The fundamentals will always apply When it comes to making a powerful and effective presentation, the fundamentals will always apply. You need to understand your objective. Is it strictly to convey information, so that your audience’s knowledge is increased? Is it to persuade your audience to take some action? Is it to convince people to support your idea? Once you understand what your objective is, you need to define your central message. There may be a lot of things you want to share with your audience during your presentation, but find – and stick with – the core, the most important point you want them to walk away with. And make sure that your message is clear and compelling.

You also need to tailor your presentation to your audience. Who are they and what might they be expecting? Say you’re giving a product pitch to a client. A technical team may be interested in a lot of nitty-gritty product detail. The business side will no doubt be more interested in what returns they can expect on their investment.

Another consideration is the setting: is this a formal presentation to a large audience with questions reserved for the end, or a presentation in a smaller setting where there’s the possibility for conversation throughout? Is your presentation virtual or in-person? To be delivered individually or as a group? What time of the day will you be speaking? Will there be others speaking before you and might that impact how your message will be received?

Once these fundamentals are established, you’re in building mode. What are the specific points you want to share that will help you best meet your objective and get across your core message? Now figure out how to convey those points in the clearest, most straightforward, and succinct way. This doesn’t mean that your presentation has to be a series of clipped bullet points. No one wants to sit through a presentation in which the presenter reads through what’s on the slide. You can get your points across using stories, fact, diagrams, videos, props, and other types of media.

Visual design matters While you don’t want to clutter up your presentation with too many visual elements that don’t serve your objective and can be distracting, using a variety of visual formats to convey your core message will make your presentation more memorable than slides filled with text. A couple of tips: avoid images that are cliched and overdone. Be careful not to mix up too many different types of images. If you’re using photos, stick with photos. If you’re using drawn images, keep the style consistent. When data are presented, stay consistent with colors and fonts from one type of chart to the next. Keep things clear and simple, using data to support key points without overwhelming your audience with too much information. And don’t assume that your audience is composed of statisticians (unless, of course, it is).

When presenting qualitative data, brief videos provide a way to engage your audience and create emotional connection and impact. Word clouds are another way to get qualitative data across.

Practice makes perfect You’ve pulled together a perfect presentation. But it likely won’t be perfect unless it’s well delivered. So don’t forget to practice your presentation ahead of time. Pro tip: record yourself as you practice out loud. This will force you to think through what you’re going to say for each element of your presentation. And watching your recording will help you identify your mistakes—such as fidgeting, using too many fillers (such as “umm,” or “like”), or speaking too fast.

A key element of your preparation should involve anticipating any technical difficulties. If you’ve embedded videos, make sure they work. If you’re presenting virtually, make sure that the lighting is good, and that your speaker and camera are working. Whether presenting in person or virtually, get there early enough to work out any technical glitches before your presentation is scheduled to begin. Few things are a bigger audience turn-off than sitting there watching the presenter struggle with the delivery mechanisms!

Finally, be kind to yourself. Despite thorough preparation and practice, sometimes, things go wrong, and you need to recover in the moment, adapt, and carry on. It’s unlikely that you’ll have caused any lasting damage and the important thing is to learn from your experience, so your next presentation is stronger.

It doesn’t matter how well you know what you’re talking about, the moment you have to persuade, engage, or teach in front of an audience, you will probably stumble a bit. This is a natural reaction that affects pretty much everyone when all eyes are pointed in one direction and the anxiety sets in. 

It’s important to remember that the overwhelming feeling of stress you probably feel is the result of your unfamiliarity with the situation, not from your lack of preparedness. The more comfortable you are with taking the stage and having everyone’s attention on you, the less nervous you’ll get. 

The greater confidence you have in your presentation skills will allow you to focus on what actually matters–which is the material that you’re presenting. 

The best way to implement this practice is by starting off small. Prepare a presentation to give to your friends, family, or closest co-workers. This sounds easy, but you will learn that it’s not necessarily who is listening to you that causes nerves, but it’s the fact that all of the attention is on you.

2. Use less text and more visuals in your presentation

We’ve all been there before: sitting at the conference table trying our very best to stay interested and engaged with the presentation before us. The presentation lacks color, images, and all sense of creativity while containing an over-abundance of text and long-form paragraphs. 

These types of presentations are horrible for two reasons: 

The first reason being that the minute you have words on the screen, your audience will direct their attention away from you to begin reading and completely tune you out. 

The second reason is if your presentation skills are poor, not only will your presentation be dull to listen to, but it will be unbelievably boring to look at as well. You’ll quickly find out how easy it is to lose most of the room’s attention when you create a lackluster presentation.

As cliche as it sounds, you should always be true to who you are, especially if when you’re presenting. 

It’s incredibly easy to tell if someone is faking it for the sake of their audience, so you should never pretend to act in a way that you don’t typically do. Taking this minute to talk through anything that your audience is thinking of is a good thing because it means they are engaged with you and really paying attention to the words coming out of your mouth. Doing so will also relax the format of your presentation, allowing you to feel more confident and relaxed as well.

5. Be passionate and engaging

5. Voice projection

Although this skill may be obvious, you need your audience to hear what you’re saying. This can be challenging if you’re naturally soft-spoken and struggle to project your voice.

Remember to straighten your posture and take deep breaths before speaking, which will help you speak louder and fill the room. If you’re talking into a microphone or participating in a virtual meeting, you can use your regular conversational voice, but you still want to sound confident and self-assured with a strong tone.

If you’re unsure whether everyone can hear you, you can always ask the audience at the beginning of your speech and wait for confirmation. That way, they won’t have to potentially interrupt you later.

Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others. Here are some unique elements that make a presentation stand out.

  • Fonts: Sans Serif fonts such as Helvetica or Arial are preferred for their clean lines, which make them easy to digest at various sizes and distances. Limit the number of font styles to two: one for headings and another for body text, to avoid visual confusion or distractions.
  • Colors: Colors can evoke emotions and highlight critical points, but their overuse can lead to a cluttered and confusing presentation. A limited palette of two to three main colors, complemented by a simple background, can help you draw attention to key elements without overwhelming the audience.
  • Pictures: Pictures can communicate complex ideas quickly and memorably but choosing the right images is key. Images or pictures should be big (perhaps 20-25% of the page), bold, and have a clear purpose that complements the slide’s text.

How to Improve Your Presentation Skills

The opportunity to pitch your services to a potential client, spell out your business plan to a potential business partner, or promote your business at an event may require that you give a presentation. Whether or not your presentation achieves its desired outcome can be affected by your skills as a speaker, so it's important to step in front of your audience with your best foot forward. The following guide explains how to prepare, deliver, and answer questions about a stellar presentation. How to Improve Your Presentation Skills: Preparation

1) Research your audience. Knowing the needs of your audience can help you tailor your presentation to target their interests and explain how your company can be of use in their specific situation. If you're going to be giving a presentation at an event, Santa Barbara, California-based public speaking coach Lisa Braithwaite suggests sending a questionnaire to a handful of people who will be in the audience before you start writing. Mike Aguilera, a communication expert who has given more than 1,000 presentations on effective communication, says that if he doesn't have time to do research beforehand, he will talk to the audience at his presentation or will even ask them what they're interested in during his speech.

2) Structuring your presentation. 'The classic format is to tell them what you're going to say, present, and then tell them what you told them,' says Aguilera. 'What I advise is to start off with the benefits of what you're going to say, the benefits to the audience, and then present and review.' Braithwaite says that most presentations can benefit from using this simple structure:     •    Opening - Your opening should be something that makes an emotional connection with the audience.  It can be a story, a question, or a shocking static. It should not be an introduction of yourself or five minutes of thank-yous. David Parnell, the founder of an attorney placement firm who recently finished an 850-page book on the psychology of effective communication, suggests that any stories you use should represent your audience's position in life and should use characters that are analogous to your audience.     •    Body - Try to stick to your three most important points. It's more important to engage the audience than to tell them everything you know. You will need to leave some information out, but it is likely that what you don't cover in the presentation will come up when you take questions. Keep your outcome in mind. You don't have to write out your presentation word for word (or worse, memorize it) if you just remember to keep going back to your main points and working toward your desired outcome. Be prepared to present both sides of an issue. You'll appear more credible if you acknowledge your competitors or any opposing arguments. After you've explained the other side, you can spell out exactly why your company is better or your argument is stronger.     •    Closing - The closing of your presentation is the last opportunity you have to give your audience something that will stick in their minds. You can go back to your opening or end on a clever slogan or a call to action. Parnell suggests that when making a business proposal, you end on a positive forecast. 'Your forecast will provide fodder that can serve to validate any subconsciously generated optimism,' he says. 3) P ractice, practice, practice...but don't memorize. 'It's different for everybody, but I will say one thing: If you practice your speech only once, you're going to stink,' Braithwaite says. She recommends starting to rehearse your presentation about a month in advance. You can talk into a mirror, talk to a wall, or ask a family member to listen. Some people volunteer to speak at church or join their local toastmaster club for practice speaking in public. Do whatever works for you, but make sure it includes practicing out loud so that you can get a sense of timing.     •    Rehearsing does not mean memorization - Memorizing your speech can make you sound mechanical and over-rehearsed. 'Really the only people who are good at memorizing things are actors,' Braithwaite says. 'if you're going to do it well, you actually have to act it out and play a character, and most speakers aren't very good at that.' Even if you are good at acting, Parnell suggests that you don't memorize your speech to perfection. 'When an individual is too polished, it makes them relatively inaccessible in the mind of the audience,' he says. 'The audience is human at the end of the day, and this person doesn't seem to be like them.  It really retards the rapport building process.'     •    Videotape yourself - You can't know how you come off to people until you see it. Recording yourself is the best way to target the areas where you can improve.     •    Calm your nerves - Aguilera suggests changing the word 'presentation' to 'conversation' when thinking about your big day. Feel better yet? If not, you can also quell panic by conditioning yourself to be in presentation-mode.  Aguilera imagines that he is going to stand up and give a presentation when he's at restaurants, in meetings, or, one time, even at an outdoor amphitheater. 'I walked all the way to the front of the stage as if I were looking for someone,' he says. 'Then I stood there and looked at the audience and said to myself, 'this is what it would feel like to present to 25,000 people.''     •    Stop working on it - 'You really need time to start getting into relaxation mode,' Braithwaite says. 'You can't be in your hyper rewriting, restructuring mode right up to your presentation.' Take a couple of days to relax before your speech.

How to Improve Your   Presentation Skills: Delivery

1) Verbal Delivery     •    Be Brief - A 2005 study by the Helsinki institute found that the average adult was able to focus on a loading web page for only four to eight seconds before looking somewhere else. Attention spans are short; don't dwell on a specific subject too long.     •    Ask questions to keep the audience engaged - This can be something as simple as pausing to ask if your audience understands everything you've presented thus far.     •    Speak to your demographic - Match the semantics of your audience as closely as possible. Speak their language. 'If you're selling a skateboard, for instance, your semantics are going to be a lot different than if you're working with a litigation attorney,' Parnell says.     •    Work on your tone - Evolutionary psychology suggests that people of both sexes respond better to deep male voices and high female voices, Parnell says.  It takes practice to change the tone of your voice, but it can be done.     •    Avoid speaking softly or other speech patterns that make you seem unconfident - For example, avoid ending sentences in an escalating tone that suggests every sentence you speak is a question.     •    You should, Umm, avoid, Uh, fill words - Aguilera offers one strategy for kicking a fill-word habit: Say the offending word and concentrate on it.'Then tell yourself, 'this is a fill word, I'm avoiding this,'' he says. 'When you say this, it creates that pattern of changing it so that you'll catch yourself when you start saying it.'     •     Don't use words like don't - Don't think about elephants. Ok, now what are you thinking about? Aguilera says that is why it's important to avoid phrases like 'don't worry.' Tell your audience what they should do instead. Similarly, don't say 'I hope you will enjoy this presentation.' Say, 'I am confident that you will enjoy this presentation.'

2) Body Language     •    Stand at a comfortable distance - Parnell suggests remaining within 2.5 - 7 feet of your audience. This presupposes (at a subconscious level) a personal to social relationship.     •    Eye contact - Don't surf the audience with your eyes.  Rather, make eye contact with one person at a time.     •    Appear confident:           a)    Shoulders back           b)    Arms at your sides or held in front of your body when making gestures           c)    Hands open or only slightly closed           d)    Smile slightly or keep your face neutral.           e)    Take long strides           f)     Make every movement purposeful and decided           g)    Treat props (like your resume or a handout) as though they are of value.  Don't let a paper in your hand flap back and forth carelessly. 3) Powerpoint     •    A Good Powerpoint...           a)    Relies heavily on images.           b)    Has only one or two sentences per slide.           c)    Entertains.           d)    Enhances your presentation, but doesn't summarize it.     •    A Bad Powerpoint...           a)    Contains font smaller than 32pt.           b)    Has more than five or six lines of text per slide.           c)    Displays a logo on every slide (your audience won't forget who you are).           d)    Is printed and distributed as a handout. Parnell says that immediately before their meetings, he asks his clients to write down questions that may come up regarding their presentations. This primes their brains for answering them. It's also important to anticipate any challenges to your presentation that might arise during Q&A time and to prepare responses. Braithwaite recommends taking questions before the end of your presentation. You'll have to let the audience know that you plan to continue after questions so that they don't start packing up their things, but this approach allows you to close your presentation on your own note. 'The audience will leave with your final message in their minds instead of some random question that someone asked that maybe was off-topic,' she says.

Also, keep in mind that you don't need to answer every question. If you don't know the answer or don't want to answer a question, a graceful exit line is, 'I don't have that information right now, but I would be happy to get it to you as soon as I can.' Becoming a great trainer: How to improve your presentation skills

In-person seminars and workshops, move aside. With the rise of remote work, and the digital transformation it has ushered, online presentations, webinars, and web conferences are becoming more and more of a norm. For trainers, this means it’s time to learn how to improve presentation skills.

No matter how much technology changes things, creating a successful training experience still relies on the human aspect. To be able to lead great instructor-led online learning sessions, whether it’s a webinar for employees or a sales demo for clients, you need to know how to be a good presenter.

But for many people, speaking in public is hard. And speaking in public via a Zoom screen is… surprisingly still hard. Is presenting a talent you simply weren’t born with?

Short answer: No . Like with every other skill, being a good presenter can absolutely be taught. If you’re looking for ways to improve presentation skills, read on.

In this article, we’ll cover everything from the most common challenges of online presentations and presentation tips that will keep your audience hooked, to all the practical things you need to consider beforehand.

The challenges of online presentations

As everyone quickly realized during the pandemic, online presentations come with their own set of challenges. Without the element of the instructor’s physical presence in the same room with learners, it can be really hard to keep the levels of engagement from dropping.

For learners, long Zoom lectures where the presenter just goes through slide after slide without asking for their questions or participation is a passive experience . For presenters, it can feel like they’re talking to the void — especially if people have their cameras turned off. It’s a lose-lose situation.

Precisely because physical presence is absent, communication and active participation in online presentations are key in order to make the experience a conducive one to learning. But if the presenter is not familiar enough with the format or with delivering presentations in general, this can be hard to pull off.

Building your presentation skills

So how to improve your presentation skills if you don’t have experience with online presentations? Here are some things you can do:

Take courses

You know you’re great at your job. (If you weren’t, you probably wouldn’t be giving lectures and teaching others about it.) But being great at any given profession and teaching it are two very different skills.

Attend online presentations

To be a great novelist, you need to read a lot of books in your genre. To improve presentation skills, you need to watch other presenters. Joining webinars and online sessions, even in different subject matters than your niche, will give you a precious perspective.

Being on the side of the audience , you can notice things that bother you and make sure to avoid them when the time comes. Or you can identify the things you liked and incorporate them into your own presentation.

Do practice runs — on camera

Preparing your material and doing a couple of practice runs are always expected before every presentation. And when your presentation is an online one, you should really add the camera into the mix. For one, it will give you the chance to test your equipment and ensure your setup works for you (more on that below).

But also recording yourself and then watching the recording will allow you to see what your learners see .

  • Are you going through your slides too fast or too slow?
  • Is your intonation monotonous or are you talking naturally?
  • Should you speak louder?

Unless you see yourself on camera, there really is no way to answer those questions or adjust accordingly.

How to deliver an engaging online presentation

Part of any good presentation is how well you speak in front of an audience. But in an online presentation, there are several other ways you can leverage the technology at hand to create engagement. These presentation tips below will help you get started:

Let your personality shine through

Make a pun. Offer an extra tidbit of information you find intriguing. Insert a personal anecdote. Neither your learners nor your prospective clients want to listen to you read a manual out loud with slides in the background. You don’t have to turn into a comedian, if that’s not your thing, but adding a personal touch is a great way to get people to pay attention to what you’re saying.

Also, if your company brand allows it, it could be a good idea to give your webinar or training session a catchy name. This will convince attendees they’re probably not in for a boring time!

Encourage audience interaction

Having a Q&A session at the end of your webinar is great — but not enough. To keep your audience engaged so that they’re more than just passive listeners, encourage questions and conversation throughout. For example, whenever you finish a part of your presentation, pause and ask if there are questions. People aren’t willing to speak up? Pose questions yourself to get the ball rolling.

If you’re presenting through a video conferencing software like Zoom, you should use the chat feature . State from the beginning that people are welcome to ask questions or share their opinions and every now and then pause your presentation to address their comments.

Most video conferencing software nowadays has the option to divide participants into smaller rooms , where they can have more targeted conversations. Break them into groups of 3-4 people and provide one or two discussion subjects as starting points. You can cruise between the different groups to check everything is working. Then after 15-20 minutes or so you can bring everyone back for a broader conversation based on what was discussed in groups.

Keep your slides visually appealing and informative

There are two types of people: those who treat slides like pages of a book, loading them with a ton of text, and those who opt for almost blank slides with lists of bullet points. Neither of these types is going to keep an audience at the edge of its seat.

Since you’ll be probably sharing your screen for the most part of the presentation, you need your slides to be visually pleasant. Use interesting or funny images to illustrate a point. Highlight specific information with your pointer as you go along. If possible, add animation . And don’t stay in one slide for too long: about 2 minutes per slide should be your goal.

Extra tip: If you can’t find good visuals for a part of your presentation and you want to ensure your audience will pay attention, switch the camera back to your face. It will be like including a mini talking-head video in between slides.

Use unexpected multimedia elements

No matter how to-the-point and engaging you make them, slides alone are not going to cut it. As we’ve already seen, it’s a webinar best practice to engage your audience with questions often. A fresh way to do this is with an online poll.

Software solutions allow you to run real-time polls where you can ask people’s opinions about a subject and have their responses showcased on your shared screen. This will make your audience more likely to participate and pay attention — even if they’re too shy to talk in front of everyone.

You can also include short videos (no more than 1-2 minutes) or sound clips that are relevant to your subject matter, to offer some visual and auditory variety.

Don’t forget to hit “record”

Offering the recording (and the transcript) of your webinar afterward to anyone who’s missed it or wants to rewatch is considered a webinar best practice. But it can also be a bit tricky: if it’s live, you probably need to ask the permission of everyone present before recording.

Alternatively, you can make a pre-recorded version of your presentation without the audience, and share it with those who didn’t attend.

Before you start the presentation

So by now you have your “improve presentation skills game plan” down to pat. Time to focus on the small, technical details that can nevertheless have a big impact on your online session:

Find the right angle for your camera

How much of your background do you want to show? Which angle makes your face look better? (We all feel our face looks weird on camera, hence the tip on doing practice runs mentioned earlier.)

Spend some time figuring out how to position your laptop so that the camera angle works for you.

Check your lighting

Depending on what time you’re giving your presentation, natural light may not be available or it may change fast. It’s better to have a reliable light source, like a LED ring light mounted on top of your laptop.

Get a good microphone

Sure, you can use your laptop’s own microphone. But if you’re recording the session, it’s better to use a boom or lapel microphone to ensure your sound is crisp.

Familiarize yourself with the software you’re using

If you’re not very familiar with the video conferencing software you’ll be using for your presentation, it’s crucial to do a couple of test runs with friends or co-workers. You need to be able to divide people in break rooms fast and bring them back without any confusion. You also need to know how to give co-host rights to a member of the audience in case they need to share their screen to present something.

Join the event earlier

This goes without saying, but be there a good 10-15 minutes before your event starts. That way, you’ll have the necessary time to calibrate your camera and sound without anyone noticing — and be there to welcome any early arrivals. Just like you would do in a real-life classroom.

Improving your presentation skills is a marathon, not a sprint

Ultimately, a good presentation is one where participants leave having gained new knowledge. So, your role as a presenter is to keep them engaged and make learning stick. When executed well, even training presentations can be entertaining, engaging, have the audience rapt and motivate learners to perform better after it's over.

10 Steps to a Winning Presentation

But, while 10% of people excel when giving presentations, a similar number have an extreme fear of them, experience panic attacks, anxiety and even melt-down.

Where do you stand on this spectrum? And how can you improve your own presentation skills? We have some simple steps to follow to help improve your presentation skills.

1. Identify the purpose of your training presentation

What are you trying to achieve? For example, are you trying to increase awareness, communicating a change in legislation, explaining real world experiences, or motivating the audience to change their working practices? How will you quantify success ?

2. Identify your target audience

Who is your intended audience? What level are they at? What prior knowledge might they have ( what do they already know ), etc?

3. Define your call to action

Always try to end your presentation on a high. Your audience may find this part the most memorable. State your learning objectives at the start of your presentation. Motivate the audience to reflect on what they've learnt, apply it to their own job or act on your message in some way.

4. Split your presentation into 3 parts

Planning and preparation, delivery and the big ending. This makes it more manageable enabling you to focus on each area.

5. Create a script

What exactly will you say and how will you say it ? How much should you say? (Saying too much will bore your audience.) Should you ad-lib? Will you need a slideshow? How can you make sure you cover all the points but still come across as genuine? Have a crib-sheet with the key points.

If you are video conferencing, having two screens will help, as you can see your presentation on one screen and use the second for your script to respond to any feedback. 

5. Choose an appropriate delivery mechanism

What's the best way of communicating with your audience? What's likely to appeal to them? How can you engage them ? Should you have break-out groups, audience participation, voting, a Q&A, a demonstration, etc?

Always ensure that your internal or external venue has all the facilities you need.

  • Face-to-face at your office
  • Face-to-face at an external venue
  • Instructor-led e-learning
  • Microlearning
  • Informal (i.e. video conferencing)

7. Practise, practise and practise

Practise really does makes perfect. Rehearse your presentation with your colleagues . Or if it is not commercially sensitive why not try it with family or friends?

The more comfortable you are with what you're saying and how you deliver it, the better it will be.

8. Use positive body language

Use positive body language, including making eye contact with different people around the room, using open - rather than defensive - gestures, and avoiding any distracting mannerisms (such as jangling coins or keys).

If your presentation is via video conferencing make sure your lighting is good and use background blurring if you feel that your setting could be distracting.

9. Channel your adrenaline positively

Adrenaline affects people in different ways - some presenters dance around the room, some race through the script to the end, while others are rooted to the spot, devoid of all emotion.

Remember that all these responses are completely natural - prepare mentally like an actor who's about to go on stage.

10. Have a backup

If you're using technology, have a backup in case of equipment failure. Don't get flummoxed by a poor WiFi connection, and let all your preparations go to waste.

Remember that if you are video conferencing it is important that the learners have a good WiFi connection too!

How many post-workshop evaluations have mentioned the highlight of the day being the beautiful and engaging PowerPoint presentation?

Do you think that’s ever been the case for any presentation you’ve given or sat through?

Chances are that instead, the mere thought of an afternoon training session featuring slide 77 flicking to slide 78 sends shivers down the spines of most attendees. When delivering a training workshop, you are the primary visual aid and it’s up to you to add enthusiasm, energy, expertise and interaction to your session. Even experienced trainers can still struggle to use PowerPoint in a way that enhances their facilitation skills.

There are plenty of great alternatives to PowerPoint, but it’s still a reliable workhorse and if you are using it, it pays to be aware of some of the quick and easy techniques available to you.

This article will share three common challenges trainers face with their presentations , and what you can do to overcome them without having to be a PowerPoint expert.

Challenge 1: Too Many Slides

What’s the magic number of slides to use in a training session … who knows? There’s no definitive answer to that. That makes addressing this first challenge a little trickier.

When you have extended workshops, there might be a volume of content to work through, and the linear nature of slides makes it very hard to keep attendees engaged throughout.

Prezi is seen as an attractive alternative to PowerPoint because its zooming canvas allows you to travel through content in a non-linear way. The idea of seeing an agenda, zooming in to reveal the content, and then zooming back out helps chunk content into groups and supports effective delivery.

Did you know that this can be done in a very simple way in PowerPoint as well?

Your training session can likely be broken down into key sections or learning objectives that set the agenda for your session. These will be the agenda items that set the structure for your presentation.

Then follow these four steps:

  • At the start of each agenda item, insert a clear divider slide.
  • View your PowerPoint in slide sorter mode.
  • Create a section for the collection of each slide.
  • Go to Insert > Summary Zoom.

What you will see is a new slide that gives a snapshot of the first slide in each section (that’s why we’ve used dividers). If you have the time, you can then adjust or replace these snapshots and create a visually appealing overview of your presentation. Then try it out in present mode: By clicking forward, you will travel through into each section and then return to this overview screen. It’s also interactive, as simply clicking on an image will take you to that section.

It’s very simple to do, has a huge impact and overcomes that feeling of being overwhelmed by content.

Challenge 2: Not Enough Space on One Slide

Not all ideas fit onto one slide, especially with diagrams, complex ideas or extended focus areas. But a choppy transition leaping from one slide to the next can interrupt the flow of learning. Using a push transition is a very simple way to overcome this and join slides together to give a feeling of continuity.

  • For instance, if you have a timeline that doesn’t fit onto one slide, put it across two slides.
  • On the second slide, add a push transition, then adjust so it pushes in from the right.
  • Go into present mode and review what that looks like.

You can then start exploring more advanced uses for these transitions. For example, you might ‘dive into’ further exploration of a topic with a push down or push from the left to “go back” to a previously visited idea.

Push transitions, when done well, are simple, look great, and can give you more space to work with.

Challenge 3: Too Much Text

This comes in third here but is often the most visible challenge. When people struggle with this, they really struggle! If you’ve got whole sentences or paragraphs on your slides, that means you are using them as your speaking notes and not as a visual aid.

If you are facilitating a training session , you should have a good working knowledge of your subject. You shouldn’t need slides with full sentences on them.

Turn those sentences into speaking prompts that then give you the space to connect with your audience, instead of having them read from the screen as you present.

  • Find any slides full of bullet points or sentences.
  • Examine each point and distill it down into 2-5 keywords.
  • Go to insert > icon and find a relevant icon that matches the point being made.
  • Insert the icon above or next to each set of keywords, and then align them.

This is another quick and simple improvement that can immediately lift the effectiveness of your presentations.

The Purpose of Dry firing and How To Do It

“Dry Fire” or “Dry Firing” is the practice of pulling the trigger on your gun without a round in the chamber, typically to attain a more consistent, clean, and fast trigger pull. However, there are a bunch of smaller benefits to the practice of dry fire that we’ll share with you today so that you can take advantage of them and incorporate them into your normal training routine.

One of the biggest benefits, especially in our times of inflated currencies and extremely expensive ammunition, is that dry firing is virtually free. There could be some upfront cost to dry fire training if you intend on investing in accessories like the DryFireMag, or one of the many laser-aided training systems out there by companies like Mantis. Although each of these accessories can cost $100 or more, over time, if you use these items as part of a routine training regime, you can sometimes drastically improve your consistency and performance without spending hundreds or thousands on ammunition.

Dry Fire training can also be much safer than training with a live firearm. Although there is a clear and superior benefit to live-fire training, dry-fire training typically eliminates the use of any live ammunition, can be practiced indoors in the safety of your own home, and oftentimes dryfire training systems like the CoolFire trainer can even partially simulate the recoil of a regular handgun by only using compressed gas. So with all of this in mind, how should you go about developing your own dry-fire training exercises to increase your skills?

Some Starter Dry Fire Exercises

Some helpful items to have for these exercises would be snap caps or dummy rounds, your gun and holster setup, a spare empty magazine or snap-capped speed loader/moon clip, and a shot timer (there are free apps out there). Before you begin any of your dry fire training you should always make sure that your firearm is clear of any live ammunition, and that any magazines you intend to use for the training are emptied as well. Store any loose ammo or loaded magazines far away from your training area for an added layer of safety.

Coin Balance Drill

This is a simple one that can be accomplished with just a penny or a small coin. The goal of this drill is to train in a quick, clean, and disturbance-free trigger pull. Simply place the coin on the end of your extended handgun and then attempt to pull the trigger without having the coin fall off - it’s harder than it looks if you don’t have a nice smooth trigger pull! If you have a double-action firearm or a DryFire mag this can be a very valuable drill that won’t cost you any extra ammo. This is probably what I would consider to be the most pure form of dry fire practice as it involves no other actions than pulling the trigger.

Presentation Drill

Whether you’re carrying a firearm for self-defense or practicing to breech the next class in a USPSA match, a massive benefit to dry fire training is perfecting the draw and presentation of your firearm. The goal of this drill is to quickly, and consistently pick up your target in your sight picture from the draw. Add in a trigger pull and make it a goal to disturb your sight picture as little as possible every time. This is probably the most common and easy to repeat dry fire drill and it’s one that you can do with just the handgun itself and no extra equipment. Time really doesn’t matter until your presentation and trigger pull are smooth and end with a clean trigger break with virtually no disturbance to your sight picture.

Transition Drill

This drill is slightly more advanced and is greatly aided by the addition of a DryFire mag, double-action firearm, or snap caps. The goal of this dry fire drill is to help you train your transition between targets without wasting a bunch of ammunition. Start with your pistol at the low ready or in the holster and on the beep of your shot timer, present and dry fire at your first target doing your best to incorporate the skills honed in with the previous two drills. After the first target has been “shot at” you can then transition to the second target, moving your eyes first to the target and then moving your irons/red dot over the target you’re looking at. After you’ve got a solid sight picture, pull the trigger again trying not to disturb the sight picture. This drill really helps with your lateral hand movement, preventing you from overrunning a target during a transition.

Other Tips - Don’t forget to Practice Consistently!

If you’ve mastered these simple basics, you can start incorporating other things into your routine dry fire practice to help hone in other relevant skills you might want to attain. Movement drills, reload drills and transition drills are probably the best well-suited types of training during dry fire practice. You should establish a healthy routine of dry fire practice, it really does go a long way in improving your pistol performance at the range without spending too much money. As good as it is, don’t forget to throw in some regular practice sessions while you’re att it to help inoculate yourself for the live-fire portion of shooting! Let us know your tips and tricks!
