Employment certificate, financial documents, and income tax return (ITR) are the staples of most visa applications. But there is one document that is usually overlooked — the cover letter.

A cover letter isn’t always a requirement when applying for a visa. However, it’s something that we often recommend to add to your pile of documents, especially if there is no interview and you have some explaining to do.

You see, sometimes, things don’t always fit the mold perfectly. There are cases wherein you can’t provide the exact document needed, but you have a very good alternative. Or maybe you just can’t provide something at all, but you have a perfectly valid reason. Or perhaps you’re traveling with a group or for a special purpose. These instances could probably benefit from a well-crafted explanation to give the visa officer a clearer picture of your situation.

When I apply for a visa, I usually submit a cover letter regardless of whether or not it’s one of the requirements. I always want to give a summary of my application and clarify some aspects that may be prone to misinterpretation.

WHAT'S COVERED IN THIS GUIDE?

What should be in a cover letter?

For me, a good cover letter must be able to provide the following:

  • A short introduction about yourself.
  • Your travel dates and the purpose of your trip
  • If traveling with a group: your companions and your relationship with them
  • If sponsored: your sponsor’s name, your relationship with them, and the reason why they are willing to sponsor you
  • If you’re missing some requirements: the reason why you won’t be able to provide them and the alternatives you are submitting instead
  • If applying for a double entry or multiple entry visa: the reason why you need to be allowed more than one entry
  • A quick rundown of the destinations you will be visiting
  • A quick summary of your travel history (if any), highlighting that you have NEVER violated visa rules in the past
  • A promise to return to your home country in time

Looks like a lot, huh? But here’s the thing: According to a couple of friends who used to work as visa officers at strict embassies, they usually had very little time to assess each application. Hence, if you’re going to make a cover letter, go straight to the point . One page should be enough. The key is being concise — finding the balance between giving enough information and keeping it short and sweet.

Here are some samples. I intentionally used complicated situations to give you an idea how I usually explain them. If they don’t apply to you, feel free to modify these to match your case. Please use this only as a model for your own cover letter. Please do not copy-paste the whole thing without adjustments.

Hello, I will be applying for a Japan visa and will submit a cover letter din. I have a few questions:

  • If I am traveling with friends pero we will be submitting individual applications, do I need to include that in the cover letter na I am with them on this trip?
  • Do you need to submit all your savings account o kahit isa nalang?
  • Plan ko rin sana (dahil nabasa ko sa ibang posts nyo hehe) na payroll and savings account ipasa, pero kung nililipat ko rin naman yung laman ng payroll sa savings, need ko pa ba isubmit yung payroll account?
  • Sa ibang Japan visa application na napanuod ko, nagsusubmit sila ng bank certificate at bank statement. Do I need to do that?
  • If yes, need ko ba explain sa cover letter ko na tinatransfer ko sa digital bank muna yung pera saka ko tinatransfer sa savings account? (kasi baka makita, if may bank statement, na nanggaling sa ganitong account yung pumasok na pera)

I plan to visit Canada and have started my visa application. I selected visit friend for purpose instead of tourism as I would like to be fully honest with my application. My very purpose is to be with my boyfriend and meet his family and friends. Touring comes as a bonus. Would it be fine to add captions or narrations on the pdf document together with our pictures as proof? It is important to show you have done your research and are familiar with the company culture. Explain what you like about the company and why you want to work with them. Talk about the values and goals that you share with the company. 

4. Write about yourself and not your team. 

Use the word “I” instead of “we” when talking about your specific strengths and accomplishments.

5. Highlight what makes you unique. 

Talk about the strengths, skills, and experiences that will help you succeed in your job. For example, how will your immigrant or refugee background be an asset to the position and company?  

6. Focus on what you’re good at. 

Write about the skills and experiences you have. Do not mention qualifications that you do not have. You can still be a good candidate even if you do not have all the skills listed in the job description.

7. Write clearly and concisely. 

Do not include any information that’s not related to the job or company. Do not repeat basic information in your resume. Instead, give more detail about a specific skill or achievement. Tell a story about a time you made a positive impact at work.  

8. Use good formatting and the same font as your resume.

Set the margin to 1 inch on all sides. Use single spacing. Left align the text. Make sure to use the same font style and size on your resume. 

9. Proofread your cover letter. 

Check your spelling, grammar, punctuation, and word choice with a tool like Grammarly. Reading your cover letter out loud can also help you catch mistakes. Ask a friend to read your cover letter and give you feedback.

10. Save your cover letter in the correct format.

The Museum of Fine Arts, Boston Access Department is responsible for ensuring that people of all abilities feel welcome and are able to make direct connections with the Museum’s collection and exhibitions. The Department offers internships to college students who enjoy working with people with disabilities and are interested in learning more about the intersection of art and disability.

The Access Tactile Inventory intern will serve a crucial role within the Access department, documenting and cataloging the tools used by access guides to make tours multisensory to the public. These tools, referred to as tactiles, are objects such as fabrics, sculptures, jewelry, samples of materials and others. This internship will continue the work of previous interns, exploring and documenting our collection of tactiles, creating record sheets on them, and uploading that information onto a digital database. Additionally, the intern will support the ongoing accessible programming within the Museum. This opportunity will allow you to make connections within the MFA, other museums, and the disability community in the greater Boston area.

The selected intern will work alongside and learn from experts in arts and disability, and will gain valuable customer service skills through communicating with a variety of audiences, visitors, and organizations. The intern will also gain skills in photographing objects, creating object records, and website design within a museum setting. Additionally, the selected intern will also gain skills and confidence in working with a wide range of persons with a diversity of degrees of disability, and will build a professional network of disability advocates, arts administrators, and related organizations.

The ideal candidates must be able to work onsite 20 hours per week, (within Monday through Friday, 9am-5pm parameters), from Sept 13 through Dec 13, 2024, including attendance at the Museum Pathways & Practices professional development course from 12:30-2:30pm on the following Fridays: Sept 20, Sept 27, Oct 4, Oct 11, Oct 18, Oct 25, Nov 1, Nov 8, Nov 15, Nov 22, Dec 6, and Dec 13.

The selected intern will be paid at a rate of $ 16.80 per hour, and will receive a $90 per month transportation subsidy. (The subsidy is subject to taxes.)

8. Be prepared to do employment tests

Online applications in job listing sites often come with employment tests, also known as talent assessment tests, that you have to complete as part of your candidacy. Not doing the tests, when they're mandatory, will automatically disqualify you.

Usually, these tests assess your personality and skills. Some will also evaluate emotional intelligence, cognition, and work style—it really depends on your industry, field, and role. Needless to say, scoring high on employment tests is crucial to be considered by the hiring manager—so you want to take them seriously and complete them calmly.

Although this seems a daunting task to do, there's a plus side: some companies use the same or similar tests, which allows you to repurpose one that's already saved on the platform or know exactly what kind of answers you'll have to respond.

9. Have an application email script drafted

Some companies, especially small ones, don't have built-in software to handle online job applications and would rather have candidates send their resumes via email. For this reason, consider having an email script drafted to send along with your resume and cover letter, if requested.

Your message should be professional, and straight to the point. A brief salutation, a sentence expressing your interest in the role, one to two sentences about your resume (and cover letter), a closing sentence, and your signature is enough. For instance, you could say something along the lines of:

Dear [Name],

My name is [Your Name] and I'm excited to apply for the Software Developer position listed on LinkedIn.

As requested, I've attached my resume and cover letter . Please let me know if I can provide any extra information.

Thank you for your consideration. I look forward to hearing from you.

[Your Name]

10. Track your applications and follow up

While it’s not mandatory, ideally you should track and follow up with your applications. Generally, one to two weeks is considered a reasonable time to reach out to check the status of your application.

Keeping track of your applications also prevents you from applying for the same company multiple times (don’t even bother—it won't get you the job) and also helps you remember which job a recruiter is referring to when they reach out to you. (Here's how to follow up on a job application .)

Your tracking system can be as simple as a notebook with detailed notes, or as formatted as a spreadsheet tracking the job opportunity, hiring manager’s contact info, dates you sent the resume and followed up, and any response you’ve received so far.

Extra advice on online applications

Applying for a job online is as formal as handing your resume in person. Thus, you should take every detail of this process seriously, including the following:

  • Email address : Use a professional email address, both to register on job listing sites and to send emails to recruiters. Avoid playful or overly informal usernames and opt for a version with your name and last name.
  • Resume file format : Generally, it's best to submit your resume as .doc or .docx, however, some employers may ask for a PDF file. You can have both versions saved, for convenience, or convert the file format when necessary.
  • Your resume file name : Always save your resume file with your name and last name. For instance, annajonesresume.doc. This makes it easier to locate, both for you and the hiring manager. Avoid generic names such as “resume” or random numbers.
  • Follow the employer's directions : If the job posting requires specific information or documents (for instance, a portfolio or a cover letter), give what is requested. If they don't, then don't. Following the recruiter's instructions is crucial to successfully applying for jobs online—everything they want from you is going to be written in the posting.

Online job applications can be confusing at first, but they tend to be simpler than most people expect. You need a tailored and ATS-friendly resume, a cover letter draft in case the employer asks for one, and a dose of patience to fill up your personal information, education, and work history on job listing sites.
