  • A PhD viva involves defending your thesis in an oral examination with at least two examiners.
  • The aim of a PhD viva is to confirm that the work is your own , that you have a deep understanding of your project and, overall, that you are a competent researcher .
  • There are no standard durations, but they usually range from one to three hours, with most lasting approximately two hours .
  • There are six outcomes of a PhD viva: (1) pass without corrections (2) pass subject to minor corrections, (3) pass subject to major corrections, (4) downgrade to MPhil with no amendments, (5) downgrade to MPhil subject to amendments, (6) immediate fail.
  • Almost all students who sit their viva pass it, with the most common outcome being ‘(2) – pass subject to minor corrections’.

What Is a PhD Viva?

A viva voce , more commonly referred to as ‘viva’, is an oral examination conducted at the end of your PhD and is essentially the final hurdle on the path to a doctorate. It is the period in which a student’s knowledge and work are evaluated by independent examiners.

In order to assess the student and their work around their research question, a viva sets out to determine:

  • you understand the ideas and theories that you have put forward,
  • you can answer questions about elements of your work that the examiners have questions about,
  • you understand the broader research in your field and how your work contributes to this,
  • you are aware of the limitations of your work and understand how it can be developed further,
  • your work makes an original contribution, is your own and has not been plagiarised.

Note: A viva is a compulsory procedure for all PhD students, with the only exception being when a PhD is obtained through publication as opposed to the conventional route of study.

Who Will Attend a Viva?

In the UK, at least two examiners must take part in all vivas. Although you could have more than two examiners, most will not in an attempt to facilitate a smoother questioning process.

One of the two examiners will be internal, i.e. from your university, and the other will be external, i.e. from another university. Regardless, both will be knowledgeable in your research field and have read your thesis beforehand.

In addition to your two examiners, two other people may be present. The first is a chairperson. This is an individual who will be responsible for monitoring the interview and for ensuring proper conduct is followed at all times. The need for an external chairperson will vary between universities, as one of the examiners can also take on this role. The second is your supervisor, whose attendance is decided upon by you in agreement with your examiners. If your supervisor attends, they are prohibited from asking questions or from influencing the outcome of the viva.

To avoid any misunderstandings, we have summarised the above in a table:

Note: In some countries, such as in the United States, a viva is known as a ‘PhD defense’ and is performed publicly in front of a panel or board of examiners and an open audience. In these situations, the student presents their work in the form of a lecture and then faces questions from the examiners and audience which almost acts as a critical appraisal.

How Long Does a Viva Last?

Since all universities have different guidelines , and since all PhDs are unique, there are no standard durations. Typically, however, the duration ranges from one to three hours, with most lasting approximately two hours.

Your examiners will also influence the duration of your viva as some will favour a lengthy discussion, while others may not. Usually, your university will consult your examiners in advance and notify you of the likely duration closer to the day of your viva.

What Happens During a Viva?

Regardless of the subject area, all PhD vivas follow the same examination process format as below.

Introductions

You will introduce yourselves to each other, with the internal examiner normally introducing the external examiner. If an external chairperson is present, they too are introduced; otherwise, this role will be assumed by one of the examiners.

Procedure Explained

After the introductions, the appointed chair will explain the viva process. Although it should already be known to everyone, it will be repeated to ensure the viva remains on track during the forthcoming discussion.

Warm-Up Questions

The examiners will then begin the questioning process. This usually starts with a few simple opening questions, such as asking you to summarise your PhD thesis and what motivated you to carry out the research project.

In-Depth Questions

The viva questions will then naturally increase in difficulty as the examiners go further into the details of your thesis. These may include questions such as “What was the most critical decision you made when determining your research methodology ?”, “Do your findings agree with the current published work?” and “How do your findings impact existing theories or literature? ”. In addition to asking open-ended questions, they will also ask specific questions about the methodology, results and analysis on which your thesis is based.

Closing the Viva

Once the examiners are satisfied that they have thoroughly evaluated your knowledge and thesis, they will invite you to ask any questions you may have, and then bring the oral examination to a close.

What Happens After the Viva?

Once your viva has officially ended, your examiners will ask you to leave the room so that they can discuss your performance. Once a mutual agreement has been reached, which can take anywhere from 10 minutes to an hour, you will be invited back inside and informed of your outcome.

PhD Viva Outcomes

There are six possible outcomes to a viva:

  • Immediate award of degree: A rare recommendation – congratulations, you are one of the few people who completely satisfied your examiners the first time around. You do not have to do anything further at this point.
  • Minor amendments required: The most common recommendation – you obtain a pass on the condition that you make a number of minor amendments to your thesis, such as clarifying certain points and correcting grammatical errors. The time you have to make these changes depends on the number of them, but is usually one to six months.
  • Major amendments required: A somewhat uncommon recommendation – you are requested to make major amendments to your thesis, ranging from further research to collecting more data or rewriting entire sections. Again, the time you have to complete this will depend on the number of changes required, but will usually be six months to one year. You will be awarded your degree once your amended thesis has been reviewed and accepted.
  • Immediate award of MPhil: An uncommon recommendation – your examiners believe your thesis does not meet the standard for a doctoral degree but meets the standard for an MPhil (Master of Philosophy), a lower Master’s degree.
  • Amendments required for MPhil: A rare recommendation – your examiners believe your thesis does not meet the standard for a doctoral degree, but with several amendments will meet the standard for an MPhil.
  • Immediate fail: A very rare recommendation – you are given an immediate fail without the ability to resubmit and without entitlement to an MPhil.

What Is the Pass Rate for Vivas?

Based on an  analysis of 26,076 PhD students  who took their viva exam between 2006 and 2017, the PhD viva pass rate in the UK is 96%; of those who passed, about 80% were required to make minor amendments to their thesis. The reason for this high pass rate is that supervisors will only put their students forward for a viva once they confidently believe they are ready for it. As a result, most candidates who sit a viva are already well-versed in their PhD topic before they even start preparing for the exam.

How Do I Arrange a Viva?

Your viva will be arranged either by the examiners or by the chairperson. The viva will be arranged at least one to two months after you have submitted your thesis and will arrange a viva date and venue that is suitable for all participants.

Can I Choose My Examiners?

At most universities, you and your supervisor will choose the internal and external examiners yourselves. This is because the examiners must have extensive knowledge of the thesis topic in order to be able to examine you and, as the author of the thesis in question, who else could better determine who they might be than you and your supervisor. The internal examiner is usually quite easy to find given they will be from your institution, but the external examiner may end up being your second or third preference depending on availability.

Can I Take Notes Into a Viva?

A viva is about testing your competence, not your memory. As such, you are allowed to take notes and other supporting material in with you. However, keep in mind that your examiners will not be overly impressed if you constantly have to refer to your notes to answer each question. Because of this, many students prefer to take an annotated copy of their thesis, with important points already highlighted and key chapters marked with post-it notes.

In addition to an annotated copy of a thesis, some students also take:

  • a list of questions they would like to ask the examiners,
  • notes that were created during their preparation,
  • a list of minor corrections they have already identified from their viva prep work.

How Do I Prepare for a PhD Viva?

There are several ways to prepare for a PhD viva, one of the most effective being a mock viva voce examination . This allows you to familiarise yourself with the type of viva questions you will be asked and identify any weak areas you need to improve. They also give you the opportunity to practise without the pressure, giving you more time to think about your answers which will help to make sure that you know your thesis inside out. 13 Key Questions To Expect In The Viva Voce

Preparing for your dissertation or thesis defense (also called a “viva voce”) is a formidable task . All your hard work over the years leads you to this one point, and you’ll need to defend yourself against some of the most experienced researchers you’ve encountered so far.

It’s natural to feel a little nervous.

In this post, we’ll cover some of the most important questions you should be able to answer in your viva voce, whether it’s for a Masters or PhD degree. Naturally, they might not arise in exactly the same form (some may not come up at all), but if you can answer these questions well, it means you’re in a good position to tackle your oral defense.

  • What is your study about and why did you choose to research this in particular?
  • How did your research questions evolve during the research process?
  • How did you decide on which sources to include in your literature review?
  • How did you design your study and why did you take this approach?
  • How generalisable and valid are the findings?
  • What were the main shortcomings and limitations created by your research design?
  • How did your findings relate to the existing literature?
  • What were your key findings in relation to the research questions?
  • Were there any findings that surprised you?
  • What biases may exist in your research?
  • How can your findings be put into practice?
  • How has your research contributed to current thinking in the field?
  • If you could redo your research, how would you alter your approach?

#1: What is your study about and why did you choose to research this in particular?

This question, a classic party starter, is pretty straightforward.

What the dissertation or thesis committee is assessing here is your ability to clearly articulate your research aims, objectives and research questions in a concise manner. Concise is the keyword here – you need to clearly explain your research topic without rambling on for a half-hour. Don’t feel the need to go into the weeds here – you’ll have many opportunities to unpack the details later on.

In the second half of the question, they’re looking for a brief explanation of the justification of your research. In other words, why was this particular set of research aims, objectives and questions worth addressing? To address this question well in your oral defense, you need to make it clear what gap existed within the research and why that gap was worth filling.

#2: How did your research questions evolve during the research process?

Good research generally follows a long and winding path . It’s seldom a straight line (unless you got really lucky). What they’re assessing here is your ability to follow that path and let the research process unfold.

Specifically, they’ll want to hear about the impact that the literature review process had on you in terms of shaping the research aims, objectives and research questions . For example, you may have started with a certain set of aims, but then as you immersed yourself in the literature, you may have changed direction. Similarly, your initial fieldwork findings may have turned out some unexpected data that drove you to adjust or expand on your initial research questions.

Long story short – a good defense involves clearly describing your research journey , including all the twists and turns. Adjusting your direction based on findings in the literature or the fieldwork shows that you’re responsive , which is essential for high-quality research.

#3: How did you decide on which sources to include in your literature review?

A comprehensive literature review is the foundation of any high-quality piece of research. With this question, your dissertation or thesis committee are trying to assess which quality criteria and approach you used to select the sources for your literature review.

Typically, good research draws on both the seminal work in the respective field and more recent sources . In other words, a combination of the older landmark studies and pivotal work, along with up-to-date sources that build on to those older studies. This combination ensures that the study has a rock-solid foundation but is not out of date.

So, make sure that your study draws on a mix of both the “classics” and new kids on the block, and take note of any major evolutions in the literature that you can use as an example when asked this question in your viva voce.

#4: How did you design your study and why did you take this approach?

This is a classic methodological question that you can almost certainly expect in some or other shape.

What they’re looking for here is a clear articulation of the research design and methodology, as well as a strong justification of each choice . So, you need to be able to walk through each methodological choice and clearly explain both what you did and why you did it. The why is particularly important – you need to be able to justify each choice you made by clearly linking your design back to your research aims, objectives and research questions, while also taking into account practical constraints.

#5: How generalizable and valid are the findings?

This question is aimed at specifically digging into your understanding of the sample and how that relates to the population, as well as potential validity issues in your methodology.

To answer question this well, you’ll need to critically assess your sample and findings and consider if they truly apply to the entire population, as well as whether they assessed what they set out to. Note that there are two components here – generalizability and validity . Generalizability is about how well the sample represents the population. Validity is about how accurately you’ve measured what you intended to measure .

To ace this part of your dissertation defense, make sure that you’re very familiar with the concepts of generalizability , validity and reliability , and how these apply to your research. Remember, you don’t need to achieve perfection – you just need to be aware of the strengths and weaknesses of your research (and how the weaknesses could be improved upon).

#6: What were the main shortcomings and limitations created by your research design?

This question picks up where the last one left off.

As I mentioned, it’s perfectly natural that your research will have shortcomings and limitations as a result of your chosen design and methodology. No piece of research is flawless. Therefore, a good dissertation defense is not about arguing that your work is perfect, but rather it’s about clearly articulating the strengths and weaknesses of your approach.

To address this question well, you need to think critically about all of the potential weaknesses your design may have, as well as potential responses to these (which could be adopted in future research) to ensure you’re well prepared for this question. #7: How did your findings relate to the existing literature?

This common dissertation defense question links directly to your discussion chapter , where you would have presented and discussed the findings in relation to your literature review.

What your dissertation or thesis committee is assessing here is your ability to compare your study’s findings to the findings of existing research . Specifically, you need to discuss which findings aligned with existing research and which findings did not. For those findings that contrasted against existing research, you should also explain what you believe to be the reasons for this.

As with many questions in a viva voce, it’s both the what and the why that matter here. So, you need to think deeply about what the underlying reasons may be for both the similarities and differences between your findings and those of similar studies.

Your dissertation defense needs to compare findings

#8: What were your key findings in relation to the research questions?

This question is similar to the last one in that it too focuses on your research findings. However, here the focus is specifically on the findings that directly relate to your research questions (as opposed to findings in general).

So, a good way to prepare for this question is to step back and revisit your research questions . Ask yourself the following:

  • What exactly were you asking in those questions, and what did your research uncover concerning them?
  • Which questions were well answered by your study and which ones were lacking?
  • Why were they lacking and what more could be done to address this in future research?

Conquering this part dissertation defense requires that you focus squarely on the research questions. Your study will have provided many findings (hopefully!), and not all of these will link directly to the research questions. Therefore, you need to clear your mind of all of the fascinating side paths your study may have lead you down and regain a clear focus on the research questions .

#9: Were there any findings that surprised you?

This question is two-pronged.

First, you should discuss the surprising findings that were directly related to the original research questions . Going into your research, you likely had some expectations in terms of what you would find, so this is your opportunity to discuss the outcomes that emerged as contrary to what you initially expected. You’ll also want to think about what the reasons for these contrasts may be.

Second, you should discuss the findings that weren’t directly related to the research questions, but that emerged from the data set . You may have a few or you may have none – although generally there are a handful of interesting musings that you can glean from the data set. Again, make sure you can articulate why you find these interesting and what it means for future research in the area.

What the committee is looking for in this type of question is your ability to interpret the findings holistically and comprehensively , and to respond to unexpected data. So, take the time to zoom out and reflect on your findings thoroughly.

Discuss the findings in your defense

#10: What biases may exist in your research?

Biases… we all have them.

For this question, you’ll need to think about potential biases in your research , in the data itself but also in your interpretation of the data. With this question, your committee is assessing whether you have considered your own potential biases and the biases inherent in your analysis approach (i.e. your methodology). So, think carefully about these research biases and be ready to explain how these may exist in your study.

In an oral defense, this question is often followed up with a question on how the biases were mitigated or could be mitigated in future research. So, give some thought not just to what biases may exist, but also the mitigation measures (in your own study and for future research).

#11: How can your findings be put into practice?

Another classic question in the typical viva voce.

With this question, your committee is assessing your ability to bring your findings back down to earth and demonstrate their practical value and application. Importantly, this question is not about the contribution to academia or the overall field of research (we’ll get to that next) – it is specifically asking about how this newly created knowledge can be used in the real world.

Naturally, the actionability of your findings will vary depending on the nature of your research topic. Some studies will produce many action points and some won’t. If you’re researching marketing strategies within an industry, for example, you should be able to make some very specific recommendations for marketing practitioners in that industry.

To help you flesh out points for this question, look back at your original justification for the research (i.e. in your introduction and literature review chapters). What were the driving forces that led you to research your specific topic? That justification should help you identify ways in which your findings can be put into practice.

#12: How has your research contributed to current thinking in the field?

While the previous question was aimed at practical contribution, this question is aimed at theoretical contribution . In other words, what is the significance of your study within the current body of research? How does it fit into the existing research and what does it add to it?

This question is often asked by a field specialist and is used to assess whether you’re able to place your findings into the research field to critically convey what your research contributed. This argument needs to be well justified – in other words, you can’t just discuss what your research contributed, you need to also back each proposition up with a strong why .

To answer this question well, you need to humbly consider the quality and impact of your work and to be realistic in your response. You don’t want to come across as arrogant (“my work is groundbreaking”), nor do you want to undersell the impact of your work. So, it’s important to strike the right balance between realistic and pessimistic .

This question also opens the door to questions about potential future research . So, think about what future research opportunities your study has created and which of these you feel are of the highest priority.

Discuss your contribution in your thesis defence

#13: If you could redo your research, how would you alter your approach?

This question is often used to wrap up a viva voce as it brings the discussion full circle.

Here, your committee is again assessing your ability to clearly identify and articulate the limitations and shortcomings of your research, both in terms of research design and topic focus . Perhaps, in hindsight, it would have been better to use a different analysis method or data set. Perhaps the research questions should have leaned in a slightly different direction. And so on.

This question intends to assess whether you’re able to look at your work critically , assess where the weaknesses are and make recommendations for the future . This question often sets apart those who did the research purely because it was required, from those that genuinely engaged with their research. So, don’t hold back here – reflect on your entire research journey ask yourself how you’d do things differently if you were starting with a  blank canvas today.

Defending your doctoral thesis: the PhD viva

Format for defending a doctoral thesis.

Every institution will have specific regulations for the thesis defence. In some countries or institutions, the convention is for thesis defences to be public events where you will give a lecture explaining your research, followed by a discussion with a panel of examiners (opponents). Both your examiners and the audience are able to ask questions.

In other countries, including the UK, the oral examination is usually conducted behind closed doors by at least two examiners, usually with at least one being from another institution (external examiner) and an expert in your topic of research. In the UK the supervisor does not participate in the viva, but may be allowed to observe. Sometimes someone from your own institution is appointed as an independent chair. Although it is now becoming more common for the candidate to have an opportunity to give a public lecture in UK institutions, this does not form part of the examination and may or may not be attended by the examiners.

Viva preparation

Take the preparation for your viva seriously and devote a substantial amount of time to it. The viva preparation checklist may be useful to help you prepare.

Your institution may offer courses on viva preparation and there may be opportunities to organise a practice viva. Take advantage of these opportunities: they can be extremely valuable experiences.

Things you may wish to take with you

  • your thesis – mildly annotated if you wish
  • a list of questions that you might be asked and your planned responses
  • any questions that you want to ask your examiners
  • additional notes which you have made during your revision
  • list of minor corrections that you have come across during your revision.

During the viva

Your study will have strengths and weaknesses: it is essential that you are prepared to discuss both. You could think of any weaknesses as an opportunity to demonstrate your skill at critical appraisal. Examiners will seek to find and discuss weaknesses in all theses. Do not interpret criticism as indication of a possible negative outcome.

Examiners have different personalities, styles and levels of experience. Sometimes a candidate may feel that a challenge is made in a confrontational way. Experienced, effective examiners will not be inappropriately confrontational, but some will. Do not take offence. A relaxed, thoughtful, and non-confrontational response from you will help re-balance the discussion. Having an independent chair can help maintain a constructive environment.

Useful tips for during your viva:

  • Ask for clarification of ambiguous questions or ask for the question to be repeated if necessary
  • Take time to think before answering
  • Be prepared to ask questions and enter into a dialogue with your examiners
  • Be prepared to discuss your research in context of other work done in your field
  • Be ready to admit if you don't know the answer to a question
  • Be prepared to express opinions of your own

You are not expected to have perfect recall of your thesis and everything that you have read and done. If you get flustered, or need to refer to notes your examiners will understand. They have been in your situation themselves!

After your viva

There are several possible outcomes   of a thesis defence. Most commonly, your examiners will recommend to your institution that you are awarded your degree subject to minor corrections, although in some instances they might ask for more substantial work.

Top 10 Ph.D. Viva Questions and How to Answer Them

Every doctoral candidate will complete the Ph.D. viva to defend a thesis and seek that coveted doctorate degree. You've worked hard throughout your academic career, and now you face this intimidating meeting! Before your viva, you might feel nervous, picturing yourself tap dancing as fast as you can in front of a firing squad. But your viva should feel more like a confident performance of your crowning research for an audience of adoring fans. Take a breath—you've done good work, and soon the committee will see that, too.

What is a Ph.D. viva? In this case, viva is short for viva voce, Latin for "living voice." The term refers to contexts in which responses to something are given out loud for people to hear, for example a real-time vote (all in favor, say "aye"!). In the academic context, the Ph.D. viva is a discussion between you (the Ph.D. candidate) and a panel of academic experts, during which you present your Ph.D. thesis. The panel of experts can include an internal and/or external examiner, your Ph.D. supervisor, and other people you can request to be in attendance, like your family members.

The examiner's main purpose is to determine that you've written your own thesis and ask you some probing questions about the work you've done. It's intended to be an open, frank conversation about your research, not an interrogation. Don't be afraid to challenge points your examiner makes if they don't align with what you've found in your study. Your expertise and passion about your work will demonstrate that you know your stuff and care deeply about it.

Of course, in order to think clearly and objectively about the subject you've been immersed in for months, you will need a healthy dose of confidence. To help you gain that confidence to make your viva a positive experience, preparation is key. Here are some prompts and questions you might be asked and how you can prepare beforehand to answer them.

1. Tell us about your study

Usually the first question is an opener and is asked with the goal of breaking the ice and getting you talking about your thesis. The items the panel presents to you will start broad and get more specific and involved as your viva progresses. Since you're here to talk about your project, give a good overview of who you are, your history in the field, and the process you followed in your study. You will have a lot of potential detail to provide, but since you won't know how much your panel is looking for, prepare synopses of different lengths: 1-minute, 3-minute, and 5-minute summaries.

2. What are your main research questions and why did you select them?

You'll very likely be prompted to talk about your research questions in detail, so be prepared to list the questions you set out to answer and the motivation behind selecting each one. Also, be prepared to discuss your aims, objectives, and hypotheses, just in case they ask about those as well.

3. What original contribution has your thesis made to this field of study?

Before you began your study, you probably looked at the gaps in the existing literature and decided on a research direction to fill those gaps. Now that you've finished your research, tell your panel what the world knows now as a result of your work. When future researchers delve into your subject matter, what will they cite you on?

4. Whose work has most influenced yours?

Because you went through the process of determining what your field of study still needs in terms of research and the kind of analysis that will contribute to it, you possess a pretty clear understanding of what has already been done. A lot of that knowledge comes from your academic journey leading up to the awarding of your doctorate, during which you've read a lot of papers and delved into the work that has been done before yours. Talk about the most influential works you've encountered. This can be a work that inspired you or papers that you felt were done poorly and motivated you to get it right. Bonus: The chair of the viva will be someone who knows a lot about your field, so take some time to get familiar with his or her work. Don't be a stalker, but be prepared to mention that you know what he or she has done. Not only will that demonstrate that you've prepared yourself for your presentation, but it will also show an interest in his or her life's work, which can't hurt. Don't spend too long on this, though—you're here primarily to talk about your work, not theirs.

5. What are the strengths and weaknesses of your thesis?

You certainly want to brag about your thesis and offer reasons why you and your work are great, so don't hold back about what went right. Start with the strengths; outline your main findings and give reasons why your study enabled you to uncover them. Then, while it might feel counterintuitive to point out the ways that your thesis isn't the greatest ever, a report about the weaknesses of your research shows a sense of self-awareness and humility that benefits your study in that it paves the way for future researchers and shows that you aren't blind to your own potential for growth. If you prepare your response to this question before your viva, you can craft your response to show that you have already thought about the ways you can address the weaknesses of your thesis.

6. What ethical considerations did you apply?

Most Ph.D. candidates encounter ethical issues during the course of their research, and the committee might want to know whether you took measures to ensure an ethical project. Did you follow any ethical protocols in gathering data? Did you provide informed consent to participants in your study? What are the ethical implications of your work?

7. Did your study go as expected? If you had to start the thesis again, what would you do differently?

Every researcher has at least some idea of what he or she might find upon performing a study. Many form research questions and perform the study to provide support for that expected outcome, but sometimes the research leads to a different result. Consider what your own expectations were before you began and the path your research process took, either in alignment with that expectation or not. Knowing what you know now, would you change anything about your research? Would you approach the process differently? Maybe you would forego a step or two knowing that it wasn't as consequential or helpful as you originally thought.

8. Now that you've completed your study, what did you enjoy about the process?

Ph.D. thesis examiners are looking for a candidate who is passionate about the work. Remember that they know exactly how stressful the process is, so avoid delving into the hardships you encountered. Instead, give a summary of the high points and the reasons you were excited to keep going. While you should keep the tone professional and avoid gushing, feel free to talk about your personal motivation for pursuing this study.

9. If funding was no object, how would you follow up on this project?

Every researcher faces limits regarding the scope of a study that prevent them from gathering as much data as they'd like. Time limits, budget caps, and lack of interest or willingness among study participants can all put a damper on the dreams a researcher has for an analysis. Money can solve most obstacles within an examination, so dream big—what could you make happen with an infinite budget? This is another question that reveals your passion for the subject.

10.What are your plans for the future?

Questions might not be limited to your thesis, so give some thought to where you will go from here. Describe your plans for your future research or professional pursuits; this gives the panel a sense of your passion for the work and sets you apart from a doctoral candidate who is just trying to check the boxes and get a diploma in hand.

The questions your panel asks you on the day of your viva will probably not be exactly the ones listed in this article, but these topics will almost certainly be covered during the discussion with your examiner. If you prepare responses to these questions and make sure you know your thesis inside and out, you will be much more ready to answer whatever the experts ask you. Equally important, planning out your responses will also help calm your nerves before this very important event, so give yourself the gift of preparation as you anticipate your Ph.D. viva. While submitting your thesis is a massive achievement, defending it decides whether you will receive the doctoral degree or not. Although every PhD viva examination is different, there are similarities in the types of questions asked at each. In this article, we shall discuss the most common and potential PhD viva questions and how to answer them.

Types of PhD Viva Questions

Generally, examiners prepare a series of questions for you to answer at the PhD viva voce examination. These questions are primarily based on your thesis. However, the questions asked in PhD viva examinations can be broadly grouped under four basic headings:

  • General Questions
  • Research Context and Methods
  • Analysis and Findings
  • Discussions and Conclusion/Implications

Therefore, while preparing for your PhD viva and defending your thesis , you must consider the types of questions you’re likely to be asked. This helps in practicing your answers in advance and not being baffled during the viva. Practicing how you would answer questions based on these four basic categories will take you a long way in your preparations.

Commonly Asked PhD Viva Questions and How to Answer Them

While sticking to answering the most commonly asked questions might sound simple, it is equally important to be prepared for counter questions. Furthermore, it’s easy to go off on a tangent due to nervousness. This leads to opening up other lines of enquiry from the examiners in areas you hadn’t probably expected to be questioned about.

Ideally, you aren’t expected to dictate your thesis as it is. Examiners are interested in knowing your understanding of the research, its methods, analysis and findings, conclusion and implications, etc.

Despite the differences in every PhD viva, you must be prepared to answer these common questions logically. Below are some popular PhD viva questions to prepare:

1. Tell me about yourself.

Introduce yourself and talk about your areas of interest related to research. More importantly, focus on the areas you are extremely positive about. Briefly speak about your past achievements without overwhelming the examiners and sounding boastful. Keep the introduction professional.

2. What is the reason for selecting this research question?

The response to this question is often generalized by saying that you are interested in the topic. However, examiners want to hear the specifications of your interest in the topic. You must plan your answer stating the most interesting aspect of your research and why did you choose the research question over another topic from the same or allied domain. Furthermore, cite certain instances that helped you in selecting the research topic and the particular field for your project.

3. What is the key focus of your research?

Remember that the answer to this question is not about summarizing your research. It involves talking about the area of primary focus of research. Most importantly, in order to demonstrate the viability of your research, it is essential to identify some of the key questions it addresses.

4. Did the research process go as per your plan or were there any unexpected circumstances that you had to deal with?

The purpose of this question is not only to see whether you can work as per your structured plan, but also to understand your readiness with backup plans in case of unforeseen situations. An ideal way to answer this is by clearly stating if the project went as per your predefined plan. Furthermore, be honest in mentioning if you were assisted by others in dealing with it, as it may lead to a new set of questioning from the examiners.

5. After completion of your research, which part of the process did you enjoy the most and why?

Remember that the examiners know about a PhD student’s stressful journey . Therefore, do not elaborate on the hardships that you went through during your research, unless asked otherwise. Emphasize on the aspects of the research project that you enjoyed and looked forward to every time you stepped in your laboratory. Describe how you developed interest in newer approaches to conduct research.

6. As a researcher, what change has this research brought in you?

This question demands a strong, progressive, and positive response. Remember your first day in the research laboratory and compare it to today. Identify the differences in your traits as a researcher. Mention how following, reading, and analyzing other researchers’ works have brought a positive change in you. Furthermore, address how you overcame your shortcomings as a researcher and upskilled yourself.

7. Summarize your thesis.

Be well versed with the entire project. Start by explaining why you selected the topic of your thesis and close your explanation by providing an optimum solution to the problem. You must prepare for 3 types of answers for this question. Prepare a 1-minute, 3-5 minutes, and 10-minute summary and use the correct one based on your audience at the viva.

8. What developments have you witnessed in this field since you began your doctorate? How did these developments change your research context?

Familiarize yourself with the advances in your field throughout your PhD. Mention works of researchers you have referred to while working on your project. Additionally, elaborate on how other researchers’ work influenced your research and directed you to finding results.

9. What original contribution has your thesis made to this field of study?

Answer this question by keeping in mind what was known before in published literature and what you have added as part of being awarded your PhD. Firstly, you must present a major piece of new information during your research project. Secondly, elaborate on how your research expands the existing literature. Thirdly, mention how your work is different from other researchers’ works that you referred. Finally, discuss how you developed a new product or improved an existing one.

10. How well did the study design work?

While answering this question, you must focus on how your planned methods and methodologies were executed. Furthermore, mention how you tackled difficulties in study design and concluded your research.

11. Elaborate on your main findings and how do they relate to literature in your field?

While answering this question, elaborate on how you evaluated the key findings in your research. Mention the key factors involved and the reason for choosing a particular process of evaluation. Furthermore, explain how your findings are related with the literature review of your project. Mention its significant contributions in your field of research. In addition, discuss how your research findings connect with your hypothesis as well as the conclusion of your research.

12. What is the strength and weakness of your research?

While you may want to impress the examiner by emphasizing on the strengths of your research, being aware of the weaknesses and planning a directional move to overcome them is also equally important. Hence, mention the strengths first and elaborate on how they connect with the key findings. Additionally, underline the limitations and the factors that could be transformed into strengths in future research.

The viva voce is the final assessment for a PhD. It is an oral examination where the student defends their research to two academic examiners. This involves answering questions about your work, typically related to the literature, methodology, your findings and the significance of your conclusions. In some countries (like the USA ) the viva is actually referred to as a 'PhD defence', because the candidate defends their thesis from these questions.

This guide explains exactly how the viva works, what to expect on the day, how to prepare and what happens afterwards.

An overview of the PhD viva

The PhD viva can seem like an intimidating process, but it actually serves a very simple purpose: proving that your research is original, that you understand its contribution to knowledge and – most importantly – that your work is your own. It's also very rare for students to fail.

Who attends a viva?

A PhD viva usually involves two examiners: one internal examiner (from your university) and one external examiner (from another university). Both should be familiar with your field and the external examiner in particular should be a recognised expert in your specific research area.

The internal examiner usually acts as the chairperson for the exam, making sure it follows your university's procedures.

Your supervisor doesn't normally attend the viva itself, but they will help you prepare for it and should be around to provide support on the day.

How long does a PhD viva take?

There is no set length for a viva voce exam, but most take between one and three hours .

A longer viva doesn't necessarily indicate any problems with your thesis: it may simply be that the examiners are enjoying the discussion. Equally, a shorter viva may just mean that your examiners are satisfied with the thesis and your responses to their questions.

Why is the viva necessary?

The most basic function of the viva is to prove that your work is original (i.e. not plagiarised). This is especially important because the criteria for a doctorate is to offer a significant new contribution to knowledge.

By discussing your work with you directly and confirming that you fully understand your thesis, examiners can be confident that this is your own research.

Do all PhD students have to have a viva?

Almost always. One exception is for PhDs by publication (as the work in these will already have been through academic peer review). Some countries such as Australia and New Zealand also take a slightly different approach as their location makes it harder to invite external examiners for a face-to-face defence.

The viva format

Universities set their own viva voce processes, but most will follow a fairly similar format.

Before the exam

Many supervisors let you choose an external examiner . They need to have expertise in the topics you have researched, but not someone you have collaborated closely with during your PhD or who you have a strong personal friendship with (as these might create a conflict of interest).

Your supervisor will normally discuss possible options and then submit the invitation on your behalf. This usually happens just before you complete your PhD.

The next step is to submit your thesis . Nowadays most universities only ask for a digital submission which is sent out to your examiners for you.

The gap between submission and viva is usually one to three months. This allows time for both examiners to thoroughly read and consider your thesis and for you to prepare.

Your supervisor/s should offer to conduct a mock viva with you shortly before the real exam. They'll ask the sort of questions an examiner might have about your thesis so that you can practice answering and discussing them.

Your supervisor will normally meet with you before the viva begins to help you relax and ease any last minute nerves.

The exam room will be somewhere on your university campus that has been booked for the occasion. It will be laid out very similarly to a job interview, with space for you and the examiners to sit with your notes. Drinking water is also normally provided.

Most vivas are recorded and will begin with the internal examiner explaining the rules and regulations as a formality. Either they or the external will then begin asking questions about your thesis.

The examiners will usually help you relax and settle in to the discussion by asking something quite general, such as what interested you in this PhD project or what the most enjoyable part of the research was. Subsequent questions will be more specific, often referring the arguments made at particular points in your thesis.

The examiners will end the viva once they have completed their questions and feel able to come to a judgement. You will then be asked to leave the room whilst they discuss your performance and decide on a result to recommend. This normally takes around fifteen minutes or so.

After the viva

The next steps depend on your viva result. The examiners will invite you back in to explain their recommendation and provide general feedback on your work. This may include advice on whether or not you should seek to publish any of your PhD thesis and what sort of edits or further work might be required to prepare it for that.

Hopefully you'll then be able to celebrate with your supervisor, but they should be on hand to offer their to support and advise you whatever the outcome.

The majority of students have some corrections (usually minor) to make before resubmitting a final version of the thesis to be checked by the internal examiner. Once the final copy of your thesis is approved, you will be awarded your PhD! It's time to look forward to using your new title (and wearing some exceptionally elaborate robes at your graduation).

Viva preperation tips

It may feel like you're at the end of a long PhD journey by the time the viva comes around (and you are) but the oral exam is an important part of your doctorate and you should prepare accordingly.

Whatever else you do or don't do, listen to the advice of your supervisors. They'll have experience of all sides of the process, from sitting their own viva voce to preparing previous students for theirs. Chances are they've also served as internal or external examiners too and will know exactly what sort of questions they'd ask about a thesis like yours.

Here are seven tips for effective viva preparation.

#1 Take a (short) break first

Chances are you've been working very hard on your PhD recently, getting it written up, responding to feedback from your supervisor, making edits, sorting the bibliography (which you still left to the last minute, right) and getting the whole thing printed in time for the final deadline.

Whatever happens next, you've just successfully submitted a PhD thesis and you deserve a break. So take one.

A week or two away from your PhD will be ideal (no, don't take a copy of your dissertation with you). You'll get some mental rest and be in a better place to take a fresh look at your thesis and think clearly about it.

There's no need to feel guilty: the time between submission and viva is partly intended to make this possible.

#2 Read through your thesis

You may feel pretty familiar with your thesis by now but, actually, you aren't. You're familiar with a series of chapters that may well have developed separately over several years. It was probably only recently that you wrote them up in their final form, added an introduction and conclusion and turned the whole thing into a dissertation setting out your entire PhD thesis.

You need to know that thesis inside out and be completely familiar with the structure of the dissertation that contains and communicates it: which page a key concept or topic appears on for the first time, where key stages of your argument occur, where you cite or critique particular scholarship, and so on.

At the very least, this means reading your full thesis through at least once. Really though, you should be re-reading each chapter a couple of times and. . .

#3 Annotate key points

The PhD viva isn't a closed-book exam and you're expected to take a copy of your thesis with you. It's perfectly fine to consult it in response to questions, so make that process easy by annotating the most important stages of your argument.

There are lots of ways to do this, but, really, there's no substitute for sticking markers through your dissertation and scribbling in the margins.

If the copy of the thesis you take into the exam room looks like it's survived an explosion in a post-it note factory and then spent several years being read by rough-fingered undergraduate students in the library, well, you're on the right track.

#4 Note down potential questions (and answers)

You'll never be able to guess all of the questions that will come up at your viva, but you should be able to anticipate a few of them. Sketching out some bullet-point answers in advance will help you think critically about your thesis and boost your confidence going into the exam.

Spend extra time on any questions you're concerned about. If there's a point where your argument gets a bit strained or where you think your conclusions might be easy to challenge, have a think about how you'd defend them. Remember that your thesis doesn't have to be perfect, but you do need to be able to make a case for it – so practice doing that.

Incidentally, no one has been able to completely test the hypothesis that preparing for a viva question ensures it doesn't actually come up, but, well, the anecdotal evidence is strong. Prepare anyway.

#5 (Re)familiarise yourself with your examiners' work

The viva is about your thesis, but your examiners will have been selected due to the relevance of their own research and their perspectives will be at least partly informed by it.

It makes sense to consider how their work might inform their attitudes towards yours (this should also help you antitipate some questions, as above).

#6 Definitely take up the offer of a mock viva

Your supervisor/s should offer to arrange a mock viva with you shortly before the actual exam (once you've had time to prepare). This is a really helpful process.

The mock viva won't be anything like as long as the real thing and it won't cover every question your examiners will ask (or necessarily predict any of them). But it doesn't need to.

The most valuable feature of a mock viva is to get feedback on how you answer questions. Your supervisors will be able to spot whether you're coming across as too hesitant or too confident, or whether your answers are sufficiently clear.

#7 Try to enjoy it

Chances are you'll be sick of hearing this advice by the time your exam comes around, but it's true. A PhD viva voce really can be fun.

This is your chance to sit down with two experts in your academic field who have read and carefully considered your thesis and whose attention, for the duration of the exam, is entirely on your research. That's a privilege and it's one you've earned by getting to this stage.

Prepare effectively and give the viva voce the respect it deserves. But, once you get into that exam room, be confident, own your ideas and enjoy the chance to let them take centre stage in a serious academic discussion.

Viva results

The vast majority of PhD students pass their viva. By the time you're ready to submit your PhD you will be an expert in your subject area, more than capable of discussing and debating it. You'll also have done so many times before: at conferences, in conversations with your supervisor, and in your own writing.

Your supervisor will also ensure your thesis is ready for examination before they recommend you proceed to this stage. The only exceptions to this will be if you submit against the advice of your supervisor (never a good idea) or if you've over-run the time period for your PhD and have to hand in a thesis that isn't ready (you're unlikely to get to this point unless your PhD has been going badly for some time).

PhD viva outcomes

It's rare to fail a viva, but it's also rare to pass outright. Instead, most students are asked to make some corrections to their thesis.

Here are the possible outcomes of a PhD viva voce:

  • Pass with no corrections – (uncommon) – Your viva has revealed no significant issues with your thesis and the dissertation itself is error-free. Congratulations, you are eligible to receive your PhD now!
  • Pass with minor corrections – (very common) – Your thesis is essentially sound, but there are some minor issues with your dissertation (such as typographical errors, or missing references). You will normally have three months to submit a corrected thesis.
  • Pass with major corrections – (fairly uncommon) – There are some parts of your argument that need to be clarified, expanded or otherwise rewritten. You will normally have six months to submit a revised thesis, but won't need a second viva.
  • Revise and resubmit – (fairly rare) – Your thesis is potentially good enough for a PhD, but it needs some significant work, usually including some substantial additional research. You will have around a year to re-submit an improved and updated version of your dissertation for a second viva voce exam.
  • Be recommended for MPhil – (rare) – Your thesis isn't good enough for a PhD, but it is sufficient for an MPhil (a research Masters that doesn't require a substantial original contribution to knowledge). You may receive the MPhil outright, or after some edits and corrections.
  • Fail – (exceptionally rare) – Your thesis does not meet the required standard for a PhD (perhaps due to fundamental flaws in your data and analysis, or due to evidence of plagiarism) and it cannot be converted into an MPhil. You have failed your doctorate and cannot resubmit your thesis.

Those last couple of results may appear scary but, in practice, it's only a few % of candidates each year who don't pass with corrections. The only way a PhD is likely to fail outright is if you have run down the clock on your registration period, submitted a poorly written thesis based on insufficient data and probably done so against the advice of your supervisor/s. The entire PhD process is designed to prevent this happening.

So relax. The likelihood is that your PhD will pass with minor corrections (or better) and that your next challenge will be deciding what to use your new 'Dr' title on first.

Can you appeal a viva result?

If you think your viva outcome was incorrect or unfair, then you may be able to appeal it with your university. The first thing to do is check their guidelines and appeal process. Your students' union may also be able to support and advise you.

Note that you can't normally appeal on academic grounds . Your examiners' judgement is generally final. It is also difficult to appeal a PhD result if you submitted without the support of your supervisor/s or have otherwise ignored their advice at other points in your project.

You may have grounds for appeal if you can demonstrate that you have been poorly advised or supervised (you will need evidence of this and of the specific impact it has had) or if there was an irregularity in the conduct of your viva (such as interruptions, an unsuitable venue, or a lack of consideration for relevant disabilities or health conditions that may have impacted your performance).

Common viva questions

The questions your examiners ask will obviously be very specific to your thesis and anticipating them is a big part of your specific viva preparation . There are a few things that are likely to crop up more often than not, though.

Here are some example viva questions , along with some tips for answering them well.

"Why did you choose this PhD project?" / "What interested you most about this topic?"

This is a classic icebreaker: it's an invitation to speak generally and positively about your work. As well as being a fairly easy question to answer (after all, there must be at least something you enjoyed about your PhD) this should also help you channel your passion and enthusiasm for your research as the viva gets going.

"What was the most challenging part of the project?"

This probably won't be the first question you're asked, but it might also come up early in the viva as the examiners ease you into talking about your project. It doesn't mean that they think your PhD is flawed. All research involves overcoming obstacles. This is an invitation to talk about how you did that and reflect on the practicalities of your project.

"What is the original contribution to knowledge made by this thesis?"

This question is highly likely to come up at some point in the viva and it's one you absolutely must have a clear answer for. You should be able to explain in one or two sentences what your contribution is, how it's original and why it matters.

Some examiners might not be so explicit or direct in asking this, so be on the lookout for questions like "why is this PhD important?", "why was this project worth completing?", "what were your main findings?" or "why does this research matter?". If you hear any of those, it's time to deploy the original contribution answer.

"Why did you include / exclude X?"

All doctoral projects need to be selective about what they can and can't include, and successful PhD students need to set boundaries for their research. At some point your examiners will probably want to see the logic behind yours.

Be confident and own your decisions. If there was a particular topic or approach you didn't include, then give your reasons for that.

Remember that there are lots of reasons why something might not make the cut for a PhD and the examiners aren't trying to catch you out. They don't even need to agree 100% with your decisions, but they do need to hear that you had credible reasons for making them.

It may be that there wasn't space to cover everything (in which case you should justify prioritising the material you did include). Or perhaps you felt that there was already sufficient scholarship related to a particular source or concept and your aim was to take the field in a different direction (this is a very good answer, if you can make it convincingly).

"If you were to repeat this project, what would you do differently?"

This question (or one like it) may come towards the end of the viva as you reflect on the project as a whole.

Again, the aim isn't to try and undermine your thesis, but rather to see whether you can constructively critique your own work and approaches. Or, to put it another way, have you learned anything from the experience of doing a PhD? You should have. After all, a doctorate is partly about learning to become an effective researcher and mistakes are a great thing to learn from.

In any case, this shouldn't be too hard to answer. There are likely to be all sorts of things you would do differently in future: from adopting different approaches or directions sooner, to heading off blind alleys or methodological mistakes.

"What do you think the next steps might be for this research?"

Relax, your examiners aren't expecting you to dive straight into another PhD. But they may want to hear where you would take this research next, or what you think other scholars could do to build on your findings. After all, part of the value in a new contribution to your field should lie in what it makes possible, as well as what it is .

It's best to be modest and realistic here, rather than making sweeping claims for how your findings will allow other researchers to reinvent the wheel (unless you have actually come up with a new technique for designing wheels, in which case, go ahead).

"Do you have any questions or comments for us?"

Your examiners will probably end the viva by asking if you'd like to ask them any questions, or say anything else about your thesis. This might seem a bit odd, but it's actually a helpful way for you to revisit or clarify any of your earlier answers.

For example, you might like to acknowledge a specific critique and reiterate your reasons for believing the thesis to be valid in spite of it. Or you might want to confirm that the examiners understood what you meant at a particular point in the previous discussion.

It's not a good idea to try and rehash large chunks of the viva here, but it's fine to pick out one or two things and be assertive. This demonstrates your confidence and commitment.

Equally, you can take the opportunity to ask the examiner's opinions on areas of the thesis that haven't come up, if you wish. This is fine, provided you're confident in those sections and comfortable discussing them.

5 tips for passing your PhD viva

Every Doctoral researcher is expected to defend their thesis through an oral test known as a viva voce - so discover how to prepare for your PhD viva and ensure you make a good impression on the examiners

1. Understand what's expected of you

The PhD viva exam has traditionally always taken place in person, with the interview style discussion overseen by at least two (internal and external) examiners. Afterwards, you would be provided with a joint written report detailing any corrections that need to be made.

However, during the pandemic, the online PhD viva become more commonplace with this exam more likely to take place via Microsoft Teams, Skype or Zoom. Even now, a number of years later, many universities still allow for the viva to take place online, or a hybrid of online and in-person assessment.

The virtual experience still follows much the same format, but you'll be briefed in advance about the arrangements and any technical aspects to bear in mind. You can prepare for an online PhD viva by reading our video interview tips .

The chair of the viva is usually the internal examiner, although it can be an independent person. If you and the examiners agree, your PhD supervisor can also be present.

The examiners' main objective is to ascertain that you've written your own thesis, so if you have and are ready to talk through how you completed it, there's no need to panic. You may even enjoy the viva voce test.

In addition to assessing your thesis, the examiners are also there to assist you in deciding how and where this research might be published.

There are various results between a 'pass' and 'fail' but it's very rare to slip up at this point of a PhD. Most Doctorate awards will be made upon the condition that a number of minor corrections are made, with re-submission requests far less common.

While the pass rate is high, the viva exam itself can still be intellectually demanding. This is because you'll be debating issues that are conceptually complex, so preparation is crucial to your success.

At the end of it, whatever the outcome, be prepared to take on board any advice, as the examiners are there to help you improve your argument or the presentation of your thesis.

2. Know your thesis inside out

While this isn't a memory test - as you're fine bringing notes and a copy of your thesis with you - it's still important to gain a good understanding of what you've written and be knowledgeable about your field of study.

You'll need to think carefully about where this original piece of work would be placed in the context of the wider body of research carried out in this field. Questions will be asked about this, as well as whether the project could possibly be developed further through any future research.

As you'll be explaining parts of the document to the examiners (who'll also have a digital or physical copy), make sure the pagination is the same in your version as the one they're looking at to avoid any issues regarding everybody being on the same page.

If you get stuck at any point during the viva exam, you can use looking at the thesis as an excuse to re-focus and gather your thoughts.

3. Anticipate the PhD viva questions

The examiners will have prepared a series of questions for you to answer at the viva voce, but this is nothing to get too concerned about. The questions will all be based on your thesis - what it's about, what you did and what you found out - and why this matters, in relation to your field of study.

So when getting ready for the viva, consider the types of questions you're likely to be asked, including:

  • What original contribution has your thesis made to this field of study?
  • Explain the main research questions you were hoping to address.
  • What are the strengths and weaknesses of your thesis?
  • If you had to start the thesis again, what would you do differently?
  • If funding was no object, describe how you'd follow on from this project.
  • What are your plans for the future?

It can be helpful to practise your answers beforehand, ideally vocalising them by arranging a mock mini viva - although, as you aren't restricted in terms of referring to notes in the exam, you can leave room for spontaneity, and you don't need to learn it all off by heart.

If your viva is being held online, you can ensure any technical issues are identified before the day by having a run through with your supervisor or a friend.

While it may sound simple, stick to answering the questions posed. It's really easy to go off on a tangent and this can open up other lines of enquiry from the examiners - possibly in areas you hadn't expected to be quizzed about.

On the other hand, it's completely fine to bring personality to your reasoning and use stories as a means of describing the learning process you've gone through and the techniques mastered over the last three or four years that have brought you to this point.

4. Learn about your examiners' own work

The senior and well-respected academics who'll be reading your thesis will have their own ideas on conducting PhD standard research. Therefore, it's worth taking a look online at their academic and LinkedIn profiles to discover if there's any correlation with the research they've had published and your own work.

From this, you should be able to gain a better idea of their motivations, their possible views on your thesis and the kinds of questions they might wish to discuss after having read through it.

You should research up-to-date theories, read any recent papers on the subject and speak to others who've recently had their own viva exam. Think about how your work differentiates from the research carried out by others in your chosen field.

Prepare to provide any supporting evidence asked of you by the examiners - for example, they may request to see experimental data you mention once the exam is over.

It's also necessary to check the policies and practices in place at your university and be sure of what the roles of the examiners are and how the viva panel will be structured. In many cases, Doctoral students can choose the examiners conducting the PhD viva.

5. Plan towards the viva exam

From the moment you know the date of your viva voce, work backwards and plan the steps you'll need to take before the day itself. Allow enough time to assess and review your work so that as the day approaches, you can focus on the practicalities.

This encompasses everything from making sure you relax, eat and sleep well the day before to arranging transport so you get to the viva on time.

An online PhD viva will present its own challenges, so ensure your working space is presentable and you still make an effort in terms of what you'll be wearing.

It's always advisable to adhere to interview etiquette and go with something that's both smart and comfortable. By looking the part, this should get you in the right frame of mind to communicate in a professional manner.

In the build-up, avoid any situations that might make you feel stressed and instead try to adopt a positive attitude, one that results in a genuine eagerness to engage in a debate about the work you've been toiling over.

If you're travelling to the exam, be sure to check that you have everything you need, including the thesis, plus any notes or other materials that will help support your claims.

The Doctoral viva can last between one and four hours - usually two - so it's necessary to pace yourself to get off to the best possible start.

Remember, the examiners aren't trying to trip you up - they want you to pass and are primarily there to hear you talk about your project. So, after the polite introductions, they'll typically start with an icebreaker to put you at ease and help calm the nerves.

It's meant to be an open and honest conversation about your work, so feel free to politely disagree with the examiners, especially on areas you feel strongly about. Don't forget to use examples from your thesis to back up what you're saying, remembering to be clear and concise.

If you know your way around your thesis and can explain your thinking and way of working, this test shouldn't be a problem. And if you don't know the answer to a specific question - admit it, as it's better to concede your limitations in an area than ramble on and hope they don't notice you're struggling to come up with an explanation.

Remember that no research is perfect, so it's important to appreciate this during the discussion - but don't be too overcritical about your work either, as that's not your job.

Finally, as the PhD viva can quickly move from a series of friendly questions to those that are more in-depth, take some time to think before answering. Don't worry about any periods of silence from the examiners, as this certainly isn't an indication that you're doing badly.

Mock tales - Why a mock is such a vital part of viva preparation

The Centre for Work, Organisation and Society (CWOS) is a leading centre for innovative and critical thinking.

In this blog, Magdalena Oldziejewska shares her experience preparing for her PhD viva and why having a mock viva is essential for these preparations.

What do you expect from your mock viva?

I thought the mock viva would be a great way to facilitate the preparations for the big day. It’s been recommended to me by several experienced academics, as well as fellow PhD students, so I believe that it’s an important part of the process of preparing for the viva and completing a PhD successfully. On a more personal note, after I’ve submitted my thesis, I put it aside for a few weeks to get a bit of a break and start working on some publications I’d had on my list for quite some time. I found it a bit hard to get back to it again, with everything going on at the time, like new jobs starting and drafting the publications. The mock viva preparation provided a great incentive to get back into it gradually, easing into it and taking away some of the pressure that goes with preparing for the actual viva.

What are you hoping to get out of the experience, and what persuaded you that it was an important part of your viva preparation?

I was hoping that it would help me prepare for the day of the actual viva and remove some of the stress of it, as a way of flagging any key points for the viva preparation, especially any blind spots that I might have, as well as highlighting any more testing questions that may come my way on the day. Knowing the key points to consider in preparation for the viva provides much-needed reassurance and peace of mind that the big day will go as smoothly as it can, enabling me not just to prepare myself for it as well as I can, but hopefully to also enjoy it when it comes. Several of my peers and much more experienced academics have told me that I should try and enjoy the viva, as it can actually be quite a positive experience - despite the many scare stories that are familiar to most PhD students – and I think being well prepared will make it easier to enjoy the process. I hope that after my viva I will be able to share more positive stories of the experience with earlier-stage PhD students.

What have you learned from the mock viva experience?

The mock viva experience proved to be even more useful than I expected. It made my preparations for the viva much more focused, by highlighting key points in the thesis that I needed to revise, including the literature that I needed to revisit or perhaps just refresh in my mind, as well as the importance of having a structured approach to answering the viva questions. The process of preparing for it and debriefing afterwards also helped by highlighting important strategies for preparing for the viva, such as bookmarking the key pages and passages in the thesis, in case I needed to come back to them during the viva to support my answers, or creating mindmaps of my key contributions. It was a fantastic way to help me prepare for the viva and feel more confident going into it. Having had this experience, I would wholeheartedly recommend it to all PhD students getting close to that stage.

What tips would you give to someone preparing for a mock viva?

I would recommend that they plan to have it in good time before their actual viva, so that they have time to revise all the answers that weren’t as good as they would have liked. Secondly, I would suggest that they go into it as prepared as possible, but with an open mind – the process is there to help us prepare for the real viva, not necessarily to test us. Thirdly, not to be put off if it seems like their mock examiners are tough on them – if that’s the case, it’s most likely a good thing because it means that the examiners want them to do well and they can be better prepared for their viva through noting the hard questions in the mock and thinking through what they could have done to give better answers.

What are you doing now to prepare for the viva itself, because of what you learnt from the mock? Are you doing anything differently?

Since the mock viva, I have been preparing for my viva in a much more structured and focused way, knowing what it is that I was missing in my mock. The mock viva highlighted a few areas where I wasn't as thorough or confident in my answers as I should have been. This means that I then particularly focused on these areas in my revisions. Going through the thesis now, I know much better what to focus on, what to highlight and bookmark, so that I’m prepared for all the tough questions when the day of the viva comes. Going through the thesis with this fresh perspective and focus gives me much more confidence that I can give much stronger answers in my real viva. I hope that every PhD student gets the opportunity to have the mock viva experience.

After you have written and submitted your PhD thesis, the next stage in the process is to pass your PhD viva examination, which your PhD supervisor at UWS London will fully prepare you for. Your viva will happen within three months of submitting your thesis; after completing your viva, you will know if you have passed with flying colours and can call yourself a doctor in your respective field. Though the prospect may sound daunting, see it as the chance to prove that your creative knowledge makes you a peer to the academic panel that will be present for your viva; it is the perfect opportunity to establish yourself as an intellectual authority in your field. 

This article will cover what a viva is, how it works, what the potential outcomes are, who will be present on the panel and provide some helpful tips that are relevant for all fields of study.

Doctor of Philosophy (PhD) degree is the highest academic degree one can earn in most fields of study. It typically involves conducting original research, making a significant contribution to the field’s knowledge, and writing a dissertation or thesis that demonstrates expertise in a specific area. A PhD viva also referred to as a Viva Voce, Latin for ‘living voice’, is an oral examination which follows the submission of your doctoral thesis, where you will showcase your knowledge and defend your research in front of a panel comprised of academic experts. This examination is compulsory for the vast majority of doctoral students.

PhD Viva Questions

All the questions asked during your viva will assess: 

  • Your knowledge depth in your specific area of research. 
  • How deep your knowledge is concerning the broader research field relevant to your PhD. 
  • If you can place your work in a broader context. 
  • If you can demonstrate how your research contributes to your field. 
  • If you know of any potential limitations and oversights in your work – where applicable. 

If the panel has any suspicions that your work may not be your own, they may also question the authenticity of your work.

How Long Does a PhD Viva Take?

One of the most frequently asked questions is how long is a PhD Viva. The average length is around three hours, but several factors can extend or shorten your oral examination. If there are issues in your PhD thesis or if it is poorly presented or formatted, this could lead to confusion on the panel, which will necessitate more clarification for you to set the record straight and prove that you understand your field of study. Similarly, how well-prepared you are and how concisely you respond to questions will also have a bearing on the duration of the viva. 

However, lengthy PhD defences don’t always need to be a sign that it is going poorly! Your examiners may enjoy the discussion enough that they will want to talk about it long after they have concluded that you have passed the examination. Even though, in some rare instances, a viva can take up to eight hours there may be university or country-specific rules on maximum duration – feel free to discuss this with your PhD supervisor beforehand.

Who Will Be on Your Viva Panel?

Your PhD examination will be carried out by one examiner from your university and an examiner from an outside university. Your PhD supervisor may also be on the panel, although this is not always the case. If you do find your supervisor on your viva panel, in the UK, it is common that they are prohibited from speaking. If they are present, they will solely act as observers. 

Together, the examiners will highlight what they found when reading your PhD thesis thoroughly, focusing on the theories and key concepts you put forward in your research. To ensure that the examiners are being fair and appropriate in the viva process, there is also usually a chairperson on the panel who takes notes documenting any notable suggestions or comments. The chairperson will either be internal or external from the university.

What Are the Outcomes of a Viva Exam?

In the UK, there are six potential Viva PhD outcomes. We have listed them below from the best outcome to the worst. However, it is worth bearing in mind that even if you need to make minor or major corrections after your viva, you will be given equal credit as someone who was awarded their PhD degree without corrections.

The average pass rate for a PhD viva in the UK can vary depending on the university, field of study, and specific criteria used for evaluation. However, it is generally quite high.

In many UK universities, a significant majority of candidates who reach the viva stage pass, often with some amendments required. A “pass with minor amendments” is a common outcome, indicating that the candidate has demonstrated a sufficient understanding of the research. Recent research on viva experiences indicates that 84% of Ph.D. candidates are required to make minor revisions in order to achieve a passing grade.

1. Awarded PhD Degree with No Corrections

It is rare for students to pass their PhD degree without any corrections. So, if this is your outcome following your viva, celebrations are in order! It means you have seriously impressed your examiners with your research and examination.

2. Minor Corrections Required to Pass

Recent viva experience research has highlighted that 84% of PhD candidates must make minor corrections to pass. Typically, the minor corrections will be small issues with the thesis, such as grammatical errors, typos, typograph issues, or presentational faux pas, which can be quickly edited. Don’t be disparaged if you are presented with this outcome following your viva; it still means that you have done remarkably well with your thesis and viva.

3. Major Corrections Required to Pass

This outcome is the second most common following a viva; it means you have met the required standard to be awarded your doctorate, but some revisions or corrections need to be made. Typically, this will involve you improving the structure or clarity of your thesis by rewriting chapters or adding additional analysis. Once again, needing to make major corrections shouldn’t be seen as a failure; although it may be disparaging, it doesn’t invalidate your research or contribution to your field.

4. Revise and Represent to Pass

You will be asked to revise and represent your work if the panel can see the potential within your work and that it can meet requirements if you undertake additional research or analysis. You will be presented with this outcome if your work doesn’t quite reach the PhD degree standard; unlike with the minor and major corrections outcomes, if you are asked to revise and represent, you will need to present your revised work to the panel again.

5. Awarded an MPhil Degree

If the academic panel decide that major corrections or additional research still won’t allow your work to meet the PhD standard, you may be awarded a lower-standard MPhil degree instead. For example, philosophy PhD candidates will be awarded a Master of Psychology degree instead of a Doctor of Philosophy degree. Typically, MPhil degrees are awarded in place of PhDs if your work lacks originality or the knowledge creation that a PhD requires. An MPhil degree ranks above MA and MSc degrees as the most advanced Masters degrees. An MPhil degree still demonstrates that you have the same skill set as someone who successfully obtained a PhD, and they are still valuable to employers.

6. Immediate Fail

An immediate fail is rare; a 2022 survey found that only 3.3% of PhD candidates fail their viva outright – it certainly isn’t something you should obsess over. If when you are preparing for your viva, you find some faults in your thesis, don’t be afraid to broach them yourself in your exam; this will show that you can present a passable thesis. `

PhD Viva Tips:

Don’t work with irrelevant guidance or tips.

While brushing up on generalised tips online can help you to feel prepared for your viva, remember that there will always be variability in the process, the focus of the exam, and the questions asked. The variable factors include your field of study and the university you are obtaining your doctorate. With this in mind, always chat with your supervisor to ensure you are preparing with the right and relevant knowledge.

Treat the Examiners as Equals

Your PhD defence may technically be an exam, and naturally, many PhD candidates are stressed, daunted, or overwhelmed by the process for weeks. However, you will do much better if you go into the exam with the mindset that you are equal with the academic panel and treat the examination as a discussion rather than an inquisition. Remember, your viva is your chance to be seen as a doctor, not a student.

Mindset Matters

After spending years on your thesis, you will know your subject inside and out; it is your area of expertise; don’t go into the viva with a defensive and confrontational mindset; remain confident in your knowledge creation and how it benefits your field of study. Imposter syndrome can come in hard here, so limit your negative self-talk and silence your inner critic.

Ask for a Mock Viva with Your Supervisor

Never be shy about asking your PhD supervisor for the support you need as you prepare for your viva. They will be best placed to answer all of your questions as they will know the procedure for your university and your field of research. Your PhD supervisor will likely have already been present in viva exams; they will know the score, and more importantly, after working with you for years, they will want you to pass your viva – never be shy about asking them to arrange a mock viva to help you prepare.

How to Defend a Thesis: An Introduction to the PhD Viva

The prospect of defending your PhD work can be more than a little daunting. It represents the climax of many years of hard work, you’ll have to defend a thesis in front of experts in your field and the whole PhD viva process can seem cloaked in mystery.

Maybe you’ve seen a labmate go for their PhD viva to then emerge several hours later, relieved but perhaps slightly dazed. Often it’ll be the case that they’ll have forgotten the specifics by the time they’ve left the room. On top of that, horror stories of bad PhD viva experiences pass through many research groups which are enough to make even the most confident and positive PhD students shake in their boots.

Having had my own PhD viva earlier this year, in addition to discussing experiences with many other PhD graduates, I now want to help you through the process.

Before we begin, I want to offer some reassurance. For most people the PhD viva is not at all the horrible experience we occasionally hear about. Even so, it’s still useful to know what to expect. I’ve therefore put together a series to help others understand the PhD viva process and how to defend a thesis.

How is a PhD Assessed?

Typically the main output expected at the end of your PhD project is a thesis. You’ve put years of work into your PhD and the thesis details your contributions to your chosen research field. But how is the thesis “marked”? Who will decide if what you’ve written is actually any good?

This is where the PhD viva comes in!

The PhD viva involves you discussing and defending your work with experts in your field. The experts act as examiners to determine whether or not the university should award you a PhD based on your thesis and viva performance. The thesis is the written report submitted for a PhD, and the viva is a means of quality control to ensure that only suitable candidates are awarded a PhD by the university.

Although part of the purpose of a PhD viva is to ensure that the work is of a high quality, just as importantly it’s to check that you were the one who carried it out and that you understand what you were doing!

The PhD viva is therefore essentially an exam during which you’ll have to defend a thesis.

Steps to Completing a PhD

  • Submit your thesis for the examiners to read ahead of the viva.
  • Have the viva , where you’ll defend a thesis and discuss your research. The examiners will decide from a list of possible outcomes as detailed later in this post.
  • Make amendments to the thesis as necessary.
  • Optional celebration.
  • Have the thesis amendments approved by the examiners and/or your supervisor and confirmation sent to the university.
  • Upload the final copy of your thesis to the university.
  • Eagerly await notification that you’ve been awarded a PhD by the university!
  • Celebrate, Dr!

All celebrations except for the one after making changes to your thesis are mandatory!

PhD Viva vs PhD Defence

The words viva and defence are sometimes used interchangeably, but often are used to reference the different ways that the a PhD is concluded around the world.

A PhD viva (technically a viva voce ) is a formal examination of a PhD. It’s typical in the UK (amongst other countries) and it is a closed-event between yourself and some examiners.

Across much of Europe it is common instead to have a PhD defence . This still involves expert questioning but can be more of a ceremony and may even be open to the public. You can read about Siddartha’s experience , who completed his PhD in the Netherlands.

I went through a PhD viva and that’ll be the focus of this series. Nevertheless, there is overlap and you may still have difficult questions in a PhD defence, so the content in this series should still be useful no matter where you’re based.

In both a PhD viva and a PhD defence you’ll be expected to defend a thesis which represents the culmination of your work during the PhD.

Who is Present During the PhD Viva?

In the UK it is typical for the PhD viva to include:

  • One or more experts from your university ( internal examiner ).
  • One or more experts in your field from another institution to your own ( external examiner ).
  • And sometimes your supervisor, though in my experience this is quite rare unless you actively ask them to be there.

The main role of the internal examiner is to act as a moderator and ensure that the university’s protocols are upheld. They’ll usually still have some questions for you, but on top of that they’ll make sure that the external examiner(s) are reasonable. They will also take charge of documenting the viva.

Often the external examiner will be more specialised to your field than the internal examiner, so expect them to potentially ask more tricky and technical questions.

As mentioned in the previous section, for PhD defences in other countries the event may be less of an exam (viva) and more of a celebration of your work. These can be a lot more open, with access granted to your friends, family or anyone else who is interested in the topic. I quite like this idea, especially when the research has been publicly funded!

How the PhD Viva is Structured

The structure of the viva will vary but a typical format is shown below. The times in brackets are how long the sections for my own viva were, thankfully not all vivas are over five hours long!

  • Introductions (2 minutes) – greeting the examiners and they’ll usually quickly give an overview for how they want the viva to go.
  • Presentation (10 minutes) – Not all examiners will want you to give a presentation, it’s best to ask them in advance. I believe many examiners like asking for presentations: both to ease into the exam and also to see how you do at distilling years of work into a short presentation.
  • Discussion (Over 5 hours, yes, really!) – the long and potentially scary bit.
  • A short break (~10 minutes) . You’ll leave the room (or video call!) and the examiners will come to a decision for your PhD outcome.
  • Decision and final comments (10 minutes) – where the examiners will tell you what the outcome is of the viva – we’ll cover this in more depth in the next section.

The discussion in the middle of course is the main guts of the PhD viva, and the potentially scary bit. This is where you’ll get questioned about your work and thesis. What you get asked could vary considerably depending on your thesis and examiners.

I’ll save an in-depth discussion of my own viva for another post. In short, I received very few questions relating to the work or any fundamental underlying science. There were practically no questions to quiz my knowledge.

Rather than checking my understanding of the work, the viva was much more of a discussion of how best to present the work in the thesis. We spent roughly an hour going page by page through each chapter. This included suggestions for improvements to figures, changes in terminology and the like.

Possible PhD Viva Outcomes

At the end of the viva the examiners will give you feedback. This will include feedback on your performance in the viva. But as long as they’re satisfied that you carried out the work and that you knew what you’re doing, the bulk of the feedback will in fact revolve around your PhD thesis.

In reality here are the four main possible outcomes from the viva:

  • Pass with no amendments . The examiners didn’t want to make a single alteration to your thesis. Well done you just have to submit the finalised thesis to the university and you’ve finished your PhD! I know a few people who’ve had no revisions but it’s rare.
  • Pass with minor amendments Minor amendments include things such as correcting typos, rewording sentences and small alterations to data analysis and presentation. This is by far the most common outcome.
  • Referral for resubmission ( major amendments). More substantial changes to the thesis are required or further experimental work is required to fulfil the requirements of a PhD. The examiners will decide whether or not this means having another viva too.
  • Fail . Unless there are glaring issues or you didn’t actually do any of the research in your thesis yourself, you should be relieved to hear that practically no one ever fails. If you have failed, it usually points to systematic issues revolving around your supervisor: you shouldn’t have been allowed to get to this point. Usually the examiners would recommend that you be awarded a lower degree, such as a masters in research (MRes).

Making Changes to Your PhD Thesis

Shortly after the viva you should receive the examiner’s report which includes a list of revisions for you to make.

If you’ve got through the viva with a pass, you can breathe a sigh of relief because the hard work is over! In a separate post I’ll be covering how the process to make my own minor amendments went.

No matter the outcome, it is possible that you’d like to make your own changes to the thesis since it’ll have been many weeks (or months) since submitting the draft copy for your viva. On reflection there may be things you’re not happy with. You are welcome to make changes to the document yourself.

After you’ve made changes, the final stage in getting awarded the PhD is submitting your finalised version of the thesis to the university. Shortly afterwards you’ll get the long-awaited notification that you’ve got your PhD!

Should You Strive For No Amendments?

In my opinion it’s not worth the effort of trying to get no amendments.

I’d personally rather spend slightly less time up front, knowing that more than likely I would have to made some amendments. You can never put in enough work to ensure there will be nothing your examiners want changed!

You could spent hundreds of extra hours endlessly going through your thesis meticulously before submission but your examiners can always find something they want you to change. In comparison, my own minor amendments only took two days of work.

Sometimes you’ll see someone mention on their CV that they passed with no revisions but it doesn’t really have any bearing on your PhD. Unlike most other qualifications, there aren’t really grades for PhDs: you either have one or you don’t.

During an early PhD assessment my assessor made a poignant joke about medical degrees: “What do you call the person who graduates bottom of their class in medical school? A doctor!” And it’s essentially the same with PhDs!

In many ways, my own PhD viva voce examination was shaped by when and where it took place. Because I was examined at a UK institution, mine was not a public event; it was held virtually, thanks to the coronavirus pandemic; and, perhaps most depressingly, I didn’t get to wield a sword at the subsequent graduation ceremony (although my fiancée did make me a small wooden one).

Many parts of the viva, though, will be familiar to PhD candidates the world over from almost any discipline. After working independently for four years to produce an 80,000-word thesis, I was suddenly expected to discuss my work in depth, with two examiners (one from my institution, and one from elsewhere) and an independent chair present. During that time, the examiners would be checking whether my thesis was indeed my own work, and whether it met the criteria for the award of a PhD.

Understanding the ‘whole thesis’

Like many PhD students, I’d spoken about my research over the previous three years at conferences, but these presentations had largely been confined to individual chapters. Now, though, I had to become familiar not just with (say) my arguments on medieval calendars, but also on how they fitted into my broader narrative about language use in medieval England.

The approach that I took – which formed part of a suite of resources for postgraduate researchers produced by the University of Exeter’s Doctoral College – was based around what I called “augmenting” my thesis. Intimidating as this may sound, it was based around a fundamentally simple concept: turning my thesis from a lengthy PDF file into something physical and tangible and which would be of use to me during the viva.

There is, of course, no single “right way” to do this, but for the sake of clarity, and at the risk of sounding like a 1980s Blue Peter presenter , I’ll outline my own process in a series of numbered steps for the benefit of readers who may be approaching the viva themselves.

An ‘augmented’ thesis in four steps

Print out and bind your thesis. This would form the basis of the “object” that I would eventually take into my viva, but it also has the advantage of getting you away from a screen, making you less likely to skip over certain passages as you reread it.

As you reread, place sticky markers along the top of the thesis to coincide with chapter headings and subheadings. At each point, write a one-sentence summary of that section. These big-picture notes give a bite-sized summary of your argument in each section, and when strung together, they provide you with a sort of “thesis-on-a-page”.

When you’ve reminded yourself of how all of your arguments fit together, start to look for points of detail. This is where highlighting can be at its most useful, if done selectively: I used yellow for material that I thought was central to my argument (and that I wanted to be able to quote back to my examiners) and red for material that I felt, on reflection, would benefit from further explanation. Any sticky notes can be placed along the outer margins of the thesis, which will distinguish them from the summaries along the top.

Record typos separately. However hard you try, typographical errors will find a way into the thesis that you submit. Highlighting each individual one, however, is likely to take more time than it’s worth: instead, I’d advise making a list of typos, keyed to page numbers and suggested changes, separately: this could later form the basis of a table of corrections to be submitted to the examiners.

There are, of course, plenty of other ways in which a thesis might be augmented: one of the main themes that emerged from collaborating on Researcher Development was that doctoral research is shaped by the researcher and their own experience just as much by field and topic. A PhD thesis may have a completely different structure to the one alluded to above; it may require more or less context for an oral examination; it may (whisper it) have fewer typos than mine did. Nevertheless, finding some form of structure in the isolating and stressful months and weeks prior to the viva is an absolute necessity for doctoral researchers, and producing an augmented thesis might just be the way to achieve it.

A viva, or PhD thesis defence, typically starts with an opening speech by the PhD candidate. This opening speech can be prepared in advance. How? By following six simple steps that take you from checking university requirements, to structuring and practising your viva opening speech.

What is a viva opening speech?

A viva opening speech is a short presentation of the PhD thesis by the PhD candidate. It typically lasts between 10 and 30 minutes and kicks off the PhD defence during which the candidate has to answer questions from the examiners.

Questions from examiners are relatively unpredictable. A viva opening speech, however, can be prepared and practised in advance! Therefore, it constitutes a major part of getting reading for a PhD thesis defence.

Step 1: Check the requirements for your viva opening speech

Therefore, the first step to preparing a viva opening speech should always be to find out the specific regulations of your university.

Step 2: Define the audience for your viva opening speech

Once you are aware of your university’s regulation concerning viva opening speeches, it is smart to think a bit more about the target audience of your speech.

The target audience for your viva opening speech will influence the level of detail in your presentation, the complexity of the information, and the language and terminology you will use.

Step 3: Develop key messages for your viva opening speech

Now it is time to brainstorm about the content of your viva opening speech! One harsh truth is that you simply cannot include everything. Summarising the work of 3, 4 or more years in a few minutes is incredibly challenging. You have to be selective. You have to summarise, abstract and prioritise.

The key messages for your viva opening speech should be in line with the nature of your PhD thesis. For those who have read your PhD thesis in advance, the content of your viva opening speech should not come as a surprise.

Step 4: Structure your viva opening speech

Common ways to structure viva presentations are around the table of contents of the PhD thesis, around key findings, key arguments, or around case studies.

Step 5: Create visual support for your viva opening speech

As with regular presentations, avoid too much text on slides. Instead, make strategic use of images, photographs, figures or diagrams to develop your storyline and bring your points across.

Step 6: Practice your viva opening speech

You should practice your viva opening speech up to the point that you can present freely, without reading from your notes. However, don’t learn the whole speech by heart. It is always noticeable if someone just recites text, and it will make you sound like a robot.

What makes one fail a PhD viva?

I do not ask about special cases, e.g. supervisor does not approve the thesis, there is rivalry between the supervisor and the examiners and so on. Is there any general standard for viva, e.g. one needs to be able to answer 2/3 of the questions, etc.

I'm waiting for my viva, and I'm only worried about questions about related work. For example, my thesis only addresses a problem on deterministic programs, do I need to know all approaches to the same problem on probabilistic programs? (at the moment I don't).

I would like to emphasize again that I do not ask about special cases, e.g. plagiarism, wrong methodology etc. I believe theses cases are extremely rare. I just want to ask about a normal case where one managed to publish some papers, and advisor (happily) approved the thesis.

  • This depends a lot on the culture, country, school etc. For instance if I want to do my state exams, I have to pass all previous 5 doctoral exams, and also pass 3 additional ones on the spot. No, there are no general worldwide standards, other than "the examiners should be satisfied".

Your advisor is probably the best person to answer questions like this for your specific case.

The following are some reasons that come to mind that might justify a failure in the viva:

For the thesis:

  • evidence of academic malpractice (plagiarism, etc.)
  • fundamental methodological flaws, such as a poorly chosen method or a misapplied method that calls into question the scientific validity of the thesis. My guess is that this is probably the most common reason for failure: that the work is just generally not a good piece of science and needs further development before it can be considered convincing.
  • a significant failure to engage with preexisting literature, which casts into doubt the significance and originality of the thesis' contribution to knowledge.
  • a general lack of academic substance such that the thesis is not of sufficient scope or novelty to merit the award of a PhD.

For the viva itself:

  • a general inability to answer questions about the thesis—to a such a degree that the examiners are led to question whether it is really the candidate's own work.
  • a significant deficiency in the candidate's knowledge of the literature, such that s/he cannot confidently be held to understand the relationship between his/her work and that literature.
  • a significant inability to justify the decisions made in the course of the PhD, calling into question the candidate's ability to construct a successful research project. For example, you should be able to say why you chose the approach you did, rather than some alternative.
  • repeatedly giving answers that are so severely wrong that they call into question the candidate's competency in the field.

The use of the words fundamental, significant, etc. in the above is quite deliberate. Examiners will forgive basic problems with the thesis or a somewhat flakey viva performance because they understand that passing the viva marks the start (rather than the end) of one's education. The option of minor corrections exists to deal with such issues.

I assume that the aim of a vivia is generally 'to establish whether the aims of the PhD program have been achieved', although I guess some will be more restricted than that (with another grouping checking the overall picture).

Therefore generally there won't be a specific question-proportion to pass, since there's no set list of questions. You need to demonstrate that you wrote your thesis, that it is right (well, close enough, since there will usually be some mistakes somewhere), and that it is of a suitable standard. You probably also need to demonstrate that you've engaged with the professional development part of the program (as a PhD student you are essentially an apprentice professor/researcher). You should know stuff about your field other than your immediate thesis question, you should know how the research community works, and you should be able to communicate your ideas (in writing, in a planned presentation, and in answering questions). Having some realistic plans for the future might also not be a bad idea.

As a former PhD student, now lecturer, it's very rare to hear of one failing a PhD viva. The most common outcome is to grant the PhD subject to minor corrections, which will be checked off by the internal examiner. Occasionally candidates will have to make major corrections for review by the external examiner, and much more rarely, candidates will be told to revise and resubmit where the process may or may not include an additional oral examination. Only the last outcome would be generally regarded as "failure".

In the first instance the student's advisor would not recommend/allow (depending on the institution) the candidate to go forward for a viva unless the work was to the standard required. In many universities, this means publishable in whole or in part, and making a non-trivial novel contribution. One way to satisfy yourself about these criteria is whether you've published anything at all to date: if you have, it answers the question that the thesis is publishable at least in part. It's very hard to "fail" (see above) if these basic criteria are met.

About related approaches, you would probably be expected to have a rationale for choosing your own approach. This would imply that you know your chosen method well, and know enough about the others to be able to make a comparative choice. E.g. if you were working in electromagnetics and chose the Finite Element Method to solve a Partial Differential Equation, you would probably want to be able to point out why you rejected Finite Differences and/or Analytical methods. But I would not expect you to be able to discuss the intricacies of Finite Differences in any great detail. The working knowledge you already have of your own approach and that of others is probably quite sufficient, as long as you can provide a strong justification for why you chose the methods you did. It's quite OK to justify based on ease of use, local availability, expediency etc.

Further to Nate and Jessica's answers, you can get an idea as to what the risks are in your institution and your subject area by asking around for examples of people who have failed their viva.

'Failing' is also relative: the 'do not darken our doors, no option to resubmit' outcome is only likely to be a risk in case of plagiarism or moral turpitude . The difference between acceptance pending corrections (regarded as a 'pass') and asking for a 2nd viva (often regarded as a 'fail') may not be huge in terms of the amount of effort on your part that is required to satisfy your examiners.

Viva, Soutenance, Disputation: How PhD Students around the World Defend Their Thesis | Lex Academic Blog

Our recent posts on avoiding major and minor PhD corrections focused primarily on the run-up to and aftermath of defending a thesis in the UK. It occurred to us that for students considering a PhD, or established UK-based academics who have been asked to examine a PhD abroad, it would be useful to know how students in different countries defend their thesis. For the sake of readers unfamiliar with the UK system, let’s begin with a summary. In the UK, students defend their thesis in front of two examiners, at least one of whom must be external to the student’s university, in an examination called a viva voce , or viva. After the exam, the examiners make one of four recommendations: pass with no corrections, pass with minor corrections, pass with major corrections, or fail – resubmission. The majority of students pass with corrections (for more on the difference between minor and major corrections, click the links above), which the student must implement before they can be awarded their degree.

Like those in the UK, students in the US and Australia are usually required to make amendments to their thesis after examination. PhD programmes in the US require students to take and pass oral examinations, or ‘defences’, at regular intervals. Unlike in the UK, where students rarely know their examiners well, as this testimony shows, students in the US system are examined by the same committee throughout their studies. In Australia, the process of submitting and defending a thesis seems to vary between institutions. At the University of Sydney , for instance, students, in consultation with their supervisor, choose between a viva-like oral examination and a thesis-only examination, where the examiners each produce an extensive review of the thesis. The University of Melbourne requires students to present their research at a public completion seminar in the six months before submission.

In many European countries, the concept of PhD corrections doesn’t exist. At the Freie Universität Berlin in Germany, students are awarded a grade ( summa cum laude (distinction), magna cum laude (very good), etc.) for their doctorate, based on the thesis itself and their performance at their viva, or Disputation . Once the thesis has been corrected by the examiners, it is made available for viewing by postdoctoral members of the student’s department before the Disputation . Students in Germany must also publish their thesis in order to receive their award. Unlike a viva in the UK, a French soutenance is a public event. Students defend their thesis in front of a jury , or panel, of examiners. The supervisor, who in the UK may attend a viva but is prohibited from speaking, is usually a member of the panel. The student first gives a presentation about their thesis topic and then responds to questions from each examiner. Unlike in the UK, students in the French system don’t make corrections to the thesis after defending. Instead, the examiners produce a report on the strengths and weaknesses of the thesis, which is a key part of academic job applications, even for senior positions.

In Scandinavian countries, the defence of a PhD thesis is often a ceremonial, highly coded event (this piece by an American academic who was the external examiner for a thesis at a Swedish university describes how the student had to nail – literally – their abstract to a plank in a department common room as a symbol of the public release of the thesis!). At Halmstad University in Sweden, the student defends their thesis publicly and in the presence of an external specialist known as the ‘opponent’. The student may present their thesis, but it’s also possible for the opponent to present the thesis and compare it to existing research in the field. A similar system is used at the University of Helsinki in Finland, where traditionally a strict formal dress code must be adhered to. These codes may sound rather daunting, but in practice few students fail their defence (and the rules on dress are now the subject of debate). The public event is usually cancelled if an examiner deems the work to be below doctoral standard.

Because the process of submitting and defending a thesis varies considerably between countries, students thinking about a PhD, as well as those advising them, would be wise to make this process, as well as other factors like funding and duration, a part of their decision making when applying to universities. Even if you don’t really mind how your thesis is examined, it’s good to know what you’re letting yourself in for.

Supporting Dissertation Writers Through the Silent Struggle

Consider the following discussion. A student tells me, “I have so much going on right now. I’m trying to write this dissertation, take care of my mom and raise my kids. I’m giving to everyone else and have nothing left to write.”

“Thanks for sharing,” I respond. “Have you reached out to your adviser to discuss what is happening and see what resources you might be able to access?”

“My adviser said they will meet with me when I have a document ready for them to review. They are too busy,” the student says. “I’ve just been struggling in silence and don’t know what to do.”

This conversation highlights the reality for many doctoral students—they may experience hardships in silence. The doctoral journey is an interesting experience during which students are provided structure through coursework and then, once they enter the dissertation phase, that structure is removed. They usually are in a position where they have to manage everything themselves.

As faculty members, we try to provide the space of intellectual curiosity for our students and allow them to explore their dissertation topics. However, while we want students to be independent, our practices can signal that we are not available to support them when they need it. What are some strategies that we should consider implementing to support our students who too often struggle in silence? Below are three that I have implemented in my chairing process.

Create an environment where students can share. Students want to meet our expectations and standards. Yet in efforts to not burden us, some students may choose not to reach out to us when they are experiencing challenges. In some instances, they also do not come to us due to the fear—and, at times, the reality—that they will face adverse consequence for doing so. While that can occur during the coursework phase, it is even more common when students are writing their dissertations, because they believe they must be independent scholars and figure everything out on their own.

To combat those situations, we as dissertation chairs must first create an environment where students can feel comfortable to share what they are going through. One simple way to foster that type of relationship is to first ensure that you make time to meet regularly with your advisees. While that may seem to be an obvious practice, I often hear from doctoral students, like the one in the opening vignette of this article, that they find it challenging just to get on their chair’s calendar. That can unintentionally signal to them that we as faculty members are not available. As a faculty member, I know we have many demands on our time. To support my students, I have dedicated times each week when students can meet with me as needed. Making the time consistent on my calendar allows me to ensure other activities do not get in the way of meeting with students. To be more efficient, I created a special Calendly meeting link that has time slots open for students to schedule.

Programs should also have regular faculty meetings to discuss student academic progress, along with any well-being challenges such as mental health and/or life challenges. Sometimes a student is more comfortable talking with a faculty member who is not on their dissertation committee, and having such conversations can provide a space for all faculty members to learn what is going on and potentially troubleshoot before a student’s difficulties gets worse.

Choose your words with care. As dissertation chairs, our words hold significant power with our advisees. Those words become even more important when our students are experiencing personal and/or professional challenges. To illustrate this point, I offer you one word that, when used, can be a trigger for students: concern.

Students have told me that if we use the word “concern” when talking with them, it signals something is drastically wrong with what they are doing. So if I am relaying information—especially feedback—to students, I ask myself the following before I speak:

  • Is what I need to share truly a concern? For example, some students receive a concern comment when minor or moderate editorial changes—grammar, syntax, formatting and the like—are needed. While those must be fixed, they don’t usually rise to the level of concern that impacts the integrity of the study, a misalignment between the research questions and methodology.
  • Can I express my thoughts in a more detailed way rather than just expressing concern? In the example above, if I thought the student’s editorial work needed updates, I would explain that to them and provide examples on how the student can make the changes that I am requesting.

I am certainly aware that interpretation is important, but while students can take feedback from us on their work, I have learned to be reflective about what I say. It can influence their self-confidence, a key component for completing the dissertation process.

Understand your role is not a problem solver but solution facilitator. When I talk with other faculty members, some are quick to declare they are scientists, not therapists, so supporting their students’ distinct life challenges isn’t in their job description. I also agree that it’s not our role as faculty members to solve students’ problems for them. But we can provide a listening ear and, most of all, connect students to the various resources that can support them in their decision making.

For instance, a chair I know was advising a doctoral student who was communicative when writing their proposal and moved through the process fairly quickly. Then, after the student collected their data, the chair noticed that the student slowed down their progress and that when they met the student exhibited some uncharacteristic behaviors. Fortunately, the two had established a positive rapport, so the faculty member was able to learn that the student was unexpectedly taking on caregiving responsibilities for a sibling while experiencing some housing instability. In that case, the faculty member was able to connect the student with a campus resource for caregivers and, through it, the student was able to find housing support.

I know many faculty members are already engaging in the practices that I’ve suggested, but I continue to encounter doctoral students at the dissertation phase who are suffering in silence.
